Executive Summary Cornell Abroad supports students’ exploration of opportunities to make meaningful international experience a part of their education at Cornell. Cornell Abroad’s office requires a medium- to longterm workplace solution for the office to more effectively support their work flow and performance. We analyzed interviews, observations, and other data to recognize goals to be achieved through our proposed solution. The mission was to create a cohesive space for Cornell Abroad that supports the diverse functions and needs of staff, students and visitors and accommodates future growth while projecting an image that is exciting, welcoming, and professional. This book provides are two distinct proposals for each room to be occupied by the Cornell Abroad office, namely Suite 300, and Room nos. 272 and 282 in Caldwell Hall. Suite 300 would be the main advising area, and is designed keeping the students as the primary users. Room 282 is proposed as office area for staff that typically work independently. Room 272 is designed as conference room. All proposals presented in this report provide a welcoming space for students to have scheduled or spontaneous (drop-in) interactions with Cornell Abroad Advisors and resources. The office space would be able to accommodate frequent, and often sensitive, 1-on-1 or small group meetings without interfering with other staff functions. They would enable staff to have adequate privacy and flexibility within their work stations.

Mission The creation of a cohesive space for Cornell Abroad that supports the diverse functions and needs of staff, students and visitors and accommodates future growth while projecting an image that is exciting, welcoming, and professional.

Goals The office will provide a welcoming space for students to have scheduled or spontaneous (drop-in) interactions with Cornell Abroad Advisors and resources. The office will accommodate frequent, and often sensitive, 1-on-1 or small group meetings without interfering with other staff functions. Staff will have adequate privacy and flexibility within their work stations.

Adjacency Diagram

Taking into consideration the divided workspaces for the Cornell Abroad Office, the main factor that aided our design to build an adjacency diagram was based on work type and communication. The work areas in Cornell Abroad are divided into three categories: Administration Area, Flexible Office Area, and Advising Area. The Flexible Office Area is used by staff who are relatively mobile and do not require close interaction with visitors. According to the interviews the Administration Area worked closely to the Advising Area and in order to accommodate both work areas, we positioned them to Suite 300 which has a relatively larger space. The adjacency lines, bolded and dotted, both represent primary and secondary communication respectively.

According to the “Analysis of data from the center of Built Environment”, lack of sound privacy turned out to be the most frustrating factor that disrupts work efficiency and causes a detrimental impact on healthy working conditions. Interestingly, cubicles with high partitions showed a higher level of dissatisfaction on sound privacy which can be taken in consideration for designing partitions in the office. The next graph titled “Ecosystem of Zone” depicts the five essential zones that make up a successful working environment. A combination of social, meeting, nomadic, kitchen, and resource zones is most desirable.

The converged interviews of all the staff members brought up a lot of repetitive themes and suggestions. Those were exciting, welcoming, scheduled, interaction, exploratory and more of the positive adjectives that the Cornell Abroad staff was willing to convey through a new design of the office. These themes were carefully taken in consideration for building up the branding and layout concepts for our designs.

Opportunities to Explore Unmet Needs The office atmosphere that staff would like to show to students currently is not supported by the immediate environment. The ideal office would be welcoming to students, be engaging and exciting, and still maintain its professionalism.

The redesign of the office could bring in elements that both students and staff can use, such as modern amenities, communal/shared spaces, or rooms with flexible configurations.

Staff in different fields have different levels of privacy/noise requirements and often times find themselves in spaces that do not boost their productivity.

Group staff together primarily based on work style, privacy needs, and communication dynamics.

Students sometimes have a hard time finding the correct room or office that they should go to, creating way finding awkwardness.

Recommendations

Have introduction spaces on both the second and third floor where students can hang out or get information, even if that is not where the actual appointment is.


The keystone of Cornell Abroad’s mission is to support students’ exploration of a wide array of opportunities to make meaningful international experience a part of their Cornell education. We’ve developed floor plans that offer a fresh perspective on the student experience. We’ve tried to encourage more spontaneous, casual interactions between students, staff, and visitors, which are hallmarks of successful and productive teams (HBR, 2012, HBR 2014). We’ve struck a strategic balance between open and enclosed floorplans to enhance personal privacy and reduce dissatisfaction (HBR, 2013). Our zone-based approach is based on leading workplace strategy (Steelcase, 2015).

Suite 300 Budget-Friendly: Option 1

The most adaptive layout without demolishing or changing the building structure.

• The Accounts Coordinator’s workspace has been positioned adjacent to the column that bisects the office area. In this way, we can achieve additional visual privacy for the desk and open up more space for other uses such as a selfreception, waiting area, or break out spaces for staff • The Finance Manager’s office has close proximity to the Accounts Coordinator. The two have frequent meetings in The Finance Manager’s office. • The high top bar serves as a temporary waiting area for visitors and a breakout space for the staff. The information station located in the entrance encourages visitors to easily gain information and check-in. This helps relieve reception burdens from staff in the office. • The Advisors’ offices are close to each other so as to provide work efficiency, collaboration and create a harmonious layout for students that come for advising. • The wide space next to the Outreach Coordinator’s workspace and the generous circulation path are eligible locations for future workstations. The enclosed kitchen area is envisioned as a potential workspace as well.

Visionary: Option 2

Immerses the visitors into an open, welcoming experience.

• The Accounts Coordinator’s desk is moved farther into the office area, so as not to be perceived as a primary reception desk. Another student worker or a future assistant may alternatively be assigned to this desk. • The lounge area in front of the Director’s private office provides space for small talk, and also visitors that would wait to have meetings with the Director. • The Advisors’ offices are in the same zone, in glass offices. The glass would make the space seem larger, give people visual access and bring more light into the deeper parts of the office. The glass doors can be frosted so that users have privacy in the office. • In case of future growth, such as an increase in staff, the original layout of the Director’s waiting area can be exchanged into another workspace, while another desk next may be added next to the Outreach Coordinator.

Option 1 “Easy Flow” is a plan where each members of the Cornell Abroad Office can utilize the office space efficiently and smoothly. The wide and articulate circulation path also gives a more welcoming and “easy come, easy go” atmosphere.

Option 2 The layout “Cosmopolitan� immerses the visitors into a welcoming experience. The open plan with wide lounge-seating areas encourage visitors to sit around and find out more about Cornell Abroad.

Cosmopolitan Reception Area

The receptionist desk positioned in the center of the hub will give visitors and students more opportunity to freely stay around the office. This will give the waiting area a more welcoming ambiance.

Main Hub

Visitors, students, and staff are welcome to utilize the space for waiting, short talks, or grab a snack. The space will be closely accessible to open amenities and bar.

Advising Offices

Offices would be surrounded with frosted glass so as to give a more inviting but private characteristic. Floor materials or walls in between offices will compose of sound absorbing material. Sound blocking translucent curtains are another option.

ROOM 282 Options 1 & 2

Both layouts “Just What We Need” and “Out of the box” will provide modern amenities and innovative room configurations for the staff. • The partitions can be constructed with white board or tack board, providing a creative space for visual thinking and personalization. • Since this office is away from the 3rd floor’s kitchen, both layouts will accommodate pop out mini bar or cabinets that can serve as a small kitchenette. • Pop out desks from the wall can serve as an opportunity for working while standing, or for informal chats/lunch. • Break out spaces, lounge areas are for brief talks or meetings with either visitors or among staff.

Option 1 “Just What We Need� caters to the needs of staff that mostly work on their own. Due to the separation from the 3rd floor, this area will provide modern amenities and innovative room configurations for the staff.

Storage and Lounge Space

Furniture can provide an informal meeting space between staff and students, and ample storage can be put up along the wall.

Multi-functioning Work Surfaces personalize and work on multiple surfaces, including walls and doors. Walls can have adhesive white board wall stickers, or doors with vinyl graphics.

Option 2 “Out of the Box” has a unique and spacious layout. Here, we bring the staff physically together in a way that encourages collaboration and spontaneous interaction.

Out Of The Box Triangular Formation

This furniture plan provides equal distribution of desk and storage space to all workers in this office. Because it is a free-floating or self-sustaining entity in the middle of the room, there is plenty of circulation space around. Finally, no one’s back is directly visible from the door.

Mini Snack Bar/ Pop Out Stations

Provide amenities in a space efficient way. This is an opportunity for working in different postures: sitting and standing. Informal space for staff interaction, eating lunch on the go, or working away from assigned desk.

Conference Room Options 1 & 2

Both layouts “The Thinktank” and “Modular” functions as a conference room but with different furniture configurations. Both rooms will have sufficient storage space.

• The conference rooms will have conference tables that will be either breakable so to encourage meetings in different sizes or unbreakable so that it promotes teamwork as a whole. • The office can never have too little storage space. The conference room 272 is a reasonable space to accommodate extra storage.

Conclusion Thank you for giving us a challenge. As students, we don’t get many chances to dive into existing office spaces to research and create design solutions. At times, we even start to question ourselves, because sometimes theory isn’t reflected in practice. This project in particular--as part of Cornell’s own institution--is rather unique. It puts into perspective the enormity of the university as both an academic stronghold and also as a highly regarded employer. While we are not quite professional design strategists yet, we believe that our research skills and design thinking were well reflected in our suggestions. We may not be able to fulfill each individual request, but we tried to look at this project from a holistic angle, and we sincerely hope that our recommendations will help futher the mission of Cornell University’s Study Abroad office.
