DEAR EMPLOYEE CAMPAIGN MANAGER

United Way of Tarrant County relies on your role as an Employee Campaign Manager to help us tell our story as a convener, collaborator and nonprofit leader in North Texas. Thank you for your commitment to our organization and for helping us to respond to the growing needs of our neighbors in the community.

Your support is critical to the work we do to:

• Create healthier communities where everyone can be safe; particularly women, children, older adults and those with disabilities

• Respond to calls for support with basic needs, in times of disaster, and also for veterans, active-duty service members and their families

• Provide financial stability resources that allow families to contribute to their own success

• Give the tools of education and literacy to provide independence to those who may not have resources elsewhere.

Last year, United Way of Tarrant County celebrated its 100th anniversary serving this area. As we enter our second century of impact, we look forward to working with you to GET UNITED toward a shared vision of an enriched community where everyone can thrive.

ABOUT UNITED WAY OF TARRANT COUNTY

United Way of Tarrant County is one organization that unites many. We do data-gathering, community listening and analysis to identify the root causes of the toughest issues in Tarrant County. Then, our teams build trust, form partnerships and leverage initiatives to address those problems – whether developing programming ourselves or bolstering local groups that are already doing great work in our communities. We’ve made 100 years of progress and we have big goals for our second century together.

Each year, United Way of Tarrant County helps more than 325,000 people through our resources. United Way of Tarrant County has no fees on donor designations, with 100 percent of the donation going to the selected agency or cause.

Workplace Giving Campaigns allow your company to be a part of the solution to challenges facing the county. Employees who know they work for a company who cares for our neighbors, friends and family members are more engaged, and companies who give back see improvements in reputation and profitability. Contributing to our community is the right thing to do, and it’s the smart thing to do.

When you hold a United Way campaign at your workplace you open convenient avenues for your employees and coworkers to make a difference, including donating through payroll deductions, participating in special events and volunteering as a group.

ECM ROLES AND RESPONSIBILITIES

WHAT IS YOUR ROLE AS AN EMPLOYEE CAMPAIGN MANAGER?

Employee Campaign Managers (ECMs), the link between United Way of Tarrant County and the employees of our corporate partners, play a crucial role in the success of Workplace Giving Campaigns. ECMs serve as point people who lead internal programs that engage employees and encourage them to give and understand the importance of their donations—all of which helps United Way fulfill its mission of solving Tarrant County’s toughest social challenges.

Serving as an ECM also has professional benefits. In your role as an ECM, you will build new skills, form stronger bonds with your peers, and be a visible leader across your organization, all while giving back to your community.

ECM RESPONSIBILITIES

• Schedule a planning meeting with your United Way representative to develop an effective Campaign goal and plan.

• Be a source of knowledge about United Way of Tarrant County and educate your coworkers

• Recruit and coordinate a team of company volunteers to assist you with the Campaign.

• Share your Campaign goal and plan with the CEO or senior executives to get approval and ensure support for the Campaign.

• Coordinate your company’s kick-off, special fundraising events, recognition events and distribution and collection of Campaign materials and pledge forms.

• Promote the Campaign throughout your organization and allow everyone the opportunity to give.

• Encourage Leadership Giving levels in your Campaign.

• Monitor Campaign progress and push routine updates to your team via email, intranet sites, newsletters, display or TV monitors and other communications channels.

• Keep your CEO or senior decision-maker updated on Campaign progress.

• Submit pledge forms and complete the final United Way report form.

• Say thank you to everyone at your company for their help and participation.

• Commit to debriefing after the Campaign to identify successes and areas for improvement.

• Be able to articulate the power of supporting the United Way Community Fund.

GET TO KNOW UNITED WAY OF TARRANT COUNTY GET THE RIGHT PEOPLE INVOLVED

Don’t run your campaign alone. Before you get started, be sure you have the right people on your side to ensure the campaign is successful.

• Secure CEO and Executive support. Their involvement sets an example for employees and underscores the importance of the Campaign and the company’s commitment to Tarrant County.

• Recruit a committee of enthusiastic, resourceful and committed employees to help you plan and execute the best possible Campaign.

A Campaign goal and plan provide the roadmap for programs and activities and streamline implementation. We encourage you to include your committee in the planning processes. Your United Way of Tarrant County representative will work with you to set your Campaign Goal.

GET YOUR COWORKERS ENGAGED AND MAKE THE ASK

• Plan and implement a great kick-off event.

• Keep the excitement going throughout the Campaign with fun activities and incentives.

• Share the impact of giving to United Way of Tarrant County – make sure your team understands the difference their dollars make.

• Make an ask – The biggest reason people don’t give is because they were never asked. Make sure your employees know how easy it is to give through your workplace Campaign.

• Promote leadership giving - for a donation of $1,000 or more, employees become part of Leadership United. Membership provides exclusive invitations to network and collaborate with like-minded individuals who have a passion for philanthropy. *Note: a $1,000 annual pledge is only $38.50 per pay period for those paid bi-weekly.

HAVE FUN WHILE RAISING FUNDS

NEED EVENT OR ACTIVITY IDEAS?

Hosting a fun event or activity is a great way to generate excitement around the Campaign while raising funds for your community.

Here are a few of our favorite ideas to get you started:

1. Toon Me - charge a small fee to turn your team’s selfie or family photos into a printed cartoon/caricature

2. Sell and send candy or popcorn grams

3. Set up a dunk tank

4. Jeans Day

5. Raffle off a premiere parking spot

6. Have a “Free Day Off” drawing

7. Dine for United Way – partner with local restaurants who offer give-backs

8. Host a live or silent auction

9. Have a service auction – bid on the creative gifts and talents of your employees

10. Chili cook-off – get your company’s best cooks involved in the competition

11. Host a hamburger/hotdog cookout

12. Sell items from your company store (mugs, T-shirts, etc.)

13. Create and sell an employee recipe book

14. Have a candy jar raffle

SAMPLE CAMPAIGN TIMELINE

8 WEEKS BEFORE CAMPAIGN KICKOFF

• Recruit campaign planning committee

• Make sure all departments are represented on the committee

• Secure support of executive leadership

• Develop plan to secure in-kind donations for auctions and events

• Connect with your United Way representative to share your plan

6 WEEKS BEFORE CAMPAIGN KICKOFF

• Identify site for in-person kickoff event

• Complete and submit online E-Pledge order form to Erin Bolden

4 WEEKS BEFORE CAMPAIGN KICKOFF

• Host weekly campaign planning meetings with your committee to develop events calendar (invite United Way representative)

• Develop marketing & communications materials for fundraisers and other events

• Send weekly email reminders of campaign kickoff event (copy United Way representative)

2 WEEKS BEFORE CAMPAIGN KICKOFF

• Finalize and preview E-Pledge online giving portal, if applicable

• Announce campaign at manager’s or all-staff meeting

CAMPAIGN KICKOFF WEEK/MONTH

• Launch your campaign

• Launch your E-Pledge online giving portal

• Send weekly reminders of campaign activities and updates

CAMPAIGN WRAP-UP (1 – 2 WEEKS AFTER CAMPAIGN COMPLETION)

• Schedule a campaign wrap-up celebration

ONLINE GIVING RESOURCES

E-PLEDGE ONLINE GIVING PORTA

E-Pledge allows donors to use their personal devices to fill out online forms specifying how much they would like to give, and in what manner. E-Pledge-specific Campaigns make employee giving more efficient, as well as ease the process for our participating companies by reducing paperwork in the distribution, collection and processing of pledge forms.

Corporate E-Pledge giving portals can be customized to reflect the visual look and feel of your organization. E-Pledge also provides tailored electronic messaging that can be scheduled and disseminated to employees through the site.

MOBILE CAUSE (TEXT-TO-DONATE)

Text-to-donate is an easy way to give at home or on the go. Donors simply text a unique keyword to a 5-digit phone number, and they will receive an instant response with a link to your mobile friendly donation page, allowing them to donate right on their mobile device.

Mobile Cause also provides a platform to host virtual fundraising events to connect with donors, build awareness and empower giving online.

Your United Way of Tarrant County Campaign representative will work closely with you in setting up your Mobile Cause fundraising campaign.

The centennial logo has a defined clear space and minimum size to ensure legibility in all applications.
