My Viking Journey is the go-to place for details about your clients and their cruise. Your clients are required to complete passport details here and they can also book shore excursions once they become available.

Please encourage your clients to complete their Guest Information Form as soon as possible. We use this information to ticket flights and visa invitation letters.

Please do not fill out My Viking Journey details on your clients’ behalf, as this will result in you taking on full responsibility for ensuring your clients’ names and passport information is correct — should anything be incorrect, the cost of any changes, visa issues or denied aircraft and ship embarkations will be yours to bear. Your clients must check that all of their information is correct in case any changes need to be made prior to documentation being issued, including air tickets or visa invitation letters.

HOW DOES MY CLIENT JOIN MY VIKING JOURNEY?

If you have received a booking number, then your client is eligible to create a My Viking Journey account. They can visit our account creation page and enter their information into the relevant fields. They will need their booking number and an email address that hasn’t been used for any other My Viking Journey accounts.

DO ALL GUESTS NEED A MY VIKING JOURNEY ACCOUNT?

No. A My Viking Journey account allows the user to plan and book for both guests in the stateroom associated with the booking number. Each guest can create an account if they so wish, but neither will be able to see or manage both users’ calendars.

PAYMENT POLICY

A non-refundable cruise only deposit of $1,000 per person or a non-refundable Viking Air plus cruise deposit of $2,000 per person is required to secure a confirmed reservation within 3 days of making the cruise or Viking air inclusive reservation or your reservation may automatically cancel. When more than one cruise is booked, deposit and payment policies apply per cruise. The final balance is due no later than 120 days prior to sailing. All reservations are subject to cancellation if payments are not received by the due date.

AIRFARE

If you would like to add airfares, please complete the Viking Air booking form and email it to the Cruise Consultant who has made the booking. Any changes after the booking form is submitted will incur a fee of $100 per person. Full payment for airfares is required at booking. Airfares will not be added to the booking without Guest Information Forms first being completed. Please ensure clients are aware of the airfare terms and conditions as whilst being great value for money, it is also nonrefundable, non-changeable and non-transferrable.

REVISIONS/CHANGES

Once a cruise booking has been accepted and a deposit paid, all changes are subject to a $30 charge per change.

DOCUMENTS

Documents will be issued approximately three weeks prior to departure.

TRANSFERS

Airport transfers are available at additional cost if air arrival and departure dates coincide with the first and the last day and destination of the cruise/tour itinerary. If guests arrive and depart on different dates to these, then airport transfers are not available. Guests who are not arriving or departing the destination on the first and/or the last date of the cruise/tour itinerary will have to make their own way to the hotel/ship at their own expense.

My Viking Journey (MVJ) is a website application for guests, enabling users to create a personalised cruise experience. Your clients can plan their trip with My Viking Journey, making the most of time on board:

CHILDREN/MINORS

Due to the nature of our cruise and travel itineraries, Viking Cruises does not maintain facilities or services for children aboard cruise vessels or otherwise during the trip. On all river cruises, minors must be over the age of 12; must be accompanied and share a stateroom with a parent or legal guardian over the age of 21.

Our sales and marketing team will be happy to support with training, flyers, advertisements, direct mail pieces and information sessions to ensure that your group booking is successful.

DEPOSITS

• Once availability is confirmed, a refundable deposit of $1,000 per stateroom will be required within three business days to hold an allocation of eight or more staterooms for 90 days

• After 90 days, an additional deposit of $1,000 per stateroom will secure the booking

• Any additional staterooms will require a $1,000 per stateroom deposit at the time of booking

• A deposit of $2,000 per person and a completed Guest Information Form are required to secure an air inclusive booking

CANCELLATIONS

• Deposits are transferable within the group booking and outside 121 days of departure

• Names and full payment will be required 121 days prior to departure

Commissions aside, at Viking, we understand that the bottom line for your clients must always be what is right for them. Your commission should not affect your recommendations to your clients.

Nevertheless, Viking is highly compelling for Travel Agents to sell for two reasons. The first is that consumers need to consult with an expert to be sure they are spending their money on the high-ticket product that is right for their needs. To this end, Viking puts a lot of effort into providing our travel partners with the back-up, support, resources and assistance you need. The second is that you make commission on the entire all-inclusive fare. We think that’s only fair.

We are one of the only cruise lines with no non-commissionable fees (NCFs). This means you will earn commission on all aspects of your clients’ bookings including:

• Cruise fares

• Air fares

• Port charges

• Gratuities

• Taxes and fees

• Pre- and post-cruise extension programs

• Drinks packages if booked prior to departure

WHAT IS YOUR CREW TO PASSENGER RATIO?

1:7 for our ocean ships. All our crew are employed by Viking and are Swiss-trained. We do not use contractors on our ships.

IS THERE WI-FI ONBOARD?

Yes, it’s free and unlimited. We even have a number of laptops on board for your clients to use if they do not wish to bring along their own devices.

WHAT IS VIKING’S OCEAN CRUISE BEVERAGE POLICY?

Viking serves complimentary beer, wine and soft drinks at lunch and dinner. There is also the option to purchase the Silver Spirits package at $20 USD per person per day. Clients can also bring their own beverages on board and there is no corkage fee.

MY CLIENTS CREATED A BOOKING WITH VIKING. MAY I TAKE OVER THE BOOKING?

Yes, you can take over a booking made by your client, provided you do so within 30 days of the booking date and prior to the final payment being made.

WHAT IS THE STANDARD DEPOSIT?

$1,000 per person (cruise only) or $2,000 per person for cruise and air. This must be paid within three days of booking. Final payment is due 120 days from departure.

DO YOU HAVE A LOYALTY PROGRAM?

Yes — the Viking Explorer Society. Your client will receive a travel credit according to the amount of time that has lapsed since their last Viking cruise: $200pp if they are booking within a year of their last cruise or $100pp if it has been longer.

WHAT IS VIKING’S REFERRAL POLICY?

If a member of the Viking Explorer Society refers a friend  or family member, they will receive an additional bonus of  $200 per couple which has a validity of 12 months. The guests that they referred will also receive a bonus of an additional $200 per cabin saving. If they refer their 13th new-toViking traveller within one year, they will receive a FREE cruise. Please refer to the Viking website for further details.

WHEN DO I RECEIVE MY COMMISSION?

Commission is paid out approximately 29 days prior to the ship’s departure date. Travel agent commission is guaranteed based on our cancellation policy. Once we are within 59 days of departure, you are guaranteed 100% of your commission.

DO YOU PAY COMMISSION ON AIRFARE?

Yes, airfare is commissionable at 1% of the brochure rate. We actually pay commission on all aspects of your clients’ bookings. Viking prides ourselves as being agent-friendly with no NCFs (non-commissionable fees) or credit card fees.

DO YOU PAY COMMISSION ON BEVERAGE PACKAGES?

Yes, beverage packages are commissionable at 5%. Viking is agent-friendly and has a no NCF policy. In other words, we pay commission on all aspects of the booking.

MY CLIENT HAS SPECIAL DIETARY NEEDS, DO YOU CATER FOR THIS?

Yes. Please let your Cruise Consultant know at least 30 days from the sailing date and we can advise the ship.
