My Dear Friends in Christ: The purpose of the Catholic Appeal is to unite the faithful of the Archdiocese of Boston in support of the more than 50 Central Ministries which serve the needs of our parishes, schools, and communities. Each year, Catholics throughout the Archdiocese are asked to help advance the work of the Church, both within and beyond the boundaries of their parishes, through their generosity and commitment to the Catholic Appeal. It is only through the generosity of our wonderful donors that our Church can continue to bring Christ’s love to our world in greatly needed and meaningful ways. The Catholic Appeal provides a teachable moment. It allows parish leaders the opportunity to talk about the connectedness of our Church. The Appeal provides an opportunity to reflect upon the fact that every Catholic is part of our local Church and part of the Universal Church. Each of us is responsible not only for his or her parish, but also for the wellbeing of the Church throughout our Archdiocese and throughout the world. The success of the Appeal is not possible without each and every one of you. I am deeply grateful for your faithful commitment to this effort, which inspires us all as we continue to put faith into action to help all those who seek out the Church for assistance. A “Best in Class” Campaign

We know from experience that the role of the pastor in determining a successful outcome cannot be overstated, and data has shown consistently that those parishes who implement a by-the-book campaign exceed expectations. This manual was created to provide the resources and tools for a “Best-in-Class” parish campaign. Your continued best efforts in elevating prayerful participation in the Appeal are reflected in part by tried and true methods will benefit your parish and our overall impact. All parishes are asked to implement using a best-in-class approach:

Encourage full participation of your parishioners on Commitment Weekend March 9-10. • Fully implement the In-Pew at your parish for full participation. • Ask all parishioners to participate, using the step-by-step guide beginning on page 10.

Recruit or renew a volunteer Appeal Coordinator to assist with your parish campaign. • Appeal Coordinators are a vital resource, adding a lay voice to your campaign and providing additional assistance to your campaign.

New This Year: Forward in Faith To set the stage for a successful appeal, we are launching a robust campaign in February and March with multimedia efforts to educate, inform and encourage your parishioner’s support. Through social media, direct mail, email, The Pilot and Catholic TV, we will be sharing stories and uplifting messaging about the importance of the Catholic Appeal.

Your parish launch will be in tandem with and enhanced by this additional media attention. Other changes for 2024: • New look for all parish materials. • Personalized goal posters to help track your progress with parishioners. • More on-line giving options. We will be supplying parishes with QR codes to tape to the back of pews. • While your parish assessment calculation (8% of three-year average offertory) does not change, each parish has a higher financial goal. • We are asking parishes to focus on the Financial Goal, not the lower Assessment amount. Launching a successful campaign takes teamwork. Each of the following roles is crucial in ensuring your parish runs a successful Catholic Appeal campaign.

ROLES and RESPONSIBILITIES

Pastor: Your support and participation is the most significant factor in the success of your parish’s Catholic Appeal campaign. Parishes who meet or exceed their goal do so largly because the pastor is a vocal supporter and advocate for the importance of contributing to the Appeal. As pastor, you will provide leadership by: • Gathering a team to prepare and implement a “Best-in-Class” campaign. • Conducting a heartfelt In-Pew Presentation to empahsize the importance of the Catholic Appeal and encourage participation. • Making a personal gift during the In-Pew solicitation –Your endorsement through participation matters.

Appeal Coordinator Each pastor should appoint an Appeal Coordinator who can enthusiastically represent the pastor and the parish during the parish launch. The coordinator is the lay voice of the campaign, encouraging their fellow parishioners to participate by: • Endorsing the Catholic Appeal on Announcement Weekend: March 2-3 with a brief witness talk about the Catholic Appeal at all Masses. (sample scripts provided) • Demonstrating the importance of the Appeal with a personal pledge • Providing assistance throughout the year with periodic updates at Mass. • Staying updated on parish results to review strategy with pastor as necessary.

Parish Staff Many members of the parish staff play a crucial role in providing administrative, logistic and technical support for your parish campaign. Some tasks include: • Verify the parish has received an adequate supply of Appeal materials: Posters, envelopes etc. • Regularly add messaging or ads to your parish bulletin with updates on parish success. • Ensure paish website and social media sites are updated with Catholic Appeal video/logo. • Coordinate with your pastor/Appeal Coordinator in planning for Announcement/Commitment Weekends • Help or advise the ushers for distribution and collection of pledge cards. • Ensures secure collection and mailing of all pledge envelopes. • Oversee and test audio-visual equipment to play launch video. • Review Parish results and share with Pastor and Appeal Coordinator.

YOUR PARISH LAUNCH TIMELINE March 2-3: Announcement Weekend Announcement Weekend is your first opportunity to promote the 2024 Catholic Appeal in your parish during Masses. This weekend is extremely important to launch a successful campaign and prepare your parishioners to make their gift on Commitment Weekend. There are three main components to this weekend: 1. Include the bulletin insert provided by the Catholic Appeal Office If your parish uses LPI, Pilot Bulletins, or JS Paluch the insert will be automatically placed in your printed bulletins. If your parish uses a different company, you will be responsible for insertion. The insert will be mailed to your parish the week of February 22 to ensure insertion for Announcement Weekend. Single page inserts will be available in Spanish, Portuguese, Haitian Creole, and Vietnamese. Parishes should print and insert. 2. Appeal Coordinator to give a “Witness Talk” during Masses A witness talk is key to explaining to parishioners the importance of the Catholic Appeal and should be given by the Appeal Coordinator or another volunteer from the parish. Sample witness talks are available at: bostoncatholicappeal.org/for-parishes. 3. Share the 2024 Catholic Appeal Video This year’s video shares the impact of the Catholic Appeal on our parishes, schools, and communities. If you are able, consider playing the video during Mass before or after the witness talk is given. In addition, add the video to your parish website, post it to your social media page, or send it in an email to your parish list. The video link, as well as instructions on how to embed it on your website can be found at bostoncatholicappeal.org/for-parishes.

March 9-10: Commitment Weekend Commitment Weekend is when parishioners are asked to make their gift to the annual Appeal during the Pastor’s In-Pew Presentation. There is no more effective way to reach your goal and promote participation than the In-Pew Presentation. Details and tips can be found on page 10.

March 16-17: Follow-Up Weekend For parishes with multiple worship sites or in case of inclement weather, you can use this weekend as a back-up for Commitment Weekend. If that is not necessary, use this weekend to remind your parishioners that they can still make their gift to the Appeal.

Week of March 18: Follow-Up Email Solicitation Sending out a follow-up email is an easy and effective way to remind your parishioners to make their gift to the Appeal. The Catholic Appeal Team will provide you with all necessary components for this email for you to build and send through your email system (i.e. Constant Contact, MailChimp, Flocknote, etc.). Sample messaging with links to donation page and video will be provided to parishes.

April – June: Closing your campaign After Easter, your continued promotion of the Appeal will help ensure its overall success. Here are some things to consider during the months after your Appeal launch: April 2

1. P rovide weekly updates regarding your parish Appeal: Parishes will receive weekly updates on their progress towards goal. Use the GOAL poster to highlight your success. Make periodic updates with Mass Announcements or bulletin ads, to share results and encourage full participation.

2. Remember to thank your parishioners. Every donor who makes a gift to the Appeal receives a thank you letter from Cardinal Seán, but we encourage you to thank your parishioners separately for their support. Consider sending thank you notes and/or adding a message of gratitude in your bulletin or on your website/social media.

3. Congratulate your parishioners for a successful campaign. Celebrate any milestones your parish hits during the Appeal via bulletin or Mass announcements, and on your website/social media. Reaching parish goal, increasing parishioner participation, and receiving a rebate check are all things to celebrate with your parish family!

BEST PRACTICES for DELIVERY of APPEAL COMMITMENT WEEKEND Even if your parish conducted an In-Pew Request in 2023, it is important to launch your 2024 Catholic Appeal with the In-Pew Request again. Many parishioners see the pastor’s endorsement as crucial to their support and are more likely to renew when asked directly.

Importance of the In-Pew request:

• Tape the QR code sheet to each pew

If your parish has not tried this method, study it carefully and implement it this year.

• Ensure a sufficient number of in-pew envelopes are available to be distributed during Mass.

• It seeks an intentional gift. The In-Pew Request provides a brief moment for parishioners to consider their role in supporting the larger church and the many ministries of the Archdiocese.

• Recruit additional team members such as extra ushers, greeters, speakers, tech support to show the video.

• It reaches more people than mailings alone. While the response rate on Catholic Appeal mailings is excellent, a letter alone is rarely sufficient to ensure the success of the Appeal.

Step by Step: The in-pew solicitation should be led by the pastor at all weekend Masses. • Conduct the in-pew after the homily. Please do not leave the talk for the end as some people may have to leave Mass early.

• It provides the opportunity for ALL to participate. Parishes making an In-Pew Request often identify new parishioners who are not registered at the time of the Appeal.

• Ensure all parishioners are engaged. Ask all head of households to raise their hand so that the ushers can distribute envelopes to each family.

• It helps ensure early success. Most parishes that implement the In-Pew Request reach their assessment within a few weeks of Commitment Weekend, meaning a shorter and more successful parish campaign.

• Do not ask parishioners to take the pledge form home as this greatly reduces parishioner response. Ask for their commitment today. Have ushers distribute and collect completed forms during Mass.

Prepare for a successful Comittment Weekend

• Be available and prepared for parishioners to ask questions. It is recommended that pastors, celebrants, and volunteers remain after Mass to answer questions about the Appeal.

• Posters should be hung at all entrances. Goal poster should be in a visible spot. • All pews should be free of pledge envelopes from previous Masses. • All pews should have enough pencils for each family representative.


March 9-10, 2024: The in-pew solicitation is the most effective way to ensure your parish will reach and exceed its Annual Catholic Appeal goal. The success of the solicitation rests primarily on the presentation and enthusiasm of the pastor. Up to this point, parishioners have heard about the Catholic Appeal and why it is so very important to support it. Some may have already made a pledge by mail. Now is the time to ask the rest of your parishioners for their financial support.

In Pew Presentation Below is a script that will guide you through the in-pew process. Pastors are strongly encouraged to personalize their presentation to increase its effectiveness. The more effectively you connect the Appeal with a message that will resonate with your parishioners, the more likely they will respond.

Pastor In-Pew Presentation For several weeks now, you have heard about the launch of the 2024 Catholic Appeal. You may have already received a letter from Cardinal Seán and last week we heard from [NAME OF WITNESS TALK PRESENTER] who encouraged us all to make our gift. Today is my turn. For a few moments, I want to tell you why I support the Catholic Appeal and how it helps our parish, and many other important ministries thrive. Last year, the Catholic Appeal helped our parish by …… [Share a parish story] Reemphasis of Offertory vs. Appeal The Catholic Appeal is not the same as our parish Weekly Offertory. The Offertory helps pay our parish utilities, insurance, staff salaries, etc. The Catholic Appeal provides critical funding for Archdiocesan Central Ministries, ministries that provide invaluable aid to parishes like ours and also essential ministries throughout the Archdiocese. Imagine: The Archdiocese of Boston covers nearly 2500 mi² and is the 4th largest diocese in the United States. It includes nearly 250 parishes, 93 Catholic schools, and 88 ethnic communities! It develops, implements, and supports services that reach thousands of people, Catholics and non Catholics alike, each year. As you can imagine, each year the need grows as new challenges arise and old challenges (like the aftereffects of the pandemic) continue. The Appeal allows us to create new beginnings, provide second chances, and develop possibilities. In many ways, the Catholic Appeal is the heartbeat by which many lives are sustained and strengthened. Our parish has always fostered a culture of mercy and responded beautifully when asked to help people in need. With this spirit of generosity, I am hoping you will respond to the Catholic Appeal’s call to serve our brothers and sisters who are suffering, lonely, and in need of help. I join Cardinal Seán in asking for 100% participation this year. The need is that great. And our ability to help is that expansive. The ushers are now distributing envelopes to every family.

Best Practices for Delivery Continued Pastor In-Pew Presentation Continued

I ask you to prayerfully consider- as I have- to give a generous gift to our brothers and sisters in need. Every gift- no matter the size- adds to the collective and has a tremendous impact.

Make a Gift: I am going to give us all a moment to pause now. The pledge envelopes have been distributed. I am going to take a moment to complete my form, I hope that you will too. Please consider a gift or a pledge that makes the most sense for you and your family and indicate your donation preference. Please know that your personal information is confidential and will not be shared with any organization outside the Archdiocese or parish. Many of you may have already given through the Cardinal’s request letter. Raise your hand if you have. Thank you for your early support. Please indicate that on the card envelope. It is not necessary to make your full payment today, you can simply make a pledge. You will receive a monthly reminder cards so you can make payments by check, credit card, or online—whatever is most convenient for you. For those of you who are interested in making an online gift, you can do so by using your mobile device to scan the QR code located on the envelope or on the back of your pew. This will take you to a safe and secure online form to make your gift now by credit card, Paypal or Venmo. It is important to pause and allow parishioners time to complete the form. Please make sure that you write our PARISH NAME/TOWN in the space indicated so that your gift is properly credited to our parish. If you are visiting from another parish, you may write that parish name and town in the space instead. Once you’re done completing all the fields on the form, tear it off, place it in the envelope, and seal it. Pause for 2 Minutes in Quiet Collection- Ushers are coming around to collect your pledge envelope. Thank You I am so grateful to you and so proud to be your pastor. I know that we are often asked to donate to many different organizations. But when we contribute to the Catholic Appeal, we have an opportunity to lift people out of indifference. Together, we can foster connections with one another, even with people we will never meet. Together, we can live our faith and bridge the gap between worry and hope. RESOURCES Catholic Appeal Website: www.bostoncatholicappeal.org The Catholic Appeal website is a resource for pastors, parishioners, parish staff and volunteers. The website has helpful giving and financial information, as well as compelling stories about our ministries. For parishes the most helpful resources can be found on the “FOR PARISHES” tab. • Here you will find all materials to launch your campaign. Bulletin announcements, messaging, ads, video. • All materials are translated into Spanish, Vietnamese, Portuguese and Haitian Creole and available to be downloaded and distributed to your parishioners. • Each week, parish totals are updated for all to view. (Detailed donor reports are sent to your secure email account). • All materials are updated periodically throughout the year for new messaging.

Catholic Appeal Parish Reporting Catholic Appeal parish results are updated weekly on Monday with an email notifying parishes when reports are ready. There are two reports generated. Parish Summary Reports: A listing of all parishes with total donations vs. goal and number of donors. The report is uploaded to the website with a link emailed to all parishes for quick updates. Detailed Parish Donor Reports: A listing of all donors to your parish campaign which includes: Goal • Total Pledged • Total Collected • Pledge Balance • Total Donors This report is sent each Monday to your secure parish email account, beginning February 22nd. Business managers are encouraged to print and share this report with the pastor and finance council.

PLEASE NOTE: During peak remittance times (March through mid-April) it may take longer for parish results to reflect all receipts. LYBUNT (Last Year But Unfortunately Not This) This report is run monthly, beginning in May. It represents parishioners who have given in the past, but not yet in the current year. The report will be emailed to your parish secure email account. Review this list periodically to check for deceased or inactive parishioners. Send updates to catholicappeal@rcab.org. DONATION PROCESSING All Catholic Appeal donations received at the parish should be submitted as soon as possible for processing using the envelopes, bank bags, and FEDEX materials sent to your parish. Notify parish staff and volunteer counters of the special processing of Catholic Appeal donations. Please be sure to store all envelopes and donations in a secure location until they can be sent for processing.

PREPARING DONATIONS RECEIVED AT YOUR PARISH: IN PEW ENVELOPES 1. FOR THE PURPOSE OF DONOR SECURITY, PLEASE DO NOT OPEN ENVELOPES FOR ANY REASON. 2. Write your three-digit parish number on the outside of all envelopes to ensure your parish receives credit for each donation. LOOSE COINS/BILLS NOT ENCLOSED IN ENVELOPE: 1. Tally all loose coins/bills and deposit into your parish account. 2. Write a check from your parish account made payable to “The Catholic Appeal” for the corresponding amount. LOOSE CHECKS RECEIVED WITHOUT ENVELOPE 1. If the check is made out to the parish: Simply write “pay to the order of the Catholic Appeal” on the back of the check and include a signature from an authorized signatory of the parish. 2. I f the check is made out to the Catholic Appeal: you do not need to write anything on the check.

ON-LINE DONATIONS To your parish giving page. 1. For on-line donations: Write a check for the total donations. Send the check along with a listing of the each donor’s name, address and amount. Without this information, a thank you acknowledgement and tax receipt cannot be sent to the parishioner. SHIPPING DONATIONS FOR PROCESSING Bundle all unopened in-pew envelopes and checks together. Place inside the FEDEX envelope and attach label for mailing to our lockbox agent: Datamatix, Inc., Be sure to retain a copy of the FEDEX air bill for tracking purposes. Drop your package in the nearest FEDEX bin. To look up the location of the nearest FEDEX bin go to FEDEX.com. 2. What is the goal of the Annual Appeal? The goal of the 2024 Annual Catholic Appeal is $15.5 million, however this only covers about half of the budget of our Central Ministries. It will be to the benefit of the ministries that are supported by the Annual Catholic Appeal to be as successful as possible.
