

GIFTS AND CELEBRATIONS

1. INTRODUCTION
Castle Hill RSL Club Ltd (CHRG) is committed to empowering our leaders to celebrate significant work and personal events with our team. This policy has been developed to provide guidelines to our leaders regarding acceptable gift and celebration expenses.
This policy applies to all leaders within CHRG.
2. EXISTING BENEFITS AND REWARD & RECOGNITION PROGRAMS
The People and Purpose team manages CHRG’s Connect+ program which includes:
• Benefits;
• Instant, Quarterly & Annual Rewards;
• Social events;
• Charity events; and
• Milestone anniversaries

3. INDIVIDUAL GIFTS
There may be occasions, from time to time, where a leader or department head chooses to recognise one or more employees with a gift. These gifts are generally provided to recognise the contribution of an individual and celebrate a special milestone This may include:
• Birthday gifts for significant milestone birthdays, such as completion of a decade
• Sympathy gifts in the event of the death or major illness of a team member or a member of their immediate family or household.
Taking into consideration, reasonableness and practicality, the permitted limit for any such gifts has been set at $100. In all cases and situations, reasonableness and sound business judgment is required and expected.
3.1. Farewell Gifts – Where a team member has been employed for a period of 5 years or more at the time of their resignation, individual gifts may be issued. The permitted limit for any farewell gift is $100 plus an additional $100 for each 5 years of service
Any gift item to an employee under this policy must be a non‐cash gift such as flowers, a gift basket, a book or similar item, movie tickets etc Cash awards and any gift certificate that may be redeemed for cash are prohibited.
It is not appropriate to spend CHRG funds in recognition of any other non-work-related achievements or events, such weddings, new baby, housewarming, or other birthdays.
4. TEAM CELEBRATIONS
CHRG recognises there are occasions to celebrate throughout the year, including significant team birthday gatherings, significant work-related accomplishments such as work anniversaries or project completion milestones, holiday festivities, etc. These types of celebrations, funded by CHRG, should be modest in cost and represent sound business judgment.


GIFTS AND CELEBRATIONS

With approval from the relevant Executive Leader, each Venue/Department is permitted to:
• Host one team building event per annum to the value of $100 per person, which can be held offsite
• Host one team celebration, to the value of $30 per person, to be held onsite, e.g. celebration for significant team achievement.
4.1. Farewell Celebrations – Where a permanent team member has been employed for a period of 5 years or more at the time of their resignation, their leader may approve a farewell morning tea or lunch (for up to 10 people).
Work anniversaries, celebrating number of years of service, will be acknowledged in accordance with the Reward and Recognition Policy.
5. THE FESTIVE SEASON
5.1. Companywide Christmas Party
Each year CHRG will host a companywide Christmas party on the first Monday of December to celebrate our hard work throughout the year and provide an opportunity for our team to relax and enjoy each other’s company With Monday being one of the quietest days of the week, this provides the best opportunity for as many team members to participate as possible.
Included in the Christmas party will be:
• Free catering and entertainment
• Limited free alcoholic beverages
• Unlimited free non-alcoholic beverages
• Team Mega Raffle, with proceeds going to the Connect+ Care Foundation
As a business that promotes the responsible service of alcohol, the same RSA rules will apply to the Christmas party, in addition, team members are expected to behave in line with CHRG’s Code of Conduct and Values Behaviour Matrix throughout the event.
5.2. Team Christmas Parties
Any team wishing to host a separate event to celebrate Christmas will need to do so at their own expense. Expenses will be borne by the individuals or leader.
5.3. Companywide Christmas Gifts
Each team member will be presented a symbolic Christmas gift from CHRG in accordance with our Connect+ program. Symbolic gifts will be to the approximate value of $5 and will include a thank you note from the CHRG leadership team.
In addition, team members will be gifted:
• Casual: $20 loaded on to their Connect+ Card.
• Permanent Part-Time: $40 loaded on to their Connect+ Card.
• Permanent Full-Time: $60 loaded on to their Connect+ Card
5.4. Team Christmas Gifts
Any leader wishing to provide additional gifts to their team will do so at their own expense. It is encouraged that any such gift is gifted off-site, so as not to be misconstrued as an additional gift from CHRG. As a guide, it is recommended that gifts do not exceed a value of $30.

6. RECORD KEEPING
All gifts and celebrations must be reported to the People team for record keeping purposes. Records will be kept on the Rewards, Gifts and Celebrations Register and will be reported to the Finance team for FBT purposes.
7. BREACH OF THIS POLICY
Breaches of this policy may result in counselling and or disciplinary action, up to and including dismissal.
8. REVIEW OF THIS POLICY
This policy will be reviewed every two years to ensure it remains consistent with all relevant legislative requirements, as well as the changing nature of the company or more frequently where legislative requirements are changed or amended.
9. POLICY COMMUNICATION AND EDUCATION
This policy will be stored on CHRG’s intranet site. It will be incorporated into induction/onboarding programs and CHRG will conduct education sessions on the application and operation of this policy as required and when any changes to the policy are implemented.
