INTRODUCTION

Throughout this report I will be discussing and reflecting on component 3 of the Marketing Me module. This component was all about the planning and delivering of our launch night event, which is to be held on Friday 26th July, 2024, at The Story House, Chester. The launch night event is all about showcasing our final major projects to our tutors, industry, students, family and friends, celebrating us as the first graduating year of the newly developed Fashion Communication Marketing (social media), 2 year fast track course.

For this module our course leader, Tracey, selected us all into teams for the creation and implementation of our launch night event. Tracey chose the teams by judging all of our strengths and weaknesses, fitting us into the teams in the area of the project we would be the best fit for. The launch night event team I was selected to be part of was the PR and Promotions Team For the launch night event teams, I have been selected to be a part of the PR and Promotion team.

TEAMPR& PROMOTION

The PR & Promotion team consisted of myself, Melita and Holly. The purpose of our team was all about getting the word out there about the event and filling the event with the relevant guests. As a team, we were given a list of roles and responsibilities that we had to complete for the launch night event The roles and responsibilities we were given as a team included:

PR stands for Public Relations and our role with this is essentially our role is organization and execution to make sure that the public and industry have a positive impression of Studio 204, during the lead up to and the night of the event. The work we have done as a team has been public facing communication, ensuring that the guests and brands we have contacted are aware of the event, informed about what the event and 204 are about, building up the strong reputation that the course has.

TEAM STATEMENT

The Studio 204 PR team is thrilled to announce our upcoming event, the class of 2024 launch night, scheduled to take place on Friday 26th July at Storyhouse. This event marks an exciting opportunity to bring together industry, students, alumni and mentors for an evening of networking and celebration of the class of 24.

We believe that the launch night will serve as a platform for fostering new connections and sparking innovative ideas. Our commitment to excellence ensures that guests will feel comfortable and welcomed Every detail is meticulously planned to deliver a memorable experience

We will explore new horizons, share knowledge, and build a stronger community.

PR & PROMOTION

ROLE SETTING

The first step that we took as a team was holding a meeting at Studio 204 to discuss which individual roles we were each going to take on for the project. We came to the decision on our personal roles by identifying our personal strengths, and what we felt we could bring for the best success for our team and the launch night event.

MY KPIs

Following communication and discussion with my team, I was aware of my KPIs that I would be focusing on throughout the team project. We came to the conclusion that these KPIs would be my responsibility due to them being the best suited to me from evaluating my skills and strengths that I could bring to the team project. Prior to performing my roles, I conducted research into what was needed and evaluated each role individually in order for me to be able to successfully perform my KPIs.

KPI 1

My first KPI was to create a marketing plan for the Studio 204 fashion fast track course and launch night event. The purpose of the marketing plan was to have to be used by my team so that everything we did was consistent and correctly targeted to our audience. I will create the marketing plan as my first step of the project as I was aware that this document would be needed to follow throughout the project, not only for myself and my team but the other teams also. I was chosen to create the marketing plan as one of my KPIs as I have lots of experience in creating these kinds of documents, as I have strong experience in marketing roles, bringing to the team a strong understanding and knowledge of what is needed in a successful marketing plan. I was able to apply my vast experience and skills to create a successful marketing plan for studio 204/launch night

CREATING A MARKETING PLAN

My second KPI for the project was scheduling, as a team we have identified that this role would include the planning and organization of the team for the duration of the project, including scheduling meetings and setting deadlines for us as a team. The role also included me scheduling when all of the resources such as save the dates, invites, marketing and promotional content was to be sent/released to our audience. Scheduling was a very important role for this project as it was to make sure that everything was being completed in the appropriate time frame, as if it wasn't everything would fall behind leading to less success of the promotion of the event A further aspect I added during the project as part of my scheduling role was that I created multiple resources for my team to help us with planning and organization, this included a tracking sheet for resources that needed to be sent/released, and tracking sheet for the sponsors that we contacted for the event.

I was chosen for the scheduling to be one of my personal KPIs as I have experience in scheduling within my workplace, and scheduling is something that I do within my work so the group felt that from this I had a strong insight into the role and was aware of different strategies and techniques that work well in terms of scheduling that I could bring to the team for this project. We also felt that the scheduling role fitted well with the role of creating the marketing plan as a marketing plan includes elements of scheduling, so the roles fitted well together.

SCHEDULING

My third KPI for the project was event promotion, this role was all about promoting the event to the correct audience and really getting our name and the event details out there in order to fill the event with the relevant guests. This role included me thinking of unique and creative ways to promote the launch night event and the studio 204 fashion fast track course in ways that haven’t been done before. As there was another team for the project that was responsible for the social media marketing for this project, I took the approach for my role in terms of event promotion away from social media and explored different platforms and avenues for promotion This included me deciding that the best ways for promotion of the event would be through strategic email marketing, event posters for schools and colleges, news letter and creating a press release that would be sent to local journalists such as Cheshire Live in hopes they promote the event on their platforms.

I was chosen for this role to be one of my KPIs as my strongest skills are within marketing and promotion As a team we also felt that this role also fitted with the role of creating the marketing plan so it made sense for me to do both of these along with each other. Once I had established the promotional techniques the team would be implementing, my other team members helped with the creation and bring of the ideas to life that I had come up with for the event promotion I personally created the marketing emails which included event reminders, and I produced a newsletter to be distributed to our email contacts also. Melita created the poster that would be given to schools and colleges, and Holly produced the press release.

KPI 3 EVENT PROMOTION

My fourth KPI for the project will take place at the launch night event, being me meeting and greeting the VIP guests. For this role, it will predominantly take place on the night of the launch night event, however for preoperation in the lead up to the event I have conducted prior research into each individual VIP guest to ensure I am aware of who they are and what they are about. This research has helped me have prior knowledge of the VIP guests, and I will be informed at the launch night of the event on them and how to communicate with them This research was essential for me to provide a positive and professional interaction and experience for our VIP guests I am aware that on the night of the event I will need to be professional and welcoming to each guest, make sure they are provided with an arrival drink and are provided gift bags also. I will be guiding them to where they need to be and performing check-ins with them throughout the night making sure they are happy, comfortable and have everything they need

I have been chosen for this role as I have very strong people skills and am a real people person. As part of my job I have to conduct property viewings daily which includes meeting and greeting clients meaning I am very used to a role of meeting and greeting so it comes as very natural to me, meaning the group felt I was the best fit for this role. I am able to hold professional but friendly interactions and this is what we needed for this KPI as it is so important we leave a positive impression on the VIP guests.

PERSONAL REFLECTION

During this project I believe I have been successful in completing my personal KPIs I have produced an effective marketing plan that has been used throughout the project by my team, following thorough research and planning. I have successfully created scheduling plans for my team and for the resources needing to be sent to promote the launch night event, and fill the space with the relevant guests. I have thought of unique and effective forms of marketing and promotional techniques, which me and my team have implemented during the running of the project. Finally for my last KPI of meeting and greeting VIPs at launch night, I feel I am well informed and prepared for the meet and greet role I have during the launch night event.

During the project, I not only was able to successfully complete my personal KPIs, but I believe that I worked well within a team to also support my team with their KPIs, and work outside of my roles to help and pick up other members of the team's roles where needed. When working in a team I feel it is important to work together and help each other whenever it's needed, and I did my best to support my team throughout the project An example of how I stepped up for my team came following the creation of my schedules for when all of our resources such as save the dates, invites etc. should have been being sent out I was made aware that resources were not being sent out within the scheduled time frames, so I took it upon myself to be proactive and help get the ball rolling on this, although it was not one of my set KPIs, I knew it was vital for this to be done for our team.

As scheduling was one of my KPIs, I knew how important it was that the schedules were followed, so I felt at this stage that I had to think of a strategy for my team so that everything was running to the schedule, and easy for us all to follow. This is when I produced the tracking documents for my team to be able to use and share. These tracking sheets have been one of the most beneficial resources we have had throughout this project as it has allowed the whole team to be able to analyze our progress, and assist with other roles where needed, keeping everything together and organized. By creating a tracking sheet and filling out details which included all our guests and their contact details that I found to add, it was ready for Melita to also jump onto and send out the required resources that she had to send to the guests for the event

PERSONAL REFLECTION

Along with the tracking sheet for resources to be distributed, I also created a tracking sheet for Holly to help her keep track of the potential sponsorships for the launch night that she would be reaching out to. Along with creating this tracking sheet I also helped her in contacting some sponsors, from industry contacts that I have gathered over the years from working with industry. Although contacting sponsors was not one of my roles, as I already had contacts in industry I felt it would be really beneficial in helping Holly with this role and providing and contacting these contacts for further possibilities for sponsors for the launch night. I also worked with Holly to form an email to send to brands when contacting them for sponsorships as I have previous experience in reaching out to brands and gave my knowledge of what was needed to be included when contacting brands for sponsorship

Although I believe I have worked really successfully within my own KPIs and in helping my team, being a real team player, on reflection there are areas I could have improved on. I believe there's always a learning curve to everything we do and it is beneficial to identify what I could have done differently in order for further success in the future and self development. If I was to start the project again with the knowledge I have now on how the team as worked, I would take a different approach in communicating with my team, I feel I was really relaxed with my team and didn't want to be too pushy on other members in pushing them to make progress and complete their roles, but on reflection if I was to be more open with my team and push then this would have been very beneficial and greater results could have been achieved. As the team scheduler and therefore taking a role of organizing the team, I could have made efforts to manage the team better and not be so afraid of pushing the team for success in fear of looking too pushy in the team.

During this team project I have developed many skills from having a further insight into creating a marketing plan, developing effective strategies and really thinking proactively whilst working on the project, bringing myself new roles as the process went on. The project has taught me what it takes to work within a PR and Marketing team and what it takes for success in this role in industry. This has been vital for me for my personal development as following the completion of the course I will be working in Marketing, so it is a great insight and lesson on what is needed in my career going forward.

CONCLUSION

In conclusion to my reflection of the Launch Night team project, I believe I have worked successfully within my team and on my personal KPIs, contributing to a positive experience and preparation for a launch night event that will represent the course in a positive light and build upon Studio 204s strong reputation. This Launch Night team project has been a really beneficial opportunity for me to develop my personal skills to take forward into industry, with insights on how I would work differently in the future. I am hopeful for a successful launch night ahead following the hard work put in by myself, my team and the other teams to hold a spectacular event.
