Decoding Print fleet optimization through Managed Print and Document Solutions By Abhishek Mukherjee, Senior Market Analyst, IPDS, IDC India

P

rinting while being one of the most important process in any organization is also considered as a significant cost overhead. In this age of rapid digital transformation, organizations are looking at digitizing most of the paper intensive process and reducing dependency on printers. One of the solution to address this need is a suitable print and document management solution which can facilitate their digital transformation initiatives and reduce cost burden at the same time. With a persistent demand from the end-users, print device manufacturers and solution providers are constantly focusing on developing robust Managed Print and Document Services (MPDS) solutions. According to International Data Corporation (IDC), Managed Print and Document Services is 3rd Party management of a fleet of Printers/ MFPs through remote monitoring under a multi-year contract covering Hardware, Consumables, and Services. Clients are charged on per page basis with following key service delivery attributes – • Detailed up-front assessment of the print fleet • Fleet usage monitoring and reporting • Ongoing optimization • Governance Managed Printing and Document service contracts bring about the following advantages to the Organizations: Benefits of Managed Print & Document Services Printer fleet reduction MPDS allows organizations to consolidate their printer fleet by enabling a higher ratio of employees per printer, fewer consumables, and reduced paper wastage. In many large corporations, the number of print devices are placed near each other.A detailed assessment comprising of various attributes such as Printer to Employee distance, layout size etc. enables the service provider to recommend their clients to optimize the fleet size and usage. Improved Cost efficiency Printer usage is one of the few unaudited and unchecked process area in organization resulting in lot of inefficiency and cost

36

overruns through paper and consumables wastage. Through periodic assessment of the department’s printing requirements and selective/ need-based access, an organization can control its print costs and improve efficiency. Improved security In the age of digital transformation, print security is one of the prominent cyber threat that an organization should take seriously. Many vendors nowadays arebringing devices equipped with security software suite which protects these end-point devices from internal and external threats. Key elements of device security are as follows – • Automated detection cybersecurity threats

of

• Protect the sensitive data using advanced encryption standards • Automated monitoring compliance reporting

and

• Developing a cohesive print security strategy Continuous Remote Monitoring: MPDS vendors’ key objective is to optimize the print fleet through constant monitoring. Analysis and continuous monitoring of Print usage through dashboards enable Organizationsnot only to keep a close control on the document printing by the employees but also curtail the wastage.Remote monitoring of Chipbased devices and firmware allow tracking of the consumable levels from a central location. Reduce Environmental Impact MPDS is also a big leap towards reducing an organization’s carbon footprint. There are mainly three distinct ways this solution enables companies to “Go Green” – • Installation and usage of a limited number of energy efficient machines • Usage of Original consumables controls particle emission • Optimizing the paper usage and usage of recycled papers by many Device manufacturers. Enterprise Content Management MPDShas enabled abridging the paper-

Mr. Abhishek Mukherjee, Senior Market Analyst, IPDS, IDC India to-digital gap owing to its capturing and routing feature capabilities which integrate the content with the other enterprise systems. The Capturing solution can enable extraction of the information from the documents through Image/ Character recognition software as well – a leap forward to DX. Outlook According to IDC FutureScape, Worldwide Imaging, Printing, and Document Solutions 2018 Predictions(Document Number # US43152617), 45% of All Office Print Devices Shipments Worldwide will be sold as Part of a “Print-as-a-Service” Contract. As per IDC Worldwide MPDS and Basic Print Services forecast Update, 20172021,Asia Pacific (Excluding Japan) region will have the highest CAGR from 2016 to 2021 driven by India and China. The growth momentum of MPDS will gradually be shifting from Large enterprises to Mid-size companies with a CAGR of 18.6% in Lower mid-size firms (100 to 499 employee size) and 9.2% in Upper mid-size firms (500 to 999 employee size)as they are very keen in reducing the printing cost. Hence, the Vendors must shift their focus from Large Accounts and Local/ Regional fulfillments to catering to the needs of these Small and Mid-sized businesses (SMBs). Beyond the cost optimization, MPDS is a strategic IT initiative that cultivates value out of print and continuously improves the enterprise’s workflow management.

They also provide a wide range of office equipment including lamination machines and consumables. In an interaction with A.R. Joshi, CEO, Delhi Copier about the new product and new initiatives of iQ brand. Mr. A.R. Joshi, CEO, Delhi Copier

D

elhi Copier led by A.R. Joshi, CEO, with nearly two decades of imaging industry experience, launched iQ brand in 2016. “In July 2018, we launched 3 models of lamination machines under iQ brand, which we already sold 3000 units in the last 3 months. We are expecting more business for lamination machines. On panIndia basis, we have over 350 dedicated dealers through whom we reach the end customers. We import quality products from a selected set of manufacturers in China. We sell our own branded products and in bulk for others who can purchase and sell under their own brand names. We have pan-India presence but stronger in North and North East India regions and in Karnataka state in South India. In the coming year, we want to increase the number of our partners particularly in the East and South India regions. Besides quality, we also focus on timely delivery, ready availability of products and better service. We have high quality compatible consumables for all major brands including Epson, Xerox, Canon, Brother, Ricoh, Panasonic, Sharp, Kyocera, Konica Minolta, Toshiba, etc. Overall, we are growing at 15%-20% annual growth rate,” said, Joshi.

38

iQ brand products are widely used in government organizations, MNCs and other private sector organizations. Delhi Copier lays special emphasis on meeting the needs of the customers. At iQ, they channelize all their efforts to provide superlative products. As a value addition, they focus strongly on providing good service. Joshi adds, “Among copier toners, black toner is the main selling item for us. Color copier toner forms just 10% of our total toner sales at present, but demand for color toner is growing. In the last few years our printer toner sales have increased significantly. We see good demand for color in future. We try our best to provide toners of impeccable quality that gives quality output and quality parts that drastically reduce the failures and snags in the equipment. Compared to the good quality we provide, our products are reasonably priced. Before we select a manufacturer, we visit their factory and R&D department, study their manufacturing processes and R&D methods closely. If we are satisfied from all angles, then only we select them as our provider.”

Delhi Copier’s services also include providing the customers with user manuals and giving installation and operation training. Delhi Copier has a spacious and well-equipped warehouse to keep their office equipment and other products in right-segregation and protection. Regarding GST, the latest trends in the market and their future plans, Joshi adds, “The recent GST law turned out to be good for us as we could streamline payments and receivables better and our business has improved in the last one year. GST has also reduced the grey market to a significant extent. The negative trend in the market is margins are coming down due to high competition from the poor quality products imported from China. The depreciation in the rupee value against the dollar has pushed up the prices and further reduced the margins. But we believe our good quality will win in the end. On our expansion side, we want to add more imaging media like photo paper to our portfolio. In future, we want to increase our presence in South and East India regions further, which are potential markets. We want to promote our iQ brand more aggressively across the country through different channels.”

In an interaction with Imaging Solution, Gaurav Khetterpal, Director, Greenlam Office Solutions, says, “Our brand ‘growlam’ is well known in the market for its consistent quality and affordable prices. The brand name is meant to imply‘We and our partners grow together.’We have formulated effective policies which are beneficial to our distributors to grow with us together. We are committed to continuously strengthening our products to improve our competitive position. Our vision is to become the leading brand for Office Supplies, to be customer’s first choice and the preferred partner to channel network.” The company had to face a lot of challenges in their initial years due to stiff competition, demonetisation and then GST but overcame them with determination to emerge as a successful brand. Growlam has been able to achieve a rapid sales growth in the last 3 years, and have become a fast upcoming brand in the Industry. Gaurav Khetterpal adds, “We are happy to announce the launch ofa complete range of World Class Laser and Copier Tonersunder our brand ‘growlam’in November 2018. Our customers will be delighted to use our toners which will give them excellent print quality, high efficiency and high yield and consistently. The ethical business practices and client-centric approach helped the company in getting edge over

the competitors. Growlam has added many distributors in the last 1 year and the distributors have been able to achieve their targets and earn high rewards from the company, thanks to growlam’s effective sales and marketing policies. Gaurav Khetterpal further clarified, “Apart from the complete range of toners, we will also display our new ‘Paper Shredders’ which are manufactured as per European standards and are effectively priced. Kindly visit the Expo for more details.” Printer consumables market is growing fast and has a lot of potential to grow and offers a plethora of opportunities to dynamic entrepreneurs if they are active, creative and wise. Today, in this digital world, every office, home, school and establishment requires printers and consumables on a regular basis. About the future plans of the company, Gaurav Khetterpal elaborates, “Growlamis planning to sign in more distributors and dealers in 2019, and increase the brand’s presence across the nation. We have already increased our range of our compatible laser cartridges, laser toners, copier toners for the brands like HP, Samsung, Ricoh, Brother etc. Now, we are going to addcartridge parts like OPC Drum, PCR, MR, etc to our product portfolio. All our products are designed and developed under the guidance of best Industry experts and professionals. We believe that the only way to survive in this market is to provide the customer onestop-solutions for a wide range of products for the users’ different office needs. The wider the range of products we have, the better it is for the brand.” The biggest challenge today is the pricecompetition from the unorganised sector in the imaging industry, where people sell the products by lowering the quality and selling cheaper. It hugely affects the sale in the organised sector. Due to competitive market, many companies, especially in the unorganised market, import products which may be cheaper, but are of very low standards. They might give big margins

to importers, but the implication is this attitude, besides bringing down market quality levels, is creating a lot of e-waste resulting in polluting our environment. Regarding the role he personally want to play to make the Indian imaging industry organized and recognized, Gaurav Khetterpal reveals, “I believe that the Indian imaging industry has a great potential and we can achieve more success and profit in business if we work in a systematic and objective manner. We all in the industry should pledge to bring and sell the best quality products from abroad which has a longer shelf-life. The e-waste contains hazardous substances which are harmful to humans and also to animals. We need to educate people about it and it is our moral responsibility to society to sell and use only best quality products. All products need to be recycled after its end of life or disposed of safely to protect our environment. This kind of initiatives will give recognition to Indian imaging industry globally and elevate its status.” Today, Growlam is a fast growing company with a vision to be a market leader in the next 5 years in the imaging consumables segment. The company plans to spread its network across India covering most of the cities and states.
