Before you begin

Formatting text

• The indented text levels in this template have been pre-formatted, so always use the Increase List Level button, not the Bullets button or tab key, to create bullets and indent text

– The Increase List Level button is found in the Paragraph section on the Home tab

– Some versions of PowerPoint may call this “Indent More”

• Space is built in between paragraphs, so extra returns are not needed; adjust space around paragraphs in the Paragraph dialog box if desired

Paste Options

• Migration of older content can be challenging; some elements will need to be updated manually

• When copying and pasting slides or content, choose “Use Destination Theme” in the Paste Options clipboard that appears

– Don’t use the “Keep Source Formatting” option as it may add an additional theme into the file and generate extra, unwanted masters and layouts

Before you begin

The Slides section of the Home tab

• Thumbnails representing slide layout choices appear on the New Slide pull-down menu

• Switch a slide’s layout by using the Layout pull-down menu

• The Reset button will move placeholders back to the master position and formatting

The footer

• This template has a “Presentation title” footer. To change the wording or apply the footer to an imported slide:

– Go to View tab > Slide Master and select the very top, largest icon in the left pane

– Go to Insert tab > Header & Footer, edit the text as needed, click “Apply to All” and return to Normal view mode

• Never edit a footer or slide number on an individual slide or layout by typing it in directly

Color selection

• Our brand colors are built into the template’s color theme; these appear on every color pull-down menu

• Ensure there is sufficient background contrast to support text; see the FPISC Visual Brand Guide for approved color combinations

• PowerPoint automatically applies colors to new charts based on the sequence of the theme Accent Colors

– Primary colors are placed first, but chart colors may be adjusted manually

• Avoid the colors that are automatically generated on the pull-down menus beneath the Theme Colors whenever possible, as these are not part of our brand palette

Guides

• Guides have been placed in this template to help objects align correctly

– Toggle guides by typing Alt + F9 (PC) or command + option + control + G (Mac)

Before you begin

Adding and editing images on title slides and section divider slides

• Title slides have an unedited image placed on the background of the slide, and a copy of the same image blurred and cropped to fit behind the text.

• Replace an image by right clicking the image and selecting "Change Picture"

• To achieve image blur as seen in this template right click the image, select "Format Picture…"

• Select pentagon icon and select the dropdown to view "Artistic Effects"

• Select the image blur effect (Row 2, Column 5) adjust the image blur to desired blur radius

• Section divider slides have a blurred, slightly darkened image placed on the background of the slide, and a copy of the same image cropped and placed inside the arrow shape.

• Replace the background image by right clicking the image and selecting "Change Picture"

• To achieve image blur as seen in this template right click the image, select "Format Picture…"

• Select pentagon icon and select the dropdown to view "Artistic Effects"

• Select the image blur effect (Row 2, Column 5) adjust the image blur to desired blur radius

• To darken the background image select the image icon and adjust the image brightness

• To replace the image inside of the arrow shape right click the arrow shape

• Select format picture and select "Shape Options"

• Select paint can icon and select "Picture or texture fill" select the same image chosen for the background image

• To crop and resize the image within the arrow shape select the arrow shape and select "Picture Format"

• Select "Crop" to resize the selected image within the arrow shape

Create an internal use presentation

Replace Permitting Council logos with the Permitting Council Seal

• Select "View" > "Slide Master"

• On the first master slide where the slide footer is shown replace the Permitting Council logo with the Permitting Council Seal.

• Review all master slides and replace any additional Permitting Council logos with the Permitting Council Seal.

Include "Confidential Information – For Internal Use Only" text to slides only showing the slide footer

• Select "View" > "Slide Master"

• On the first master slide where the slide footer is shown. Add text box: "Confidential Information – For Internal Use Only" adjacent to the slide title in the footer as shown in the example.

• Level 1 may be manually bolded in Dark Blue for subtitles

• Level 1 bullet may be removed for introductory sentences. Use the Bullets button on the Home tab to toggle bullets on/off.

• Use sentence case for titles and subtitles

• Preset body text is 16pt. Footnotes, if needed, are 8pt.

• Body text should be black or white as formatted

• Hyperlinks are blue and underlined

• Don’t use periods at the end of titles, subtitles and bullets unless they are multiple complete sentences, like this. Use a period at the end of each footnote.

One-third picture slide

Access the Selection Pane under the Arrange pull-down menu in the Drawing section of the Home tab

This is helpful when a picture has been sent to back and needs to be repositioned, edited or replaced

It also allows the user to layer items:

• The disclaimer and slide number should sit on top of the picture on this layout

• Depending on the picture, the disclaimer and slide number may need to be made white

• It may be necessary to copy and paste the disclaimer on top of pictures on new slides

• PowerPoint pastes in place

• When placing headshots, be sure to leave space around the subject and not crop off any portion of their head

• Empty placeholders do not need to be deleted as they will not project or print

• For a clean look, keep rows and columns as even as possible
