Meet Shaylor Group

Shaylor Group is a key player in the UK construction market providing a fully integrated service and flexible approach that encompasses major builds, interiors, heritage, small works and flexible fast track projects.

Central to our success is our core ‘One Team’ ethos. As a leadership based organisation built around collaborative values, we are committed to investing in relationships with our staff, clients, suppliers and the communities in which we work.

Positive Progress on Responsible Business This report for the calendar year ending December 2017 highlights Shaylor Group’s actions for responsible business. As a company, we encourage strategic thinking on all levels to help establish a framework for ethical behaviour. We acknowledge that our actions not only impact our people but also our communities, environment and supply chain. Our projects are often located in the heart of a community and with this comes a unique set of responsibilities. Construction has a direct impact on the lives and environment of those nearby and the inevitable changes need to be managed.

Our communities need to be protected, involved, considered and respected throughout the build cycle, from early consultation and planning right through to completion. As a family run company, we make ourselves accessible to our communities and accountable for our actions. This means embracing our corporate responsibilities and being proactive and sincere in our approach. This caring ethos is driven throughout our organisation. Our team members are enthusiastic and committed individuals who are proud of the contribution they make to the built environment and more importantly, the people within it.

Health, Safety and Wellbeing Health and safety is a key component in the delivery of our solid performance and we are committed to providing the highest level of health and safety across our sites and offices. In 2017 we were named Gold winner at the Royal Society for the Prevention of Accidents (RoSPA) Occupational Health and Safety Awards, in recognition of our safety management systems and contribution to raising standards across the industry as a whole. Our dedicated health and safety team work to advise, implement and improve performance. We operate an open two-way communication for health and safety throughout the business using a range of media including: • • • • • •

Health and Safety Accolades In 2017 we received the following health and safety awards:

Accident Frequency Rating (AFR) In 2017 our average AFR rating came in at 0.068. Dropping from an average yearly rate of 0.117 in 2016, we have seen figures decrease on a monthly basis over the year.

Target Zero Campaign 2017 saw the launch of our Target Zero campaign. Designed to develop and uphold our high standards of health and safety across the company, Target Zero is an initiative created to raise awareness and understanding of potential hazards on site and change perceptions. Target Zero’s purpose is to reduce accidents and incidents involving our staff and supply chain, with the ultimate aim of accident free sites. Primarily we have implemented biannual supply chain mornings to encourage direct and effective two-way communication. Our supply chain are integral to our operations and it is essential that we have an extremely close and transparent working relationship with them to improve health and safety performance.

We utilise the Building Safety Group (BSG) to carry out comprehensive site visits across all of our projects. Our percentage of ‘satisfactory’ scores has increased from a rate of 86.7% in 2016 to our current rate of 89.22%.

Alongside these mornings, Target Zero is also underpinned through the delivery of: • Revised near miss forms to provide easier reporting and encourage usage. • Email enforcement notices which are issued by the HSEQ department upon seeing a breach in health and safety procedures. • Asbestos posters displayed on sites to outline any known asbestos. • Wellness guides kept on sites containing information on healthy eating, smoking cessation, mental health, sun protection and alcohol. • New red and yellow card procedures. • Drug testing kits available to site management teams for completing random drug testing.

Wellbeing In the last 12 months we have continued to invest in the professional and social wellbeing of our team. We carried out a £1.2m refurbishment of our Head Office to centralise our operations and provide an outstanding working environment. The Head Office transformation has been incredibly well received and we continue to act upon feedback submitted via our intranet suggestion box and health and safety committee. Our wellbeing support also extends to our site teams, who are provided with a ‘Wellness Guide’ including posters and information on healthy

lifestyle choices. In 2017 we upgraded our site wellness support to include ‘Site of the Month’ awards and Free Fruit Fridays. We also begun trialling ‘Wellness Days’ which involve basing a mobile unit and qualified nurse on site to conduct lifestyle checks. This service is available to both employees and our supply chain, with each individual receiving a private copy of their assessment with tailored ideas on how to improve their health and wellbeing.


Our comprehensive employee benefits package has been upgraded to provide an innovative first rate suite to rival any competitors’ offering. We want our employees to know their commitment is recognised and ensure we remain an employer of choice.

We have thrown ourselves into the construction ‘Mates in Mind’ mental health initiative that includes training selected staff as ‘mental health first aiders’. Our workplace chaplain visits our Head Office biweekly to offer support with any issues, work or personal, in a confidential and impartial way.

October 10th 2017 We supported World Mental Health Day through the distribution of posters, flyers and desktop wallpapers alongside providing further advice and information.

Diversity and Inclusion

9% of our employees represent a range of ethnic backgrounds. This compares to a national average of 3.3%.

Training and Education

23% of our employees are female, with 33% of these in senior or non-supportive roles.

15% of our workforce are aged 25 or under. This has increased from 11% in 2015.

From our humble beginnings in 1968, we are now over 250 strong and growing each month. To develop our people we look to evolve what we call the ‘Shaylor Group DNA’ by upskilling our team and ensuring a consistent approach to training is taken. Learning and development is fully integrated within our employee experience through comprehensive inductions, mandatory training, apprenticeship programmes, day release programmes, CPD and the Shaylor Group Academy. Progression is actively encouraged within numerous employees having developed themselves and enhanced their careers.

Our staff retention rate currently stands at 80.73%. This has increased from a rate of 76% in 2015.

Shaylor Group Academy October saw the launch of the Shaylor Group Academy, designed to assist employees in the advancement of their construction skills and knowledge. Sponsored and funded by the Black Country Skills Factory and the Skills Funding Agency, the Academy provides a range of modules with lessons including co-ordination and

management of design, planning skills, commercial awareness and work packages. The Academy is aimed at our apprentices, trainees and assistants however more experienced employees are welcome to attend specific modules relevant to their positions to assist in continuous learning and development.

Trainees make up 10% of our workforce, with 26 individuals working across different sectors of the company.

Development in the Community Alongside assisting in the development of our employees, we also engage with local schools, colleges, universities and institutions to help prepare individuals for working life and give them the experience needed to make a difference. We understand that supporting employment through utilising local suppliers and providing work experience, trainee and apprenticeship opportunities will have a positive impact on the local economy alongside the construction industry as a whole. We put together Employment Skills Plans (ESP) in relation to specific projects to help benchmark targets and provide a framework for employment and skills. This brings together all partners involved in a project to co-ordinate needs and training delivery across the local community. 12 RESPONSIBLE BUSINESS REPORT

2017 ESP Targets for our Fitzjohns Avenue project included: • • • •

Alongside this we are supporting the City of Wolverhampton’s ‘Wolves @ Work’ pledge. The three year programme co-ordinated by the City of Wolverhampton Council and in partnership with the Department for Work and Pensions (DWP) aims at improving city employment rates.


Education Event Highlights As part of our work with the Walsall Education Business Partnership (EBP), People Services Advisor Olivia O’Sullivan assisted in practice interview sessions with students at St Thomas More Catholic School in Willenhall. The partnership, based in the West Midlands, provides the opportunity for employers, colleges and schools to create links between their organisations with an aim to inform, motivate and inspire young people of all ages. During the session, Olivia worked alongside year 10 to 13 students carrying out practice interviews and delivering feedback on a one to one basis. The day was designed to prepare pupils for their first interviews and give them a taste of what to expect when entering the world of work.

In 2017 Trainee Site Manager Rachel Toor presented her university research at the International Conference on Sustainable Futures held in Bahrain. Organised by the Applied Science University, the conference covered a range of areas relating to sustainable futures with a focus on economics, technology and the environment. Presenting her final dissertation, Rachel shared her findings on ethnic minority women in the UK construction industry to an audience of like-minded individuals. The presentation was extremely well received, with a variety of follow up questions asked regarding further research, comparative studies and progressing the industry forward in this subject area. Closing the conference, an exciting awards ceremony was held where Rachel was named winner of the ‘Best Paper’ award, giving her well-deserved international recognition for her research.

Following the presentation which discussed negotiation planning and preparation, factors effecting outcome, basic negotiation skills and understanding “win-win”, the students were Organised by the University’s Career Development involved in hands on activities to try out their newly Centre, the Skills Academy was a two week event developed skills. providing a variety of seminars and workshops hosted by industry professionals. In May, Senior Quantity Surveyor Andy Spears and People Services Advisor Olivia O’Sullivan travelled to the University of Westminster to assist in their Skills Academy Event.

Andy and Olivia delivered a presentation centred on negotiation to help students gain practical knowledge and skills to assist them when entering the competitive world of work.

Our Communities We are committed to supporting and working with local communities throughout the duration of our projects. Our involvement ranges from education liaison support right through to charity fundraising. Through our diverse range of projects across the UK, we engage with a wide range of communities. Building long term relationships with the communities in which we work is a key

element of our success and we are committed to making a positive difference. Our impact on the landscape starts with footprints and leaves lasting memories. That’s why we have built a steady and consistent reputation for demonstrating care and consideration in everything we do.

Considerate Constructors Scheme Many of our sites are registered with the Considerate Constructors Scheme. Site visits are carried out to review and score appearance, community involvement, environmental protection and valuing the workforce against their Code of Considerate Practice. Throughout 2017 a number of our sites received exceptional scores with Greenford based Atrium Point achieving our highest ever score of 43 out of 50, securing eight and nine out of ten in all areas of the report. The report commended the team’s ‘exceptional effort to reach out into the community and leave a lasting legacy behind them’ while also providing an ‘excellent and impressive first impression of the industry.’

Based on a total of 23 visits, our average CCS score for 2017 equalled 37 out of 50.

You have given them the rare opportunity to see something being made that will be there for generations and I have no doubt that the visit is something that will stay with them for a long time. The Shaylor Foundation After raising thousands of pounds for dedicated annual charities over the years, in 2017 we established the Shaylor Foundation to allow the freedom to serve a variety of causes throughout the UK.

As part of Shaylor Group’s responsible business strategy, the Foundation is dedicated to supporting the communities where Shaylor Group makes an impact. We want to give back to our communities through money raising and volunteering schemes and so have established the Shaylor Foundation as an effective and highly regarded charity. The Foundation is particularly committed to inspiring young people and assisting in the breakdown of unemployment barriers. Through supporting disadvantaged individuals the Foundation can help them to build worthwhile careers and positive futures. In addition we want to help those affected by health and wellbeing

issues through aiding in awareness and support via research and care programmes. All fundraising efforts would not be possible without the continuous support of Shaylor Group employees, supply chain, clients, friends and communities to whom we are very grateful. Our supporters are consistently bringing vibrant energy, passion, enthusiasm and commitment to help us in our goal to make life better for others. As a charity the Foundation is always striving to develop new initiatives. Through engaging with causes nationwide, all money raised by the Shaylor Foundation can help to provide long term support across all areas of our community.

2017 Fundraising Events Since the launch of the Shaylor Foundation we have been involved with the following fundraising activities: • Our football team took part in the HKA five-a-side football match to raise funds for CRASH, the Lighthouse Club and the Shaylor Foundation. • The Foundation held a Family Fun Day. • A generous selection of smart/interview clothing items were donated to Suited for Success. • We sponsored the Sutton Coldfield Sports Awards. • At Christmas we donated toys to Birmingham Children’s Hospital. Once the Foundation raises funds of £100k, we will begin making sizeable donations to a variety of causes throughout our communities.

The Shaylor Foundation is proud to have supported the Big Red Bus Velo Club as they cycled from John O’Groats to Lands End. The team battled extreme weather conditions, whilst covering upwards of 900 miles in just nine days to raise funds for Birmingham Children’s Hospital. Alongside the provision of essential transport and mechanical support, the Foundation were delighted to welcome the cyclists to Shaylor

Group’s headquarters as they travelled through the Midlands. Continuing our efforts, a group of eight Shaylor Foundation riders joined 15,000 other cyclists to take on the Velo Birmingham 100 mile challenge. All of our riders performed incredibly, travelling through the landscapes of Staffordshire, Worcestershire, Sandwell and Dudley before crossing the finish line on Birmingham’s Broad Street.


Clients and Suppliers Our strategy remains to build a customer focussed business where price is not the only driver. We have aligned our resources and business practices to deliver a quality product and exceed expectations. This ensures an enjoyable journey throughout each project’s duration and the legacy beyond for our clients and stakeholders.

We put our clients at the heart of our business and work hand in hand with them to understand their needs. Our continual focus on surpassing expectations, delivering on time, to budget and in a sustainable way keeps our customers returning again and again.

Frameworks and relationship led contracts make up more than 80% of our business. When reviewing applications to join our approved supplier database, our dedicated supply chain and health and safety teams work hand in hand to ensure all applicants meet our required standards in terms of skillset, health and safety performance and community engagement. It is of vital importance that those we work with support our overall corporate values and aims. Throughout the application process we request details of: • HSE notices. • Apprenticeship opportunities. • Insurance levels. • SSIP accreditations if held (i.e. CHAS, SafeContractor, SMAS).

• Health and Safety policies and procedures. • Environmental accreditations, policies and procedures. • Waste and pollution. • Training. • Accident/incident history. If at any point the application is not satisfactory, requests are sent to the subcontractor via our Builders Profile portal asking for additional information. If all compliancy is met from commercial, financial and health and safety aspects, the company is approved and added to our supply chain. Those who do not meet our criteria are declined supply chain status and offered feedback to support future applications.

Our Clients Recognising the importance of relationshipled appointments, we have built a resilient business geared around framework activities with organisations that recognise the full benefits of collaborative working. We seek to operate in an environment where the qualitative aspects are a significant part of the selection criteria, as this provides the best opportunity for us to demonstrate our credentials and deliver added value. We have developed our responsible business service to include pre-construction evaluation of commercial and residential buildings with a view to helping our clients evolve their design briefs and building management infrastructure through the use of 3D design/BIM. Upon completion of our projects our business development team carry out detailed customer satisfaction surveys with our clients.

The data is inputted into radar charts and in-depth accompanying notes to ensure best service and value is delivered across all future opportunities. In 2017 we achieved an average survey score of 92.4%. These surveys cover the following key project areas: • • • • • • • • • •

Supply chain. Health and safety. Project cost. Project time. Quality of product. Quality of service. Defects. Predictability of cost. Predictability of time. Output.


Our Supply Chain Together with our people, our supply chain is pivotal to the success of our business. We therefore maintain an approved database of suppliers, regularly reviewing performance and addressing training requirements. To achieve greater standards, we host supply chain forums and attend ‘meet the buyer’ events to promote transparency and encourage continual improvement and responsible sourcing ethics.

Supply Chain Targets • To reach 90%+ performance rating across the company. • To have 0% accidents/incidents on site. • To gain 0% defects on all completed projects.

Building strong relationships with our supply chain is an important aspect to project success and over the course of 2017 we have streamlined our database to produce a ‘preferred’ supply chain list. Within this we aim for five to ten subcontractors within each trade category to provide quotations at both the tender and contract stages. This ensures work is distributed safely and fairly at contract stage to these selected subcontractors. Alongside this we also: • Utilise 360 degree KPI feedback. • Hold monthly project reviews to monitor performance throughout the duration of a contract and where necessary, communicate with our supply chain if issues are raised. • Visit our preferred supply chain on a regular basis.

Environment and Sustainability Protecting the environment now, for the wellbeing of future generations is of prime importance to our business. We acknowledge that construction can be a destructive activity so to avoid this, environmental considerations have been incorporated into all areas of business decision making via our Integrated Management System (IMS). Determining accurate environmental data enables us to manage environmental impacts and increase sustainability. To eliminate the risk of our activities and prevent pollution of the environment, we implement enforceable control measures on our sites that include environmental, archaeological and geological considerations. We are an ISO 14001 accredited company ISO 14001 is an internationally accepted standard that outlines how to put an effective environmental management system in place. It is designed to help businesses remain commercially successful without overlooking environmental responsibilities, and can help companies to grow while reducing the environmental impact of this growth.

We continually strive to actively reduce waste emissions and negative impacts on our environments. Over the course of 2017 an average of 96.9% of our waste was diverted from landfill and by 2020 we aim to recycle 100% of non-hazardous waste.

Working to Reduce our Carbon Footprint We have invested in the reduction of our carbon footprint by encouraging over 50% of company car users to opt for hybrid electric vehicles. To support this initiative, we have installed numerous charging points in our carpark to enable employees to recharge their vehicles at work.

Our corporate brochure is a carbon balanced publication. This is the highest statement of integrity and credibility for the company and means that the carbon impacts of the publication have been estimated and offset. Alongside mandatory use of carbon balanced paper, it was produced by local company Pinstripe who are a carbon balanced printer. Pinstripe have mapped their own operational carbon footprint to defined boundaries and have then compensated for these impacts with the World Land Trust.

In 2017 we began exploring the use of drone surveying across a number of our sites, with an aim to utilise the captured footage in multiple stages of the tender and delivery process. With up to five people travelling to site during the tender stage alone it can become quite a costly and environmentally damaging activity. By using drone technology to obtain aerial footage we increase our understanding of any buildability risks associated with a project, lower our carbon footprint and reduce our opportunity costs through reduced numbers of staff attending site.
