Campus Information

Important Definitions

] Student

A person who is actively enrolled and is in good academic, financial and behavioral standing.

] Alumni

A person who has successfully completed the full academic requirements of their program and is in good academic and financial standing at the point of graduation.

] Academic Probation

A student who has not completed the academic requirements of a program or course by the established deadline or as otherwise determined by the Department Head, or Campus Director. Such students may be put on academic probation, academic suspension, withdrawn or asked to sign a student success plan.

Transportation

Trebas Institute (hereinafter known as “The Institute”) is easily accessible by public transportation. The Institute is located within steps of the Wellesley Subway Station, on TTC Line 1, Yonge-University Line. Access is also available via GO Transit to Union Station and TTC Subway to Wellesley Station. Students using the GO System are eligible for reduced student fares. For directions call (416) 393INFO. Students are encouraged to apply online at the Co Website. Student services will provide proof of enrollment if required.

Parking

There is paid parking available at Toronto Municipal Parking, 17 Wellesley Street East. The parking lot is located behind the Institute, with the entrance off Wellesley Street East.

Facilities

You are advised to get to your classes early on the first day to orient yourself with the building. School hours are 8:00 am – 10:00 pm daily, Monday to Friday. Note that you may not be able to enter your classroom or lab until the instructor arrives at your scheduled class/lab time.

Outside Facilities: Some labs and workshops are conducted in off-campus professional studios. Maps are provided upon request.

Gatherings

We request that you avoid gathering in the corridors, main entrance of the building and the reception area of the Institute. We invite you to make use of the student lounge.

Bulletin Boards

There are bulletin boards in the hallways with the following specific purposes:

] Employment Opportunities Board

New career or internship opportunities are posted on the bulletin board outside the staff lounge. However, no guarantee of employment can be made. We will assist you in any way we can.

] Student Use of Bulletin Boards

This bulletin board is inside the Student Lounge. If you wish to put something up on the bulletin board (audition notices, job postings, accommodations, etc...) please make sure that you have permission to do so, from the Department Head or Campus Director, otherwise your bulletins will be removed without notice. DO NOT affix any posters or bulletins to any walls or they will be removed immediately.

Visitors

Students are not permitted to bring visitors, children or animals (except service animals) into the campus unless they have written approval from the Campus Director.

Smoking Areas

Trebas Institute is a smoke-free environment. Smoking (including vaping) is not permitted on school property. Smoking is permitted in designated areas only.

Personal or Valuable Items

Trebas Institute is not responsible for any lost, stolen or damaged articles. Please do not leave your personal belongings unattended. Do not request staff members to be responsible for valuable items. If a Trebas Institute owned item (laptop, pc etc.) is lost or stolen, a report needs to be filed with the IT (Information Technology) Department.

Personal Relationships

All relationships between staff, faculty and students are to remain on a professional level.

Medical Conditions

Please advise the Campus Director of any medical conditions that you have (ie. allergies, epilepsy etc.). Please report any emergencies immediately to Trebas Institute.

Graduation

Trebas Institute wants to celebrate your success with you and your families. You are encouraged to attend the graduation ceremony and to include your family and friends to celebrate your achievements. Only students who are academically and financially complete will be eligible to attend the ceremony. Invitations and details will be sent out prior to the date.

Booking Equipment & Labs

Access to labs is available by request only when not scheduled for classes. To reserve a lab, please book the time at the Front Desk. The request must be submitted to the Receptionist at least 24 hours before the lab/equipment use is required. Lab time is booked for a maximum of 3-hour blocks at a time only. If the lab is booked when requested, the Receptionist will advise the student of the conflict.

Equipment is available for curriculum-based assignments and for in-lab use only. To reserve equipment, it is necessary to fill out an equipment reservation/booking form that can be obtained from the Department Head’s office. Please note that the request must be submitted to the IT Coordinator a minimum of 24 hours before the equipment is required. Once your request is approved, you must sign an agreement form before removing equipment from the equipment room. Equipment must be returned on a timely basis in the same condition that it was when it was signed out. If there was damage (especially latent damage) while under your jurisdiction, inform the IT Coordinator in writing immediately.

Please read Terms and Conditions on the Agreement Form for penalty fees for late returns or damage to any equipment.

Campus Policies

Student Code of Conduct

All students at Trebas Institute must at all times respect and value the diversity of our campus community. Our students and staff come from various backgrounds and experiences, with diverse characteristics protected by, and enshrined in Federal and Provincial law. Culture, race, ancestry, ability, gender and religion (among others) are fundamental human characteristics protected by law and valued here in our inclusive Trebas community. Students will not act inconsistent with our values of respect, trust, inclusivity and diversity. Students will not create course related works that diminish the value, worth and dignity of any individual, contain excessive vulgarity, demean any race or sex, nor will they create works that can be seen as intimidating, offensive, bullying or harassing. All student work will also be consistent with all other Trebas policies related to student behavior and academic progression. Any works contrary to the above will not be graded and will become grounds for review and investigation by campus administration, as per campus policies and procedures, and could result in disciplinary action including expulsion.

Students are responsible for adhering to all rules, regulations and policies of Trebas Institute. Trebas Institute expects mature and professional behaviour on the part of its students both in the campus and when attending college related activities off-site. Students should demonstrate the same behaviours at the campus as they would in the workplace. Trebas Institute supports the following rights of students:

] To express themselves individually or as part of a group, except where the exercise of such rights is prohibited under this Code or other College policies, under the Ontario Human Rights Code, or under municipal, provincial, or federal law.

] To be free from discrimination and harassment on the basis of race, ancestry, place of origin, colour, ethnic origin, citizenship, creed, sex, gender identification, sexual orientation, age, marital status, family status and disability. Complaints under this section are dealt with under the College policy on Sexual Violence & Sexual Harassment and Bullying .

] To make reasonable complaints and/or to participate in Trebas proceedings without fear or threat of reprisal.

] To use Trebas Institute’s facilities and equipment as intended

] To have a safe and positive learning environment

] To transparent processes based on procedural fairness in all matters that may lead to sanctions within Trebas’ policies.

Students’ responsibilities include, but are not limited to:

] To uphold municipal, provincial and federal laws, the Ontario Human Rights Code and Trebas’ policies.

] To make yourself aware of Trebas’ policies.

] To become familiar with all emergency exits, both on campus and in outside studios.

] To respect the schedule that is assigned them.

] To refrain from eating in class, computer rooms, or labs and studios.

] To refrain from bringing outside guests into the classroom, lab, or studio, unless previously authorized by the Department Head or the Campus Director.

] To refrain from engaging in activities that obstructs or disrupts college activities or jeopardize the educational objectives of Trebas Institute. This includes but is not limited to: making or causing excessive noise; setting off false fire alarms; bomb threats; blocking exit routes.

] To refrain from using cellphones in a way that disrupts learning process.

] To respect Trebas’ property and other peoples’ belonging at all time.

] To maintain current copies/backups of all of their assignments and projects.

] To respect the rules of conduct related to the use of computer software and equipment provided by the Institute.

] To respect the classroom etiquette.

] To attend classes as per the attendance policy.

] To be honest in all academic matters and adhere to Academic Progression and Integrity Policies.

] No Weapons on Campus Policy

] Not to smoke inside of the Institute’s premises. Please note that cigarettes, e-cigarettes (vaping) and alcoholic beverages or drugs of any kind are strictly prohibited in the student lounge or in any other location in and around the Institute, which includes off-campus studios contracted by the Institute.

] Not to enter Trebas’ premises or engage in any college activity while under the influence of any substance prohibited by the Controlled Drugs and Substances Act. Usage, possession or sale of drugs or alcohol on the Institute’s premises are strictly prohibited and will bring immediate and definitive expulsion.

] Not to enter Trebas’ premises or engage in any college activity while in a state of intoxication. The use or possession of alcohol is strictly prohibited on the Institute’s premises. Any inebriated student will be expelled from the classroom and will be subjected to probation and/or expulsion from the Institute depending on the seriousness of the situation.

] Acts of physical violence, or show aggressive or intimidating behaviour will not be tolerated at any time.

] To respect the principles and values attached to the industry of study, all of which are of great importance and fall within the ethics of the Institute. They include: attitude, behaviour, appearance, punctuality and positive interactions with others.

] Classroom Ettiquette

No recording devices of any kind are allowed in classrooms or labs (except in cases of documented physical disability which would require such a device). In addition, the Institute will not accept personal calls for students, unless an emergency situation arises.

Students are expected to be clean and neat in their personal appearance. Access to the Institute’s premises may be refused to a student whose clothing is judged not adequate by a member of the administration.

There is NO EATING OR DRINKING PERMITTED IN ANY LAB, STUDIO OR IN THE PROXIMITY OF ANY EQUIPMENT. Food is allowed in the student lounge only. Beverages are allowed in the lecture rooms and student lounge only. Beverage containers must be in a travel mug with a secure lid.

Trebas Institute is a scent sensitive environment. To make every student’s experience at Trebas a comfortable one, we ask students and staff to refrain from wearing any perfumes or scented products while on school property.

Occasionally, a class needs to be cancelled with short notice due to instructor illness or emergency. In these cases, your instructor or Student Services will send an email advising the class is cancelled. Be sure to check your email on a daily basis before leaving for school in case such a message is left for you. Your instructor or Student Services will advise you of the date and time of the rescheduled class.

] Online Classroom Etiquette

(when online classes are necessary)

Students must log in to the online learning platform using their proper names for attendance purposes.

The online learning platform is used as a virtual classroom; therefore, appropriate classroom behavior is still expected. The student code of conduct and behaviour expectations do not change for remote teachings.

The instructor is the meeting host and holds the right to remove disruptive participants from an online learning platform session. The instructor also may only allow signed-in users to join, lock a meeting, place participants on hold, disable video, mute participants, turn off file transfer, and disable private chat.

Students are asked not to watch videos, listen to music, or use other applications (other than note taking apps) while attending class. Doing so could not only distract the class but can lead to a degradation in computer performance that may affect the student viewer experience.

Log into your class or meeting from a distraction-free, quiet environment.

Please keep your audio on mute until you want to speak. This will help to limit background noise.

You may be viewable and/or heard by the entire class during an online learning platform session and should conduct yourself accordingly. Classes will be recorded.

If you would like to speak or answer a question, use the “Raise Hand” feature. Then unmute yourself after you are called on by your instructor.

If you would like to use the chat box, remember that it is public, and a record of the chat is kept and archived.

Make sure your video is on (if you have camera capabilities) so your instructor and peers can see you.

Please take care of your personal needs (appropriate dress, basic hygiene, eating, chewing gum, talking to others in your home, etc.) prior to entering an online learning platform classroom.

Do not use profanity or inappropriate language.

] Rules of Conduct Computer Software and Equipment

Only the use of authorized software is permitted on Institute property and equipment. The use of illegally obtained software is strictly prohibited. Under no circumstances are students permitted to bring such software onto Institute property. This regulation also includes privately owned software.

Any student found in possession of pirated software on Institute property will be expelled. The student may also be subject to legal action.

Any student who copies software from Institute hard drives or the Institute’s network (copyright infringement) will be expelled and prosecuted to the fullest extent of the law.

Any student who steals computer equipment, computer parts (memory, boards, etc...) or computer peripherals (printers, etc...) will be expelled and prosecuted to the fullest extent of the law.

Students are prohibited from transferring a file or using another individual’s password or identification without authorization.

Students are prohibited from using the computer facilities to view and/or create and/or send abusive or obscene materials or messages.

Students are prohibited from introducing, reproducing or promoting computer viruses.

] Major Infractions under the Code of Conduct

(include but are not limited to):

] vandalism;

] trespassing,

] possession or use of a weapon, firearm, explosives, or incendiary devices;

] possession or consumption of, or dealing in, illegal drugs;

] theft of College or private property including intellectual property;

] harassment; disorderly or indecent conduct;

] sexual harassment;

] discrimination (including racial discrimination)

] Breaching the Code of Conduct

Trebas Institute’s Code of Conduct is designed to protect everyone and to make the environment of the College positive and welcoming to all members of our community. Any major infraction of this Code of Conduct can lead to immediate suspension or expulsion prior to disciplinary action laid out by the Expulsion Policy. Such action could lead to your dismissal from the College and may also result in the police being informed. Students may also be held financially responsible for certain infractions.

] Inclement Weather ] No Weapons on Campus

It is the policy of Trebas Institute to remain open regardless of weather conditions and to hold classes with as many students and instructors as can reach the Institute, however, this is not always feasible and in some instances the administration may determine that the campus must be closed due to inclement weather. Should this occur, students will be notified by email. Every effort will be made to make this decision early in the morning.

Despite this policy, it is a personal decision of each student whether it is safe to travel to and from the campus during a storm.

In accordance with the Criminal Code of Canada, Firearms Act, 1995 and associated regulations, no person, while on a property controlled, leased or owned by Trebas shall store, use, or carry a weapon. Failure to comply with this policy may result in disciplinary action up to and including expulsion from the Institute or termination of employment, depending on the circumstances. In the case of prohibited or non-registered firearms and other illegal weapons, the individual may also be subject to criminal prosecution.

A weapon is defined by the Criminal Code of Canada as anything used, designed to be used, or intended for use, in causing death or injury to any person, or for the purpose of threatening or intimidating any person, or a device designed to look like a weapon (CCC S. 2 and 84-117). Examples of weapons include, but are not limited to, firearms, explosives (including fireworks), air guns, pellet guns, BB guns, paint guns, crossbows, long bows, swords, martial arts weapons, prohibited blades, combat knives, brass knuckles, replica or imitation firearms including toys and any other prohibited device.

There shall be no exceptions to this policy for actual weapons, as defined by the Criminal Code of Canada, except as follows:

Exemption for ceremonial knives carried or used to meet religious obligations and small folding or utility knives used solely for a lawful purpose that are not brandished or worn in such a manner as to cause alarm.

] Student Expulsion Policy

Trebas Institute is committed to taking all reasonable steps to provide a learning environment that supports and encourages students to develop knowledge, understanding and skills during the course of their studies to ensure that they successfully complete their programs with meaningful learning experiences. Trebas strives to create a fair and equitable learning environment and opportunities for all students.

Each student is responsible for their intentions and conduct, individually and/or as a part of a group, including the responsibility of the consequences of their conduct. All students are expected to conduct themselves in a manner that conforms with the ethical values and the academic goals of the Institute.

This policy is relevant and applicable to all individuals enrolled at Trebas Institute as students. These regulations apply equally to students who are undertaking internships or co-ops as a part of their program of study and is relevant to the attendance of all scheduled classes, regardless of their method of delivery (in-person, online and/or virtual).

1. Causes and conditions of student expulsion and suspension

] Code of Conduct – Trebas’ Student Code of Conduct promotes a positive and effective learning environment. It upholds the Institute’s ethos and sets out clear standards for the behavior expected of students. Each student, individually and in a group, is required to comply with the Student Code of Conduct and take responsibility for their actions and their consequences. Any student in breach of the Student Code of Conduct may be subject to penalties, up to and including expulsion. Students who are found to possess or distribute illegal drugs or are found carrying any object (for example, a weapon) that may endanger the safety of themselves or others, or lead to injury, will be expelled immediately.

] Outstanding Fees – Trebas Institute will issue a written reminder and warnings to students who have any outstanding fees. An agreed timeframe within which students must remit outstanding fees will also be established. Should the student fail to comply with this timeframe, they may be expelled.

In such cases, the student may be reinstated after outstanding dues are paid, including the tuition fee for the remaining duration of the study period, as defined in Trebas’ Reinstatement Policy.

] Academic Dishonesty – Academic Dishonesty includes any word, action or deed performed alone, or with others for the direct or indirect intention of providing an unfair advantage or benefit to oneself or other student(s), including, but not limited to:

] Cheating

] Plagiarism

] Unapproved collaboration

] Bribery

] Lying

] Misrepresentations

An allegation made against a student with respect to Academic Dishonesty may result in disciplinary action, up to expulsion from the Institute. Please refer to Trebas’ Academic Integrity Policy.

] Significant Omissions or Errors in Admissions Documentation – Trebas has a responsibility to ensure students have been admitted in accordance with and in compliance with the registration and enrollment requirements for each program. Students who knowingly or in error misrepresent their applications, or fail to provide relevant information when requested, are subject to immediate expulsion.

] Academic Progression – Attaining a minimum passing grade in each course is required for a student to be in good academic standing. In accordance with the Academic Probation Policy, the student must meet with Student Services to be eligible for academic interventions and rewrites, should a student not meet the minimum passing grade. Any student who fails a course will be placed on academic probation. Failure to attain a minimum passing grade when a student is on academic probation may lead to expulsion from the program. Failure of any three courses in a program will lead to expulsion from the program.

] Attendance – Students are expected to attend classes as scheduled (including theoretical, practical components and internship). A student whose attendance falls below the minimum attendance standards of the Institute may not be eligible to continue their program. In accordance with the Attendance Policy and procedures of the Institute, the student may be expelled on grounds of absenteeism without prior approval or submitting medical records as reason for absence. Students funded through the Ontario Student Assistance Program (OSAP), who have not been in attendance for 28 consecutive calendar days, will be withdrawn from their program of study.

] Harassment or Discrimination – Trebas does not condone any form of harassment towards or discrimination against any student, staff, client, or visitor at the Institute. The Institute reserves the right to draw from and depend upon the provisions of the Ontario Human Rights Code to determine what constitutes harassment and/or discrimination. Trebas Institute management will take immediate corrective and disciplinary measures to address or resolve any complaint of harassment or discrimination. These may include, but are not limited to, immediate suspension with a pending investigation of the student(s) who have initiated, participated, or expressed an intent of harassment or discriminatory activities. If it is determined by the investigation that a student, instructor, or staff has engaged in harassment or discriminatory activities, the corrective actions will be taken up to and including termination of employment for the instructor or staff and expulsion of the student. All measures taken will follow Trebas’ Harassment and Bullying Policy.

] Misconduct involving Trebas’ Property – Students must not take or possess any of the college’s property without authorization. Misconduct involving the Institute’s property includes, but is not limited to, damaging, defacing, vandalizing, misusing, stealing or otherwise using the property in a way that is prohibited (e.g., Network User Agreement). Disciplinary measures may be taken, up to expulsion and including restitution.

] Endangerment or Misconduct against Persons – Trebas is committed to ensuring safety for all staff, students, clients, and visitors. Students who, by verbal or physical action, or neglect in any way, create conditions that endanger or threaten the safety of one or more persons, including themselves, will be subject to disciplinary measures, which include expulsion.

] Expired Study Permit or Health

Insurance – International students who are enrolled in Trebas programs under the condition of having valid study permits and health insurance are responsible for obtaining extensions of these documents, if applicable. If a student’s study permit expires during their study period, they will be suspended until they are able to provide proof of their extension. The same applies for students whose health insurance expires during their study period. If the student is unable to provide proof of extension for these documents, they will be expelled from their program.

2. Intermediate Measures

Where Trebas deems the integrity, safety or well-being of the students, staff, clients, visitors, other guests, or the Institute as a whole unit is in danger, then expulsion may be applied at the institute’s discretion at any point in the disciplinary process.

Prior to expulsion, depending on the severity and nature of the situation, the Institute may take intermediate steps at its discretion including:

] verbal warning(s)

] written warning(s)

] suspension

3. Notification

Students who are expelled will receive a written notice of expulsion, either hand delivered or by email (at the email address on record provided by the student). The notification will contain a description of the basis for expulsion and the effective date.

4. Right of Appeal Procedure

] Step 1 – Students who dispute the facts of the expulsion must appeal the decision within three days of the notification by following the Complaints Procedure of the Institute, provided the students are attending a registered program recognized as being protected under the Private Career Colleges Act 2005.

] Step 2 – The student must submit a completed written complaint to the Student Services Department in person or by using the following contact information:

The Student Services Department will arrange a meeting with the student within 5 business days of receipt of the written complaint. The student will have an opportunity to make an oral presentation of the complaint at this meeting and to have another person present or another person make the oral presentation on his/her behalf. This meeting will have minutes taken.

The Student Services Department will provide a written response to the student, outlining the discussion and any proposed and/or agreed upon solution(s), within 5 business days of the meeting. This response will include a decision statement, together with the reasons on which the decision is based and minutes of meetings held. If not resolved at this level, the student will proceed to Step 3.

] Step 3 – The student will submit a completed written complaint to the Campus Director in person or by email. If the Campus Director is unable to respond to the complaint, for any reason, the Associate Campus Director will take over the following outlined process.

The Campus Director will arrange a meeting with the student within 5 business days of receipt of the written complaint (which should include the Student Services Department’s response with recommended solutions and the student’s objections or comments regarding these solutions).

The student will have an opportunity to make an oral presentation of the complaint at this meeting and to have another person present or another person make the oral presentation on his/her behalf. This meeting will have minutes taken.

The Campus Director will provide a written response to the student, outlining the discussion and any proposed and/or agreed upon solution(s) within 5 business days of the meeting. 5. Fees

A student who is expelled by Trebas will be considered withdrawn from their program on the effective date of expulsion. Trebas will officially withdraw the student and settlement of the student’s account will be completed under the Institute’s Fee Refund Policy.

6. Return of Property

A student who is expelled from Trebas is responsible for the return of any Institute property in their own possession within 10 days. The student will be held financially responsible for any property not returned in good condition. However, the Institute may not deduct from a student’s fee refund any amount owing by the student with respect to such property.

Financing Your Education

] Payment Policies

Monthly tuition is due on the first day of class and then monthly on the corresponding day of each month as per your prearranged payment schedule attached to your student contract. Monthly payment plans are calculated for each student by prorating the amount of tuition owed for the number of months from your start date to the end date of your program.

] Late Payments

All students are required to make their tuition fee payments or arrange a payment schedule with the Financial Aid Office prior to the first day of classes. The student agrees to respect his/her payment schedule as indicated on his/ her Enrollment Contract. In the event of overdue payments, the institution will take reasonable steps to notify the individual concerned; however, it is the student’s responsibility to ensure that all payments are made on or before the payment due date. Such notification shall state the late fees, if any, which apply to the outstanding obligation as well as the potential consequences of non-payment.

Failing to clear an outstanding balance within 30 calendar days might result in expulsion from the Institute as it is considered a breach to Student Code of Conduct.

Any student whose account is not in good financial standing with the Institute at the time of graduation will not be issued their certificate/ diploma. If the situation is rectified, a diploma can be issued at a later date.

] Maintaining OSAP Eligibility

When you agree to receive financial assistance from OSAP, you must maintain your OSAP eligibility for the program’s duration. You must maintain –

Failure to meet your active participation obligations could affect further funding and may lead to withdrawal from your program. All students must show commitment to their studies and progress through their program at a satisfactory rate.

Trebas Institute is expected to let funders know when a student is not meeting their academic and/or attendance requirements. Failure to meet these standards may result in the loss of funding for a student.

While you are a full-time student your loan remains interest free. Once you stop attending, you are given a grace period of 6 months. At the end of the grace period, you must begin repaying your loan. Interest is being charged during the grace period. Your loan is only interest free while you are a full-time student.

SECTION

] Academic Progress

You are responsible for maintaining satisfactory academic progress in your program. If you fail to meet the minimum academic requirements, you will be placed on probation. If this occurs, you may become ineligible for further financial assistance in your program.

] Student Loan Repayment

Each student is required to attend a OSAP Information Session or attend an exit meeting with their Financial Aid Administrator. This is mandatory. During this time, you will be advised of your repayment schedule. It is imperative that you pay back your loan.

OSAP offers a program called the Repayment Assistance Program (RAP). This program is designed to help OSAP loan borrowers who are having financial difficulties keep their loan in good standing and protect their credit. It helps to lower monthly payments. In some cases, the payment may be reduced to zero.

To qualify for RAP your loan must be in repayment which begins six months after the end date of your program. You must be in good standing which means you are up-to-date on your payments. You will not qualify for RAP if your loan has gone into default. You must be proactive and apply at least one month before your payment is due.

RAP lasts for six months at a time but it does not automatically renew. You will be required to reapply before the end of the six month period if you need to continue with the program.

Once you have completed your program, you can apply for RAP by calling the National Student Loan Service Centre (NSLSC) at 1-888815-4514 or by registering with them online at www.canlearn.ca and filling out the application form.

If you have any questions regarding RAP, please do not hesitate to contact your Financial Aid Administrator.

] Student Loan Default

A student loan is money that you have borrowed from the Federal and Provincial Student Loan Programs. Each student is responsible for repayment of this loan, with interest, upon completion or withdrawal from your program no matter what your employment status is. If you default on your student loan you could face additional interest charges; loss of future student loans; loss of income tax refund; garnishment of wages as well as a negative impact on your credit rating which could affect future purchases such as a car or home.

] Being proactive in your responsibility to success and seeking help when it is needed

] Scheduling

It is impossible to accommodate all students when scheduling, so plan to arrange your personal and/or work schedules around the Institute’s schedule. You must attend the classes and labs in the time slot that your group is scheduled to attend. If you are unable to abide by the schedule presented to you, there may be slight alterations made, provided there is space available.

] Attendance Policy

Regular attendance is integral to successful completion of all Trebas Institute programs and a mandatory requirement of the Ministry of Colleges and Universities. It not only fosters good habits; it provides students with the personal integrity and productivity that attracts potential employers. At Trebas Institute, attending all labs is mandatory and students must maintain a minimum 70% attendance history to be eligible for graduation.

Trebas Institute requires students to maintain regular attendance in class. It is your responsibility to fully understand the requirements of your program, as failure to do so may affect your ability to successfully graduate. Failure to attend classes may result in disciplinary action up to and including dismissal from the Institute. It may also impact your funding.

Proper attendance is a requirement of graduation from any Trebas Institute program. It is also a part of most final course grades, along with assignments, projects, exams, and participation. If you are going to be late or unable to attend the class due to circumstances which are beyond your control, you must call and inform the Student Services Department at 416-966-3066 or email the Student Services Manager (studentservices@trebas.com) giving a proper notice in advance, where applicable.

If we do not hear from you, you will be contacted by the campus. Your well-being is important to us. Students who miss ten (10) days of classes will be placed on academic probation. You will need to provide documentation supporting your absence which is due the day you return to class. You will also be required to submit a written plan to the Student Services Department and your Department Head, for approval, explaining how the missed class time and workload due to absence will be recovered. A copy of this makeup plan will be kept in the student file.

Students who miss more than 30% of a lab course may be required to repeat the entire course. If a student repeats a course, the full course fee will be charged and must be paid in full prior to beginning the course. Repeated failure to attend scheduled classes may result in withdrawal from the program.

Students who miss 28 consecutive days, regardless of the reason, will be withdrawn from their program. Students who are absent for valid reasons beyond their control and who can provide documentation supporting their absence may apply to restart their program in the future.

Students who miss on a regular basis, regardless of the reason, will be placed on Academic Probation. Continued absences may result in the student being withdrawn from their program.

All students must demonstrate active participation to remain in their program. The Ministry of Colleges and Universities requires that Trebas Institute maintain attendance records. As per Ministry Performance Requirements, OSAP funding is only provided to qualifying students who meet academic and attendance requirements.

SECTION 5

Academic Policies

Trebas Institute is committed to providing high quality education and a learning environment fostering excellence. Trebas Institute is committed to assisting students in successfully completing their programs of study and has fair, transparent and effective processes to monitor the student progression and identify students who may be in need of additional support.

Trebas Institute reserves the right to refuse registration or re-admittance to any former student based on that student’s academic, financial and/or behavioral status with the institution.

Each term you will be provided with a time schedule of when and where your classes will be held. Students are required to attend all scheduled classes and internships on a fulltime basis in accordance with the attendance requirements.

Any applications for exemptions from classes must be approved prior to registration. Advanced standing will not be granted once you have begun your classes.

All students must maintain a satisfactory academic standard to continue to be eligible to study at Trebas Institute. Students are required to satisfactorily complete the academic requirements of their program of study. Inherent in this requirement is the expectation that students will complete their studies within the allotted time, obtain the required skills for employment and move into the workforce.

Students are expected to complete their program by their contract end date. However, sometimes extenuating circumstances prevent this from happening. Students may be granted up to 2 years from their contracted end date

to complete any outstanding courses. All arrangements for completion of outstanding courses must be made with Student Services and will be recorded on the student’s transcript. A delay may impact your financing and students are encouraged to speak with their Financial Aid Officer.

Any student who wishes to return to complete their studies after the two (2) year deadline will be required to apply for, enroll in and retake the entire program. Advanced standing for courses that were previously successfully completed will not be considered. Exceptions to this policy can only be made with the written approval of all members of a special Academic Advisory Committee. If approval is received, the student may be required to complete a re-admissions competency exam.

Students are evaluated in each course on a combination of class participation, assignments and/or projects, studio work and examinations. The grading system is:

A 90-100 Excellent

B 80-89 Very Good

C 70-79 Good

D 60-69 Fair

E Below 60 Fail – not eligible to graduate

Students must maintain a minimum satisfactory academic standard to be eligible for OSAP funding. To maintain academic standing, students must obtain a passing grade of 60% or more in each class, each term.

] Examination Policy

Examinations are an important part of ensuring academic progression and students’ development and the following policies will apply:

] It is strictly forbidden to use any instruments, notes or books, other than those assigned by the instructor, for the examination.

] Students must not communicate with each other in any manner during the examination. Students are forbidden to talk during an exam. Any questions about the exam must be directed to the exam monitor.

] No person other than students will be allowed in an examination room during an examination.

] The exam monitor cannot and will not answer any questions that have a direct bearing upon the writing of the exam.

] Any student, or students, found cheating on an exam or aiding such action may receive a mark of zero for that exam and may be expelled.

] A student who does not hand in an exam or put his/her name on the exam will receive a mark of zero. A student who misses an exam without prior written authorization will be penalized.

] A student who has to leave the examination room for reasons of illness must hand in all exam papers. He or she will be put under surveillance and will not be allowed back in without authorization. The completed portion of the exam will not be returned to the student when the student returns to the classroom.

] Students arriving more than 15 minutes late will be refused entrance into the examination class and must submit a written request to the Department Head asking to write a make-up exam. No time extension will be given on a test or exam for late arrivals, or

any reason. All tests and exams must be written within the official time allotted.

] Students must write exams at the time, date and place set for the examinations. In case of illness, a student must submit a doctor’s note to the Department Head or Student Services. A job and/or personal commitments are NOT acceptable reasons for missing an exam. Under extreme personal situations (family death or crisis), where the student feels there is a valid reason for missing an exam, the student must submit his/her case in writing directly to the Campus Director for permission to re-write any exam.

] In the case where an exam rewrite has been permitted, students must achieve a minimum of 60% on the supplemental exam. The maximum recorded final grade in a course which a supplemental exam was written is 60%.

] Academic Probation

Any student who fails a course will be placed on academic probation. If your final grade falls between 50 and 59%, you must immediately contact Student Services. A succession plan will be formulated for the course, and you will be given 4 weeks to complete any required work.

If you fail to complete the succession plan on time, or your final grade falls under 50%, you will be able to move on to the next term, but you will not be permitted to complete any of the advanced courses requiring successful completion of the failed course.

In some circumstances, continual poor academic performance may result in mandatory withdrawal from the program of study or expulsion from Trebas Institute.

Failure of any three courses in a program will result in a student being ineligible to continue their studies.

If a student is required to, or wishes to, retake any failed courses, the student will be charged 100% of the tuition fee, for each course that is being retaken. The tuition fee will be the fee in effect at the time that the course(s) is/are retaken.

If a course is repeated due to a failure, the final grade obtained after the new attempt will be indicated on the transcript and used in calculating the program average.

] Grade Appeals

Students may appeal any grade received in a course (e.g., final grade, assignment grade). Appeals are limited to the following grounds:

] A clerical error resulted in the miscalculation of the grade

] The grade awarded did not reflect fairly the merit of work and/or the course requirements

] Illness and/or disability

] Compassionate grounds

Grade appeals may not be based on a complaint that the nature and standard of evaluation was too onerous.

If a student appeals a grade, it is possible that they may end up with a lower mark than the original grade.

Students wishing to appeal a grade must contact the instructor directly to discuss their academic issue within 5 days of receiving the grade in question. If the issue cannot be resolved directly with the instructor, only then can the formal appeals procedure be initiated.

If the issue is of a clerical nature, the Student Services Department must be contacted instead.

To initiate a formal grade appeal, students must submit an appeal, in writing, to the Academics and Student Success Manager within 5 days of the informal meeting with the instructor. Within 5 business days of receiving the request a meeting will be arranged with the instructor, the student and the Academics and Student Success Manager.

The student must submit to the Academics and Student Success Manager relevant documents (e.g., emails, medical documentation, assignments) supporting their appeal. The instructor must also provide relevant documentation supporting the student’s grade.

A written decision on the appeal will be provided to the student via email, within 5 business days of the meeting. The decision may be to retain, raise or lower the student’s grade or other appropriate action. The decision by the Academics and Student Success Manager is final and binding.

The grade assigned at the end of this process is the grade that will be recorded on the student’s transcript.

] Academic Integrity

Trebas Institute requires students to maintain high standards of academic integrity. Students are responsible for conducting themselves honestly and ethically in all aspects of their academic career. Students are expected to abide by and conduct themselves in a manner that conforms with all aspects of this Policy. To support academic honesty at the Trebas Institute, all work submitted by students may be reviewed for authenticity. In submitting their own work to Trebas, students consent to their submissions undergoing such a review and being retained in a database for comparison with other work submitted by fellow students.

Academic Dishonesty is any action that does not conform with the principles of integrity, honesty, respect, fairness and responsibility. Any behavior or action by a student that could help him/her obtain any type of unfair/ unearned academic advantage or credit in a learning environment, counts as Academic Dishonesty. Engaging in Academic Dishonesty of any kind, whether listed below or not, will not be tolerated by the Trebas Institute. The following examples outline common types of academic dishonesty which include, but are not limited to, the following:

] Cheating – Cheating is an act of deception by which a student misrepresents that he or she has mastered information on an assignment, test, project, or other academic exercise. This can include assisting another student in misrepresenting their proficiency of course information. Examples include, but are not limited to, copying from another student’s test paper or assignments; allowing another student to copy from a test paper or assignments; and using the course textbook, electronic devices, or other material, such as formula sheets, not authorized for use during a test.

] Academic Misconduct – Academic misconduct includes tampering with grades, taking part in obtaining or distributing any part of a test, stealing, buying, selling or distributing all or part of a test, answer key, or any other document. Academic Misconduct also includes impersonating another student, or permitting someone to impersonate you, in any assessment.

] Fabrication – Fabrication is the intentional use of invented information or the falsification of research or other findings. Examples include inventing data or a source of information, listing sources not used in a bibliography, and submitting another’s work as one’s own.

] Plagiarism – Plagiarism occurs when a person engages in intellectual theft by presenting and submitting oral or written work of another person as his own. It includes but is not limited to the use of ideas, words, images, phrases, or digital content belonging to or produced by another and claiming it as one’s own intellectual property instead of using proper referencing procedures. When a student submits a work for credit and places his/her name on it, the student is certifying that the work is their own original submission, unless otherwise acknowledged and attributed.

] Re-Use of Work – Submitting one’s own work for credit in more than one course without the permission of the instructors, or re-submitting work, in whole or in part, for which credit has already been granted, is not permitted under this policy.

] Penalties

On the first occurrence the student will receive a written warning and a grade of 0% for the work in which dishonesty has taken place. In addition, the infraction will be noted and documented as part of the student’s file by the Student Services Department.

The penalty for the second violation of academic honesty is a failing grade for the module during which the offence took place. The infraction will be noted and documented as part of the student’s file by the Student Services Department.

In addition, students may be suspended for a period determined by the Student Services Department. If a student returns to continue their studies after the suspension period, he/she will be placed on Academic Probation and will be subject to immediate expulsion if any further violations occur during the probation period.

Any additional violation of academic honesty will result in an automatic suspension for a period determined by the Academics and Student Success Manager. For serious violations, expulsion from the Trebas Institute may be imposed and it will be noted on the student’s permanent file and transcript, “Expelled for reason of academic dishonesty”.

] Withdrawal Policy

Students who wish to withdraw from their program of study at Trebas Institute must complete the formal withdrawal process outlined below.

Enrolled students intending to withdraw from their studies must contact the Student Services Manager at studentservices@trebas.com to initiate a withdrawal request. A meeting will then be scheduled with Student Services and with the Financial Aid Department, within five days of receiving the request. This meeting is not

required if a student wishes to withdraw prior to enrolment.

For the withdrawal to be official, the student must submit a Withdrawal Request through the Student Portal and submit documentation supporting the reason behind the withdrawal.

Charges will be calculated according to the PCC Act 2005. The date of determination of the student’s absence will be used to determine their charges.

Once a student withdraws and the outstanding balance is determined, the student will receive a copy of the reconciliation form and a statement of their account. The student must contact the Financial Aid Department (studentfinance. tor@trebas.com) immediately once the reconciliation form is sent to him/her to make or arrange payment of the outstanding balance (if applicable). If the student misses their payment due date, as arranged with the Financial Aid Department, their account will be forwarded to an external collection agency.

Students who complete HALF or more of the program are responsible for the entire tuition amount in accordance with the Institute’s fee refund policy. This means that there will be no money refunded and all outstanding balances are due immediately.

Students who are entitled to a refund are encouraged to request their refund through the Student Portal. The refund option on the portal only becomes available once a withdrawal is official (i.e., the Student Services Department has received the completed withdrawal request from the student and any required supporting documentation).

If a student misses twenty-eight consecutive days or more of class, they will be automatically withdrawn from their studies and any Financial Aid program that they may be on will be informed of the withdrawal.

] Transcripts and Diplomas

Term reports will be emailed to you when all completed grades have been received from instructors. Prior to this time, course grades, as they become available, will be made available to you upon request. You are free to enquire about your grade, before the mailout of transcripts by contacting the Student Services Department.

A student who achieves the required academic standards for their Trebas Institute diploma will receive a formal transcript of marks and an official Trebas Institute diploma providing the student has completed all academic requirements. To be eligible to receive your diploma, a student must pass all required courses (minimum grade must be 60%) and have an overall minimum program average of 60% by the scheduled end date of your program. It is the responsibility of the student to ensure that they have completed all program requirements. Your diploma will not be released until all outstanding tuition and other fees are paid in full. There is a $25 replacement fee for a duplicate diploma and a $25 fee for additional transcripts.

Diplomas and transcripts must be picked up in person at the campus unless alternative arrangements are made.

As per the Statement of Students’ Rights and Responsibilities issued by the Superintendent of Private Career Colleges, students have the right to access their transcript for 25 years after leaving a Private Career College. You may request a copy of your transcript by contacting the campus.

] Student Thesis Film, Selection Process

Students that would like to have their scripts considered as a Thesis Film Production must submit a complete Film Pitch Package to the Trebas Institute selection.

The presented package, should contain:

] story treatment,

] the complete, polished, script,

] the proposed shooting schedule,

] a list of secured crew positions

] a list of secured locations

] a list of special effects (practical and/or CGI)

] any potential logistical, production hurtles that must be overcome

The complete package must be presented within the first two weeks of the Final Film Production Term. It will then be considered and evaluated by film faculty, along with the Head of the Film Department to determine if the project is logistically ready and viable as an official, Trebas Institute Production. There will be a maximum of five films per cohort selected for production, per cohort of ten students, enrolled in the final film term.

The content of your student film project should not contain nudity and vulgar language. Trebas Institute maintains a filmmaking environment that encourages the right to academic freedom and freedom of expression. Student films should enhance and support moral growth and learning.

Students that make a film at Trebas Institute agree to grant a perpetual license to work created as part of their academic program. This does not require students to give up copyright ownership of their work. Students give the school the right to use the work for educational, marketing, or promotional purposes.

SECTION 6

Internship/Co-op and Job Search

During your program, you will receive training and guidance on the importance of career planning, resume writing current job search methods and interview techniques. Trebas Institute also offers workshops that enhance this training and readies you for your job search. Trebas Institute does not guarantee any job offers to students. It is the student’s responsibility to work in partnership with Career Services to secure employment. Employment success is greatly influenced by the student’s academic performance, attendance record and overall attitude.

In some programs an internship/co-op component is required to be completed to graduate. This provides with you with an opportunity to utilize and enhance your new skills. The internship must be completed in a legitimate, industry-related and supervised environment.

To be eligible for an internship, the student must have successfully passed all required courses in their program and have met the minimum 70% attendance requirement. The Career Services Coordinator will meet with students to assist them in securing an internship.

**Entertainment Management and Event & Venue Management students – Internship hours are official only during the 4th term via the Internship Agreement contract. All other work is deemed volunteer and cannot count towards the internship credit. No class time can be sacrificed for volunteer or internship work.

In order to receive a passing grade for your internship, you will be required to:

] Provide an Internship Agreement signed by the employer and student and submitted on time

] All documents submitted on time and fully completed

] Employer feedback/evaluation completed and submitted on time, signed by employer

] Attendance report/timesheet indicates total hours worked each week, has met the minimum work hours required, and is signed by employer

] Final Term Report & Short Answer assignment completed and submitted on time

Trebas Institute’s responsibilities regarding internship and job search are the following:

] Provide students with the knowledge, techniques and skills required for a successful integration into the job market

] Build valuable relationships with employers

] Help students plan their careers by meeting with each student to discuss his/her responsibilities while on internship

] Inform students of all employment and internship opportunities

Students will find a vast collection of books on job search techniques in the Career Services office. The Career Services Coordinator is available to offer support to all students in their search for an internship or a job.

While the Career Services team works diligently to assure that every student has employment opportunities, we believe that securing employment is ultimately the responsibility of the student. The goal of Trebas Institute is to train the student in job search and interview techniques that will be of assistance to the student throughout their lifetime. Our goal is to help you be prepared to be job ready and to all you to take advantage of the career opportunities in your field of study.

Key performance indicators (KPIs) are measurable values that determine how effectively an individual, team or organization is achieving a business objective. Organizations use KPIs to help individuals at all levels focus their work toward achieving a common goal. KPIs also help businesses understand whether they are spending utilizing their time, and budget and talent on the right strategies, tasks and tools in order to achieve its goals.

The Superintendent uses this personal information solely for the purpose of developing KPIs for vocational programs in Ontario. KPIs are published in an aggregate form so that individuals cannot be identified. This information allows current and prospective students to make more informed choices about their education.

The Superintendent of Private Career Colleges (Superintendent) of the Ministry of Colleges and Universities has defined five Key Performance Indicators (KPIs) to measure in the Private Career College sector (PCC).

The five KPIs are –

1. Graduation Rate

2. Graduate Employment Rate 3. Graduate Employment Rate in Field of Study 4. Graduate Satisfaction 5. Employer Satisfaction

The Ministry has contracted an organization named Forum Research Inc. to administer Graduate Employment and Employer Satisfaction Surveys. This survey is administered to all graduates starting approximately 6 months after graduation to identify their employment status and their satisfaction with the training provided by Trebas Institute. The Employer Satisfaction Survey is administered to employers of graduates (if consent is provided) and measures the employer’s satisfaction with the graduates’ preparedness.

Although Forum Research requires your personal information to contact and validate you by phone for the purposes of the Graduate Outcomes Survey, your personal information is not shared with the Ministry. As mentioned previously, KPIs are published in an aggregate form so that individuals cannot be identified. Forum Research does not call for financial reasons, rather just to ascertain your employment status for us in Trebas Institute’s KPI results.

] Sexual Harassment Policy Guidelines

What is Sexual Harassment?

The Ministry of the Attorney General defines sexual harassment as “engaging in a course of vexatious comment or conduct of a sexual nature that is known, or ought reasonably to be known, to be offensive. It is deliberate and/or repeated unsolicited comments, questions, representations and/or physical contact which are of a sexual nature.”.

The Canadian Human Rights Commission broadly defines harassment, some of which is sexual in nature, as:

] Verbal abuse or threats;

] Unwelcome remarks, jokes, innuendo or disrespectful comments about a person’s body, clothing, age, marital status, ethnic or religious background;

] Showing offensive or disrespectful pictures;

] Practical jokes that cause embarrassment or awkwardness;

] Unwelcome invitations or requests;

] Leering or other gestures;

] Condescending behaviour that takes away a person’s self-respect;

] Unnecessary physical contact.

Principles

] Sexual harassment will not be tolerated.

] It is the responsibility of all employees and students to refrain from acts of sexual harassment against other employees, students and other individuals with whom they have contact during the course of their duties.

] Employees and students are to be given specific methods of redress to follow in the event they are subject to sexual harassment.

] It is the responsibility of administrators/ supervisors, at all levels, to be sensitive to the possible existence of sexual harassment and to act quickly and appropriately to put an end to it.

] Employees or students who have engaged in sexual harassment of others will be subject to appropriate disciplinary action.

Trebas Institute is committed to providing its students with an educational environment free from sexual violence and treating its students who report incidents of sexual violence with dignity and respect.

Trebas Institute has adopted this Sexual Violence Policy, which defines sexual violence and outlines its training, reporting, investigative and disciplinary responses to complaints of sexual violence made by its students that have occurred on its campus, or at one of its events and involve its students.

The person accused of engaging in sexual violence will be referred to as the “Respondent” and the person making the allegation as the “Complainant”.

1. Definition of Sexual Violence

Sexual violence means any sexual act or act targeting a person’s sexuality, gender identity or gender expression, whether the act is physical or psychological in nature, that is committed, threatened or attempted against a person without the person’s consent, and includes sexual assault, sexual harassment, stalking, indecent exposure, voyeurism and sexual exploitation.

2. Training, Reporting and Responding to Sexual Violence

a. Trebas Institute shall include a copy of the Sexual Violence Policy in every contract made between it and its students, and provide a copy of the Sexual Violence Policy to career college management including owners, partners, and all others who manage or direct the Institute’s affairs, and their agents, instructors, staff, other employees and contractors and train them about the policy and its processes of reporting, investigating and responding to complaints of sexual violence involving its students.

*Any company participating in offering student internships on their premises must provide an undertaking in writing that it is in compliance with all applicable legislation, including the Ontario Human Rights Code and the Occupational Health and Safety Act and will provide students access to those policies should they encounter issues relating to sexual violence in the workplace.

Trebas Institute is committed to providing its students with an educational environment free from sexual violence and treating its students who report incidents of sexual violence with dignity and respect.

b. The Sexual Violence Policy shall be published on its website as well as in a conspicuous location on the campus.

c. Career college management, instructors, staff, other employees and contractors of Trebas Institute will report incidents of or complaints of sexual violence to the Campus Director or Designate upon becoming aware of them.

d. Students who have been affected by sexual violence or who need information about support services should contact the Campus Director or Designate.

e. Subject to Section 4 below, to the extent it is possible, Trebas Institute will attempt to keep all personal information of persons involved in the investigation confidential except in those circumstances where it believes an individual is at imminent risk of self-harm, or of harming another, or there are reasonable grounds to believe that others on its campus or the broader community are at risk. This will be done by:

I. Ensuring that all complaints/reports and information gathered as a result of the complaint/reports will be only available to those who need to know for purposes of investigation, implementing safety measures and other circumstances that arise from any given case; and

II. Ensuring that the documentation is kept in a separate file from that of the Complainant/student or the Respondent.

f. Trebas Institute recognizes the right of the Complainant not to report an incident of or make a complaint about sexual violence or not request an investigation and not to participate in any investigation that may occur.

g. Notwithstanding (f), in certain circumstances, Trebas Institute may be required by law or its internal policies to initiate an internal investigation and/or inform police without the complainant’s consent if it believes the safety of members of its campus or the broader community is at risk.

h. In all cases, including (f) above, Trebas Institute will appropriately accommodate the needs of its students who are affected by sexual violence. Students seeking accommodation should contact the Campus Director or Designate.

i. In this regard, Trebas Institute will assist students who have experienced sexual violence in obtaining counselling and medical care and provide them with information about sexual violence supports and services available in the community as set out in Appendix 1 attached hereto. Students are not required to file a formal complaint in order to access supports and services.

j. If students, in good faith, report an incident of, or make a complaint about, sexual violence, they will not be subject to discipline or sanctions for violations of Trebas’ policies relating to drug or alcohol use (i.e., the Student Code of Conduct and the Student Expulsion Policy) at the time the alleged sexual violence occurred.

3. Investigating Reports of Sexual Violence

a. Under this Sexual Violence Policy, any student of Trebas Institute may file a report of an incident or a complaint to the Campus Director or Designate in writing. The other officials, offices or departments that could form the team that will be involved in the investigation are as follows:

I. Mark Ruddy Campus Director

II. Kal Szegvary Head of Film and TV Production Dept. Head of Entertainment Management Dept.

III. Mohamed Slimani Vice President of Operations

b. Upon receipt of a report of an incident or a complaint of alleged sexual violence being made, the Campus Director or Designate will respond promptly and:

I. Determine whether an investigation should proceed and if the Complainant wishes to participate in an investigation;

II. Determine who should conduct the investigation having regard to the seriousness of the allegation and the parties involved;

III. Determine whether the incident should be referred immediately to the police; In such cases where civil proceedings are commenced in respect of allegations of sexual violence, Trebas Institute may conduct its own independent investigation and make its own determination in accordance with its own policies and procedures; and

IV. Determine what interim measures ought to be put in place pending the investigation process such as removal of the Respondent or seeking alternate methods of providing necessary course studies.

c. Once an investigation is initiated, the following will occur:

I. The Complainant and the Respondent will be advised that they may ask another person to be present throughout the investigation;

II. Interviewing the Complainant to ensure a complete understanding of the allegation and gathering additional information that may not have been included in the written complaint such as the date and time of the incident, the persons involved, the names of any person who witnessed the incident and a complete description of what occurred;

*Students who disclose their experience of sexual violence through reporting an incident of, making a complaint about, or accessing supports and services for sexual violence, will not be asked irrelevant questions during the investigation process by Trebas’ staff or investigators, including irrelevant questions relating to the student’s sexual expression or past sexual history.

III. Informing and interviewing the Respondent of the complaint, providing details of the allegations and giving the Respondent an opportunity to respond to those allegations and to provide any witnesses the Respondent feels are essential to the investigation;

IV. Interviewing any person involved or who has, or may have, knowledge of the incident and any identified witnesses;

V. Providing reasonable updates to the Complainant and the Respondent about the status of the investigation; and

VI. Following the investigation, the Campus Director or Designate will:

a). Review all of the evidence collected during the investigation;

b). Determine whether sexual violence occurred; and if so

c). determine what disciplinary action, if any, should be taken as set out in Section 5 below.

4. Disciplinary Measures

a. If it is determined by Trebas Institute that the Respondent did engage in sexual violence, immediate disciplinary or corrective action will be taken. This may include:

I. Disciplinary action up to and including termination of employment of instructors or staff; or

II. Expulsion of a student; and /or

III. The placement of certain restrictions on the Respondent’s ability to access certain premises or facilities; and/or

IV. Any other actions that may be appropriate in the circumstances

5. Appeal

Should the Complainant or the Respondent not agree with the decision resulting from the investigation, he or she may appeal the decision in writing to the Vice President of Operations, Trebas Institute within seven days by submitting a letter, advising of his/her intent to appeal the decision. 6. Making False Statements

a. It is a violation of this Sexual Violence Policy for anyone to knowingly make a false complaint of sexual violence or to provide false information about a complaint.

b. Individuals who violate this Sexual Violence Policy are subject to disciplinary and/ or corrective action up to and including termination of employment of instructors or staff or expulsion of a student.

7. Reprisal

a. It is a violation of this Sexual Violence Policy to retaliate or threaten to retaliate against a complainant who has brought forward a complaint of sexual violence, provided information related to a complaint, or otherwise been involved in the complaint investigation process.

b. Individuals who violate the Sexual Violence Policy are subject to disciplinary and/ or corrective action, up to and including termination of employment of instructors or staff or expulsion of a student.

8. Review

a. Trebas Institute shall ensure that student input is considered in the development of its Sexual Violence Policy and every time it is reviewed or amended.

b. Trebas Institute shall review its Sexual Violence Policy 3 years after it is first implemented and amend it where appropriate. This date is January 1, 2020.

9. Collection of Student Data

Trebas Institute shall collect and be prepared to provide upon request by the Superintendent of Private Career Colleges such data and information as required according to Subsections 32.1 (8), (9), (10) and (11) of Schedule 5 of the Private Career Colleges Act, 2005 as amended.

Appendix 1, included at the end of this document, represents a list of Provincial Rape Crisis Centers that is available as a supportive resource.

] Harassment and Bullying Policy

Harassment and bullying are serious problems. They can affect people’s health, work performance, study, and personal development. Claims from individuals may be brought within tribunals as well as the court system under the following legislation:

] Health and occupational Safety Act 1990; and

] Human Rights Act

Definition of Harassment

Harassment is conduct that is unacceptable to a recipient. It may be directly aimed at them, felt indirectly, or witnessed by them. It may be repetitive or an isolated occurrence. It is also subjective (i.e., what one person finds unreasonable, unwelcome or offensive, another person may not). Harassment may include, but is not limited to, the following:

Physical – contact (e.g., touching; assault or gestures; intimidation; aggressive behavior);

Verbal – unwelcome remarks; suggestions; propositions; malicious gossip; insults; jokes; banter;

Nonverbal – offensive literature; pictures; graffiti; computer or other imagery; isolation or non-co-operation and exclusion from social activities.

Definition of Bullying

The Oxford Dictionary defines a bully as “a person using strength or power to coerce others by fear”. Bullying can be defined as “offensive, intimidating, malicious, insulting, or humiliating behaviour; and abuse of power or authority which attempts to undermine an individual or group of employees or students/trainees”.

Bullying can occur in a number of different ways. Some are obvious and easy to identify. Other types are subtle and difficult to explain.

Bullying includes:

] Making life difficult for those who have the potential to do the bully’s job better than the bully does;

] Punishing others for being too competent by constant criticism, or by removing their responsibilities, often giving them trivial tasks to do instead;

] Refusing to delegate because bullies feel they cannot trust anyone but themselves;

] Shouting at staff/students/trainees to get things done;

] Persistently picking on people in front of others, or in private;

] Insisting that their way of doing things is always right without discussion;

] Keeping individuals in their place by blocking their progression or not giving credit where credit is due;

] Deliberately ignoring or excluding individuals from activities;

] Overloading with work anyone who challenges a bully’s authority and reducing the deadlines, hoping that they will fail at what they do;

] Consistently attacking a person with regards to their professional or personal standing;

] Setting out to make a person, whom a bully envies because of their professional or social ability, appear incompetent, or to make their lives miserable in the hope of forcing them to leave;

] Making someone the butt of jokes; and

] Physical attacks or threat of such attacks. (This list is adapted from the BBC for Business package bullying at Work).

A group of people, a woman, or a man can engage in bullying and both males and females can be victims of bullying. Men both bully men and women, and the same can be said for women.

Responsibilities

It is the duty of everyone, both staff and students, to take responsibility for their behaviour and modify such behaviour if necessary, as harassment and bullying are not acceptable under any circumstances. Failure to do so could result in disciplinary action for staff or students.

It is the responsibility of all to ensure that the policy is effectively applied.

Any individual has the right not to be victimized as a result of bringing to the attention of the alleged harasser/bully any conduct that the individual finds unwanted. Similarly, anyone experiencing harassment or bullying may use the Harassment and Bullying Procedure, irrespective or their legal rights. Trebas management will ensure this policy is widely publicized and its contents made known to all staff, students and, where practicable, contractors, trainees, interns, and visitors.

Training

Training will be provided, as appropriate, to all managers to ensure they gain the knowledge, skills, and awareness necessary to understand and take seriously Trebas Institute’s policy. The policy will also be incorporated into appropriate training programs for staff and in induction courses for students.

Supportive Framework

Trebas Institute recognizes that making a complaint of harassment or bullying is likely to be a distressing experience and that it may be difficult, for instance, for members of staff to raise complains directly with line managers. Accordingly, the following post-holders (Campus Director, VP of Operations, etc.) may be approached to provide support, advice, and assistance to individuals who believe they are or have been harassed/bullied and will help them look at the range of solutions that are offered. Individuals who have been accused of harassment or bullying also have the right to request and receive appropriate support and advise from any person listed above when an allegation has been made and is being investigated.

This procedure is designed to be supportive and is separate from the disciplinary, grievance, sexual violence and sexual harassment reporting and complaints, procedures, which may be used if the results of this investigation establish a case for other actions.

] Accessibility and Accommodation Policy

Disabled students, whatever the origin, nature and seriousness of their handicaps and disabilities have the same fundamental right to human dignity as their fellow students. As stated in the Ontario Human Rights Code: “everyone has the right to be free from discrimination because of handicap…”.

Trebas Institute is committed to working to eliminate or reduce barriers to facilitate the accommodation of persons with disabilities. Trebas Institute recognizes its responsibility for accommodating the disability-related needs of students up to the point of undue hardship and is committed to providing an equal and inclusive environment.

Trebas Institute is committed to training its staff on Ontario’s accessibility laws and on accessibility aspects of the Human Rights Code that apply to persons with disabilities.

Request for Accommodations

Students requiring accommodations should preferably make their request at the time of admission or before the first day of the start of their program. Students submitting an application must:

1. Provide a letter from a certified health care provider detailing the accommodations being requested

2. Each accommodation request will be considered on a case-by-case basis. All accommodation requests will be taken seriously and will be dealt with promptly.

3. All requests will be addressed within 5 business days of receiving the accommodation request, unless further information or documentation is required.

If the student is granted accommodations, an accommodation plan will be created by the Student Services Department, in collaboration with the appropriate Department Head. This accommodation plan will be distributed to the student’s instructors. No information other than the list of granted accommodations will be provided to instructors.

Responsibilities of the Institute Towards Students with Disabilities

] Privacy Policy

Trebas Institute is committed to protecting the security and privacy of Confidential Information entrusted to us by our students, prospective students, and alumni. We adhere to the Freedom of Information and Protection of Privacy Act (FIPPA) and all applicable laws.

Definition - Confidential Information includes personal information as defined in the FIPPA and personal health information as defined in the Personal Health Information Protection Act, 2004 (PHIPA).

The “need to know” principle shall apply to all Confidential Information, meaning that employees and agents may only access Confidential Information that they require to carry out their assigned duties.

No personal information whatsoever will be released, verbally or written, to anyone for whom the “need to know principle” does not apply, including the students’ parents, without prior written permission from the student.

Personal Information

The College and its employees or agents shall endeavour to limit access to, and the use of, Confidential Information. Where employees or agents require access to personal information in order to carry out their employment duties the College shall, where practicable, anonymize such information using masking techniques such as encryption, ID re-sequencing, etc. so that associated personal information (e.g., birthday, grade) is not readily linked to the identifiable individual.

Determining whether access to personal information is necessary shall be done by considering the employee or agent’s duties as defined by their job functions (or in the

case of external consultants, to provide the goods and services as defined in the service agreement signed between The College and the vendor representing/employing the external consultants).

Employees and agents who receive access to personal information shall not share personal information or make it available unless doing so is necessary in order to carry out their employment duties where anonymized personal information is not available or its use would unduly frustrate the performance of employment duties. Additionally, employees or agents shall not make personal information available unless doing so falls within their duties or responsibilities.

Data Protection

Employees and agents shall take all reasonable steps to store Confidential Information securely when it is maintained on a mobile device (e.g., USB drive, laptop, etc.).

The Institute will retain Confidential Information for the period of time for which it is needed for the purpose for which it was collected or provided. For personal information that is no longer needed, the Institute will endeavour to destroy the personal information after a period of one year unless required or permitted by law to retain it.

Employees and agents whose employment with the Institute ends shall notify a supervisor about the Confidential Information to which they had access prior to their departure. Departing employees and agents must provide all information available for the Institute to secure, transfer or dispose of Confidential Information to which they had access.

Any Institute IT equipment that has Confidential Information stored on it must be securely wiped before disposal and a certificate of disposal must be produced.

Students’ Responsibility

If your personal information changes (e.g., phone number, address etc.), please make sure that the changes are given in writing to the receptionist within 7 days. Failure to do so will result in you not receiving valuable information, which may disrupt your progress.

] Student Complaint Policy and Procedure

Trebas Institute is committed to delivering a high quality of service and encourages its students to communicate with the Institute where there is cause of concern or room for improvement. Trebas Institute describes a complaint as an expression of dissatisfaction with any service or lack of service provided by it. We believe it is important that our students are able to express dissatisfaction. This policy applies to all complaints raised by students, except those with regards to instances of sexual violence. If a student wishes to report an incident of, or make a complaint about, sexual violence, they should refer to the Institute’s Sexual Violence Policy.

Feedback and Complaint Procedure

Students have 30 calendar days from when the situation occurred to initiate the complaint process. This does not apply to students who have been expelled from their program. The complaint form is available online at trebas.com

] Step 1 – If the student complaint pertains to a course in their program of study, the student should request a meeting with the instructor responsible for the course to discuss the complaint, provided the student is attending a registered program recognized as being protected under the Private Career Colleges Act 2005. The student should complete the student complaint form and provide it to the instructor during this meeting. After meeting with the instructor, the instructor will have 5 business days to provide a written summary of the complaint and the resolution, outlining the discussion and agreed upon solution. If not resolved at this level, the student will proceed to Step 2.

] Step 2 – The student will submit a completed written complaint to the Student Services Department in person or by using one of the following options:

The Student Services Department will arrange a meeting with the student within 5 business days of receipt of the written complaint (which should include the instructor’s response with recommended solutions and the student’s objections and comments regarding these solutions).The student will have an opportunity to make an oral presentation of the complaint at this meeting and to have another person present or another person make the oral presentation on his/her behalf. This meeting will have minutes taken.

The Student Services Department will provide a written response to the student, outlining the discussion and any proposed and/or agreed upon solution(s) within 5 business days of the meeting. This response will include a decision statement, together with the reasons on which the decision is based and the minutes of meetings held. If not resolved at this level, the student will proceed to Step 3.

] Step 3 – The student will submit a completed written complaint to the Campus Director in person or by email. If the Campus Director is unable to respond to the complaint, for any reason, the Associate Campus Director will take over the following outlined process.

Record Keeping

Note that all copies of documents pertaining to the Student Complaint process (i.e., a copy of the complaint, any submission filed and the final decision) will become part of the student file. The student will be supplied with copies of any documents requested. Records of complaints will be maintained at the location where they originated for a period of at least three years from the date a final decision was made with respect to the complaint.

Statement of Students’ Rights and Responsibilities

] Private Career College Students’ Rights and Responsibilities

Know what to expect and what you need to do when signing up for programs offered by registered private career colleges.

Private career colleges in Ontario are regulated under the Private Career Colleges Act, 2005 which is administered by the Superintendent of Private Career Colleges.

This Statement of Students’ Rights and Responsibilities is provided for your information and convenience only. It is not a legal document. Find detailed and specific information about the measures available to protect private career college students in the Private Career Colleges Act, 2005 and the regulations made under that act.

] Before You Enroll

Make sure the private career college (PCC) is registered and that the vocational program you are enrolling in is approved by the Superintendent under the Private Career Colleges Act, 2005. You can find out at Service Ontario.

Note: If you enroll in an institution that has not been registered, or in a vocational program that has not been approved, the student protection measures available in the Private Career Colleges Act, 2005 are not available to you.

] Communicate in Writing

There may be times when you need to communicate important information to your private career college, for example, to give notice that you want to withdraw from a program and receive a refund of fees or if you have a complaint against the college.

When you communicate formally with your private career college you should do so in writing. The document should be delivered to an official at the college by email, fax, registered mail, or by personal delivery.

Keep copies of any written communications between you and the private career college.

] Documents You Must Receive

The private career college is responsible for providing you with a copy of your contract, transcript and the credential earned after you graduate.

] Contract

When you enroll in a vocational program with a private career college, you must sign and receive a written contract. The private career college must give you a copy of the signed contract.

The written contract must contain:

] the approved program name

] your address, telephone number and, if applicable, e-mail address

] the program’s start and expected end date

] the program’s language of instruction

] the program’s admission requirements

] a schedule of hours of instruction

] the location of instruction, and if instruction is to be provided online, the website address

] the location of any additional training location and/or practicum and the website address if additional training and/or a practicum is provided online

] the fees payable by you set out in Canadian dollars, including an itemized list of fees for any products or services, including books, equipment, administration fees (such as processing applications, or conducting admissions tests)

] a payment schedule indicating the time and amount of each payment

The contract must also include a place for you to acknowledge that you have received a copy of this Statement of Students’ Rights and Responsibilities issued by the Superintendent of Private Career Colleges and the college’s:

] fee refund policy

] student complaint procedure

] sexual violence policy

] student expulsion policy and, if required by a superintendent’s policy directive:

] a program disclaimer

] Consent Section

The written contract must also have a consent section for the collection and use of your private information and the following statements, in bold, that:

] the contract is subject to the Private Career Colleges Act, 2005 and the regulations made under the Act

] the private career college does not guarantee employment for any student who successfully completes a vocational program offered by the college

] you are entitled to a copy of the signed contract immediately after it is signed Note: If you notice that your contract does not have the elements listed above, notify the private career college as soon as possible or contact the ministry - pcc@ontario.ca

] Transcript

If you have not received a copy of your transcript within 90 days of ending your studies, you should contact the private career college to request a copy. It is recommended that you also make and keep a digital record of the transcript when you complete or leave your program for your own records.

You also have the right to access your transcript for 25 years after you complete or leave the private career college.

If the private career college closes, you will be able to access your transcript from an approved third-party transcript issuer. We suggest that you ask your college for the name of the thirdparty issuer when you complete or leave your program.

] Credential

A private career college that issues credentials must issue you any applicable credential (diploma or certificate) within 60 days of successfully completing a program. The college does not have to issue your credential until you have paid your fees in full although you are always entitled to a copy of your transcript.

] Concerns and Complaints Student Complaint Procedure

Every private career college must have a student complaint procedure to resolve complaints raised by a student. Under the Private Career Colleges Act, 2005 and its regulations, the Superintendent of Private Career Colleges can consider a student's complaint only after:

] the student has followed the college's student complaint procedure

] has complained directly to the college

] is not satisfied with the outcome

If you request the Superintendent of Private Career Colleges to review your concern or complaint submit it using the ministry's Program Approval and Registration Information System (PARIS.) At your first visit, you will be asked to create a student account.

Your complaint or concern can be tracked easily and addressed directly through your account. You may also request a review of your complaint by email: pcc@ontario.ca

Once you submit your complaint and any supporting documents, the superintendent or a delegate will review the documents and advise you on next steps.

You can log-in to your PARIS account at any time.

] Sexual Violence Policy and Accommodation

All private career colleges must have a standalone policy to address sexual violence involving students. In addition, all private career colleges must, without fee, appropriately accommodate the needs of students affected by sexual violence.

The sexual violence policy must be included in every enrolment contract between a student and a private career college. It must also be published on each private career college's website or, where the private career college does not have a website, posted in a conspicuous location at each campus of the private career college.

] Sale of Students’ Goods and Services

If you make goods or provide services as part of the requirements to complete your program, a private career college can:

] sell these goods

] provide these services to the public

] arrange for the delivery of these services to the public

The college cannot profit from these sales. It can only charge an amount that allows the college to recover its costs.

] Fee Collection

A private career college is only allowed to:

] charge or collect fees for a program in Canadian dollars

] charge or collect compulsory fees that are equal to or less than the fees approved by the Superintendent of Private Career Colleges and published on Service Ontario

] charge or collect optional fees for a program if they are the approved by the Superintendent

Before a contract is signed, a private career college can charge a fee up to $500 to process your application and do assessments or admissions tests. These fees must be included in your contract at the time you sign it.

] Itemized List of Fees

Private career colleges must provide to the Superintendent of Private Career Colleges an itemized list of all fees charged to students, expressed in Canadian dollars. This includes:

] tuition fees

] cost of books

] any administrative charges

] any other compulsory or optional fees

The Superintendent publishes the fees (except optional fees) on Service Ontario.

Unapproved or Inaccurate Fees

If a private career college charges or collects any compulsory fee that is not published on Service Ontario or that is higher than what is published, you are entitled to a full refund of the unpublished fee or the difference in amount between what is published and what was collected. The same applies if the college charges or collects any optional fee that is not approved by the Superintendent of Private Career Colleges.

Note: A private career college cannot require you to obtain a product or service from a particular person or vendor as a condition of admission into the program. There may be required products or equipment for the training (for example, a laptop), but you are free to purchase those products or equipment anywhere you wish.

] Receipts

A private career college is required to issue you a receipt every time you pay a fee. You should keep all receipts for your own records.

] Refunds

A private career college is required to issue a fee refund within 30 days in many cases outlined below. You should check if the private career college specifies the timeframe of their refunds in the refund policy attached to your contract. There is also a cooling-off period of two days after signing the contract.

Only the compulsory program fees published on Service Ontario or optional program fees approved by the Superintendent of Private Career Colleges are covered by the refund policy. An optional program fee might be the cost of a field trip or conference that is related to your studies but not required content of the program.

To get a refund on books or equipment you received from the college under a contract you must return them:

] in the same state they were in when supplied to you

] within 10 days of withdrawing

All refunds must be in Canadian dollars.

The college cannot deduct money from a refund you are entitled to for a vocational program if you owe money:

] to the private career college for other services

] for other non-vocational programs offered by the college

The same refund policy applies when you withdraw from a program or are expelled from a private career college, as long as you are expelled in accordance with the college’s expulsion policy or sexual violence policy.

] Cooling-off Period

You can cancel a contract for the provision of a vocational program within two days of signing it if you provide written notice to the private career college. It is important to keep a copy of your written notice. You are entitled to a full refund of fees paid for the program, including any application fee, from the college.

] Types of Refunds

Full refund

In the following circumstances, you can cancel a contract and make a written request for a full refund. Once you cancel a contract and the refund is applied, you cannot continue your studies and are not entitled to receive a transcript.

] the private career college collects any fees for the program before the college is registered or before the program is approved under the Private Career Colleges Act, 2005

] you are expelled from the private career college in a manner or for reasons outside of the college’s expulsion policy or sexual violence policy

] the private career college collects more than 20% of the total fees for the program up to $500 before signing a contract with you

] a total of more than 10% of the program is taught by unqualified instructors

] the contract does not include all the mandatory terms required (refer to the Contract section)

] the private career college, while still operating, discontinues the program before you can complete the program

In addition, you also may seek a full refund if a private career college or its representative makes untrue statements for the purposes of convincing

you to enrol in the program and the statements constitute a fundamental breach of the contract. The categories of inappropriate statements include:

] a false or misleading statement

] a statement that guarantees admission to or successful completion of the program or employment after completing the program

] a statement that guarantees the right to enter Canada or receive a visa or work permit

It is best to make a request for a full refund as soon as you find out about the issue or it may be more difficult to support your claim.

Partial Refund Before a Program Begins

You are entitled to a refund of fees paid for a program minus 20% of the program fees up to $500 if you:

] withdraw from the program more than two days after signing a contract and before the program begins or

] do not meet the program’s admission requirements when the program starts

Partial Refund After a Program Begins

If you withdraw from a program after the program begins, you may be entitled to a refund of fees paid for the program, depending on how much of the program a private career college has delivered.

In most cases, the private career college can keep 20% of the program fees up to $500, plus the fees for the portion of the program delivered.

However, if the private career college cancels the contract for the program because you do not attend the first 14 days, the private career college can only keep 20% of the program fees up to $500.

] International Students

If you are attending or planning to attend a private career college under a student visa, some special rules apply.

] Fee Collection

You should make sure that you are familiar with the rules mentioned in the Fee Collection section of this page.

A private career college is allowed to charge international student fees in relation to a vocational program but these fees cannot be higher than what is published on Service Ontario.

] Fee Refund

International students unable to get a student visa

A rule applies to an international student unable to obtain a student visa to enter Canada. As long as you deliver a written notice of this fact to a private career college before half of the portion of a program has passed, you are entitled to a refund of fees paid for the program, except that the college is allowed to retain 20% of the total fees for the program or $500, whichever is less.

] Insurance

Every private career college is required to have insurance in case you have an accident in class or while on an offsite practicum. If you are injured while attending a private career college, you should immediately inform the relevant official at the college.

] Midway Evaluation

If you enrol in a program that is 12 months or shorter or is delivered over an undefined period of time (for example, a commercial flight program),

a private career college is required to provide you with the result of at least one evaluation of your progress before you complete half of the total length of the program.

If your program is longer than 12 months, for each 12 month period, the college is required to provide the result of at least one evaluation before you complete half of each period.

] Qualified Instructors

You are entitled to be taught by an instructor who has the required experience (academic, practical and/or teaching) outlined in the Private Career Colleges Act, 2005. Some programs must also meet industry standards for instructors. Private career colleges must follow the act and program standard when they hire teaching staff.

On a temporary basis, a private career college is allowed to use a substitute instructor who does not meet all these requirements. However, the college is not allowed to use a substitute instructor to teach a total of more than 10% of a program.

] Closure

Certain rules apply when a private career college closes. If your college closes before you finish your program, efforts will be made to give you an opportunity to complete your program at another private career college or institution.

The Training Completion Assurance Fund (TCAF) exists to help eligible students in this situation. Instead of participating in training completion, or if no training completion is available, you may receive a refund of fees paid for the portion of the program that has not been delivered.
