OVERVIEW
PH Living, part of the Perfect Hideaways collection, is seeking a motivated and detail-oriented Finance & Shop Assistant to support our retail operations and the financial administration thereof.. This role combines shop and e-commerce management with basic accounting and office support, ideal for someone who enjoys variety and thrives in a collaborative, hands-on environment.
KEY RESPONSIBILITIES
Inventory Management & Stock Take
• Receive and unpack stock; record accurately into inventory systems.
• Assist in regular stock takes and inventory reconciliations.
• Monitor stock levels and update online listings accordingly.
• Report stock discrepancies to the Manager and recommend solutions.
Online Shop Operations
Upload and manage product listings, descriptions, pricing, and images.
• Process customer orders, returns, and refunds promptly.
• Pack and prepare customer orders for dispatch.
• Coordinate with suppliers, couriers, and warehouse staff as needed.
• Ensure accurate record-keeping of all sales and stock movements.
Financial Assistance
• Payments to suppliers
Saving of all invoices to Google drive
• Assist with daily sales reconciliations and financial record updates.
• Support the Manager with budgeting, invoicing, and expense tracking. Prepare basic financial reports (sales summaries, profit margins, etc.).
• Verify supplier invoices and purchase orders for accuracy.

Customer Service

• Respond to online customer inquiries and resolve issues professionally.
• Maintain a positive and helpful brand image in all communications.
Administrative Support
• Help organize schedules, documents, and general office tasks.
• Support marketing activities such as promotions and social media updates.
REQUIREMENTS
• Matric and Bookkeeping qualifications
• Proven experience in e-commerce operations or online retail.
Strong numerical and financial accuracy, basic accounting knowledge preferred.
• Proficiency with online shop platforms (e.g., Shopify, WooCommerce, Etsy) and Excel/Google Sheets.
Good understanding of inventory management and order fulfilment processes.
• Excellent organizational, communication, and time management skills.
• Ability to work independently and support a small team.
• Meticulous attention to detail and commitment to accuracy in financial and stock records.
