SNMA Annual Quarterly Reporting Requirements

Per the Policy and Procedures Manual (PPM) there are two quarterly reports Chapters must submit to stay in good standing and achieve House of Delegates (HOD) eligibility. These are the Chapter Report Form and the Quarterly Financial Statement. The PPM also mandates that chapters report to the National Organization once annually on their status. This is done via the Chapter Update Form.

In order to be eligible for HOD at the upcoming AMEC, SNMA Chapters must:

1.Submit all four Chapter Report Forms starting with the April 15 submission th a.TWO of these submissions must be ON-TIME

2.Submit all four Quarterly Financial Statements starting with the April 15 submission th a.TWO of these submissions must be ON-TIME

3.Submit a complete Chapter Update Form by 11:59pm ET on September 1st a.Your current chapter president must also be a dues-paying member

To become HOD Eligible, MAPS Chapters must:

1.Submit all four Chapter Report Forms starting with the April 15 submission th a.TWO of these submissions must be ON-TIME

2.Submit a complete Chapter Update Form by 11:59pm ET on September 1st a.Your current chapter president and one other member must be a dues-paying member

SNMA Chapter Update Form Instructions

As of May 2023, Chapter Update Forms ARE NOT received digitally. The electronic form does not allow for electronic signatures from chapter advisors at this time, and as such, cannot be accepted as a completed CUF. Chapters must complete the PDF form and upload it to the Chapter Documentation SharePoint site. Please defer to your Regional Leadership’s workflow for receiving and submitting these forms.

Chapter Update Forms must be submitted:

1.At least once per year between Feb 1 and Sept 1 st st

2.Whenever there is a change in local chapter leadership

Any chapter that fails to submit a CUF in three consecutive years will be deemed inactive and will need to recharter their chapter at the following House of Delegates Session.

SNMA Quarterly Reporting Deadlines

Quarterly reports adhere to the following schedule for reporting periods and submission periods:

Our Quarters follow the SNMA Fiscal year, not the calendar year. Q1 begins on October 1 and the rest follow. st

The reporting period includes the date range of all activities that must be included on your quarterly report

The submission period indicates the window for on-time submission of your quarterly reports

Note: Reports will not be accepted outside of the Submission Period or Late Submission Period.

SNMA Quarterly Financial Statement Submission Instructions

QFS submissions are required for all SNMA chapters to maintain active status and HOD eligibility - MAPS chapters DO NOT submit the QFS

1. This form will be open from the 1 to the 15 of the month when submissions are due unless an extension has been granted by the Board of Directors st th

2. Late submissions will be accepted from the 22 to the 30 of the month when submissions are due - remember, for HOD eligibility all four forms must be submitted with at least two of them submitted ON TIME nd th

3.You must be signed in with your snma.org account - non snma.org accounts will not be granted access to the SharePoint site given the sensitive data it houses.

a.If you do not have access to your chapter’s snma.org account, please contact your regional director

4. Please submit numbers only. No dollar signs or symbols outside of decimal points will be accepted

CRF submissions are required for all SNMA and MAPS chapters to maintain active status and HOD eligibility

Troubleshooting Quarterly Report Tech Issues

If you run into an error attempting to submit your digital quarterly forms be sure you are following the listed best practices:

1. Use a laptop or desktop computer - your phone or tablet may allow you to enter your data, then generate an error upon submission

2.Use a trusted browser! The forms work best on Google Chrome and Microsoft Edge - if you received an error try switching your browser

3.Take your time - some of the questions require an entry for successful submission

4.While submitting your reports refer to the appropriate documents:

a.For QFS - be sure you are referring to your bank statements

b.For CRF - the National Community Service Protocol will help you decode how to classify your community service events

If you’ve followed those best practices and still receive an error:

1. Try clearing cookies and cache

2.Switch browsers
