Leave Setting – Upcoming Employee Leave Reminder Notification for Managers
We’ve created a new Leave Setting: ‘Notify the Directly reports to person this many days before approved leave start’ used to customise how many days in advance managers are notified when their subordinates go on leave.
What was the process before?
Previously, managers would automatically receive an email reminder one day before any employee who directly reports to them was scheduled to go on leave. For every application with the same manager, the system sent a single email with a list of all subordinate employees who would be going on leave the following day.
What is the process now?
A new Leave Setting is available that allows users to configure how many days in advance a manager should be notified when an employee goes on leave, giving them greater control over when managers are notified and ensuring managers are informed of their staffing availability ahead of their subordinate’s leave.
When a value has been set, the notification for employees going on leave will only be sent once before the leave start date, based on the number of days specified. However, if no value is set, the system will default to sending the notification 5 days before leave starts, and if the value is set to 0, then the notification is sent on the day that their leave begins.
Pacey – Select the time of day for half-day leave applications
We’ve included the ability to specify the time of day when employees apply for halfday leave when the following Leave Setting is enabled: ‘When applying for leave of less than 1 day, show an indicator for the employee to select whether the leave is taken in the morning or the afternoon’
Employee self-service users applying for half-day leave on Pacey can indicate whether leave will be taken in the morning or afternoon, as shown below:
Run Management – Updates to Interim Runs
As part of the ongoing improvements to the Run Management screen, we’ve introduced key updates to how Interim Runs are managed.
Auto-closure logic for backdated Interim Runs
We previously added the ability to link interim runs to previously closed Main Runs (backdated interim runs) rather than the most recently closed run.
To support this new capability, we’ve added logic that governs the closure of backdated interim runs so that when an interim run is created and there are subsequent runs in a closed state within the same tax year :
1. The new interim run will remain open and will not be closed automatically based on the Pay Date as per system default.
2. Users will be required to manually close the interim run after verifying that the payroll data and associated calculations are correct.
Visibility of Interim Run tax period linking checkbox
We’ve also refined the visibility of the checkbox labelled: ‘Link this interim run’s income to the previous main run’s tax period’ used to link an interim run that comes before a main run to the previous runs tax period.
This checkbox will now be hidden on the interim run slide-out menu for companies using any of the following Calculation Methods, as the option is only relevant for countries that apply YTD (cumulative) tax calculations:
• Non-cumulative tax method
• Non annualized year to dates
• Payslip tax method
Since this option is only applicable to countries using YTD tax calculations, this update helps simplify the user experience by ensuring that only relevant options are displayed to reduce potential configuration errors.

FSCA RF Notice 5 of 2025
Determination of forms for applications in respect of amalgamations and transfers
The FSCA RF Notice 5 of 2025 provides the updated forms to be used for applications involving amalgamations and transfers of retirement fund benefits under Section 14 of the Pension Funds Act (PFA). These updates were needed to align the forms with the two-pot retirement system, requiring funds to specify members’ different components separately when applying for transfers or amalgamations.
This update improves transparency and consistency in how retirement fund transfers are processed, thereby protecting transferring members’ interests since the implementation of the two-pot system.
