The Madison Plaza meditation garden and stone wall are very close to completion. Facilities’ tuck pointers and electricians will be installing the rest of the interior stone on the walls along with adding new LED exterior lighting. We expect this to be complete in the next few weeks.

Don’t forget to stop by and enjoy the atmosphere, especially during our spring and summer months!

PROJECTS SPOTLIGHT 930 MADISON, SUITE 100

910 MADISON, 9TH FLOOR

The renovation of suite 100 in 930 Madison building is complete. The project was necessary to replace a leak in the HVAC system along with creating two new executive offices.

Renovations included a new HVAC system, new carpet, office space and conference room. All work was done by facilities carpenters, painters, electricians, plumbers and the HVAC team.

The new ADA restroom in 910 Madison is complete. The scope of the project included taking over the space of an existing tiny restroom and exam room to combine into a larger ADA-compliant space. Facilities trades working on the project included: carpenters, electricians, fire safety, tuck pointers (for tile), plumbers, painters and custodial.

Dr. Verne’s office project at the Coleman Building is finally complete. The project renovation included new flooring, new furniture & design, new ceiling tiles and paint. Facilities carpenters, electricians, movers, and painters worked on the project as well as the IT team. Thanks to everyone for your awesome efforts.

LICHTERMAN AWARD NOMINATION

Steven Massey, grounds maintenance supervisor, was recently nominated for UTHSC’s prestigious Lichterman Award. Nominations are based on employees who are reliable, perform quality work and displays a positive attitude. Steven did not win the award this year, but did make it to the semi-final level. Great job, Steven!

The facilities biomed department has been busy working non-stop completing plexiglas work request tickets. Since the start of the pandemic, the shields have been in demand.

Pictured below are shields completed for the Pharmacy, 930 Madison bldg., One Stop Shop, and Ophthalmology as well as for Drs. Brown and Schwab’s conference rooms. Great Job Glen Dawkins, bio med supervisor and Michael Nguyen, bio med specialist, for your dedication to keeping everyone safe and meeting the demands for the shields.

CELEBRATION TIME! SPOT BONUS AWARD

CHIPS Building, Venita Harrell, Sr. Custodian Venita Harrell, sr. custodian, was recently presented with a spot bonus check by Executive Vice Chancellor and COO, Dr. Kennard Brown for her diligence in reporting maintenance concerns for the CHIPS building. Ms. Harrell demonstrated extraordinary, meritorious performance by alerting the Facilities Administration work order desk about the problems and concerns with the CHIPS building. The problems, if left unattended, would have resulted in a significant financial impact. Job Well Done, Venita!

ARCHIBUS WORK ORDER MODULE UPGRADE December 2020

The Archibus work order module received an recent upgrade. We have transitioned from version 22.1 to version 25.3 with a new look and more enhancements. Training will be provided to ensure everyone understands the new enhancements and can navigate the system. Dates will be announced soon. The new version link on the UTHSC website now takes you to the single sign-on screen, where you will use your duo information to login and begin using the new system.

STAFF PERFORMANCE EVALUATIONS Human Resources

The 2020 performance review cycle for the University of Tennessee Health Science Center employees will close on Thursday, March 31, 2021. For your convenience, performance evaluation forms have been placed on the Human Resources website. The department is only required to provide Human Resources with the Summary Form. All other tools or assessments for employees and managers can be maintained in your department.

NEWS YOU CAN USE...

KEY AND LOCK CONTROL MANAGEMENT

Key and lock control management is under Facilities Administration. If you need to turn in, transfer, have new keys issued, or have locksmithing needs do the following: 1) Complete a request form found on the facilities website under the key control tab (https://www. uthsc.edu/facilities/key-control. php).

2) Attach the form to an Archibus work order request (link found at the bottom of each page of Facilities website) and bring to Facilities.

We are located in the Physical Plant Building, room 224. Office hours are 8:00 - 11:30 am and 1:00 - 4:30 pm, Monday through Friday.

Masks Should Be Worn At All Times While On Campus 1) Work groups relying on partners or small teams working within six feet of one another, should have assigned partners to minimize the number of individuals with whom each person has close contact. If working within six feet of someone else, complete the work at separate times, as soon as possible.

3) Individuals with close work contacts should get tested regularly for COVID-19 (e.g. every 14 days). This will help to quickly identify cases where no symptoms are evident and prevent spread among your work group and others.

4) Notify your supervisor if someone is exhibiting any symptoms of COVID-19 at work.

5) Supervisors: Be aware of the sick and vacation time available to each of your employees. Be proactive in having conversations about available time. Make sure each employee has a plan in place and is aware of the Human Resources provisions for employees that need administrative time to cover a period of selfisolation or quarantine.

6) Supervisors: Develop an escalation procedure and inform your team of the consequences for not complying with campus COVID-19 guidelines. When you see individuals not following the guidelines follow those procedures.

7) Supervisors: If staff members call in sick, ask about their symptoms. Direct them to fill out the Notice of COVID-19 Occurrence Form on the Human Resources website if they have any symptoms of COVID-19 (e.g. cough, fever, chills, aches, diarrhea, etc.). Tell them to seek guidance for a safe return to campus from University Health Services.

8) Supervisors: Post signs to identify the maximum permissible number of people in break rooms, offices or common areas frequented by more than one person.

9) Supervisors: Meet or otherwise communicate (via email) with your staff members weekly to answer questions and share updates to COVID-19 guidelines.
