We encourage our beloved meeting planners to have their menu chosen within 30 days prior their event. Menu changes last minute are always welcome but might incur on extra cost in case of having to source any product not available in our beautiful Guanacaste Province. Group planners are encouraged to sign Banquet Event Orders 15 days prior their event as an agreement to the beverage, food & miscellaneous to be used during the event. We will be happy to host taste panels at your convenience at no cost in case the event is con rmed. In case of not con rming the event taste panel will be charged. Bu et taste panels are only available for events larger than 100 pax and will be done in miniature portions.
Any catering services provided out of the W Costa Rica premises are to be considered o side catering. There would be an additional charge considered, due to transportation, sta ng, equipment, and other perks related to execution. Up to 100 pax there would be a $1000 at fee to be applied. Any higher number of attendance will quote based on that rule at no discount.
Breakfast displays are designed for a 1h 30 minutes time gap. Lunch & Dinner displays bu ets, are designed for the guaranteed for 2h time gap.
Any addition requirement of time will have to be priced up accordingly. Minimum guarantee for bu et required is 30 guest W Costa Rica – Reserva Conchal Cabo Velas, Guanacaste, Costa Rica

All our prices are in USD and include 10% Service Charges + 13% VAT. Prices are per person.
Only beverage and food purchased on property will be served. Regarding beverage, we are open to a corkage fee system that allows guest to bring their preferred selection. Wine Corkage fee to be 25$, Spirit fee to be 50$ and includes glassware, service, and standard mixers.
Minimum attendance guarantees for the event will be signed together with the Banqueting Event Order. This number will be considered a guaranteed number of guests not subject to reduction. In case of looking to increase your party we would need to be noti ed at least 48h in advance, otherwise there is a 25% fee on the rate that applies per cover added. Pop up events (24h prior) will be charged a 50% fee on the rate that applies per cover added.
We commit to a sta ratio based on guest attendance. Bu et functions will feature 1 talent every 20 guest & plated functions will feature 1 talent every 15 guest. Additional talent is available ($100 per team member). An additional charge for sta applies for functions that continue past the contracted times at a rate of $75 per server. Any event scheduled to go over midnight will incur additional labor fees and transportation costs. Please consult us for any doubts you might have.
We will be thrilled to o er any of our venue spaces exclusive for your party. In that case, we can fully accommodate to your needs from a music style, projection or set up standpoint. There are certain fees that apply as at charge in concept of room rental. Full or Partial privatization is available on our spaces as following:
