An overview of the changes to come

What’s changing

Internally, we are progressively improving the way that our data connects across our business for the creation and maintenance of articles in our systems. This impacts certain steps within our processes that a Trade Partner participates in and the systems used - Sphere and Partner Hub.

Categories included in the changes (sourced in AU or NZ)

Why?

Correct and timely data is essential to ensuring our Product Specifications are created accurately and our systems are equipped with the information needed for our customers to purchase products online.

When?

Changes will take effect from Monday 15 May.

Our Trade Partners who have products in scope will no longer need to enter Country of Origin, On Pack Information and Barcodes into Partner Hub.

Once the correct data is in the Product Specification, it’s not re-entered.

Keep in mind that there are nuances between products in regards to information needs. Take guidance from the Own Brand Category Assistant.

***There is no impact to Branded products and TGA follows existing process***

The importance of getting our data right

Product Specifications are now our source of truth for Own Brand Products. Fields will flow directly to our Online platform, for example

● Product Title

● Country of Origin

● Ingredients

● Allergens

● Nutritional Information Panel

The Specification must match the artwork.

Getting our data right the first time will prevent the need to create another version of the Product Specification. Where errors occur, expect error message emails, which will delay Specification processes.

Entering data correctly, examples

Full information can be found in GUI072. Creating specifications in sphere- Appendix

Product Record - For every SKU there must be a product record. Product Records for the same product can be attached to one specification.

Article Number - Must be the sellable items

● No add ons - for example part numbers

● No multiple article numbers

Quantity: Size & Unit of Measure - number followed by a Unit of Measure

● eg 500 g, 6 ea, 3 m. For Random Weight articles use “1 kg”

● Spec must match

Specification

Title and romance

Need to be as per pack - no extra words added

Allergens

When using the adjusted may be present statement field - Allergens must be separated by a comma (,)

Whole numbers only for the bar chart & Australian content values.

Countries must be spelt correctly (as per Partner Hub Glossary)

Trade Partners will receive

● PIES rework - if CoOL or On Pack do not match the image

When errors are made, the below are examples of the emails

Our product specification lifecycle

New status- same functionality as collaborative draft

Spec is updated to ensure it matches the artwork. If any further attachments or amends are required, revert back to Collaborative Draft.

QS moves to Ready for Authorisation for the supplier to review & authorise

QS sets spec to “Active”

⇒Target 2 weeks post artwork release

⇒Labelled in store - before PO is needed

Enrichment includes the completion of Master Product Data. Sphere is the source of truth and will send the data to Partner Hub for Country of Origin Labeling (CoOL) & Displayed On Pack information.
