5 Reasons to Outsource to Dental Virtual Assistants

For dental practices, efficient operations are key to providing an outstanding patient experience while maximizing revenue and growth. However, an overloaded front office staff can quickly become a bottleneck, with critical tasks like insurance verifications, billing, and scheduling falling through the cracks. This not only hurts the patient experience but can directly impact the practice’s bottom line through missed revenue opportunities.

The solution? Outsourcing non-clinical dental office tasks to a team of specialized virtual assistants. By leveraging an outsourced team, practices can gain access to expertise specifically geared towards the nuances of the dental industry—without the overhead costs and operational constraints of hiring additional in-house staff.

But that’s only the tip of the iceberg. Without further adieu, here are five reasons why dental practices should consider outsourcing to virtual assistants.

1

In our fast-paced, attention-stretched world, your time is an extremely valuable commodity; there’s no need to spend it doing things that you’d rather not do or just aren’t great at doing. If you think

about it, we already outsource various personal tasks like housekeeping, childcare, and even grocery shopping to professional services that can complete these jobs more efficiently. The same philosophy applies to streamlining operations for a dental practice.

By delegating routine administrative responsibilities like insurance verification, billing, and scheduling to a team of virtual assistants, front office personnel can reallocate their time to higher-value activities. These include providing exceptional customer service, consulting with patients on treatments, and ensuring a smooth in-office experience.

This division of labor allows the practice to operate much more productively and efficiently— but it also just makes for a more welcoming practice. We want the in-house staff to be able to focus on enhancing that patient experience, after all. Having a cheerful, likable person at the front desk who can give their full attention to guests is so important for setting the right tone.

2

Maintaining a full-time front office staff comes with considerable costs beyond just salaries. There are payroll taxes, health insurance, retirement contributions, paid vacation time, and other benefits that can amount to 25-40% of base compensation in overhead costs. Outsourcing helps to minimize this expenditure.

Additionally, turnover can be extremely disruptive and costly for a practice. When an employee leaves, that represents a sunk cost for the hiring and training invested in that individual. With an outsourced team, the service provider

handles any turnover seamlessly.

By partnering with a reputable virtual assistant company, practices can also reallocate the cost spent on front office staffing to core services that drive revenue and growth. This reduces operational bloat while maintaining high-quality administrative support.

3

The dental industry has a vast number of unique nuances—whether it’s insurance verification protocols, coding requirements, patient privacy regulations, or accounts receivable management. Failing to properly comply with any of these areas can directly impact revenue through missed filings, claim denials, and potential penalties.

Virtual assistant companies that specialize in serving dental practices—like GetVWire—invest heavily in developing this specialized expertise. Their teams undergo extensive training to ensure an in-depth understanding of areas like procedure coding, patient eligibility verification requirements, and more.

By tapping into this knowledge base, practices can operate with far more compliance confidence while improving efficiency in areas like claims-processing and appeals. An expert virtual assistant team essentially acts as an extension of the practice, supporting operations with industry-specific skills that an average front office employee may lack.

4

Demand for dental services can fluctuate considerably based on

seasonality, local population growth, or economic conditions. Trying to continuously realign front office staffing with these volume shifts can be operationally unwieldy and costly.

With an outsourced virtual assistant model, practices can fluidly scale administrative support up or down in sync with their capacity needs. Need extra insurance verification bandwidth ahead of high season? The virtual team can accommodate that without the practice needing to worry about onboarding and training those short-term hires themselves.

This ability to seamlessly rightsize operational resources is a major competitive advantage. It allows practices to agilely control costs by maintaining a lean in-office staff footprint while still being able to surge or ease administrative support as volumes dictate.

5

When a practice’s front office staff is overburdened and stretched across disparate administrative tasks, inefficiency is the natural byproduct. Ad-hoc juggling of responsibilities like patient onboarding, scheduling, insurance verifications, billing, and more can lead to errors, rework, and delays across all of those workflows.

Partnering with a specialized virtual assistant team allows a practice to segment those administrative processes across different dedicated teams. So, instead of having a couple of front office staff members attempt to triage between phones, scheduling, billing, and verification requests, each of those workstreams can be managed by assistants focused specifically on that functional area of expertise.

Optimize your time & productivity. Contain operational costs. Leverage specialized expertise. Boost operational efficiency. Scalability to match practice needs.

How do you choose the right outsourcing partner?

It’s important to find a partner who takes the time to truly understand your practice’s culture, processes, and unique requirements. The most effective outsourcing relationships are those where the virtual assistant team aims to be an extension of the practice by adapting to existing systems

and workflows, not disrupting them. They shouldn’t come in with the mindset of overhauling how things are currently done, but rather seamlessly integrating as new additions to complement the existing staff and operations.

At GetVWire—where I serve as the Director of Operations—we exemplify this approach. With a team of veterans from the dental industry, we prioritize

immersing ourselves in each client’s specific needs and standard operating procedures. Our virtual assistants undergo extensive training to essentially become part of the practice’s culture, blending in with established processes.

Additionally, you’ll want to ensure the outsourcing partner has incentives properly aligned with your practice’s success. That’s why we structure our

compensation model to be contingent on tangible metrics like maximizing insurance reimbursements and revenue for clients. That way, our motivations are fully vested in our clients’ interests and optimizing profitability—not just completing minimum tasks.

Dental practices should vet potential outsourcing partners through this collaborative, consultative lens. Seek out teams like ours that prioritize a cohesive approach to integration rather than disruptive overhauls. If you’re interested in exploring how GetVWire’s virtual assistant services can help elevate your practice’s operational efficiency and profitability, I invite you to visit our website at https:// getvwire.com/. Schedule a complimentary consultation with our team to discuss your unique needs and learn more about how we can support your success.

In my experience, dentists are some of the hardest-working people out there—they pour their hearts into their practices and their patients. But all too often, they find themselves falling into the trap of “lazy money”—letting their hard-earned dollars sit idle in low-yielding accounts or volatile stocks.

That’s where passive real estate investing comes in. It provides a path to financial freedom that doesn’t require you to trade your time for money, while also putting your capital to work in a meaningful way. Instead of watching your savings languish, you can leverage your investments to earn steady returns and make a positive impact in your community.

I’m honored to be featured in Dental Lifestyles Magazine and to have the opportunity to share my insights with you. As the Editor-in-Chief of this wonderful publication, my good friend Dr. Glenn Vo is dedicated to helping dentists live their best lives both inside and outside the practice. He understands firsthand the challenges of balancing a successful career with a fulfilling personal life, and that’s why he’s such a strong advocate

for passive investing as a way to avoid the all-too-common trap of lazy money. In fact, Glenn is one of my most successful clients.

Glenn’s story is a perfect example of the power of passive real estate investing. When Glenn first came to me, he was intrigued by the idea of real estate investing but didn’t have the time or expertise to do it on his own. I showed him how he could passively invest in our affordable housing projects and earn attractive returns without lifting a finger. He started small, but quickly saw the potential to scale his investments and create a significant stream of passive income.

Fast forward a few years, and Glenn’s real estate portfolio is now generating enough passive income to fund the kind of unforgettable experiences he’s always dreamed of. Last year, he was able to take his entire family on a trip to Vietnam and South Korea—creating memories that will last a lifetime. THAT, ladies and gentlemen, is the power of putting your money to work through passive investing—it gives you the freedom to live life on your own terms.

How does passive real estate investing work?

At America’s Discount Home Deals, we specialize in affordable housing projects that generate steady returns for our investors. These can include fix-and-flip projects, rental property acquisitions, or—in one recent case— pooled funds from an entire dental office’s staff for a single real estate investment. Our team handles all the details, from acquiring properties to managing renovations to finding qualified tenants or buyers.

As an investor, your role is simply to provide the capital and let us do the rest. We offer a range of investment options to suit different goals and risk tolerances, with annual returns that could range from 10-14%. And because we focus on affordable housing, you can actually do some meaningful good—knowing that your investments are helping families achieve the dream of homeownership—while doing very well for yourself.

The benefits of passive real estate investing (and why it’s better than alternative forms of investing).

One of the biggest advantages of passive real estate investing is the ability to use tax-advantaged vehicles like self-directed IRAs. This allows you to grow your wealth faster by deferring or

even eliminating taxes on your investment gains. Our team can guide you through the process of setting up a self-directed account and help you navigate the paperwork and reporting requirements.

Another key benefit is the hedge that real estate provides against inflation and stock market volatility. While the stock market can be a rollercoaster ride, real estate tends to appreciate steadily over time—especially in markets with strong demand for affordable housing. And because you’re invested in tangible assets, you have a level of security that you simply don’t get with paper investments.

But perhaps the most powerful reason to consider passive real estate investing is the freedom it can provide. As a dentist, you’ve worked hard to build your skills and your practice. But you shouldn’t have to be chained to your chair to enjoy a comfortable lifestyle. By creating a stream of passive income, you can buy back your time and spend it on the things that truly matter to you—whether that’s family, travel, hobbies, or giving back to your community.

As a dentist and the founder of the Nifty Thrifty Dentists Facebook group, I have had the pleasure of con necting with numerous talented suppliers who cater to bargain hunters in the dental industry. Among them, Wade Myers—Founder and Owner of GotaDental—has become a celebrity in the world of dental equipment bargain-hunting. He stands out as a true innovator and a dedicated professional who has significantly impacted the way dental practices acquire top-notch equipment without breaking the bank.

I first learned about Wade and GotaDental through his reputation for providing high-quality, refurbished dental equipment at affordable prices. Needless to say, he had no problem becoming a popular figure in the Nifty community. As I got to know him better, I discovered a man driven by a passion for excellence and an admirable commitment to customer service.

Wade’s journey went from sales to entrepreneurship.

Wade’s journey in the dental industry began nearly a decade ago when he started working in sales for his brother’s company. During this time, Wade gained valuable experience and insight into the needs and challenges faced by dental professionals. However, his ambitious nature and desire to achieve more led him to strike out on his own—in 2018, Wade founded GotaDental.

Based in Cabot, Arkansas, GotaDental started with a focus on selling renovated film processors. All great entrepreneurs inevitably face a whole lot of doubt in the early stages of their journey and, naturally, Wade initially faced numerous challenges and skepticism from others in the industry. Many doubted the viability of his business model, believing that the market for refurbished dental equipment was limited. Undeterred by these obstacles, Wade persevered, gradually expanding his offerings to include a wide range of dental equipment—from dental chairs and x-ray machines to sterilizers and handpieces.

Before long, Wade was partnering with a plethora of dental supply companies to make sure his clients always got the exact piece of equipment they needed—whether it was top-of-the-line digital imaging systems, dental film processors, cavitrons, a complete office install, or just a single chair. Fast forward to the present, and GotaDental houses an extensive selection of supplies from the biggest brands in the industry: Air Techniques, Adec, Belmont, Dentsply, Gendex, Pelton & Crane, Midmark, and SciCan are just some of the leading equipment manufacturers that GotaDental carries and sells daily.

DENTAL LIFESTYLES • ISSUE NO. 7 2024 12

It didn’t take long for GotaDental to earn a strong reputation for quality and reliability.

As Wade’s business grew, he remained committed to sourcing only the highest quality equipment for refurbishment. He understood that dental practices rely heavily on their equipment to provide topnotch care to their patients and that any downtime due to malfunctioning or unreliable equipment could be costly— both financially and in terms of patient trust.

To ensure the quality and reliability of his products, Wade developed a meticulous refurbishment process that went above and beyond industry standards. When a piece of equipment arrives at GotaDental’s facilities, it undergoes a thorough inspection to assess its condition and determine the scope of work required. From there, Wade and his team of skilled technicians completely disassemble the equipment, cleaning, repairing, and replacing components as needed.

But Wade’s refurbishment process doesn’t stop at simply making the equipment functional again. He takes great pride in the attention to detail his team puts into every piece of equipment they work on. Cosmetic touches—such as repainting and reupholstering—

are done with care to make the equipment look as close to new as possible. More importantly, Wade insists on using only high-quality replacement parts, often sourcing them directly from the original equipment manufacturers to ensure compatibility and longevity.

The end result of this rigorous refurbishment process is dental equipment that not only looks great but also functions reliably, often exceeding the performance of new equipment at a fraction of the cost. Wade’s commitment to quality and reliability has earned GotaDental a loyal following among dental professionals who appreciate the value and peace of mind that comes with purchasing equipment from a trusted source.

GotaDental offers more than just refurbished equipment—it also sells new equipment and repair services.

While GotaDental is wellknown for its high-quality refurbished equipment, the company offers much more than that. Wade and his team also provide expert repair services for a wide range of dental equipment, ensuring that practices can keep their existing equipment in top working condition.

Drawing on his extensive experience as a technician and his in-depth knowledge of dental equipment, Wade is able to diagnose and fix even the most complex issues. Whether it’s a malfunctioning x-ray machine or a dental chair that needs a new hydraulic system, GotaDental’s repair services can help practices avoid the costly downtime that comes with equipment failures.

In addition to refurbished equipment and repair services, GotaDental also offers a selection of brand-new dental equipment from leading manufacturers. Wade understands that while refurbished equipment is a great option for many practices, some clients prefer the peace of mind that comes with purchasing new equipment. By offering both refurbished and new options, GotaDental is able to meet the diverse needs of dental practices at various stages of growth and with different budgetary constraints.

A

culture of top-tier customer service is an actual “driving force” behind GotaDental’s success.

Wade is committed to literally “going the extra mile” for his customers. Often, he personally delivers equipment to ensure its safe arrival. He understands

the importance of minimizing the risk of damage during transit, and his white-glove delivery service has become a hallmark of GotaDental’s exceptional customer care.

Wade’s dedication to his clients is evident in the countless miles he drives each year, crisscrossing the country to source and deliver top-quality dental equipment. His willingness to go above and beyond—whether it’s driving through the night to make a delivery or taking the time to train clients on the proper use and maintenance of their new equipment—sets him apart in an industry where impersonal service is all too common.

But Wade’s commitment to customer service extends far beyond delivery and installation. He and his team are always available to answer questions, provide support, and troubleshoot any issues that may arise. Dental practices that purchase equipment from GotaDental can rest assured that they have a partner they can count on, long after the sale is complete.

This level of personalized service is a testament to Wade’s belief in building long-term relationships with his customers. He understands that the success of his business is directly tied to the success of the dental practices he serves, and he goes to great lengths to ensure that

> continue...Feature Cover DENTAL LIFESTYLES • ISSUE NO. 7 2024 13

his clients have the tools and support they need to thrive.

Wade is on a mission to make dentistry more affordable—not only for his clients but also for his clients’ clients.

For Wade, providing affordable dental equipment isn’t just about making money—it’s about making a difference in the lives of both dental professionals and their patients. He recognizes that the high cost of new dental equipment can be a significant barrier for many practices, especially those just starting out or serving communities with limited resources.

By offering high-quality, refurbished equipment at a fraction of the cost of new equipment, Wade is helping to level the playing field and make it possible for more practices to access the tools they need to provide top-notch care. This, in turn, makes dentistry more affordable and accessible for patients, many of whom might otherwise forgo necessary treatments due to cost concerns.

Wade’s commitment to making dentistry more affordable extends beyond just the sale of equipment. He is always willing to work with customers to find creative solutions to their unique challenges—whether that means customizing a piece of equipment to fit their specific needs or offering flexible financing options to help them manage the cost of their purchase.

In this way, Wade is not just a vendor but a true partner to the dental practices he serves. His passion for dentistry and dedication to supporting the success of his clients is evident in everything he does—from the care he puts into refurbishing equipment to the time he takes to understand each practice’s individual needs and goals.

GotaDental has a bright future of continued growth and impact.

As GotaDental continues to grow—with multiple warehouses across the country and a dedicated team of skilled technicians—Wade remains committed to his mission of making high-quality dental equipment accessible and affordable for practices of all sizes. He is constantly seeking out new ways to innovate and improve his products and services—whether that means investing in new technologies or developing partnerships with leading manufacturers.

Looking to the future, Wade sees endless opportunities to continue making a positive impact on the dental industry. He plans to expand GotaDental’s offerings to include an even wider range of equipment and supplies, educational resources, and support services to help dental professionals stay at the forefront of their field.

But no matter how much GotaDental grows, Wade is determined to maintain the company’s commitment to quality, reliability, and exceptional customer service. He knows that these values are what have set GotaDental apart from the beginning, and he is dedicated to upholding them as the company evolves and expands.

For Wade, success is not just measured in dollars and cents, but in the impact he and his team are able to make on the lives of dental professionals and their patients. Every piece of equipment that leaves GotaDental’s facilities represents an opportunity to help a practice provide better care more efficiently and affordably. And every satisfied customer represents a step towards a healthier, happier community.

Wade has built a company that is changing the face of dental equipment supply, one practice at a time.

In conclusion, Wade Myers and GotaDental are shining examples of what can be achieved when passion, expertise, and a commitment to excellence come together. Through hard work, innovation, and a customer-centric approach, Wade has built a company that is changing the face of dental equipment supply, one practice at a time.

As a member of the dental community, I am grateful for the contributions Wade and his team have made to our industry. Their dedication to quality, affordability, and service is an inspiration to us all—and a reminder of the power we have as dental professionals to make a real difference in the lives of those we serve.

I have no doubt that GotaDental will continue to be a driving force in shaping the future of dentistry. I look forward to seeing all the ways in which Wade and his team will continue to

innovate and grow in the years to come. With their profound commitment to excellence and passion for making dentistry more accessible and affordable for all, there is no limit to their impact.

Carrying the Torch: Dr. Hollie Ellis’ Journey From

Inheriting

Her Father’s Legacy to Mentoring the Next Generation of Dentists

D

r. Hollie Ellis’ journey into dentistry began long before she ever set foot in a dental school. Growing up as the daughter of a dentist and a dental hygienist, she was immersed in the world of dentistry from a young age. Hollie’s earliest memory of her father’s profession was at the tender age of four, standing on a chair and proudly proclaiming, “That’s my daddy!” as he graduated from the University of Maryland School of Dentistry.

Despite this early exposure, Hollie initially pursued a different career path. After earning a bachelor’s degree in engineering from the University of Pennsylvania, she soon found that engineering wasn’t her “true calling.” She then obtained a master’s degree in public health and biostatistics from George Washington University but, again, Hollie felt unfulfilled. It wasn’t until Hollie’s father suffered a cardiac event that she had the profound realization that dentistry was what she was destined to do. As she sat by his bedside in the hospital, she reflected on her own life choices and the impact she wanted to make in the world.

This turning point led Hollie to

reconsider dentistry, and she soon enrolled in the University of Maryland School of Dentistry—the same institution where, years earlier, she had witnessed her father’s achievement as a jubilant little girl. Hollie embarked on her journey to earning a DDS with a newfound sense of purpose and a desire to carry on her family’s legacy of compassionate care.

Hollie will forever cherish the mentorship—and memories—that came from working side-by-side with dad.

One of the most influential experiences in Hollie’s dental career was the opportunity to practice alongside her father for five years before his retirement. During this time, he served as her mentor, guiding her through the transition from the academic setting to the realities of clinical practice.

Hollie cherishes the memories of working side-by-side with her father, blessed with lifelong

lessons from the expertise and compassion he exhibited daily. Currently practicing in her hometown of Sykesville, Maryland, Dr. Ellis still abides by the invaluable wisdom her father bestowed upon her—from the technical aspects of dentistry to the importance of building strong patient relationships.

Beyond the clinical realm, Hollie’s father also helped her navigate the business side of running a dental practice— even after he retired—between ordering supplies, hiring staff, introducing new services, and more. She particularly values this aspect of her father’s mentorship because—as many new dental school graduates eventually learn the hard way—dental school never really taught Hollie much about how to run a business efficiently.

“Listen to your elders.”

When she entered her father’s practice, Hollie readily embraced new dental technologies

—such as lasers and advanced tools—which sometimes contrasted with her father’s more traditional approach.

As a dentist from a younger generation, Hollie was savvy with the evolving nature of dentistry and the importance of staying current with the latest tools and techniques. She wholly believed that embracing change was essential to providing the best possible care for her patients, and she also understood the value of continuing education. Thus, Dr. Ellis regularly attended courses and workshops to expand her knowledge and skills, constantly pushing the envelope. Meanwhile, her father mostly stuck with what he was comfortable with, reluctant to embrace the latest advancements and modernities within his dental practice and often resisting any substantial changes.

The contrast between Hollie’s and her father’s attitudes

toward technology exemplifies the generational divide within the contemporary dental landscape. “Old-school” practitioners often clash with their “new-school” counterparts when adopting cutting-edge advancements and evolving best practices, with younger dentists more eager to incorporate these innovations into their work.

For an “old school” dentist to reach their full potential, Hollie firmly believes that a willingness to embrace change is crucial. After all, dentistry is a field where new materials, procedures, and digital tools are continually developing to improve patient care and streamline dental processes. However, Hollie also recognizes the importance of balancing tradition and innovation. She acknowledges that the wealth of knowledge and experience possessed by “old-school” dentists is invaluable and that much can be learned from their time-tested methods and dedication to patient relationships.

From mentee to mentor. In a poetic twist of fate, Hollie has transitioned into the “oldschool” dentist role, working hand in hand with her younger associate, Dr. Trevor Golden. Just as her father once passed the torch of knowledge and expertise to her, Hollie has now taken up the mantle of mentorship, guiding Trevor’s professional journey with the same dedication and care.

Believe it or not, Trevor was once a wide-eyed five-year-old patient of Hollie’s father. After completing his dental degree and a challenging one-year residency program, Trevor’s potential and commitment to the craft were unmistakable to Hollie. Recognizing the opportunity to continue the tradition of excellence that her father had instilled in her, she extended an offer for Trevor to join her practice as an associate dentist—a role he embraced enthusiastically.

Over the past six years, Hollie has diligently passed the torch of wisdom to Trevor, sharing the invaluable lessons and insights that her father had once bestowed upon her. This unique mentor-mentee relationship strengthens their professional bond and ensures that the legacy of exceptional patient care and expertise is preserved and carried forward. As Trevor grows under Hollie’s guidance, he becomes a living embodiment of the values and skills passed down through generations of dentists.

Hollie is carrying the torch of compassionate care—both within and outside of her dental practice. Dr. Ellis takes great pride in displaying her father’s name on the wall of her dental practice, paying homage to the man who constructed the building with his own hands. She speaks fondly of him to her patients, sharing stories and memories that highlight his dedication and craftsmanship. In the waiting room, a photograph of her father takes center stage, ensuring that his presence is felt by all who enter the practice. Through this tribute, Dr. Ellis acknowledges the literal and figurative foundations her father laid, recognizing that his hard work and determination not only built the physical structure but also paved the way for her own success as a dentist.

Hollie’s dedication to her patients would make her dad

proud. Her father was the kind of guy who would get out of bed to help a patient with an emergency at two in the morning, and likewise, Hollie is always willing to make house calls to those in need. She understands that for some patients—particularly the elderly or those with mobility issues—accessing dental care can be a challenge. By bringing her services to them, she ensures that everyone in her community can receive the care they need.

Hollie has also found a way to give back to her community outside of her dental practice by volunteering at her local Veterans of Foreign Wars post. She serves as a bartender, using the opportunity to connect with veterans and hear their stories. This experience has been profoundly rewarding for Hollie, as it allows her to express her gratitude and appreciation for those who have selflessly served their country. Hollie’s passion for supporting veterans stems from a personal connection—her son is an active-duty sailor in the United States Navy. In one particularly heartwarming instance, Hollie provided free dental care to an 80-yearold veteran, relining his ill-fitting denture and bringing him to tears with her kindness.

Folks like Hollie are the beating heart of dentistry. Dr. Hollie Ellis’ journey proves the power of family, mentorship, and compassion in the dental profession. From her early childhood memories of

her father’s graduation to her own experiences as a mentor to Dr. Trevor Golden, Hollie’s story is one of legacy, growth, and giving back.

As we navigate the challenges and opportunities of the ever-evolving dental landscape, let us look to role models like Hollie as shining examples of what it means to be a true healthcare provider. With compassion, dedication, and a commitment to lifelong learning, we can build a brighter future for the dental profession—one where every patient feels valued, every practitioner feels supported, and every community thrives.

By sharing stories like Hollie’s, Dental Lifestyles Magazine hopes to inspire and empower dental professionals to lead lives of purpose, balance, and joy. When we take care of ourselves and each other, we can create a world where everyone has a reason to smile.

Raising the Bar: Sober Life, Bold Connections

As I reflect on my journey with Sober Life Rocks, I can't help but think of a recent retreat I attended that felt like a breath of fresh air in a world often saturated with alcohol-centric social gatherings. Picture this: a retreat where options for drinks extended far beyond the standard soda with a lime, and there was absolutely no pressure to drink or abstain because the host made sure to offer choices. The bartender was trained to whip up all sorts of fun concoctions, with or without alcohol, catering to everyone's preferences. This retreat marked a turning point for me, where inclusivity and celebration of individual choices were front and center.

Let me introduce myself—I'm Laura Nelson, a seasoned professional in the dental industry with over two decades of experience, and I'm proud to be one of the co-founders of Sober Life Rocks. Four years ago, I made the personal decision to stop drinking, and since then, my perspective on social gatherings has shifted

dramatically. Stepping back into the realm of business events post-COVID, I couldn't help but notice how much networking revolved around alcohol. That realization sparked a fire within me and my co-founder, Margy Schaller, leading us to establish Sober Life Rocks with a dual mission.

Our first mission is to build a supportive community for individuals who identify as sober, sober-curious, sober-ish, or sober wingmen. We're here to navigate business events together, providing support and celebration every step of the way. But our vision extends beyond just building a community; we aim to normalize sober choices at business events, fostering an environment where everyone feels embraced regardless of what's in their cup.

Imagine walking up to a bar at an event and being greeted by a colorful array of nonalcoholic options meticulously curated by the event planner. No need to awkwardly inquire about alcohol-free choices amidst the

clamor of music; instead, you can confidently select a drink that suits your taste without any fuss. This shift not only caters to non-drinkers but also provides a seamless transition for those looking to moderate their alcohol intake throughout the evening.

The impact of embracing inclusivity and choice was palpable at the recent business retreat I attended. For the first time, I felt not just included but genuinely celebrated, allowing me to engage with groups and socialize without the discomfort I'd experienced in the past. What's more, witnessing numerous attendees enjoy alcohol-free options highlighted the positive reception to this shift in norm.

The retreat itself was thoughtfully designed with various areas for socializing, including a bar/dance floor, a pool table area, and a lounge, allowing attendees to mingle in ways that suited them best. This multifaceted approach encouraged natural interactions and fostered a sense of belonging for everyone present.

As I envision the future of social gatherings, I see a landscape where choice and inclusivity reign supreme—a future where every sip represents diversity and where Sober Life Rocks shines brightly. Together, as a united community, we can challenge the status quo and redefine what it means to connect and celebrate without the pressure of alcohol.

If you're interested in joining our community or learning more about making your events sober-inclusive, please visit our website at https://soberliferocks.com or reach out to me directly at laura@soberliferocks.com.

Here's to a future where choice and inclusivity lead the way, and where every individual feels empowered to embrace their journey, one sip at a time. Cheers!

The Money Domino Effect

Picture this: you’re seated at a table, surrounded by a sea of colorful dominos. Across from you sits a child, eyes bright with anticipation, eagerly awaiting the moment when the first domino will fall. This isn’t just a game of dominos; it’s a testament to patience, intentionality, and the profound impact of a single gesture triggering a captivating chain reaction.

In the world of dentistry, much like the delicate balance of dominos waiting to fall, there exists a similar phenomenon— the domino effect of money and insurance. Every action taken sets off a chain reaction that reverberates through the financial processes, directly impacting your bottom line.

Have you checked your accounts receivable (A/R) report lately? Is your hard-earned money sitting on that report instead of in your bank account? If so, read on.

Your A/R report will be divided into time frames. Let’s focus on the “over 90” category. A healthy A/R over 90 is 7 percent or less. If yours does not meet

this benchmark, don’t despair— there is a system! The key to managing your A/R is to prevent the problem from happening in the first place. By the time the dental insurance pays, the account should be paid in full 98 percent of the time. For existing overdue accounts, have a rock-solid, written collections protocol on how to manage the past-due balances. In four simple steps, you can revolutionize the financial health of your practice.

Step 1. is to have an excellent dental insurance breakdown. Customize your insurance breakdown template and make it unique to your practice. Make it detailed and distilled down to only the services that you perform.

Step 2. is to have a deep understanding of how your practice management software estimates copays and ensure accurate setup to allow it to estimate the correct copays. Utilize the coverage table, payment table, fee schedules/bluebook, and note section.

Step 3. is to present accurate copay estimates at the time of diagnosis, before the patient schedules. This can be an intimidating step for teams, but with the right strategy, it becomes manageable.

Presenting accurate copays at the time of diagnosis will allow the patient to make financial arrangements prior to scheduling, ensuring their portion is paid in full on or before the date of service.

Lastly, step 4 is to have a thorough, written collection protocol to manage the pastdue balances. Give your team easy-to-understand instructions on how to audit and handle accounts with balances that are 30, 60, and 90-plus days old. Describe how frequently you’d like them to follow up on outstanding claims, send statements, make collection calls, write off balances as bad debt, send to a collection agency, etc. If you use any technology in the collection process (such as e-statements), customize your protocol so that it aligns with the technology you currently utilize.

Mastering the art of the money domino effect is not just about setting up the pieces; it’s about orchestrating a symphony of precision and foresight. By implementing these steps—from perfecting insurance breakdowns to presenting accurate copays and establishing a robust collection protocol—you hold the power to transform your practice’s financial landscape.

The White Rabbit Syndrome: Addressing Burnout in Healthcare

I

t’s not uncommon in the healthcare industry to regularly see professionals running around crazed like the White Rabbit in Alice in Wonderland, internally proclaiming that they are late. In healthcare, many variables outside of our control can affect our schedule. Couple this with the pressure of being productive, dealing with the diverse personalities amongst our team members and the patients, and rendering treatment can all contribute to anxiety and stress, leading us to feel burnt out.

According to the US Surgeon General’s report Addressing Health Worker Burnout, the burden of working in stressful work environments that strain the workers’ physical, emotional, and psychological well-being is driving many to burnout, negatively affecting patient care and job longevity. Common causes of burnout are excessive workloads, administrative burdens, limited say in scheduling, and lack of organizational support.¹ We may feel frustrated and feel as though we don’t have autonomy over our schedule. We might worry that cutting corners to stay on

time could potentially prove to be a liability for us and negatively affect the patient’s treatment outcome. Clinicians may skip necessary assessments or proper infection control procedures that are considered the standard of care, due to time constraints and staffing shortages.

When we worry that we have gone against the oath we took as a healthcare provider, we can face internal conflict. Voicing our concerns and advocating for ourselves and our patients can seem daunting, frustrating, and may result in actual conflicts within the workplace. This conflict often leads workers to seek employment elsewhere. When employees provide their notice, the employer now has the added burden of finding a satisfactory, competent replacement amidst a provider shortage.

It is imperative that we find solutions to address and manage burnout within ourselves and our teams. We must come up with a treatment plan that is specific to us and/or our team. Some solutions are to first recognize the signs of distress, mental anguish, and burnout in yourself and your colleagues. Self-evaluate to determine what specifically is contributing to your burnout or the team’s and take impactful steps to change

it. Journaling daily our thoughts and feelings can help in this area. Often, as healthcare providers, we lack proper boundaries. It is important to educate ourselves on ways to instill proper boundaries that are respectful of all. Working on advocating for our needs and that of our team by saying no when saying yes will conflict with our needs proves helpful. Will adding another patient to the already packed schedule add to or lessen the stress in the team? How will doing so affect team members’ ability to take their lunch, leave on time, or affect work-life balance for all?

Individuals who work in a supportive work environment that has a positive work culture often report fewer instances of burnout and less employee turnover. Ways to make sure that as an employer, your office has a positive work culture is to make sure you hire professionals that align with the principles and values of your office. As an employer, regularly checking in with your team helps to determine what issues need resolutions and ways you can provide support. Conducting stay interviews will help provide you with insight into what needs your team members may have, what goals they need support in attaining, and lets

them recognize that their input is valued and appreciated. As a potential employee, find an office that aligns with your beliefs concerning treatment and other matters that are important to you.

Working on improving ourselves has proven beneficial to many for managing their burnout, such as through taking professional development courses, attending conferences, volunteering, and creating supportive networks. Working with a therapist and/or a coach has proven effective for many in finding ways to prevent, address, and manage the burnout in themselves and their team. Take advantage of available resources that can be used by you and your team members to help alleviate stress and overwhelm. Such resources are the ADA Well-Being Program, the International Academy of Dental Life Coaches, the upcoming ADHA Wellness Summit, and my podcast Burnout Bites. I enjoy regularly discussing this topic as a public speaker in my courses and workshops.

Instagram’s 2023 app downloads beat TikTok’s, with a 20 percent increase over 2022. With a TikTok ban looming, there’s potential for explosive growth for other social media platforms, including Instagram. Now is the perfect time to revisit your Insta strategy.

A successful Instagram strategy should include three elements: reach, conversion, and community.

Reach

Content is king when it comes to reach. Good news: informative content is among the top three preferred types of content, according to Statista. Whether you are using Reels, Stories, or Carousels, it’s important to first think about what you want to be known for. Are there any procedures that you’d like to do more of? When I ask doctors which treatments they want to increase, they usually say dental implants and clear aligners. Whatever your preference, make sure you include those topics in your posts. It’s okay to have fun and be spontaneous, but if you want to be known for specific treatments, you have to post about them.

If you aren’t already on the short-form video bandwagon, get started now. Among content types, Reels will often get you the most reach. Here are a few Reels tips to help you make the most of your video:

• Pay attention to clarity; blurry or grainy videos will not perform well.

• Use a great cover photo; you have one to two seconds to capture attention.

InstaSuccess: Crafting Your Ultimate Instagram Strategy

• Consider using cover photo headlines to describe your video.

• Use captions/subtitles; up to 85 percent of people watch without sound.

• Leverage trending music.

• Include three to five relevant hashtags.

Conversion

Once your content has grabbed someone’s attention and led them to your profile, you want to make the most of that opportunity. Your goal is conversion: getting potential patients scrolling your grid to take the next step and reach out to you.

Take a moment now to check out your grid. Make sure your grid aligns with your brand. Do you have posts that you no longer like? If so, remove or archive them. Are your Reels cover photos on point? If not, edit them—yes, you can edit your Reels covers even after they are posted. Your grid is valuable real estate, and so are your bio and highlights.

Take a few minutes to review your bio. Is it up to date? Is your address shown? Have you included five links? You can include links to your website’s most visited pages and/or to schedule an appointment online. Make it easy for visitors to get all the information they want and need.

Highlights are another great tool to show off your practice. Use this space strategically for any of the following topics and more:

• Reviews.

• Meet the team.

• Dental implants, clear aligners, or top treatments.

• Book online.

• Community involvement.

Maximize the conversion element in your profile to make it easy for existing and new patients to learn more, contact you, and schedule.

Community Adam Mosseri, head of Instagram, recently said, “Your engagement rate is more important than your follower count.” Not that your follower count doesn’t matter, but engagement is a better indicator of how your account is doing. This aligns with dentistry perfectly, as we are in the relationship business already. Master the engagement element of your strategy by interacting with local businesses and public individuals. It’s no longer enough to post and hope that you get reach and likes. Comments are everything. If you get comments, respond to them. This sends a message to Instagram that you are a real person and also shows visitors that you are responsive, which encourages more comments.

Take it a step further by following local businesses and nonprofits you support, commenting on their posts, and sharing their content in your Stories.

Boost your engagement even more by leveraging carousel posts. According to Hootsuite, carousels have the highest engagement rate of all post types—up to three times more than regular posts. So get posting and commenting!

The Power of Community and Compassion in Dentistry: Insights From Dr. Bob “Dee” Dokhanchi

Dr. Bob “Dee” Dokhanchi Dentistry in General

I

n the world of dentistry, it’s easy to get caught up in the day-to-day challenges of running a practice and keeping up with the latest techniques and technologies. But as I learned in a recent interview with Dr. Bob “Dee” Dokhanchi—Founder of the Dentistry in General Facebook group—the key to a fulfilling and successful career in dentistry lies in something much simpler: compassion and community.

Dr. Dee’s journey in dentistry began when he immigrated to the United States from Iran at the age of 17. After completing his education at San Francisco State University and Loyola University of Chicago School of Dentistry, he settled into private practice in the Chicago area. For years, he focused on building his solo practice and raising his family, with little involvement in the broader dental community.

Bob’s online community was built during a worldwide crisis to combat feelings of isolation and uncertainty.

When the COVID-19 pandemic hit in March 2020, Dr. Dee—like so many other dentists—grappled with the sudden isolation and uncertainty. That’s when he decided to create the Dentistry in General Facebook group to connect with and support his fellow dentists.

What started as a small group of colleagues quickly grew into a thriving community of over 7,700 dentists and dental students. The group’s membership is carefully vetted to ensure that it remains a safe and supportive space for dentists to share their experiences, ask for advice, and discuss the issues that matter most to them.

One of the things that sets Dentistry in General apart from other online dental communities is Dr. Dee’s commitment to keeping the group focused and respectful. He moderates discussions carefully to ensure that they stay on-topic and civil, and he’s not afraid to remove members who don’t abide by the group’s standards.

But Dr. Dee’s commitment to community-building doesn’t stop with the online world. He also hosts an annual in-person event called DIG-A-PALOOZA, which brings dentists together for face-to-face networking and learning.

Don’t be afraid to confide in your elders when navigating the challenges of modern dentistry. When I asked Dr. Dee what he sees as the biggest challenges facing dentists today, he pointed to the high cost of dental education and the growing influence of corporate dentistry. He worries that the burden of student debt is making it harder for young dentists to pursue practice ownership and that the rise of dental service organizations (DSOs) is turning more dentists into employees rather than entrepreneurs.

But he also sees reason for hope in the power of community and mentorship. He encourages experienced dentists to reach outto their younger colleagues and offer guidance and support—whether that’s through

online communities like Dentistry in General or through one-on-one mentoring relationships.

What are the keys to a successful and fulfilling dental career, according to Dr. Dee?

When it comes to building a successful and fulfilling career in dentistry, Dr. Dee’s advice is simple but powerful: Focus on providing the best possible care to your patients, he says, and success will follow. Build strong relationships with your patients, and they’ll become your greatest source of referrals and word-of-mouth marketing.

He also stresses the importance of living within your means, especially in the early years of your career—don’t feel pressured to keep up with the lavish lifestyles of some of your colleagues. Instead, prioritize paying down your student debt and building a solid financial foundation for your practice.

For new graduates, Dr. Dee recommends gaining experience by working for a DSO or as an associate for a few years before striking out on your own. When you’re ready to start your own practice, he suggests looking for an existing practice to acquire rather than starting from scratch—you’ll have an established patient base to build on.

Master the basics and stay true to your values.

When it comes to clinical skills, Dr. Dee advises mastering the basics before trying to tackle more complex procedures. Focus on bread-and-butter dentistry like fillings, crowns, and simple root canals. Don’t be afraid to refer out more complicated cases until you’ve built up your skills and confidence.

Above all, Dr. Dee encourages dentists to stay true to their core values of compassion, ethics, and patient-centered care. By building strong relationships with patients and colleagues alike and staying focused on providing the best possible care, he believes dentists can build careers that are both financially and personally rewarding.

Bob is a big fan of the K.I.S.S. Rule: “Keep it simple, stupid.”

As I reflect on my conversation with Dr. Bob Dee, I can’t help but smile at the simplicity and power of his message. In a world where dentistry often seems to be all about the latest and greatest technology, Dr. Dee reminds us that the true heart of our profession lies in something much more fundamental: the connections we make with our patients and with each other.

Dr. Dee is a big fan of the K.I.S.S. rule: “Keep it simple, stupid.” And while I wouldn’t dare call any of our readers stupid, I think there’s a lot of wisdom in that idea. By focusing on the basics—compassionate care, strong relationships, and a commitment to our core values—we can build careers and communities that are both successful and deeply fulfilling.

So let’s take a page from Dr. Dee’s book and embrace the power of simplicity. Let’s build communities of support and mentorship, where we can learn from each other and grow together. Let’s stay true to our passion for helping others, even in the face of challenges and change. And let’s never forget that, at the end of the day, it’s the human connections we make that truly matter most.

Here’s to keeping it simple, and to building a brighter future for dentistry—one smile at a time.

From Solo Practitioner to Dental

Empire: How I Built a $9 Million Dental Group in Just Three Years

As a young dentist fresh out of Ohio State Dental School in 2016, I had big dreams of owning my own practice. After cutting my teeth in public health for a couple of years, my wife and I decided to take a leap of faith and move to Florida in 2019.

My initial plan was to purchase an existing practice, but when the seller backed out at the last minute, I found myself at a crossroads. Instead of giving up, I chose to dive headfirst into the world of entrepreneurship and start my own practice from scratch.

“The road less traveled.” Starting a dental practice from the ground up is not for the faint of heart. It requires a unique blend of clinical expertise, business acumen, and sheer determination. When I made the decision to open my own practice, I knew that I was embarking on a challenging journey. However, I also knew that I had the skills, knowledge, and passion necessary to make my dream a reality.

One of the first challenges I faced was finding the right location for my practice. I spent countless hours researching demographics, analyzing market trends, and scouting potential sites. Ultimately, I settled on Tampa—a location that I believed had the potential to support a thriving dental practice. With a location secured, I turned my attention to designing a state-of-the-art facility that would set my practice apart from the competition.

Building a foundation for success.

In April 2021—after nearly two years of meticulous planning and navigating the challenges posed by the COVID-19 pandemic—I opened the doors to my first startup: The Dental Boutique. From day one, I was determined to build a practice that was poised for growth. By investing in my practice and my team from the start, I was able to create a strong foundation for success.

So, how did I do that? I designed the space with seven operatories and hired a full-time hygienist. I also invested heavily

in marketing, initially allocating around $5,000 per month to attract new patients. This investment paid off quickly, as we generated $1.3 million in revenue by the end of our first year and $2.3 million in our second. This was all going against “conventional wisdom,” which often comes from a scarcity mindset teaching dentists to be “lean and mean” to avoid overspending. Instead, I embraced an abundance mindset—which has been one of the biggest factors in my rocket-like growth.

One of the biggest drivers in the success of The Dental Boutique was our focus on providing an exceptional patient experience. From the moment patients walked through our doors and experienced our custom office scent of “White Tea and Thyme,” we made it our mission to make them feel welcome, comfortable, and valued. We offered a comfort menu, invested in state-of-the-art technology, hired a team of highly skilled professionals, and went above and beyond to exceed patient expectations at every turn.

Expanding the empire. Buoyed by the success of The Dental Boutique, I partnered with a periodontist to open my second startup—Best Value Dentures and Implants—in December 2021. Our goal was to offer affordable dental implant services to patients who might otherwise be unable to access this life-changing treatment. In just 12 months, we generated $1.5 million in revenue, followed by $1.9 million in our second year.

Recognizing the potential for further growth, I decided to expand to new locations. In June 2022, I began planning to open both brands under one roof on the other side of Tampa. The result was a 4,200-square-foot space with 13 operatories, a shared waiting area, sterilization, and a front desk. When we opened our doors in January 2024, we set new records, becoming the fastest startup to reach $200,000 in collections within the first 30 days.

One of the most important lessons I’ve learned on my entrepreneurial journey is the power of partnership. When I

Practice Life
DENTAL LIFESTYLES • ISSUE NO. 7 2024 25

partnered with a periodontist to open Best Value Dentures and Implants, I knew that I was tapping into a wealth of knowledge and expertise that would help take my practice to the next level. By combining our skills and resources, we were able to create a practice that was greater than the sum of its parts.

When growing a dental empire, choosing the right bank to partner with is so important. A successful partnership isn’t just about working with other dentists. It’s also about building relationships with key stakeholders such as suppliers, marketing firms, and—more specifically—banks. Expanding to new locations requires significant capital investment and, like many entrepreneurs, I needed to secure financing to bring my vision to life.

When I first approached banks to get a loan for my first dental practice, I was primarily focused on getting the best interest rate possible. I ultimately chose to work with Wells Fargo because they offered the most competitive rates at the time. However, as I began to grow and expand my practice, I quickly

but also agreed to take over my existing loan from Wells Fargo. While the interest rates weren’t as favorable as what I had originally secured with Wells Fargo, the peace of mind that came with knowing I had a banking partner who believed in my vision was well worth the trade-off.

realized that my relationship with the bank would be about more than just interest rates. When I decided to open my second practice just five months after launching my first, I went back to Wells Fargo to secure additional financing. To my surprise, they were hesitant to approve the loan, citing the fact that I had only been in business for a short time.

This experience taught me a valuable lesson about the importance of building a strong relationship with your bank from the outset. When you’re first starting out, it’s easy to get caught up in the excitement of securing your first loan and forget to think about your longterm growth plans. However, as your practice grows and evolves, you’ll likely need to go back to your bank for additional financing, and that’s when having a strong partnership can make all the difference.

After my experience with Wells Fargo, I decided to shop around for a new banking partner that would be more supportive of my growth plans. I ultimately chose to work with Huntington Bank, which not only approved my loan for my second practice

The power of cash reserves. Another important lesson I learned about financing a dental practice—empire or not—is the importance of having cash reserves on hand. When I first started out, I had about $100,000 in savings, which I was able to accumulate by making only the minimum payments on my student loans and avoiding investments to stay as liquid as possible. I worked really hard as an associate dentist to save up that money. This cash reserve gave me a cushion to fall back on as I navigated the challenges of starting a new business and also made me a more attractive candidate for financing in the eyes of the bank, as it demonstrated that I had the financial stability to weather any potential setbacks.

Over time, as my practice has grown and become more profitable, I’ve made it a priority to continue building my cash reserves by keeping my

spending constant even as my income has increased. This has allowed me to invest in new equipment, expand my facilities, and even acquire additional practices without having to rely solely on financing from the bank. It’s also given me peace of mind knowing that I have a safety net in place should any unexpected challenges arise. I continue to make the minimum payments on my student loans to prioritize building cash. Basically, just because you make more money doesn’t mean you should spend it.

There’s not just one “secret to success.”

As I reflect on my entrepreneurial journey, there’s no “one secret” that has contributed to my success. In addition to having a clear vision for my practice and finding the right bank partner to support my growth plans, I have always been willing to invest heavily in marketing—especially digital and social media marketing. Platforms like Facebook and Instagram (you can follow me at @dr.andrewvallo) have been incredibly effective in attracting new patients to my practices. This marketing spend—in combination with a great marketing company—has led my flagship office to consistently see 250+ new patients a month.

> continue...Practice Life DENTAL LIFESTYLES • ISSUE NO. 7 2024 26

Additionally, I have made it a priority to provide an exceptional patient experience and actively seek out positive Google reviews, recognizing that online reputation is crucial in today’s digital age. I developed intentional systems and verbiage to help my first startup amass 1,400 Google reviews in our first 2 years open.

As your practice grows, it’s also essential to focus on working on the business rather than in the business. This means delegating tasks to your team and continuously educating yourself on the business aspects of dentistry through podcasts, books, and courses. That’s why another major factor in my success has been my commitment to lifelong learning. As a dentist and business owner, I am constantly seeking out new knowledge and skills that can help me better serve my patients and grow my practice.

What does your success story look like?

As I look to the future, my plan is to acquire two more practices in 2024 and shift from the startup model to the acquisition model. To support this growth, I have added a fractional CFO (my father) and an executive assistant to my leadership team, allowing me to focus on honing our systems and becoming a well-run corporation.

For those looking to follow in my footsteps, my advice is simple: Stay involved in key processes like marketing, trust in your team, and don’t be afraid to let go of toxic employees or make changes that benefit your business in the long run. Most importantly, never stop learning and always be willing to adapt to new challenges and opportunities.

Much of my dental business acumen came from hundreds of hours of listening to various dental and business podcasts, which ultimately led me to start my own dental podcast “Dental

Unfiltered”. In my podcast, I share the various dental office systems that have helped me grow my dental empire. This is my way of “paying it forward” from all the free content I consumed over the years. We have no sponsors for the podcast; our only goal is to provide valuable content to other dentists looking to advance their careers. If you’re interested in learning more about my journey or have any questions, feel free to reach out to me at docvallodds@gmail.com. I’m always happy to connect with fellow dental professionals and aspiring entrepreneurs.

There’s a “why” behind it all. In addition to serving thousands of patients and creating jobs for more than 40 employees, there have been some other incredible positives of creating this dental group.

One such positive has been our “No Hungry Pets Program” that my wife and I founded in partnership with the Humane Society of Tampa Bay. For each

new patient our offices see, we donate a month worth of dog food to help feed the area’s homeless pets. Because of the success of our group, we have been able to donate tens of thousands of dollars to the Humane Society.

My entrepreneurial journey has been one of hard work, strategic planning, and a willingness to embrace change. By following these principles, I have been able to build a thriving dental enterprise with a projected revenue of $9 million for 2024. To all the aspiring dental entrepreneurs out there, I say this: With dedication, perseverance, and a commitment to lifelong learning, you can achieve remarkable things in the world of dentistry.
