REGISTRAR

The Registrar will be responsible for the admissions process from the initial enquiry until the pupil joins the school. The role is responsible for ensuring the pupil database is fully utilised to keep relevant records accurate and up-todate. The statistics generated will help the school to assess the extent to which the strategies employed are useful. The Registrar post is strategically important to the school’s success, so working closely with the Headmaster and Senior Leadership Team is vital.

HOURS OF WORK:

• Monday to Friday

• 8.00 am to 4.00 pm

• 40 hours per week

• 52 weeks per year

Role and Responsibilities:

Enquiries

• To provide an approachable and welcoming response to enquiries concerning pupil admissions

• Oversee the admissions process from initial enquiries to visits, assessments, offers, and enrolment, including all general questions, administration, and school communications: building a good relationship with families

• Build and maintain, for as long as necessary, an inclusive relationship between the school and prospective families, identifying any point of interest and ensuring that swift communication is employed

• Provide information about the school and its mission to everybody who enquires, either by phone, email or face-to-face

• Gather comprehensive information about each contact with a family so that the admissions database can be kept up-to-date throughout the process.

Visits

• Manage and coordinate school tours, book appointments for parents, and make members of staff aware of the visit.

Applications

• Provide leadership and vision to ensure that the school’s admissions practices and procedures are up to date, compliant with all relevant regulations effectively implemented, and seen as dynamic systems that are continually kept under active review

• Liaise with feeder schools to build up relationships and request information on applicants where needed

• Assist the Head with the process of making offers, maintain records of responses, regularly update the Head on responses received and initiate appropriate follow-up to responses

• Maintain proactive and timely communication with families throughout the admissions process, notifying all scholarship candidates of specific arrangements

• Liaise with the finance department regarding applications and advise with regard to payment of Registration fees, deposits and monies paid

• Follow through every application to the point of final acceptance or withdrawal of interest by reviewing application forms, ensuring that all relevant documentation is received, and arranging and supervising testing where appropriate.

Measurement, Analysis and Forecasting

• Manage the weekly forecasting of admissions figures in conjunction with the Head, ensuring that the pupil forecast is based upon the up-to-date admissions pipeline

• Identify where the admissions pipeline lacks an appropriate number of enquiries to achieve the budget number and ensure that the Headmaster and Bursar are aware of the shortfall and can implement necessary actions

• Ensure that year lists are accurate and up-to-date at the beginning of each academic year and throughout the year as change occurs.

Person Specification and Qualifications

A good general level of education (graduate preferred but not essential; must have at least 5 GCSE or overseas equivalent at grades A*-C, including Maths and English) ✓

Proven track record of providing successful support to a senior manager as a PA or Executive Assistant with excellent communication, organisational, administrative and management skills overall

A sound understanding of the principles of sales and marketing ✓

Particularly strong attention to detail and accuracy of spelling, grammar and punctuation with sufficient numeracy skills to deal with statistical data. Possess strong analytical skills

Have a proactive approach to work; have personal integrity and the drive to do what is best for the pupils and the school.

Ability to show initiative over which matters should be referred directly to the Headmaster and which should be delegated to others ✓ Experience with a school information system

Previous relevant experience within the education sector
