FAQs – Domestic Tours with Sprouts Edu Tours

1. Safety & Supervision

Who supervises the students during the tour?

● A trained team of Sprouts Edu Tours representatives and school staff follows a strict 1:8 adult-student ratio.

● Night supervision is in place to ensure safety and respond to any emergencies.

What safety measures are in place?

● 10:1 student-to-teacher ratio for academic supervision

● 20:1 student-to-tour representative ratio for additional security.

● Expert-led activities with certified safety equipment.

● Verified accommodations with CCTV surveillance and 24/7 security.

Are students allowed to go out alone?

● Before the trip, students are divided into groups of 8-10, each assigned to a teacher for easy supervision.

● Even for washroom breaks or shopping, they must stay with their group.

● No student is allowed to travel alone at any point.

● Students are briefed about local cultures and safety awareness to prepare them for real-world situations.

How is transportation safety ensured?

● Air-conditioned buses or school-arranged transport for ground travel.

● Verified transport partners, pre-trip vehicle checks, and licensed, experienced drivers.

● Sprouts representatives are present at airports to assist with check-ins and departures.

2. Medical Assistance & Emergencies

Will students have access to medical assistance?

● Comprehensive first aid kits for minor injuries.

● Immediate medical attention for emergencies.

● In case a child feels unwell:

○ We immediately call the parent for awareness and any prescribed medications.

○ If the child doesn’t improve, we take them to a nearby hospital for further care.

○ As a last resort, we arrange for the child’s safe return via the nearest airport, with our staff ensuring they reach their parents smoothly.

What if my child has a medical condition or allergy?

● Parents must inform the school or Sprouts Team in advance.

● Necessary precautions will be taken to ensure safety.

Is there 24/7 communication with parents?

● Parents receive real-time updates, photos, and details via a WhatsApp group.

● Tour leaders are available 24/7 for any concerns.

What happens in case of an emergency?

● We have a detailed emergency action plan, including:

○ Medical support & evacuation procedures.

○ Immediate contact with parents.

Can a student return early from the trip?

● Yes, our Safe Return assurance ensures proper arrangements for early return if needed.

3. Accommodation & Belongings

How are accommodations arranged for students?

● Clean, comfortable hotels with 3-4 students per room.

● The room-sharing policy depends on school approval, but typically, students stay in groups of four.

● Trust us, this is the last thing you have to worry about! Kids love staying together, and we’ve seen 7-8 of them squeezing in for sleepovers!

● How do 4 kids fit in a room? The master bed accommodates 2-3 kids, and extra mattresses are provided for the rest. Simple, fun, and full of bonding moments!

● Only 3-star hotels and above are booked, ensuring clean and hygienic stays.

● Students can choose roommates to make their trip even more enjoyable.

● Any special requests? Let us know, and we’ll try our best to accommodate them!

What happens if a student loses their belongings?

● Students should label their belongings and carry only essentials

● Our team will assist in locating lost items wherever possible

● Parents should avoid giving expensive gadgets or valuables to children

4. Meals & Hydration

How are meals provided during domestic trips?

● Nutritious vegetarian and non-vegetarian buffet meals.

● Snacks, juices, and refreshments keep energy levels up.

● En route meals are arranged in clean, hygienic restaurants.

● Special dietary needs? Let us know in advance!

Are packed meals provided?

● Yes! To maximize sightseeing, we sometimes serve packed meals from top brands such as: Faasos, Hardcastle Restaurants, Domino’s, Behrouz Biryani, Subway, Rajdhani Thalis, Haldiram’s, Rebel Group, and more!

● Packed meals are only given when sit-in dining isn’t feasible due to time constraints.

Will drinking water be available throughout the trip?

● Yes! Unlimited bottled mineral water is provided.

● Students can ask for a bottle at any time.

● To reduce plastic waste, we encourage carrying a reusable water bottle.

5. Packing & Essentials

What kind of clothing should students pack for a domestic trip?

● October to January (Leisure Destinations): Jackets for chilly nights.

● May to September: Umbrellas or ponchos for unexpected rain.

● January to March (North India Trips): At least two layers of winter wear due to steep temperature drops.

● General Packing: Comfortable, weather-appropriate clothing and school uniforms for arrival & departure days.

How much money should students carry?

● Everything is included – accommodation, food, transport, and unlimited bottled water.

● ₹2000 is sufficient for souvenirs, snacks, or personal shopping.

● If needed, parents can transfer additional money via the tour manager.

6. Rules, Regulations & Responsible Travel

Can students carry their phones?

● Yes, with school approval. The final decision is made by school authorities.

● Phones are kept safely with group leaders overnight and returned in the morning.

● Parents should guide their children on responsible phone use.

Are electronic gadgets allowed?

● We discourage bringing expensive gadgets to avoid loss or distraction.

● However, the final decision is up to the parents.

What rules should students follow during the trip?

● Stay with the group and follow leader instructions.

● No talking to strangers or engaging in unauthorized activities.

● Be kind, helpful, and respectful to everyone.

How can students make the trip more eco-friendly?

● Carry a reusable water bottle to reduce plastic waste.

● Use a cloth tote bag for shopping instead of plastic bags.

7. Cancellations & Payments

What if my child has to cancel due to a medical reason?

● Health comes first!

● Submit a medical certificate, and refunds will be processed as per our policy.

What payment methods are accepted?

● Bank transfers, Google Pay, and UPI are available.

● Credit card payments are currently not accepted.

● Payment terms are provided separately to students and schools.

8. Adventure Activities & Risk Management

How are students kept safe during adventure activities?

● Every activity undergoes a detailed risk assessment.

● Activities are conducted under expert supervision with strict safety protocols.

● Sprouts Edu Tours is ATAOI and IAYP affiliated, meaning our team is rigorously trained in safety drills and protocols.

9. Contingency at Sprouts – We've Got Your Back!

At Sprouts Edu Tours, we meticulously plan every detail to ensure a seamless travel experience. However, in rare cases of bus breakdowns, train delays, or flight cancellations, here’s what we do:

● We always arrange the best possible options, but unforeseen situations can happen.

● Our entire team immediately works to find quick, effective alternatives so the tour experience is not hampered.

● Our priority is the students' safety and comfort, ensuring they continue to have fun and enjoy their journey.

● All expenditures in such cases are transparently communicated and handled responsibly.

● Trust us, we always ensure the best for our kids, making sure they experience nothing less than an amazing trip!

Cancellation Policy

● Flight fees are non-refundable as we book group fares.

● Cancellations follow a day-wise refund schedule based on tour payments.

● Withdrawals must be notified in writing.

Tour Cancellation & Postponement

● Flight costs are non-refundable and as per airline policy

● Any fair refundable expenditures will be communicated to parents.

Travel Arrangements

● Groups may be split across multiple flights based on availability

● Tours may be rescheduled due to flight timings or local conditions.

● Final details are provided 30 days before departure.

Indemnity

● Parents agree to indemnify the school & tour operator against unforeseen incidents despite all precautions taken.

10. Meeting Relatives During the Tour

● Students may meet relatives, provided it does not hamper the tour schedule.

● It is recommended to meet students at the hotel after sightseeing, as daytime schedules are packed with activities.

● Daytime meetups may not be feasible due to planned excursions and group movements.

● All such meetings must be pre-approved by the school to ensure safety and coordination.
