TURFGRASS PRODUCERS INTERNATIONAL EVENT CODE
TPI is dedicated to providing a harassment-free experience for participants at all of our events. TPI events are working conferences intended for professional networking and collaboration. TPI events, related ancillary or social events, any participants, including members, speakers, attendees, volunteers, sponsors, exhibitors, booth staff and anyone else, should not engage in harassment in any form. This Code of Conduct may be revised at any time by TPI, and the terms are non-negotiable. Your registration for or attendance at any TPI event indicates your agreement to abide by this policy and its terms.
Expected Behavior
All event participants are expected to behave in accordance with professional standards, with both this Code of Conduct as well as their respective employer’s policies governing appropriate workplace behavior and applicable laws.
Unacceptable Behavior
Harassment will not be tolerated in any form, including, but not limited to, harassment based on gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, religion, or any other status protected by laws in which the conference or program is being held. Harassment includes the use of abusive, offensive, or degrading language, intimidation, stalking, harassing photography or recording, inappropriate physical contact, sexual imagery and unwelcome sexual advances or requests for sexual favors. Any report of harassment at one of our events will be addressed immediately. Participants asked to stop any harassing behavior are expected to comply immediately. Anyone who witnesses or is subjected to unacceptable behavior should notify a conference organizer at once.
Individuals who participate (or plan to participate) in TPI events should always conduct themselves in a manner that comports with both the letter and spirit of this policy prohibiting harassment and abusive behavior, whether before, during or after the event. This includes statements made in social media postings, online publications, text messages, and all other forms of electronic communication.
Exhibitors wishing to enter another Exhibitor’s area may do so only if invited. and under no circumstances should they disrupt another exhibitor’s space, audience, presentation, business, etc. in or near their space at any time during the Event.
Consequences of Unacceptable Behavior
If a participant engages in unacceptable behavior, the conference organizers may take any action they deem appropriate depending on the circumstances, ranging from issuance of a warning to the offending individual to expulsion from the conference with no refund. TPI reserves the right to exclude any participant found to be engaging in unacceptable behavior from participating in any further events, trainings, or other activities.
If a participant (or individual wishing to participate in a TPI event), through postings on social media or other online publications or another form of electronic communication, engages in conduct that violates this policy, whether before, during or after a TPI event, TPI may take appropriate corrective action, which could include imposing a temporary or permanent ban on an individual’s participation in future TPI events.
What To Do If You Witness or Are Subject to Unacceptable Behavior
If you are being harassed, notice that someone else is being harassed, or have any other concerns relating to harassment, please contact a member of conference staff immediately. Conference staff can be identified by t-shirts/ staff badges onsite; and an organizer can be found at the event registration counter at any time. You are also encouraged to contact Liz Lonsbrough, event organizer at liz@turfgrasssod.org at any time.
GENERAL INFORMATION AND SHOW GUIDELINES
Please note, the use of “Show” or “Field Day” are interchangeable throughout this document. If you are a supplier member looking to attend TPI, you have a booth either at the hotel or Field Day.
Liability Insurance:
The TPI Board of Trustees and Logistics Committee have established that all contracted exhibitors will be required to provide proof of liability insurance coverage. Your exhibit booth contract will not be processed without proof of liability insurance.

Liability coverage minimum of $1 million

Exhibitors failing to provide proof of insurance will not be allowed to exhibit.

Payment Information:
Check Payments: Please make checks payable to Turfgrass Producers International, PO Box 97907, Raleigh, NC 27624. Checks should include your exhibiting company name in the memo.
Credit Card Payments: Submit credit card payments through the online order form within RegFox.
Exhibitor Passes:
All attending exhibitors, and/or guests of exhibitors, must be registered attendees of the conference. TPI offers two attendee types for all shows associated with a field day component.
Full Conference Passes:
Full Conference passes have access to all activities which take place at the host hotel as well as at field day. Attendees with a full conference pass are considered a “full” member of the conference and therefore can attend all sessions, breakouts, meals, and all activities included in the full conference rate.
Supplier Social Passes:
In Arizona, we will be offering a reduced additional supplier rate of $899 per person. This rate includes Sunday’s Welcome Reception, Access and Dinner at Tuesday nights Solutions Showcase Expo Hall, Access to Field Day, Lunch and Dinner at Field Day. .
Field Day Only Conference Passes:
Field Day Only conference passes are restricted to activities that take place during the designated field day show times. Primarily, all activities which take place at the host hotel are not included in the Field Day Only pass.
All ticket types may choose to add optional activities to their primary ticket. These activities require additional registration and associated fees.
Exhibitor Parking Onsite:
Onsite parking is limited at both the host hotel and farm for vehicles larger than a standard car. Please follow the below guidelines when parking during the show.
Field Day Parking:
TPI will work with the host farm to determine field day parking. Exhibitors wishing to park vehicles larger than a standard car, will need prior approval from Liz Lonsbrough for overnight parking. Overnight exhibitor parking passes will be required and will be shared upon arrival.
Loading/Unloading and Lifts:
Self-unloading equipment can be delivered to the site and stored outside in a designated area. It is the Exhibitor’s responsibility to pick up the materials; they will not be placed on the Exhibitor’s space.
TPI Management assumes no responsibility for loss or damage of goods left on-site pre- or post-show.
Upon requests, TPI will provide lift services to assist Exhibitors in the handling of heavy materials. Lifts will be available by contacting Liz Lonsbrough at Liz@turfgrasssod.org. In order for the lift order to be completed, exhibitor staff must be present at their exhibit space when lifts arrive. Please refer to Move-In/Out Procedure for lift availability dates.
TPI will provide loading docks for trucks. Due to potential turf damage, all highway trailers will be unloaded or loaded at the loading dock.
In the event of heavy rain, TPI reserves the right to restrict access to the site. For safety reasons, TPI will shut down all operations on the Showgrounds if lightning is within close distance of the Show Site.
TURFGRASS PRODUCERS INTERNATIONAL EVENT CODE
Garbage and Recycling:
TPI will provide garbage/ pick-up. Please place all garbage in tightly secured bags on the front side of your booth for pick up throughout the show. If required, contact show management for additional collection of larger garbage items.
Security:
It is each Exhibitor’s responsibility to ensure protection of his/her valuables on-site, especially small portable items. A private security company is contracted by TPI to provide perimeter overnight protection of the Site. Exhibitors are welcome and encouraged to hire the security company that TPI uses to provide additional security for their exhibits. Other outside security contractors are not permitted.
Please contact Liz Lonsbrough if you plan to have security at your exhibit or if you have any questions about securing additional security for your exhibit at liz@turfgrasssod.org. Onsite security must be arranged two weeks prior to show dates.

Golf Cart Rentals:
Golf carts will be arranged for those who need them for mobility assistance at Field Day. Carts must be ordered in one month in advance of the show dates. Carts are subject to availability from our vendors and are not guaranteed. Golf cart pick-up is located at the Show Office or Registration.
Site Sharing / Subletting:
Space contracted by the Exhibitor may not be sublet without the prior written permission of TPI Management. The original contracting supplier is ultimately responsible for the assigned booth.
Sale of Goods and Services at the Show:
Exhibitors are encouraged to sell their goods and services at the Show. Small sale items may be carried by the purchaser. However, Show Management requests that large sale items (e.g., tractors, field machinery, etc.) remain on-site until after the Show closes on Thursday. Exhibitors are responsible for arranging pick up of larger items with their customers.
Promotions, Contest, and Souvenirs:
Sales, promotions, competitions, and contests conducted by Exhibitors in conjunction with their display must be free of any obligation on the part of the winner. Prize winners must not be required to place an order before collection of the prize offered. The schedule of prizes and terms of the competition must be clearly stated on the entry form. All such competitions must be approved by TPI Management at least ten (10) days before the Show. It is the responsibility of each Exhibitor to ensure contests comply with all existing government regulations.
Only participating Exhibitors have the exclusive rights to promote or sell goods and services at the Show. All other parties who attempt to make any sale solicitations without the written permission of TPI Management will be permanently removed from the Show Site. Exhibitors are asked to report any infractions to TPI so that immediate remedial action may be taken. Distribution of samples, souvenirs, promotional material, and solicitation of business must be confined to the Exhibitor’s own booth space.
Use of UAV/Drones:
Exhibitors are NOT to operate drones at the TPI Show site at any time unless written permission has been obtained from TPI Management. This is both out of courtesy to visitors and exhibitors, as well as compliance with local regulations.
Signage:
Signage is only permitted within your exhibit space. Signage around the Show Site is reserved for sponsors (as per sponsorship agreement) and for show purposes unless approval is granted from TPI Management. Any unauthorized signage will be removed and stored at the Site Office for pick-up.
Entry to Show:
TPI Show Management reserves the right to refuse admission to the Show site, or request the expulsion from the Show Site, of any visitor, Exhibitor, or Exhibitor’s employees who, in the opinion of Show Management, is unfit, intoxicated, or in any way creating a disruption.
OUTDOOR EXHIBITS - ADDITIONAL INFORMATION
Please review the complete General Information section as well. Exhibitors must confine their presentation within the contracted space only and within the Show rules and regulations, as well as maintain staff in the booth during Show hours.
Care of Land:
It is the sole responsibility of all Exhibitors to provide normal care of all land being used by them in accordance with TPI. The Exhibitor shall not disturb the exhibit space without obtaining prior written approval and on-site authorization from TPI Management. No exhibitor is to alter the field in any way without prior permission. All damages, losses or claims whatsoever arising from disturbing or interfering with the space of other Exhibitors, including any turf damage, will be the sole responsibility of the Exhibitor and may result in expulsion from the event.
Move-In/Move-Out Procedure:
Show Site Hours*:
Exhibitors are welcome onsite at all hours from February 8-13, 2026, however the active use of equipment is only permitted during the below listed hours below.

*Maintenance of the field is top priority and may affect the listed showtimes. TPI and Evergreen Turf reserve the right to adjust all times listed in the exhibitor manual.
Active Use:
TPI defines active use of equipment as when the equipment is in motion of any kind. I.e., moving, harvesting, etc. When in doubt if TPI would classify your needs as “active”, Exhibitors should consult with TPI prior to you using any equipment.
Non-Active Use:
Exhibitors are welcome to make alterations to their equipment as needed throughout the show. We ask that you respect local neighbors by limiting noise outside of the hours of 7am - 10 pm.
Arrival & Departure Dates:
For your convenience, TPI will staff the show site from Saturday, February 14, 2026 - Thursday, February 19, 2026. Arrivals or departures outside of the listed time frame require prior approval from TPI and are subject to a staffing fee of $600 per day. Security will not be adjusted to accommodate early arrivals or late departures. If security is needed, the requesting exhibitor will be billed for the additional hours at the rate range of $35-$55per hour.
Notice of early arrival and late departure must be requested by January 1, 2026 and is subject to approval by TPI and the host farm.
Under no circumstance should exhibitors negotiate arrival times with the host farm directly. All communications must be through TPI directly by contacting Liz Lonsbrough at 937-818-6760 or liz@turfgrasssod.org. Failure to follow this policy may result in removal from the show without reimbursement.
All materials must be removed from the show site by Thursday, February 19, 2026, by 4pm local time. Materials remaining at the site after this time will be removed at the exhibitor’s expense.
Deliveries:
Alliance Nationwide Exposition will provide TPI and our exhibitors complete convention freight handling at the advanced warehouse and HOTEL show site. We will start receiving items for 30 days pre-show storage, move in, handling empty containers to and from the booth and move out of the show. Exhibitors will be invoiced directly for services in accordance with Alliance price list. Drayage rates are based upon 200lbs minimum per shipment.
Materials will be delivered to exhibitor booths at the JW Marriott hotel. If required, one additional delivery of advance freight will be made to the Field Day (Evergreen Turf). Separate shipment labels, specifically listing the Field Day event, will be available in the provided Exhibitor Manual.
Shipping to Evergreen Turf directly is prohibited.
