Overview
The Oaks Academy offers a secondary education to 550 students aged 11 to 16 in Crewe. Students arrive in Year 7 from primary schools in the Crewe and Nantwich areas. The Oaks Academy is proud to be one of the schools within The Learning Partnership, a multi-academy trust, which also includes primary and secondary schools across South Cheshire and North Staffordshire.

The teaching staff is committed to ensuring that students are inspired by their learning through high quality and engaging lessons. The Oaks Academy places a particular emphasis on its approach to pastoral care as we aim to ensure that students receive comprehensive support from all colleagues, but specifically the form tutor and the year team staff. We have high expectations of behaviour, uniform and equipment as we believe this is crucial to students’ achievements.
Based in the heart of Crewe, we are committed to working with our local community; this includes strong links with local primary schools and further education colleges. We also work closely with many local businesses and organisations; these include football coaching from Crewe Alexandra FC, local community groups such as Hope Church and a number of projects with the National Citizenship Service.

Uniform Expectations
• Only one pair of stud earrings are permitted and one noes stud. Any other body piercings must be removed
• Blazers must be worn at all times but may be removed in a classroom at the teacher’s discretion
• No hoodies allowed
• Shirts must be tucked in at all times, including to and from school
• School discourages the use of make-up with no false eyelashes, false nails or nail polish.
• Extreme hairstyles are not allowed. These are defined as hairstyles which in our opinion do not follow social conventions, can be considered to be part of an unsuitable fashion trend or would not be considered appropriate in many work environments. Examples of extreme hairstyles would include: patterns, logos and/or designs coloured or cut into the hair
• Coloured hair where the colour is considered not to be a natural hair colour
• Expensive items of clothing should not be worn or brought into school
• Please ensure that all items are clearly named/labelled
• Students’ school bags must be appropriate for carrying A4 books, stationery, sportswear and other necessary equipment
• Uniform regulations, including those for outdoor clothing, apply to the journey to and from school, as well as on school premises

We remind parents that sending their children to The Oaks Academy assumes an acceptance of The Oaks Academy Uniform regulations, which also apply on the way to and from school. Tracksuit tops, non-school sweatshirts and hooded sweatshirts are not permitted to be worn underneath or over the school blazer. In cold or wet weather a coat can be worn over the blazer.

Important Information
5 Rules of Conduct
We have high expectations of all our students at The Oaks Academy. Our code of conduct sets out clear expectations of student behaviour and attitude to learning. All students are expected to:
Be ready on time for lessons with the right equipment.
Engage in learning and do not distract others.
Move quietly around the school and apply RESPECT attributes.
Remain focused to complete classwork and homework to a high standad.
No matter what, wear your uniform with pride, corrrectly and smart.
Mobile Phones
• Mobile phones must be switched off, kept out of sight and are the responsibility of the student and not the school
• Misuse of mobile phones will result in confiscation and may result in parental collection
• Parent– student contact should be made via pastoral support and not through students’ personal mobile phones
Getting to and from The Oaks Academy
The academy encourages students to walk or cycle each day. The Oaks Academy does subsidise a bus service that costs students £1 per journey for students. Please visit the Practical Information page on the website for the most up-to-date timetable.
Our School Day

Start and End of the Day
Students are welcomed into school from 8.15am. Students arrive and leave the school grounds via the student entrance. The school days starts at 8.35am with Form Time. This is an important opportunity for Form Tutors to provide updates and key information, and for students to ask any questions they may have.
The school day ends at 3pm. After-school clubs and catch-up sessions are available (ask your form teacher how to get involved).
Reporting Absence
Parents/carers should report student absence each morning of absence before 8.30am to allow us time to notify Form Tutors before lessons begin. This can be done by:

• Should we receive no notification of absence, in the interests of safeguarding, the academy will endeavour to contact parents/carers by text and/or telephone. Please let us know of any change to contact details as soon as possible.
Appointments
Appointments need to be authorised by school in advance and not on the day or the day after the appointment. All appointments should be made outside of school times where possible, and any morning appointments require a student to be in school until the time of the appointment, where possible. For example it is not acceptable to be absent the whole morning for an 11am appointment .
Lesson Time
Once registered students need to make their way to lessons in a calm and prompt manner. There are 5 lessons during the school day, with students following their own personalised timetable. The timetable rotates every two weeks (week 1 and week 2) and it is their responsibility to ensure they have the correct equipment for each lesson.
Break Times
There are two break times during the school day, one in the morning at 11.05 - 11.25am and one at lunch time between 13.25 - 14.00pm. These times should be used for visiting the toilet, filling water bottles, eating food and socialising with friends.
It is important that students fit all of these things into break time as they are not permitted out of lessons during lesson time.
Homework
The Oaks Academy uses Satchell One to record homework and share resources. When students join us they will be given an e-mail account and shown how to access homework.
Satchell One can be downloaded on a mobile phones via an app for parents and students. We encourage all of our parents to engage with this and support the completion of homework on time.
Communications with Parents/Guardians
School Gateway is the method we use to deliver communications to parents such as letters, news and key information. It Is also used to make payments for school dinners, ties and trips. This can be accessed via a website or through an app downloaded to your phone. Further details will be sent at the start of term with your log in details.

Opportunities and Rewards
Extra Curricular Activities
There are plenty of opportunities for students to enhance their school experience through involving themselves in the many extra curricular activities at The Oaks Academy. These include sports clubs, creative and performing arts activities, maths, art and science clubs. Please see our Enrichment & Personal Development page of our website for the most up to date clubs and enrichment programme.
Homework Club
Homework Club is available for our pupils from Monday - Thursday. 3pm-4pm. Any student can attend the club and there is always a member of staff on hand to offer support. Students also have access to ICT facilities.
Achievement Points
Every student has the opportunity to regularly earn achievement points in recognition of their contributions, effort, achievements and progress. Achievement points can be awarded depending on whether the student has worked hard or has made progress beyond that which is ordinarily expected. These points can be added by all staff and are regularly monitored and discussed with students. Parents and students can monitor the awarding of these points via the satchel one app. Half termly rewards are celebrated for the top achieving students in each form.
Postcards
Each week all staff will write positive postcards to students. Postcards will be collated at the end of the week and a text message sent to inform parents so that a positive conversation can take place at home. Heads of year will hand deliver the postcards to congratulate students.
Attendance Awards
All students who achieve 100% attendance within a half term will be publicly praised and celebrated through the end of term celebration assembly and school newsletter. Students will receive a certificate in the assembly, and those who go on to achieve 100% attendance at the end of each academic year will be awarded with a pin badge. Each half term an attendance cup will be awarded to the form group in each year group with the highest attendance.
Subject Stars
Each half term subject staff nominate a student star. All nominated students are invited to a headteachers breakfast.
Food at The Oaks Academy
Food is available from the canteen during break and lunch. We operate a cashless system which uses fingerprint identification to allow students to pay for items. This can be topped up by using the payment machine in school and online.
Breakfast
Bagels are available as students arrive at school free of charge.
Mellors Catering
The Academy offers a wide range of food in the canteen, including hot and cold meals and grab-and -go snacks. These are purchased from our catering stations in the main hall and servery located in the student patio.
Cashless Catering
School Comms is a cashless catering system that allows you to pay for your child’s academy meals, giving you more control and greater visibility over their food choices.
There is a daily spend limit of £5 which can be increased or decreased by written request to the student office. Please note, there is no facility for an overdraft on the system – children can ask a member of staff in the academy office to contact home should they need to top up online.
Students entitled to free school meals will also use the same system with the daily allowance automatically credited for use at break and lunchtimes - unspent free academy meals allowances will not be carried over to subsequent days.
Background to the use of Biometrics in school
For the sake of clarity, biometric information is information about someone’s physical or behavioural characteristics that can be used to identify them. There are many possible biometrics, including for example, a digital photograph, fingerprint, or hand shapes. As part of our identity management systems, we will record a biometric measurement taken from a finger, but not a fingerprint image. The information is stored in a highly secure database and will only be used by the school to confirm who is using a range of services. In future we may use other biometric services where appropriate.
Our chosen solution allows us to use a secure database holding biometric data for use with a range of services. This means we will store the least amount of data possible. This reduces the risk of loss of data.
The data that is held cannot be used by any other agency for any other purpose.
The school will not use the biometric information for any purpose other than that stated above The school will store the biometric information collected securely in compliance with Data Protection Act 2018. The school will not share this information with anyone else and will not unlawfully disclose it to any other person.
This legislation requires schools to:
• inform parents about the use of the biometric systems in the school and explain what applications use biometrics.
• receive written permission from one parent if the school is to process biometric information for their child.
• allow children to choose an alternative way of being identified if they wish. Children under 18 who do not have permission will not be able to use existing or new biometrics when using services in the school.
If you do not wish your child to use the biometric system or your child chooses to use an alternative form of identification, we will provide reasonable alternative arrangements that allow them to access current and future services.
Dietary Requirements
If your child has specific dietary requirement due to food intolerances or food allergies, we need to know this information. From October 1st 2021 – Natasha’s Law came into force, and as a result, it is compulsory that parents provide the school with up-to-date medical evidence of any known allergies. School will share this information with our catering team.
Free School Meals
Some students will be entitled to free school meals, this is dependent on a number of factors and a decision can be given to you quite quickly by Cheshire East. We would encourage parents to apply for this even if you are unsure of your eligibility.

Data Privacy for students, parents and carers
General Data Protection Regulation (GDPR) - Data Protection Act 2018
The Learning Partnership Trust is a data controller for the purposes of the Data Protection Act. We collect personal information from students, parents and carers. As such, we may receive information about students from their previous academy, local authority and/or the Department for Education (DfE).
The categories of student information that we collect, hold and share about students and parents include:
• Personal information (such as name, unique pupil number (UPN), unique learner number, address, academy system ID photographs and telephone number)
• Characteristics (such as ethnicity, language, nationality, country of birth and free academy meal eligibility)
• Attendance information (such as sessions attended, number of absences and absence reasons)
• Special Educational Needs information (such as EHCP reviews, information from specialist assessors and clinical specialists etc.)
• Other personal information including relevant medical information provided by students, parents/carers or others who support the wellbeing and education of students which it is necessary to share with the staff looking after a child to ensure their wellbeing and effective education
• Behaviour and achievement information (such as records of incidents, records of achievement awards logged by teachers)
• Assessment information (including the results of external and academy assessments)
• Records of tasks set for students and feedback given
• Any qualifications held (for older students)
• Information about course choices, career aspirations post-16
• We use this student and parent information to:
• Support student learning
• Monitor and report on student attainment, progress and attendance
• Keep children safe regarding medical conditions or emergency contacts
• Provide appropriate pastoral care
• Assess the quality of our services
• Comply with the law regarding DFE data collections and data sharing
Any decision made about an individual student as a result of using this personal information will always involve a member of staff and never be solely automated. Under GDPR, the lawful bases for processing student information are:
• We use the data only in ways that are necessary for the education of your child and the normal functioning of the academy, and we design our systems to prevent unauthorised access and to manage access appropriately within the organisation.
• In some cases, we collect and use student information to protect the vital interests of students or staff (e.g. with the medical information we process).
Collecting Student and Parent Information
The Trust will collect student information from previous schools, from the Local Authority (Cheshire East Council), from the DfE or from parents and carers during the admissions process. Much of this is mandatory but we will indicate on our data collection and data checking forms whether you are required to provide certain student information to us or if you have a choice in this.
Storing Student and Parent Information
We hold student information for the set amount of time shown in our data retention schedule, which is available on the Academy website, and in line with IRMS guidelines. We expect to retain most student information until an individual is 25 years of age. Data is normally archived or deleted securely unless we have received a specific request from an individual to delete data. Each member of staff has received data protection training and the Trust will ensure that student data will be securely stored within:
• the academy’s information management system (SIMS)
• Microsoft Office 365
• Lockable cabinets and offices
Cloud Services
In common with most academy’s, we use ‘cloud-based’ services for the storage and processing of some of the data we hold about students. In all cases, we remain the data controller and we ensure the services we use are compliant with legislative requirements.
Sharing Student Information
• We do not share information about our students with external organisations unless it is a legal requirement or we have appropriate consent from parents/carers. We may share student information with:
• other educational providers attended
• Cheshire East Local Authority & Children's & Families Service
• The Department for Education
• Emergency Services
• National Health Service
1 We are required under section 507B of the Education Act 1996 to pass some information about you to our Local Authority (LA) Youth Support Service for young people aged 13-19 years (25 years for students with a learning difficulty). We must provide the names and addresses of you and your parent(s), and any further information relevant to the support services’ role. We may also share data with post-16 providers to secure appropriate support on entry to post-16 education and training. Parents, or students if aged 16 or over, can however ask that no information beyond names, addresses and your date of birth be passed to the support service. Please tell Student Services or the Systems Manager (contact details below) if you wish to opt out of this arrangement or if you want to receive a copy of the information that we hold about you.
National Pupil Database (NPD)
The NPD is owned and managed by the DfE and holds information about students in academy’s in England. It provides invaluable evidence on educational performance to inform independent research, as well as studies commissioned by the DfE. It is held in electronic format for statistical purposes. This information is securely collected from a range of sources, including academy’s, local authorities and awarding bodies.
We are required by law, to provide information about our students to the DfE as part of statutory data collections such as the academy census and early years’ census. Some of this information is then stored in the NPD. The law that allows this is the Education (Information About Individual Students) (England) Regulations 2013.
The Department may share information about our students from the NPD with third parties who promote the education or well-being of children in England by:
• conducting research or analysis
• producing statistics
• providing information, advice or guidance
The Department has robust processes in place to ensure the confidentiality of our data is maintained and there are stringent controls in place regarding access and use of the data. Decisions on whether DfE releases data to third parties are subject to a strict approval process and based on a detailed assessment of:
• who is requesting the data
• the purpose for which it is required
• the level and sensitivity of data requested: and the arrangements in place to store and handle the data
To be granted access to student information, organisations must comply with strict terms and conditions covering the confidentiality and handling of the data, security arrangements and retention and use of the data.
Individual Rights to Access Personal Information
Individuals have the right to access their data or educational record, to ask us to correct it where it is wrong and in certain circumstances ask us to delete the data or limit what we do with it. If you want to see what data we hold about you, you can make a subject access request by contacting the Data Protection Officer, or any other member of staff and explaining that you wish to see the data that the academy holds about you. We will then provide you with access to what information we hold about you in printed or electronic copies of the data where the law requires us to do this. If you think that we are not processing your data fairly, correctly and legally then you have the right to complain. The following options are available to you:
1. Contact the Data Protection Officer to discuss your concerns; most queries can be dealt with successfully in this way
2. If you are not satisfied with the outcome, the Academy’s complaints policy is published on our website.
3. You may also contact the Information Commissioner’s Office which oversees the way we process data: http://ico.org.uk/concerns/
The Oaks Academy ICT Code of Conduct
This covers the use of all school computer equipment and facilities including the ICT network, internet and e-mail facilities. The Code of Conduct applies at all times and on all sites, in and out of school times, whilst using ICT equipment and services provided by the school and Local Education Authority. E-mail and internet access will be provided for you to conduct research and enhance your learning opportunities, but only on the understanding that you agree to follow this code. This Code of Conduct is not intended to be exhaustive. You should use the school network and the internet in an appropriate and responsible manner at all times.
Always check all ICT equipment for damage before using it. Report any problems or vandalism to your tutor straight away or contact ICT Support via their email address. Do not attempt to fix or repair any equipment yourself. Please be aware that food or drink is not permitted in any room which contains ICT equipment. Each member of The Oaks Academy will be supplied with a unique username and password which must be kept safe at all times.
• Do not tell anyone your password
• Never allow anyone to use your account
• Change your password at regular intervals
Each individual is held responsible for any activity performed under his/her account.
Digital cameras or camcorders are often supplied to make permanent records of coursework. These devices must only be used for educational purposes and not for taking random images of friends or inanimate objects. Please check each image before copying them to the network and delete any which are not relevant to your studies. Personal photos can only be introduced to the network when they are to be used within projects but the Oaks Academy network is not to be used a means of personal storage. The Oaks Academy hold the right to remove any images or footage deemed non-educational or inappropriate. Please remember that it is an offence to record images or videos of other students or members of staff without their prior permission.
Responsible Use of ICT:
• I will only use the ICT facilities in school, including internet, email, mobile technologies etc. for school purposes.
• I will only log onto the school network/Portal with my own user name and password.
• I will not share my school password with anyone else and I understand that the school will never send me an email requesting my school network password.
• I will not download or install software on school ICT equipment without permission.
• I will make sure that all ICT communications with pupils, teachers or others are responsible and sensible.
• I will never post aggressive or offensive material on the system or the web at any time.
• I will not use email, digital photography or the Internet to harass or cause offense to my
fellow pupils, staff or others (whether inside or outside the school). Such action may be viewed as cyber bullying, which is strictly forbidden
• I will not deliberately browse, download, upload or forward material that could be considered offensive or illegal. If I accidentally come across any such material I will report it immediately to my teacher.
• I will not attempt to bypass the internet filtering system.
• I will ensure that my online activity, both in school and outside school, will not cause the school, the staff, pupils or others distress or bring the school into disrepute.
• I will respect copyright and understand that, particularly in respect of coursework submitting work downloaded directly from the Internet without proper acknowledgment may invalidate my marks.
• I will not publish personal details or that of my fellow pupils or members of staff, on the Internet or any social networking site without their permission and understand that I may be asked to remove postings or pictures which cause offence or upset my fellow pupils or other members of the school community.
• I will ensure that when using any social network my privacy settings are set correctly.
• I will not attempt to connect a personal device to the ICT network.
I understand that these rules are designed to keep me safe and that if they are not followed, school sanctions will be applied and my parent / guardian will be contacted. Possible sanctions include detentions or removal of access to the school’s ICT facilities for a period of time. In the case of a serious breach of this policy, an investigation into misconduct may lead to suspension or even expulsion.
You should also:
• Be careful what you say to others and how you say it whether using email or other online methods. Never give out your name, telephone number, address or any other personal information about yourself or others to any strangers you write to or talk with on the network or the internet. Never arrange to meet strangers who approach you whilst you are on the computer; anyone can pretend to be someone else. Someone pretending to be your friend may not have your best interests at heart.
• Always tell an adult if you ever see, hear or read anything, which makes you feel uncomfortable while using the internet or e-mail. You will not be blamed and your prompt action may protect others. This applies at home, in school or elsewhere
You should not:
• Tell anyone your password or try to use someone else’s password.
• Send, access, display offensive messages or pictures or forward chain e-mails.
• E-bully, use or send bad, threatening or annoying language nor any language which might incite hatred against any ethnic, religious or other minority.
• Waste resources i.e. time, paper and ink.
• Use of chat rooms, chain e-mails and mobile phone sites is prohibited.
• Download .exe files or games or try to load unauthorised software onto a computer.
Please Note:
Failure to follow this code may result in loss of access and further disciplinary action, up to and including exclusion if appropriate. External agencies may be involved since certain activities may constitute a criminal offence (Data Protection Act 2018 and the Computer Misuse Act of 1990)
Photographs and Videos
On occasion, we may take photographs of the children at our school. We use these images as part of our school displays and sometimes in other printed publications like the school prospectus. We will also use them on our school website and social media.
From time to time, our school may be visited by the media who will take photographs or film footage of a high profile event. Children may appear in these images, which will sometimes be published in local or national newspapers, or on approved websites.
To comply with the Data Protection Act 2018, we need your permission before we can photograph or make any recordings of your child. Please complete the Images and Videos Parental Consent Form within this booklet and return to school.
