The mission of The Benjamin School is to provide a challenging college preparatory education to a diverse student body in a structured, nurturing community environment. The School motivates students to master the skills of learning, communicating and evaluating choices, and encourages them to grow intellectually, socially, morally, aesthetically, and physically to their fullest individual potential. Benjamin inspires its students to develop a coherent set of values that includes love of learning, personal responsibility, self-motivation, concern for others and a commitment to serve society.

Each year, the success of Benjamin’s Annual Fund is propelled by a strong network of committed volunteers who strive to strengthen the school’s relationships with all of its constituencies by engaging our community with our mission. This year, you will join a team of more than 60 annual fund volunteers to make a positive impact on the Benjamin experience for our students and faculty, and we are grateful for the role that you play in inspiring others to make meaningful investments in our school.
For the past four years, annual giving to Benjamin has surpassed $2 million and 75% parent participation, and we are extremely grateful for the collective annual contributions of hundreds of alumni, current and past parents, grandparents, faculty, staff, and friends. In the 2024-25 school year, the Annual Fund raised over $2.3 million and achieved 82% parent participation, a clear indicator that our parent body believes in our mission.
In partnership with our volunteer leaders, we look forward to another successful year for Benjamin philanthropy. Our goal is to continue our strong rate of participation and dollar contributions, and I know that your energy, enthusiasm, and dedication will yield great results.

Primary Responsibilities
Help set a positive and enthusiastic tone for philanthropy amongst parents
Ask your fellow grade-level parents to make a donation to the Annual Fund by writing emails, sending texts, and making phone calls
Help educate the community about the importance of the Annual Fund – a strong philanthropic community is the key to long-term success of the school. Annual Fund dollars are the difference between a good school and a great school.
Specific Responsibilities
Make your own gift to the Annual Fund at a level that is appropriate to your ability to give. It is always much easier to ask another person to give when you have already made a gift or pledge yourself.
While setting a positive tone for philanthropy among parents, please remember that giving is a choice and not an obligation. One of the greatest gifts we can give our children is an excellent education, and the Annual Fund supports that. Our generosity can be a great example for our children.
Reach every parent in your class for the Annual Fund (via printed materials, special appeal letters, and email/text/phone call solicitation) by stressing 100% participation. In 20252026, 82% of Benjamin families participated.
This is a personal campaign. People give money to people. Take the time to call, write, or visit the people assigned to you.
Solicit happily! Be proud of your work and expect people to want to participate in the Annual Fund. Never apologize for asking for a gift to The Benjamin School. You are simply inviting the person to share your pride for TBS.
Receive and keep safe the confidential call sheets given to you by the Advancement Office.
Review reports that you receive from the Advancement Office, then develop strategies to reach those who have not contributed. Occasionally you will also receive the names of families with whom you will need to follow-up (non-contributors). Getting early contributions will make your job easier!
Thank parents for their support with calls, personal contacts, and notes. Every benefactor to the Annual Fund should receive a written note, text, or call of thanks from the Grade Chair.
Peer-to-Peer Fundraising: Why It Matters
As a Grade Caller for The Benjamin School’s Annual Fund, you play a critical role in the success of our philanthropic efforts. Families are far more likely to give when they hear from someone they know – another parent who understands the value of a Benjamin education because they’re living it too.
Your outreach adds a personal and meaningful touch. You're not just representing the school; you're representing your grade level community. These are the parents of the kids your children learn, play, and grow with. That connection helps reinforce a shared commitment to the experience we all want for our children.

A Note About Your Role
As a fellow parent, your voice carries a unique power. You're not a professional fundraiser – you're a peer, reaching out with genuine gratitude and encouragement. Your goal is simple: thank families for their past support (if applicable), share why you give, and invite them to renew or consider their gift to the Annual Fund.
You’re not asking for a specific amount, just participation. (Although you are given a family’s giving history because they often ask.) Every gift, no matter the size, contributes to 100% participation and strengthens our school community.

�� A Shorter, Smarter Campaign Timeline
This year, we’re running our Annual Fund campaign from the start of school through December 31st. Yes, it’s a shift from previous years, and we’re excited about it! While we will continue to reach out to families who haven’t yet given in the spring, our goal is to secure the majority of gifts and pledges in the fall.
Why are we making this change?
To reduce donor fatigue by keeping our messaging focused and time-bound.
To make giving feel energized, purposeful, and fun early in the school year.
To reach our goals sooner, allowing us to shift our focus toward engagement and gratitude. Because the data backs it up: Schools with shorter campaigns consistently see higher participation rates and stronger overall results.
You’ll still be using your usual outreach methods — calls, emails, and texts — but with a stronger push in the fall. Please help us keep the momentum going early!

☠ Introducing Marshall the Buccaneer’s Participation Voyage
This year, we’re bringing a new spirit of fun and visual impact to the campaign — Marshall the Buccaneer is setting sail! Here’s how it works:
Banners will be posted in car lines, with each grade represented by Marshall the Buccaneer on his ship sailing toward land.
As parent participation in that grade increases, Marshall moves closer to shore. It’s a fun, visible way to track progress and generate excitement!
When a family donates, they’ll receive a magnet of Marshall with their thank you letter. Families will be encouraged to:

Innovative curriculum, championship athletics, award-winning performing and visual arts programs, cutting-edge technology, and a robust financial aid program are just a few of the many ways in which the Annual Fund enhances the student experience. By volunteering as an Annual Fund Grade Chair, you make a lasting impact on our students and faculty by providing them with opportunities to learn, grow, and excel.
Tips to Get Started
Give: Make your own commitment first. This makes it possible for you to invite others to join you in supporting Benjamin this year
Prepare: Review your prospective donor’s personal and past giving information. Familiarize yourself with current information about Benjamin so that you feel confident discussing school activities.
Ask: Most people simply do not give until they are asked. We recommend that you start with an email and then follow up with a call or text.
Thank: Thank them for the conversation, no matter how long or short. If you are speaking with a past supporter, thank them for their prior gift. If you are talking to a new family or a non-donor, talk about the wonderful experiences at Benjamin — made possible, in part, by the Annual Fund — and thank them for their consideration.

Thank Again: Send an email or handwritten note to the donor after the gift is received. The Development Office will also send a thank you letter and tax receipt, but a note of gratitude from you is especially meaningful.
Keys for Successful Outreach Events
Outreach Events are social, relaxed, and fun. We will enjoy each other's company and celebrate our successes. Only those who have not contributed to the current year annual fund will be called. You will not call Trustees or Faculty/Staff. Phonathons provide an opportunity to listen to other grade caller’s techniques and get to know volunteers in different grade levels. Active and full participation in the Outreach Events will be critical to our success.
Outreach Events happen 6 times in the first semester and are 90 minutes each. Calls usually last 5-7 minutes each.
If you get a pledge, express thanks and write a brief personal note on the fulfillment form (page 24). Complete the call information on the bottom of the call sheet (page 25) and attach it to the fulfillment form. Turn in both forms to the Development Office. We will send the fulfillment form with a return envelope the next day to the donor.
If they say “We will give, but we’re not sure how much”, you can tell them what they gave last year or explain the benefits of leadership giving.
It is okay to take a pledge with an unspecified amount, but they do require a lot of follow up. Getting a donation dollar amount during the call night is the goal. If you get an “unspecified pledge” keep the call sheet to call again. Email samantha.atkinson@thebenjaminschool.org with information on any unspecified pledges.
If they say “This isn’t a good time” or “I’ll give later in the year”, you can ask when a good time to call would be or just say you’ll give them a call later. You will want to follow up.
Have a sense of humor and share stories. Be personable and have fun.
While it rarely happens, a potential donor may decline to give. Diplomatically ask your prospect why he or she chooses not to support the Benjamin School You are not asked to defend the disciplinary, academic, or financial policies of the school. Simply listen and pass the prospect’s concerns on to the Development Office.
Listen to questions, concerns, or reservations. Write the parent’s concern on the call sheet and discuss with the Development Office any comments that you think need action.
Know when to stop. Don’t argue with a parent who doesn’t want to participate this year. Let them know you appreciate his or her support, that you hope to see them on campus, and that you hope they will participate next year.
Keep the call sheets safe and confidential.
Update the Advancement Office of your progress.
Making the Ask
Schedule
Outreach Events are fun and collaborative mornings and evenings where we make calls and texts to fellow parents. We encourage you to attend so we may offer support and guidance. While it is not essential you attend, please try and reach out to your parents by following the schedule below.
We try to focus on particular groups for each Outreach Event. While you don’t have to follow this schedule precisely, we have found this garners the greatest success.

Getting Started with Outreach
Thank you again for volunteering your time and energy to support The Benjamin School’s Annual Fund. As a Grade Chair, you are a vital link between the school and our parent community, and your outreach truly helps make a difference.
The following section includes sample call scripts, emails, and text messages to help you get started with your outreach. Please know: these are just samples. You are not expected to follow them word-for-word. Use the tone and approach that feels most natural to you — whether that’s warm and sincere, direct and to the point, or light and humorous.
When you connect with fellow parents, be yourself. The most important thing is to make a genuine connection. Talk parent to parent. Ask how the school year is going. Find a shared moment or connection — it doesn’t have to be perfect, it just has to be real.
Here are the key points we aim to hit in every conversation: Participation matters. We’re striving for 100% parent participation in each grade. The Annual Fund is essential. It’s a critical part of the school’s operating budget. Annual Fund dollars benefit every child, every day. Make the ask. Don’t be afraid to ask directly and clearly for a gift.

Giving to the Annual Fund allows the school’s community alumni, current parents, grandparents, past parents, faculty, staff, and friends to express their commitment to providing the best possible education for current and future generations of Buccaneers The Annual Fund supports nearly every aspect of a Benjamin education and enriches the intellectual, social, and personal development of every student, every day. In fact, Benjamin’s standard of excellence in education is directly attributable to the collective effort of alumni, parents, and friends who contribute every year
Our students enjoy unparalleled educational experiences every day. Benjamin is one of the top schools in the state because students and teachers have the necessary tools to excel Annual giving provides immediate budgetary support for numerous improvements: access to the latest technology for all students, the best teaching tools and classroom equipment, across-the-board support for our athletic and arts programs, a robust financial aid program, and increased opportunities for teachers to grow professionally. These are direct benefits to our students and enhance their lives on campus every day.
Participation matters. Each gift, no matter the size, signifies a commitment to Benjamin’s mission to provide the best possible education for our students Gifts to the Annual Fund are spent on the current year’s operational expenses, so your student receives the benefits of your gift immediately As foundations and corporations consider grant applications, they frequently ask about the percentage of alumni and parents who give to Benjamin. It strengthens our case when those closest to the school support us. In addition, The Benjamin School is a registered 501 (c) (3) nonprofit organization. Therefore, gifts to the Annual Fund are taxdeductible

What if I hear...
“I already made a gift this year.” Thank you! Given the high volume of gifts and pledges received, volunteer reports aren’t updated as quickly as gifts are received, although we do our best However, sometimes there is confusion about giving during The Benjamin School’s fiscal year calendar (July 1- June 30) and the traditional calendar year for tax purposes (January 1 - December 31). Please feel free to direct these questions to the Development team.
“I will make my gift later in the year.” If a prospect plans to participate later in the year, encourage them to pledge now, but do not push too hard We want everyone to support the annual fund, and we need to be respectful of what works best for them
“We cannot give right now.” Donors have until June 30, 2018, to fulfill their pledge. Ask them to consider setting up a pledge now which they can fulfill later or in installments, if desired.

“Yes, I am planning to participate.” Great! We cannot officially count a pledge unless we have a confirmed amount. If a prospective donor is reluctant to share the amount of their pledge with you, please notify the Development team, and we can follow up.
“I have concerns about…” If they are willing to share their concerns with you (or even if they are not), please make someone on the Development team aware of the situation, so the appropriate person can follow up as needed
“We are doing all we can to afford tuition at this time.” I certainly understand Your participation matters, and I do hope you will consider joining the campaign.

“Benjamin does not need my money; other organizations do.” Benjamin appreciates that there are likely many charitable groups that are special to you The school hopes you consider Benjamin among the many causes you support because of the significant role it plays in your life. “Why does the school ask for a donation above and beyond tuition?” As at all independent schools, Benjamin offers all community members the opportunity to strengthen our program through taxdeductible donations. By asking for Annual Fund donations, Benjamin is able to keep tuition competitive without cutting staff or programs.

However, the Annual Fund is the school’s highest philanthropic priority and provides unrestricted support for faculty resources and student experiences We hope we can count on you to participate in this year’s Annual Fund and a gift of any amount is sincerely appreciated.
So how much does The Benjamin School expect me to give? The school expects each family to give according to their means, and we hope that every family will find a way to help Even if you are on financial aid, you will be asked for a gift Each contribution makes a difference and adds to the parent participation percentage and enhances the quality education that your child receives Many Benjamin parents have stepped forward with gifts at the Leadership Society level of $5,000 or more. Leadership gifts make up about 75% of all contributed income.

Leadership Society
The Leadership Society recognizes and honors those benefactors who are especially generous in their philanthropic giving to The Benjamin School. The gift threshold for the Society is $5,000, representing the sum total of an individual’s cash gifts to the Annual Fund, BASH, capital and/or endowment in a given fiscal year.
Leadership Society members are honored at the annual Leadership Reception in the fall of the following school year.
Donors who give $25,000 cumulatively are honored at the annual Head’s Appreciation Dinner in the fall of the following year
IMPACT Reports

Benjamin encourages pledge commitments to support the fundraising priorities Pledges to the Annual Fund must be fulfilled by June 30 each year Pledges and gifts secured by December 31 add momentum to the campaign and help Benjamin better prepare to forecast the budget for the following fiscal year.

Matching Gifts
Corporate matching gifts to Benjamin allow donors to double their impact. Individuals receive donor recognition for their initial gift PLUS the amount of their matching gift.
Encourage donors to seek a match through their employer or through their spouse’s employer.
Donors must initiate the matching gift through their own company, usually online or with their Human Resources department.
