Letter to SACRAO Dear SACRAO, In an effort to be completely transparent, the SACRAO Executive Committee wanted to explain the financial health of the organization. In SACRAO there are many expenses that are constant and known, but there are also expenses that can dramatically fluctuate: conference attendance, corporate partner participation, and payment of dues from institutions.

With all this said, the 2019 Conference in Baton Rouge resulted in a significant loss. This fact, coupled with another loss at a recent conference, has put SACRAO in a bit of a ‘tightening the belt’ situation. The following will explain the loss at Baton Rouge and briefly outline steps that the SACRAO EC is taking to get SACRAO back into a healthy financial situation. continued...

How do conferences lose money? »» There are many positive aspects of having conferences in different cities each year. Members have the opportunity to visit new places or may not have to travel far from home. However, there are also downsides to moving a conference every year. No two cities have the same hotel rates or convention center facilities. Some cities have attached conference centers to make the commute from the hotel to the sessions simple while some are detached, providing us the opportunity to get a little walking into our day.

Costs vary when the hotel is combined with the convention center, as opposed to when it is separate.

Also, the costs of the Big Event vary depending on the venues available in the city. »» Some cities, depending on their tourist appeal, attract more visitors than others. In Baton Rouge, the final attendance count was only 435. This is more than 100 less than in previous years. On the contrary, St. Pete, FL in 2017 had one of the highest attendances. »» Future financial predictions play a role. Hotel and convention center contracts are signed about 2-3 years before the conference occurs. This means that if something about the structure of the conference changes, the budget from 3 years ago may not be as feasible, but we are locked into the contract. »» Audio / Visual services and WiFi charges continue to fluctuate. SACRAO does try to use the same AV provider, but again, depending on their travel costs, we may have to go with another company. Specialized and unanticipated multi-media set up costs can surface right before the conference begins. »» Catering. Food is extremely costly. It is hard to predict exactly how many people will attend an event. A loss occurs when you plan for a certain attendance count that doesn’t make. A sudden unexpected drop in conference attendance is a huge factor. »» Corporate Partners reduced their sponsorships. We are always extremely grateful for the contributions of Corporate Partners. However, in Baton Rouge, we did not have any premium level sponsorships.

Attendance by CP’s was still great, but the level of sponsorship declined. »» Unexpected costs occur if we don’t fill our contracted room nights with hotels. SACRAO provided conference hotels at the time of registration, which provide lower rates for SACRAO conference attendees.

If attendees stay at another hotel or an Air B&B, we will not make our contracted nights and be forced to pay for the difference.

What are we doing as an organization? »» The SACRAO Executive Committee is trimming our own costs. »»

Limited the Summer Planning Meeting from 17 attendees to 9. Only the 3 Presidents, 2020, 2021 LAC Chairs, and Program Planning Vice Presidents attended. We held a conference call meeting with the entire EC while in Virginia. This is not a precedent that the current EC wants to advocate for, but felt it was needed given our current situation.

Moved the Nomination and Election Committee meeting virtually. At the annual meeting in Baton Rouge, there was concern about moving the N&E committee meeting virtually. Again, this is not a precedent we want to set, but the considerable cost can be saved by doing this for this year.

»» Extensive conversations with both 2020 and 2021 LAC chairs explaining the budgetary concerns. Staying within a budget these next two years is critical. Please note, your conference experience will not be lessened. There are many cost-saving measures that will not be felt by attendees. »» Moving the membership management system to Memberclicks. The financial transaction costs are lower than PayPal, and we are able to track membership better. Also, as an added bonus, AACRAO will cover part of the Memberclicks subscription. »» Increased communication and transparency between the SACRAO EC Treasurer and the LAC Treasurer as well as between the SACRAO EC and LAC Committee. »» Revision of the Local Arrangement Chair Manual. With the help of the most recent LAC Chairs, we will review and refresh the LAC Manual.

What can you do as a SACRAO member? »» Pay your dues. If you have a question about your institution’s membership dues, please contact Dusty Duncan, VP States/Regionals and Membership. »» Attend the SACRAO 2020 Annual Meeting and Conference and register early. There is a discount for registering early for the conference. Registration will open early October. »» Stay in Conference hotels. While we understand that some try to save money by using other alternatives, our contract with the hotel specifies a commitment to a certain number of hotel nights. The higher the number of hotel nights we can guarantee, the better deal we can get with the hotel. If we do not meet that target, we pay the penalty.

In closing, SACRAO is an extremely valuable organization with exceptional members. The responsibilities of a LAC Chair/Committee can never truly be understood until you have served in that role. Some conferences see a gain, some a loss, and with a re-evaluation of how we approach conferences given factors discussed above, I know we can position the organization to handle these ebbs and flows better. I applaud the many hours of work that was put into the 2019 conference and the many more hours to come for 2020.

Treasurer’s Report and Financial Update

SACRAO Account Balances as of July 9, 2019 Checking: $38,324.44 Savings: $54,517.60 PayPal: $1,749.81 Total: $94,591.85 On June 4, the Association had a need to close its certificate of deposit (CD) with Central Kentucky Savings Bank. An $801.97 early withdrawal penalty was charged. The amount returned to the Association was $106,217.53. This was necessary to cover several 2019 Local Arrangements Committee (LAC) shortages in Baton Rouge. SACRAO subsequently inserted $48,205.71 into the 2019 LAC. This shortage will be discussed in greater detail at the conference in February. $50,000 of the closed CD was moved to our savings account on June 10.

There are known outstanding checks in the amount of $4,464.64 (not included above) that have not hit our account, related to the Summer Planning Meeting in Alexandria, Virginia. The summer planning meeting is an important gathering where your program Vice-Presidents and the Local Arrangements Committee work hard to plan and develop the Annual Meeting in February 2020. You can read more about the Summer Planning Meeting later in this newsletter.

Our annual audit and tax filing with Jennings Cook (our audit firm) are almost complete. I expect the final report any day now.

I appreciate the opportunity to serve this great organization. I hope the remainder of your summer is relaxing and the start of the fall is energizing.

Membership Update Renewals and Dues

Greetings SACRAO members, I hope the summer is going well for all of you, and that each of you has had an opportunity (or one is coming soon) to refresh and prepare for the upcoming Fall semester. I have received some communication already regarding 2019-2020 SACRAO membership dues, and I would like to give everyone an update. The SACRAO website and membership system are undergoing a major change and transformation, and the SACRAO Executive Board has been working diligently on the transition. We hope to have the new system in place very soon.

This is affecting the timing of invoices for 2019-2020 SACRAO dues invoices.

Once, the new system is in place; I would ask that each of you update your institutional membership rosters, as we know that there have been numerous changes within your offices. Please do not make any adjustments yet, as we want those changes to be reflected in the new system. If you have any questions regarding who the primary member is at your institution, please feel free to contact me (duncandj@etsu.edu or 423-4394213). I would also ask that you reach out to me if you know of a change in primary member from your institution, and who that new primary needs to be. That will allow accuracy when invoices do generate.

Again, we thank you for your patience and anticipate those invoice generating in the coming weeks.

SACRAO + SROC

by Cié Gee, President of SACRAO SACRAO has an exchange program with SROC, the Student Records Officers’ Conference based in the United Kingdom.

Each year, delegates of SACRAO and SROC attend each other’s conferences. I had the distinct pleasure of attending this year’s SROC conference, which was held at Cranfield University, just outside Milton Keynes, England.

I was astounded at the value of the information that was provided at this conference. Although the U.S. and U.K. higher education structures differ, there many similarities. U.K. institutions are dealing with the same issues U.S. institutions are: student success, data governance, enrollment declines, and the value of the degree. Two outstanding presentations are worth noting. David Kernohan, Associate Editor of WonkHE, spoke about how data shape higher education policy. I recommend visiting Wonkhe. com. Dr. Lynette Ryals, Pro-Vice-Chancellor at Cranfield University laid out her plan for a brand new university in Milton Keynes that focuses on STEM and educational partnerships with the community. I was also invited to sit on a panel called “Independent Providers and the Changing Higher Education Landscape” to discuss the role that for-profit institutions in the U.S. play. Overall, it was an extremely valuable experience.

The SACRAO EC will be implementing an application process for the 2020 SROC conference, which is April 6th-8th in Huddersfield England. Please note the 2020 SROC conference does conflict with the AACRAO Annual meeting for 2020. More information about how to apply will come during the Fall.

Happy summer to you all. Greetings from Alexandria, Virginia!

Tucked away on the Potomac River within eyesight of Washington, DC, ALEXANDRIA is nationally recognized for its rich history and will be an extraordinary backdrop as a host for SACRAO 2020.

Both the SACRAO 2020 LAC and members of SACRAO’s Executive Committee worked diligently for several days in June planning the 2020 conference. Call for Articles for The SACRAO Journal Submissions are now being accepted for The SACRAO Journal.

The Editorial Board welcomes manuscripts for publication in SACRAO’s academic, refereed publication, The SACRAO Journal.

Members of SACRAO are encouraged to submit articles which pertain to their professional and research experiences regarding issues and innovative practices in the profession.

Preference is given to articles authored by SACRAO members, but articles from outside the membership will be considered based on revelatory findings that advance the work of SACRAO members.

Active Journal Editorial Board members may not submit articles for publication; book reviews and commentaries by Board members may be published at the discretion of the Editor.

Manuscripts should be submitted with the stylistic rules and guidelines delineated in the Publication Manual of the American Psychological Association (6th ed., 2010). All manuscripts are accepted with the understanding that The SACRAO Journal Editorial Board reserves the right to edit for clarity, syntax, and style. At the discretion of the Editorial Board, authors may be asked to shorten or lengthen articles.

Manuscripts submitted for publication must be original material, which has not be simultaneously submitted for publication elsewhere. Length of manuscripts, including references and tables, should range from about eight to 20 double-spaced, 8.5x11-inch pages. Abstracts are limited to 125 words. Authors should retain a copy of the manuscript to guard against loss.

First drafts of manuscripts are due August 1 annually, and revisions by the Editorial Board are generally returned to the author by the end of September. The final deadline for manuscripts is November 1.

State Association Updates FACRAO FACRAO would like to announce the dates and location of the 2020 Florida Higher Education Summit and the new Executive Committee, as of the June 2019 Annual Meeting.

The 12th Annual Summit will take place on June 21-25, 2020 at the Plaza Resort and Spa in Daytona Beach, Florida. FACRAO will again join their colleagues in the Florida College System (FCRAO) for the Summit.

ALACRAO ALACRAO had a successful 81st Annual Meeting on June 17-19.

Over 170 people, representing 39 institutions attended this year’s conference in Florence, AL. The conference included over 40 admissions, registrar, and professional development sessions led by our members and sponsors. On the final day of the conference, we voted in our newest members of the Executive Committee, which will be led this year by President TJ Smith.

We hope you will join us in 2020 for the 82nd Annual ALACRAO Meeting in Mobile, AL.

Recognition and Awards Nominations – DEADLINE OCTOBER 15, 2019 The 2019-2020 SACRAO Recognition and Awards Committee invites nominations for: § § §

Distinguished Service Award Honorary Membership Certificate of Appreciation

Recognitions and Awards Criteria: Distinguished Service Award – nominations due by October 15, 2019 This highly selective and rarely given award may be conferred either to current members of the association whose contributions have been so extraordinary as to warrant special recognition while still active, or to individuals retiring from or leaving the profession whose contributions warrant special recognition. Recognition is based on a variety of factors including the nominee’s participation in and leadership of SACRAO activities as evidenced by holding office, fulfilling committee responsibilities, and attending and regularly participating in annual meeting programs. Service in the admissions and records professional for a substantial portion of one’s career, other professional activities and publications are also considered.

In order to keep this award highly selective, its criteria have been quantified. A point system guides the Recognition and Awards Committee during its screening of nominees. A year of service as SACRAO president awards 20 points; years of service as vice president, secretary, treasurer, newsletter editor, LAC chair, and/or MOSIS coordinator adds 10 points. Other annual meeting activities earn a range of points. Up to 50 points may be awarded for exceptional contributions to SACRAO and/or the admissions and records profession. The nominee should earn a minimum of 100 points of documented service.

Honorary Membership – nominations due by October 15, 2019 This honor is reserved for individuals retiring from or leaving the profession who have made significant contributions to the admissions and records profession and who took a leadership role in SACRAO (i.e. regularly attended and participated in annual meetings and on

committees). Honorary memberships may be accorded retiring individuals in their last year of service prior to retirement if they have formally or officially announced retirement. Otherwise, honorary memberships will be conferred in the year following retirement. Individuals employed by organizations eligible for SACRAO Corporate Membership cannot be considered for honorary membership (until such employment ceases). The benefits of Honorary Membership are suspended if an Honorary Member becomes employed by an organization eligible for SACRAO Institutional Membership or Corporate Membership.

Certificate of Appreciation – nominations due by October 15, 2019 This recognition is for a major direct or indirect contribution to SACRAO. Both members and nonmembers are eligible for this award. A direct contribution might be, for example, serving as local arrangements chair for the annual meeting. An indirect contribution might be one of financial support of the organization.

Multicultural/Emerging Leader Annual Meeting Scholarship – DEADLINE OCTOBER 15, 2019 The scholarship is designated for emerging leaders in the admissions and records profession, as well as professionals from under-represented populations in the SACRAO region who show promise for advancing multicultural participation and activities or who are seen as emerging leaders within their state organization and within SACRAO.

Recognition will be based on many factors, including the following: § § § §

Professional success at the institutional level Professional involvement at the state level Participation in multicultural activities and programs (not required but helpful) Promise for further participation in the activities of SACRAO

Application Instructions: 1. An application may be completed by the individual, the AACRAO State President, the designated Professional Access and Equity representative of the state/regional association or a member of SACRAO. 2. Nominees must be from SACRAO member institutions who are current in their payment of dues.

3. Complete this application in its entirety. Consideration will only be given to applicants with completed applications. Selections for awards will be based solely on the information provided on this application. Winners must be employed by a SACRAO institution at the time of the application and conference.
