CompliSpace provides consulting services for clients who subscribe to the Education Essentials Modules. The purpose of our consulting packages is to provide additional support to schools that require assistance with project management and deployment, and access to subject matter expertise. Each consulting package includes a pre-defined:

• Project timeframe

• Scope of included work and tasks

• Contact hours

• Cost

For further requirements outside of the inclusions in the consulting services, we recommend discussing the benefits of a scoped project for your school.

Child Safety and Safeguarding

Project Overview CompliSpace’s Child Safety and Safeguarding Module comprises work systems, practices, policies and procedures designed to maintain a child safe environment and embed a culture of child safety within the school community. The Module is designed to ensure ongoing compliance with child protection laws and regulations both nationally and across jurisdictions and are kept up to date with key legal and regulatory changes.

Project Scope To support schools in meeting their child safety obligations and objectives, Essentials Module Consultation – Child Safety and Safeguarding provides a package of consulting-based services that includes:

Policy This module addresses each area of a school’s responsibilities, from recruitment to reporting and continuous improvement, and cover all relevant forms of abuse and harm, including neglect, physical and sexual abuse, exposure to domestic violence and emotional and psychological harm. Work with your consultant to

Learning The Child Safety Modules come with a jurisdictionally tailored online Child Safety Learning Course. Work with your consultant to assign the Child Safety Learning Course and establish an associated report.

Complaints

Project Overview CompliSpace’s Complaints Handling Module helps schools to develop an effective complaint handling framework and covers legal obligations falling under registration and accreditation processes across jurisdictions, Commonwealth privacy laws, and the National Principles for Child Safe Organisations.

Project Scope To support schools in meeting this obligation, Essentials Module Consultation – Complaints Handling provides a package of consulting-based services that includes:

Assurance Work with your consultant to contextualise the Complaints Handling Feedback Form to make sure it aligns with your organisational needs, including customising fields, workflow, notifications and custom report generation.

Project Overview

Adopting the Standard’s continuous improvement process of Plan, Do, Check and Act (PDCA). The PDCA continuous improvement cycle recognises that compliance is never a static state but must always be active and responsive to change. A risk-based approach to compliance means that we identify the areas of compliance that are the highest risk and ensure that we are satisfactorily managing these as the highest priority.

Policy The Compliance Management Module documents the four elements of Plan, Do, Check and Act outlined in the Australian Standard for Compliance Management Systems AS ISO 37301:2023. Work with your consultant to

Project Overview CompliSpace’s Privacy Module covers privacy compliance, including the collection and management of personal information of multiple stakeholders, and data breaches, which can have significant consequences including significant penalties, serious harm to students and significant reputational damage. The Module correlates to the federal Privacy Act, the Australian Privacy Principles introduced by the Commonwealth Government, and the Notifiable Data Breach requirements that apply to how schools are required to handle sensitive information.

Risk Management

Project Overview CompliSpace’s Risk Management Module provides an integrated governance, risk, and compliance framework for implementing risk management strategies and practices that can be developed over time to suit a school’s particular requirements. The framework includes effective documentation of internal policies and procedures, staff training, and a system to monitor the school’s performance and deliver meaningful reporting outcomes to the school executive and the governing body.

Project Scope To support schools in meeting this obligation, Essentials Module Consultation – Risk Management provides a package of consulting-based services that includes:

Policy The Enterprise Risk Management Module includes a documented Program in PolicyConnect developed in line with the International Standard for Risk Management (ISO 31000:2018). Work with your consultant to

School Registration

Project Overview All Australian schools are required to be provisionally registered or registered and/or accredited in their relevant state or territory before operating as a school or commencing the education of a child at any level. Each Ideagen CompliSpace Registration Module is unique to the relevant jurisdiction. All our Registration Modules have been systematically developed to address each registration standard requirement included in state/territory registration legislation, regulations and guidance.

Project Scope To support schools in meeting this obligation and objectives, Essentials Module Consultation – School Registration provides a package of consulting-based services that includes:

Policy Within each Registration Module, we deliver a full suite of online policies and procedures that a school requires to meet its registration requirements (unless these policies and procedures are provided within a separate Ideagen CompliSpace Module (for example, Child Protection). Work with your consultant to

Assurance Identifying registration requirements and establishing a compliance framework is a key part of the P-LAR process. Student Duty of Care

Project Overview CompliSpace’s Student Duty of Care Module helps schools navigate the complex requirements of student duty of care by systematically identifying and analysing potential risks, setting out clear actionable steps to keep students safe, and recording key issues so that school leaders can plan, demonstrate compliance, and continuously improve.

The Module’s comprehensive suite of policies covers student health, behaviour, extracurricular activities and general welfare and safety, including general Student Duty of Care Principles, Student Welfare and General Safety, Student Health, and Student Behaviour.

Project Scope To support schools in meeting this obligation and objectives, Essentials Module Consultation – Student Duty of Care provides a package of consulting-based services that includes:

Policy The Student Duty of Care Program includes a comprehensive suite of policies. Work with your consultant to

• get a better understanding of the module/program structure, including sources of obligations and key requirements

• receive contextualisation support with the Module’s content, including considerations such as key policies, policies that should be made publicly accessible, review processes and audience considerations.

Learning Work with your consultant to assign the various Duty of Care Learning Course to the relevant stakeholder groups and establish the associated reports.

Assurance The Assurance system is critical to ensuring that a school’s Student Duty of Care Program comes alive and keeps students safe. Work with your consultant to contextualise the resource(s) identified to make sure it aligns with your organisational needs, including customising fields, workflow, notifications and custom report generation.

Project Overview CompliSpace’s Workplace Safety Module is a comprehensive Workplace/Occupational Health and Safety system, covering a range of hazards that can arise for schools, impacting students, staff, and the wider school community including parents, volunteers, and contractors, including:

• WHS laws and regulations that deal with processes and procedures that a school must implement to ensure a safe working environment.

• Workers Compensation and Injury Management laws and regulations that are designed to manage injuries once they have occurred

• Work Safe Policies that are designed to control workplace hazards.

Project Scope To support schools in meeting this obligation, Essentials Module Consultation – Workplace Safety provides a package of consulting-based services that includes:

Policy The WHS/OHS Module is a comprehensive workplace safety program made up of a series of key elements, including policies and procedures to eliminate or minimise common hazards. Work with your consultant to

• get a better understanding of the module/program structure, including sources of obligations and key requirements

• receive contextualisation support with the Module’s content, including considerations such as key policies, policies that should be made publicly accessible, review processes and audience considerations.

Learning Work with your consultant to assign the various Workplace Safety Learning Courses to the relevant stakeholder groups and establish the associated reports.

Assurance Support with procedural application of Hazard Reporting so schools can actively manage student safety hazards and duty of care

Service Delivery

Online

The Project Fees (‘Price’) outlined above are based on an online delivery methodology. Project meetings will be

• Organised with the Customer Project lead in accordance with the lead times indicative within this document

• Delivered online via Microsoft Teams. You will be invited to a meeting which will include the session agenda, and preparatory work to be completed prior to the meeting, as well as the online meeting link details.

• All sessions can be recorded and used as reference

On Site

The Project Fees (‘Price’) outlined above excludes expenses and disbursements, including related travel for the Project delivery. If the project is to be delivered in person, reimbursement of travel expenses will be an additional cost. This includes (where applicable)

• Flights

• Accommodation

• Ground costs

• Meal allowances

• TOIL for travel

Further to the above, all on site work does not include any costs associated with venue hire, catering, or any other event related costs.

Customer Obligations and Assumptions

Timely and successful performance of the Professional Services pursuant to this catalogue of fixed fee for service packages requires ongoing collaboration between Ideagen and Customer. The customer is responsible for certain key tasks, contributions, and timely reviews of Ideagen work to maintain the estimated schedule and estimated Professional Services fees.

The customer will

• make available appropriately skilled and knowledgeable Customer resources, including the following resources, to provide active and continuous participation, including timely review, feedback and approvals

• allocate time among the customer project team, subject matter experts, and executive staff as needed for participation in meetings, timely review of documentation, and decision-making.

• define and maintain the list of the business objectives and requirements that will guide the provision of the Professional Services.

• coordinate attendees for meetings to be held during the term of this SOW.

• provide assistance, cooperation, information, equipment, data, a suitable work environment, and resources reasonably necessary to enable Ideagen to perform the Professional Services.

• identify Ideagen personnel as system administrators or users of the customer's product(s) instances as reasonably necessary for the provision of Professional Services.

• be responsible for executing on overall program management responsibilities.

• It is the customers’ responsibility to ensure that all timelines are adhered to

Anything not covered in these above points, it’s out of scope a change order.
