Facilities Office Administrator – OPSB Facilities, Maintenance & Real Estate Central Administration Executive Director of Operations & Director of Facilities
Job Summary Under the supervision of the Executive Director of Operations, the Facilities Office Administrator provides day to day office administration of the facilities planning, physical plant management, and real estate functions. The position also entails interaction with Charter School administration. Essential Duties and Responsibilities include the following. Assists and conducts facility assessment, market studies and analysis as well as site selection for Charter School or other use requests; Assists with contract coordination of facilities operations including but not limited to architectural, engineering, custodial, environmental contracts; waste removal and construction; Provides administrative assistance to project managers with renovation, relocation, consolidation, construction, site planning, space planning functions; Assists the Facilities Department the preparation of financial analysis of projects; Maintains a database of district lease and vacant space information; Maintains database of department documentation, e.g. work breakdown structures, history of repairs, status updates, financial records, etc; Implements and maintains a database system to manage contracts, space allocation, repair history, and capital projects connected with Maintenance, Facilities, and Real Estate; Assist in the development and coordination of a Facilities library; Prepares and tracks requisitions through the purchasing process; Monitors the processing of expenditures and the department budget; Assists with customer service complaints and resolutions; Assists the Facilities Department with the preparation of reports for the State and Local board of education; Maintains electronic and hard copy files and records for all OPSB/Real Estate past, present, and future projects/maintenance repairs; Prepares payroll and assists with routine personnel matters; Assists with preparing Board Agenda items; Provides all office administration functions as necessary; Performs other duties as required.
