The Tin Music and Arts Report of the trustees for the year ending 31st July 2014 The Trustees are pleased to present their annual report together with the consolidated financial statements of the charity for the year ending 31st July 2014.

The financial statements comply with the Charities Act 1993, the Memorandum and Articles of Association and the Statement of Recommended Practice – Accounting and Reporting by Charities (SORP 2005).

Chair’s report I can hardly believe that The Tin Music and Arts (“The Tin”), only came into being in August 2013, it feels as though we’ve been together for ever. As the months have passed the whole team has bonded into a real community enterprise Board, Director, staff, and supporters - that has already delivered amazing results across all the objectives that brought us together in the first place: Innovative programming to bring exceptional artists into The Tin’s venue, The Coal Vaults  Support and development for new and established local artists through opportunities to play at the regular Open Mic Sessions, as booked support or headline acts, or on touring with professional acts  Using music and arts to help change expectations for/with people managing difficulties in their lives – the work with and the support from the Pod has been a real highlight  Networking with other music and arts organisations to grow audiences and work together to develop Coventry’s cultural life generally  Educational work to enable young people to learn to play music together, develop a wide range of technical skills, and to gain confidence in their own abilities When I stared drafting this report I wanted to make sure that I personally thanked all the many people who have helped to bring The Tin Music and Arts into being, worked with us to start delivering the dream, and supported our endeavours in 4

countless ways. I very quickly realised that the range and extent of help and support we have received is beyond counting or listing and then I understood that that is actually the very point: many, many people share The Tin dream and that is why it is such a special project.

So, I’m not even going to try to name anyone – you all know who you are.

Whether you have had a formal role in our journey so far or simply told your friends that they should check us out, I salute you, we wouldn’t be here without you.

I look forward to seeing you at future events as we grow together.

Our Objectives The Objects of The Tin Music and Arts are – 1. To advance education in music and arts for the public benefit by the provision of an arts facility.

2. The promotion of health by the provision of tuition in music and arts 3. To promote social inclusion for the public benefit by preventing people from becoming socially excluded, relieving the needs of those people who are socially excluded and assisting them to integrate into society.

For the purpose of this clause ‘socially excluded’ means being excluded from society, or parts of society, as a result of one of more of the following factors:

• unemployment; • financial hardship; • youth or old age; • ill health (physical or mental); • substance abuse or dependency including alcohol and drugs; • discrimination on the grounds of sex, race, disability, ethnic origin, religion, belief, creed, sexual orientation or gender re-assignment; • poor educational or skills attainment; • relationship and family breakdown; • poor housing (that is housing that does not meet basic habitable standards; • crime (either as a victim of crime or as an offender rehabilitating into society).

The vision that shapes our activities remains the promotion and fostering of knowledge and appreciation of the arts (particularly music) for the education and recreation of the public. The Charity also has the general aim of contributing to the quality of life of the people of Coventry by expanding their horizons through the provision of exciting, challenging and accessible professional and community music and arts events.

In shaping our objectives for the year and planning our activities, the trustees have considered the Charity Commission’s guide on public benefit, including the guidance on public benefit and fee charging. The charity relies on grants and the income from fees and charges to cover its operating costs. In setting the level of fees, charges and concessions, the trustees give careful consideration to the accessibility of the events it programmes for those on low incomes.

The strategies employed to achieve the charity’s aims and objectives are to:  present a broad range of high quality music and art events for the enjoyment and education of the people of Coventry and the wider area;  offer discounted entry to events for people who are unemployed or on a low wage, over 65, under 16, registered disabled and students;  offer opportunities and encourage a broad range of people to use our spaces for the purpose of music, arts and community events and activities;  provide affordable facilities for developing musicians and artists to practise;  deliver projects and activities and provide development opportunities to young people;

 work with other community organisations to support their projects for the benefit of the people of Coventry and the wider area;  offer placements and development opportunities to young people who are looking to work in music and arts industries;

Throughout the first year of the Charity’s existence we have put these strategies into action by: programming and hosting quality events, launching our Arts Council Funded programme of live music and launching Coventry Music Network, supporting the Pea Pod Collective and The Pod to provide music and arts taster sessions to people with lived experience of severe and enduring mental ill health as well as supporting their arts programme,

delivering, in conjunction with

Positive Youth Foundation, a Youth Music funded Changing Trax programme, delivering the UK Youth supported The Big Music Project, providing a space and support for well-being classes such as Kuchipudi dance classes, Yoga and Tai Chi and providing space and support for local promoters and groups to host events.

In 2014 we developed a room into an artists’ workspace and with two visual artists and a band, we invested in a joint project and bought screen printing equipment. We now have the facility to print T-shirts for bands and projects.

Our Activities Our programme of music events We host a varied programme of music events which combines high quality, in-house programmed live music with local up-and-coming band and solo performances. Not only do we look to programme genres to suit a range of tastes but also give opportunities to people with a range of abilities – from first performances (Sunday Open Mic), to experienced amateur artists, to established world touring musicians.

We provide a professional welcoming and safe environment for local bands and community promoters, and encourage artists to collaborate and create work together. Our live performances are complemented by DJ sets and ‘club’ nights.

The Educational Programmes Education is at the heart of The Tin’s objectives and the year saw us launch a series of successful programmes.

The Big Music Project The Tin was selected to be one of 100 music hubs who deliver the UK Youth supported Big Music Project. The project supports up to 10 young ‘Champions’ who plan and deliver a music related project in their city. The project also provides industry advice and training and in July 2014 the Director and the Coventry Champions (or All Time Music, as they call themselves), visited a showcase and training session in Manchester.

Changing Trax One of the biggest and most exciting programmes launched in our first year was our Youth Music funded Changing Trax project. Alongside delivery partners, Positive Youth Foundation, we have held a monthly Under 18s professional open mic, provided studio engineering training, delivered vocal workshops, launched our rock school and provided performance opportunities for young people from Coventry.

Other Events and Community Activities As well as our live music programme we aim to programme and host culturally significant events. Examples of such are our involvement in the Coventry Peace Festival 2013 and the two Japanese Festivals we held in October 2013 and again in May 2014.

Coventry Peace Festival As the internationally recognised city of Peace and Reconciliation, Coventry hosts an annual Peace Festival. In 2013 we held an improvised music event which was open to anyone to attend (performer or audience member), free of charge.

Drawing on the importance of music to culture and how music is a universal language for all, the result was a completely unique, never heard before piece which had started with an introduction to improvisation and collaboration finished with a new piece of music influenced/written and performed by all of those taking part.

Japanese Culture Festival The Tin Japanese Culture festivals explored the music of popular Japanese musicians, screened films, held book-binding and Manga drawing classes, and origami and sushi rolling sessions.

The Pod The Pod is a remarkable café, community and arts space which is run by Coventry City Council. Although it’s open to the public the centre supports people with enduring mental ill health. The Tin works with the Pod to support their arts programme by loaning equipment, sourcing tutors and

Pod Collective band Pecha Kucha The Tin hosted volumes #15, #16 and #17 of Pecha Kucha Coventry. PK is a global series of live presentation events where people can meet, inspire and get inspired, based on a format that is fast-paced and fun.

Charity Fundraisers The Tin has hosted several charity fundraisers for CRASAC (Coventry Rape and Sexual Abuse Centre), Football Action, and Leukaemia Research.

Club Nights The Tin works with local bands and promoters to help them put on their own band club nights. Support might include helping with advertising the event, organising equipment, helping with booking acts and support on the night.

“I'm involved in running Revolt - a non-profit feminist punk night focused on celebrating female talent and encouraging people to create their own art too. The Tin has been a fantastic host for our events, which feature live bands, poetry and spoken word, DJs and other performers. The space is ideal - we love that it's so accessible and well-equipped - and staff at The Tin are always prepared to go the extra mile in making our nights a success. There are no other venues in the area that offer a similar service. The Tin isn't just a place where we hold events - it's an integral part of how we do things.” Ruth Pearce – Revolt Club Night “I can't remember from the top of my head the first time my band played The Tin but what I do know is the buzz we got and the welcome we got and the sound we got and the night we had made it our new spiritual home. You see, a place like The Tin grabs you and keeps pulling you back. Godiva heats, acoustic nights, chilled out nights, new bands, poetry, the old piano in the corner, everything about the place just brings you back.

As for Coventry music venues The Tin is firmly on the map. We call it our Cavern club The Pod (Coventry City Council) because of the size and the buzz it has. The Tin is in the Canal Basin, the Canal Basin is in Coventry.. Our city.” Paul Quinn – Local Band/Promoter 14

Volgograd’s Children’s Orchestra In April 2014 we hosted an event which was part of an exchange programme where several musically talented children from our twin city, Volgograd, came to perform alongside Coventry children.

Slow Boat To Navinland

In August 2013 The Tin Community Space, venue and canal basin were transformed into an arts activity centre by IYP (Ikon Gallery Youth Programme). A spectacularly decorated canal barge brought Navin Rawanchaikul, a Thai-Indian artist who has devised Navinland, a borderless community only on board the barge, celebrates personal identity, nationality and our understanding of place and home. Slow Boat sailed from Birmingham travelling east to Nottingham, Loughborough, Leicester and Coventry looking for new members of Navinland.

Yoga/Tai Chi/Kuchipudi Dance The Tin Community space is a perfect space for wellbeing activities. Weekly classes of yoga, tai chi and dance classes are held in the room which overlooks the tranquil water of the Canal Basin.

D:Vine DJ Sessions Every Monday evening The Tin is host to Grapevine charity’s D:Vine DJ sessions, a meeting place and practise session for adults with learning difficulties who are keen DJs. Originally the sessions were led by a Tin Music and Arts DJ tutor, now long term session members teach others.

Prince’s Trust Team In December 2013 Prince’s Trust Team from Henley College wrapped Christmas presents for the Barnardo’s Children’s charity. We supported the Team and allowed them to use our community space to collect and wrap presents.

The Tin Music and Arts Official Launch celebrations were held over several weeks in April 2014.

The first day of the programme featured several local talented performers.

Our staff and volunteers The charity has six trustees and a volunteer marketing supporter. There is one fulltime and seven part-time members of staff. We also have two self-employed sound engineers who work with us on events both in our own and other venues.

Over the course of this year we have been lucky to have two placements through Coventry City Council’s Employment Support Service (TESS).

In December 2013 we took on an apprentice through the local council’s Young People's Employment Placement Scheme (YPEPS). At the end of his placement he became a permanent member of staff.

We couldn’t have achieved all that we have this year without the hard work and dedication of the whole team.

Our Artistic and Social Values Achievements, Performance and Audience Experience A key objective for the board of trustees is to develop more objective methods of measuring our performance and in particular our social value. In the meantime quotes from partners and captured comments from social media give a picture of the impact The Tin has had.

Attitude is Everything Attitude is Everything is a charity which promotes and supports deaf and disabled peoples access to live music. The Tin has been awarded Bronze Standard Charter of Best Practice for showing continued commitment to venue access and is working towards achieving Silver award.

Sustainability The Tin looks to use sustainable resources and recycle whenever possible. When we need new items of furniture, we buy or recycle pre-loved furniture. We stock two local breweries’ beers. The Coal Vaults venue is powered by 100% green energy.

Our pricing policy Our ticket/admissions pricing policy reflects our strategy of enabling all within our community, whatever their means, to take part in our activities. Some events have to reflect the cost of the artists we pay to perform.

Full ticket prices to live music events cost between £0 - £15. Concessions are available for almost all of our events. We offer discounted entry (and sometimes free entry) to events for some groups such as people who are unemployed or on a low wage, over 65, under 16, registered disabled and students. We offer free Personal Assistant tickets for all of our events to anyone who them.

Governing Document The Tin Music and Arts is a Charitable Incorporated Organisation governed by its Constitution dated 5th June 2013. It is registered as a charity with the Charity Commission. It’s only voting members are its charity trustees.

Appointment of trustees As set out in the constitution apart from the first charity trustees, every trustee must be appointed for a term of three years by a resolution passed at a properly convened meeting of the charity trustees. In selecting individuals for appointment as charity trustees, the charity trustees have regard to the skills, knowledge and experience needed for the effective administration of The Tin Music and Arts.

Trustee induction and training New trustees undergo an orientation day to brief them on their obligations under charity law, the Charity Commission guidance on public benefit, content of the constitution and objects, the committee and decision making process. They will be given a copy of the current version of the constitution and a copy of the CIO’s latest Trustee’s Annual Report and statement of accounts. They are encouraged to attend at least one event that is programmed by the CIO. Organisation The board of trustees, which can have up to 9 members, administers the charity. The board meets monthly. A Director is appointed by the trustees to manage the day-today operations of the charity. To facilitate effective operations, the Director has delegated authority, within terms of delegation approved by the trustees, for operational matters including finance, employment and artistic performance related activity.

Related parties None of our trustees receive remuneration or other benefit from their work with the charity. Any connection between a trustee or senior manager of the charity with a production company, performer or booking agent must be disclosed to the full board 20

of trustees in the same way as any other contractual relationship with a related party.

In the current year no such related party transactions were reported.

Risk Management The trustees have a risk management strategy which comprises:  an annual review of the risks the charity may face;  the establishment of systems and procedures to mitigate those risks identified in the plan;  and the implementation of procedures designed to minimise any potential impact on the charity should those risks materialise.

This work has identified that financial sustainability is the major financial risk for the charity. Attention has also been focused on non-financial risks arising from fire, health and safety of artists, staff and audience and changes in human resources. A key element in the management of financial risk is to work towards a reserves policy.

Trustees’ responsibilities in relation to the financial statements The charity trustees are responsible for preparing a trustees’ annual report and financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The law applicable to charities in England and Wales requires the charity trustees to prepare financial statements for each year which give true and fair view of the state of affairs of the charity and the incoming resources and application of resources, including the income and expenditure, of the charity for that period. In preparing the financial statements, the trustees are required to:

 Select suitable accounting policies and then apply them consistently;  Observe the methods and principles in the Charities SORP;  Make judgements and estimates that are reasonable and prudent;  State whether applicable accounting standards have been followed, subject to any material departures disclosed and explained in the financial statements;  Prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business.

The trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time the financial position of the charity and to enable them to ensure that the financial statements comply with the Charity (Accounts and Reports) Regulations 2008. They are also responsible for safeguarding the assets of the charity and hence taking reasonable steps for the prevention and detection of fraud and other irregularities.

Independent Examiner's Report to the Trustees of The Tin Music and Arts I report on the accounts for the period 28 June 2013 to 31 July 2014 set out on pages five to nine.

Respective responsibilities of trustees and examiner The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this period (under Section 144(2) of the Charities Act 2011 (the 2011 Act)) and that an independent examination is required.

It is my responsibility to: -

examine the accounts under Section 145 of the 2011 Act

to follow the procedures laid down in the General Directions given by the Charity Commission (under Section 145(5)(b) of the 2011 Act); and

to state whether particular matters have come to my attention.

Basis of the independent examiner's report My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts 23

presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view ' and the report is limited to those matters set out in the statements below.

Independent examiner's statement In connection with my examination, no matter has come to my attention: (1)

which gives me reasonable cause to believe that, in any material respect, the requirements

to keep accounting records in accordance with Section 130 of the 2011 Act; and

to prepare accounts which accord with the accounting records and to comply with the accounting requirements of the 2011 Act

ACCOUNTING POLICIES

Accounting convention The financial statements have been prepared under the historical cost convention, and in accordance with the Financial Reporting Standard for Smaller Entities (effective April 2008), the Charities Act 2011 and the requirements of the Statement of Recommended Practice, Accounting and Reporting by Charities.

Incoming resources All incoming resources are included on the Statement of Financial Activities when the charity is legally entitled to the income and the amount can be quantified with reasonable accuracy.

Resources expended Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources.

Tangible fixed assets Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life.

Stocks Stocks are valued at the lower of cost and net realisable value, after making due allowance for obsolete and slow moving items.

Taxation The charity is exempt from tax on its charitable activities.

Fund accounting Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.

Further explanation of the nature and purpose of each fund is included in the notes to the financial statements.

Hire purchase and leasing commitments Rentals paid under operating leases are charged to the Statement of Financial Activities on a straight line basis over the period of the lease.
