WELCOME TO MSS Dear Supplier, You have been chosen to onboard with MSS. We are very happy to welcome you as one of the new vendors of our company. MSS is proud of our quality, safety and customer service delivery. We value our relationships and experiences with our vendors, it is part of who we are and the way we work towards being as responsible, safe and productive as possible. This information booklet is to introduce our company and outline how we work better together. We also provide you with our company’s rules, regulations and company policies, however, feel free to give us a call to discuss any aspects of our working practices.

GET TO KNOW US We love what we do and believe in working closely with our clients and our suppliers to be the best we can be. Since 2016 we have grown our clients, spread our geographical footprint and brought on more specialist trade services across Australia and New Zealand. We believe our local supply network is critical to the success of our business and future. Our shareholders and Managing Directors have each worked in their respective industry sectors for decades and know the importance of efficient operations and choosing the right products and tradespeople for the job. We choose our suppliers based on their suitability for the job, quality delivery and relevant site compliance. We are open about sharing our procedures and policies and site requirements so that we can quickly establish mutual agreement and build effective teams focused on the job at hand. We choose the simplest and safest methods. Understanding legislation and managing risk is core to all businesses, and we want to ensure our supply network understands yet are not overwhelmed by the task. We drive to ensure our teams, are not only aware, but are trained and have the tools to deliver the simplest and safest method to our clients.


MSS GROUP CONTRACTOR COMPLIANCE is an online and mobile ready platform that MSS uses to check, report and audit licences, qualifications, and compliance requirements. We use Rapid for inductions, safety and training document management to ensure we are meeting our company and client compliance requirements across Australia and New Zealand. Look out for an email from MSS Rapid that includes your induction key. Logon to the portal and please complete the pre-qualifying questionnaire, and upload the documents requested. You will need: ▪

COMPLIANCE TERMS AND CONDITIONS Maintaining your compliance status in the Rapid System is a condition of our purchase agreement for products and services. Please keep both your company and inductee documents and compliance training current. IMPORTANT! Once your company is verified and compliant you will receive an email from the Rapid Global system. THEN BE SURE TO ADD YOUR WORKERS (“Inductees”) For Sole Traders – you must add yourself. You must be added as an “Inductee” to your company profile and upload your Construction Card as minimum requirement. You are responsible for maintaining your workers compliance status in Rapid in order to be able to access MSS Group sites. What if my worker doesn’t have both an email and phone number? If your workers only have an email address or a mobile number but not both, then they can just use one and leave the other field blank. Only one field is mandatory.


SITE & CLIENT COMPLIANCE

PURCHASE ORDERS

Many of our clients have specific compliance and site check-in requirements and you and your employees shall also need to complete these prior to starting work onsite. These requirements may include inductions and sign in and sign out processes.

Further to your commercial agreement with us, we may ask you to submit quotations for approval before issuing you Purchase or Work Orders. MSS procures goods and/or services through issuing of a purchase order or work order to the Supplier authorising the purchase of goods and / or services.

No works are to start onsite until the company and the employee has a compliant status in the MSSG platform Rapid and the Clients platform. MSS undertakes a significant amount of work in environments that have a high volume of people and vehicle movements in sectors that include Aged Care, Retirement Living, Retail, Health and Government. Our safety practices ensure that all incidents and injuries are reported immediately to the MSSG representative for the works being completed, this includes the identification and control of hazards within the work environment. There is no compromise to the wellbeing of any client, employee, sub-contractor, or visitor. We require you to understand our obligations to client compliance and are an integral part of working with MSS. These will be added to your onboarding compliance pack – refer attached and be sure to complete your company’s onboarding ASAP to enable you to start on site. Should you wish to apply for terms outside of our policy, please discuss this with your MSSG Representative. Non-standard payment terms require Senior Management written approval and are assessed on an individual case.


HOW TO GET PAID Invoices must reference specific information, which is detailed in the MSS Purchase Order. Invoice Processing for Payment shall be made on the original invoices received from Suppliers. If there is no PO number referenced on your invoice this will result in delayed payment processing. Payments to Suppliers will not be made based on statements from Suppliers.

Please submit your invoices via email to invoices@mssgroup.com.au Invoices received via our methods or using different email address will not be accepted/paid.

Invoices must be received as a PDF or JPG file AND include: • • • • • •

Our PO number. Amount of the invoice GST amount Must state ’Tax Invoice’ and have a unique invoice number. The Supplier name, ABN, address and telephone number Invoice must specify the correct customer name as per the purchase order (e.g. MSS Hard Services Pty Ltd) • Individual PO line items being billed and values for each line. Invoices will be returned, and payment delayed if the correct information is not included on the invoice. Please ensure all required supporting documentation is submitted to helpdesk@mssgroup.com.au This includes documents such as service and job certificates and compliance documentation, shipping/delivery papers and other correspondence.
