PACE Advising No-Show Instructions 1.

When a student no-shows for their appointment, mark the student as NOSHOW on SARS.

2.

Place a SARS Alert on the student and send the appropriate No-Show Email (instructions in step #7). If there is already a No-Show alert on the student, delete the previous alert and create an updated one. Use the following: 1st No-Show: PACE 1st No Show, <NET ID> 2nd No-Show: PACE 2nd No Show, <NET ID> 3rd No-Show: PACE 3rd NO SHOW! DO NOT SCHEDULE AN APPOINTMENT WITH THIS STUDENT! Please refer the student to the Multiple No Show Policy on the PACE Advising Website. <NET ID> ***The student cannot meet with an advisor either via appointment or drop-in when the 3rd no-show alert has been placed.

3.

The Advisor II will remove the alert once the student has completed the NoShow Learning Module with a 100%. The following SARS Alert will be placed: Re-Eligibility: PACE Multiple No-Show Learning Module is complete. The student may meet with an academic advisor. If the student no-shows again, they will need to contact and meet with Angelica Barrera.

4.

If the student no-shows after completing the Multiple No-Show learning module, they will be required to contact and meet with Angelica Barrera before they can meet with an academic advisor. Place the following SARS alert:

4+ No-Shows: PACE MULITPLE NO SHOWS! The student must contact and meet with Angelica Barrera. <NET ID> ***The student cannot meet with an advisor either via appointment or drop-in when the previous alert has been placed. 5.

Angelica Barrera will place the following SARS alert after she has met with the student: Re-Eligibility: The PACE student has met with Angelica Barrera and may now meet with an academic advisor. Any additional no-shows will once again forfeit the student’s appointment scheduling privileges.

6.

Any additional No-Shows at this point will once again forfeit the student’s appointment scheduling privileges. Repeat steps #4 and #5.

7.

Send the student the appropriate No-Show Email. Be sure to include the Student Appointment Policies. Any No-Shows after the 3rd No-Show will not receive an email.

1st and 2nd No-Show Email Send the email through the PACE email, title it “Missed Academic Advising Appointment” Missed Academic Advising Appointment Dear <NAME> We noticed you no-showed for your academic advising appointment. If you need to schedule another advising appointment, please contact the PACE Advising Center at 512-245-PACE (7223) or stop by UAC 122. Also, please take a moment to review the PACE Advising Center’s Student Appointment Policies below. Thank you, <PACE Academic Advising Center SIGNATURE> STUDENT APPOINTMENT POLICIES Scheduling Appointments: • You can schedule an appointment with the PACE Advising Center either in person or by calling, 512-245-PACE (7223). • Appointments are made a minimum two (2) hours before the scheduled appointment time. • When you schedule an appointment you will receive a confirmation e-mail with the appointment information and our “No Show” policy. Appointment Cancellation/Rescheduling Policy: To cancel your appointment, you must notify the advising center either by phone or in-person at least two (2) hours in advance. This will allow us to offer the time slot to another student. If you fail to do so, it will be considered a “No Show” Late Arrival Policy: If you arrive in the lobby later than ten (10) minutes for your appointment, you will be unable to check-in and it will be recorded as a “No Show.”

No Show Policy: If you fail to show up for your scheduled appointment, it will be recorded as a “No Show.” Multiple No Show Policy: After three (3) “No Shows” you forfeit the right to schedule appointments. To regain appointment scheduling privileges, you must complete and earn a 100% on the PACE Advising Multiple No Show Learning Module available on the PACE Advising website. The previous policies are not meant to be punitive, but to be fair and equitable to all students. During peak advising periods (i.e. registration), appointment spots are premium. When you miss your advising appointment, you risk: having to sign up for classes later than your designated registration time and losing the ability to schedule an appointment in advance. When you “No Show” an appointment you are also denying fellow students the opportunity to be advised promptly. Please be courteous when scheduling and canceling appointments.
