HybridHero

What is HybridHero?

HybridHero is our desk booking system which enables staff who work across campuses to make sure they always have somewhere to sit

How do I book a desk?

Booking a desk has never been easier - simply jump onto the Intranet and select Desk Booking from the front page. You will need to enter your username (staff email) and password.

Once you have logged in and set up your profile you have access to the desks to book what you need.

How often do I need to book a desk?

You only need to book a desk if you are working at a campus that you don’t normally work from and need to sit in a new location.

How do I know if a desk is available?

When booking in the desks that are available will be able to be selected. If you can’t select a desk, it has already been booked by someone else.

What

if my work plans change?

If you are no longer in need of a booking, please adjust your bookings as soon as you know. This allows someone else to use that desk.

Whether it be rescheduling appointments, following up on phone calls or just going and getting some milk for the fridge Julie rarely says no as no job is too big or too small for her to tackle and conquer Thanks for being such an awesome team player Julie :)

Jo is a highly valued team member, and our residents love being in her care. Her warmth and sense of humour bring joy to every shift, often leaving someone in tears of laughter. She consistently delivers exceptional, patientcentred care.

Lisa always goes above and beyond. She is only too helpful to do little jobs around the ward to keep it clean and tidy

LIVEHIRE IS NOW HUMANFORCE TALENT

Livehire has been the platform the NCN Health have used for recruitment, talent management and onboarding As of today they are now known as HumanForce Talent, and our platform has been rebranded.

This does not mean a significant change for anyone within the business using the platform. You can still access and apply for roles via the NCN Health website.

Sarah Fothergill also joined our team in November 2024, as the People and Culture Administration Assistant Sarah is the first point of contact for the P&C team, and is responsible for supporting the onboarding function for new staff to NCN Health. Sarah is also the first point of contact in regard to uniforms, swipe cards for Numurkah and Cobram and ID cards Sarah triages the People and Culture email to ensure that your emails are sent to the most appropriate person in the team, assists Febin to support the new staff Orientation program, and assists Mitch with Kineo updates.

Kylie Jackson joined our team in December 2024, as People and Culture Administration Officer. Kylie’s role support the Director of People and Culture, and currently supports the Workcover Administration and Numurkah Accommodation.

Occupational Health and Safety Team

With the realignment of responsibilities in the People & Culture team, Julie Vella’s role as OH&S Manager has also diversified, with her now working closely with Nicole Cason on Workers Compensation and Return to Work (both work related and non-work related). All emails relating to Workers Compensation and Return to Work are now to be directed to NCNWorkCoverRTW@ncnhealth.org.au, all other standard OHS enquires are still directed to NCNOHS@ncnhalthorgau

In addition, Mitch Heaton’s role of Workplace Trainer & Careers Advisor has joined the OH&S team, which will strengthen the focus on Mandatory Training, both online and in person All Kineo or training enquiries are to be sent to NCNPeopleculture@ncnhealth.org.au

Administration team

The Administration Coordinator now report direct to Nicole Cason This role retains daily oversight of the team, coordinating rosters, training and Cobram Accommodation.

Payroll team

With the realignment of responsibilities in the People & Culture team, Karen Ford’s role of Payroll Manager has also taken on a component of the Workers Compensation portfolio, assisting Nicole and Julie with remittances and payments associate with this Due to the recent departure of Sandra Simpson from the team, they are currently a team of 3, always working to ensure that our pays and entitlements are processed! Enquiries for payroll are to be directed to NCNPayroll@ncnhealth.org.au

There has been no impact to the Communications team or to the Volunteer Coordinator role during this change. Emails for these areas are to be sent to NCNCommunications@ncnhealthorgau and NCNVolunteer@ncnhealthorgau

PAYROLL

HESTA is making important changes

HESTA is committed to continuing to deliver the service and value that members expect. That’s why they’ve chosen to partner with a new administration services provider from Saturday 19 April 2025

GROW Inc. will manage the day-to-day running of your member services, including answering queries and securely processing requests. Your super is still managed by and invested with HESTA.

Some of HESTA’s normal services will be temporarily unavailable from Saturday 12 April until Sunday 1 June while the transition takes place

NCN Health will continue to submit super contributions each month, and for contributions submitted after 15 April 2025, HESTA will hold these and process after the transition is complete on 1 June 2025.

King’s Birthday PUBLIC HOLIDAY – Monday 9th June 2025

Please note that due to the above Public Holiday falling on the Monday after the pay period ends, we advise that PAY will be finalised on WEDNESDAY 11th JUNE 2025

Please ensure you notify your bank if you have any direct debit payments due earlier

We also remind all staff to set direct debits to occur at the earliest Thursday or preferably Friday following the pay period end.

If you are salary packaging, you may also have a delay receiving your payments into your nominated bank account or packaging card.

OH&S

Health and Safety Representatives (HSR)

Health and Safety Representatives (HSRs) play a critical role in maintaining a safe and healthy workplace environment HSRs are advocates for employee well-being, working to ensure that workplace hazards are identified and addressed.

HSRs can facilitate communication and consultation whilst working towards creating a culture of safety that benefits both employees and employers HSRs represent their designated work group (DWG) on occupational health and safety issues, concerns and interests

All staff should identify who their HSR is for their DWG so safety issues or concerns can be raised, remember that creating a safe work environment is a shared responsibility, and everyone has a role to play

Should your DWG not have a HSR and health and safety is something that interests, you please reach out to your manager or OHS team for further information on the process for becoming a HSR.

Sharyn Brennan has resigned from her HSR role, our OHS team and committee members thank Sharyn for her contribution to the committee The election process to replace the HSR role in this DWG is underway.

Occupational Violence & Aggression:

Our OVA management plan is complete for 2025 and will be made available via the Intranet Please take some time to review and provide our team with some feedback and suggestions to manage OVA risk.

Portable duress alarms – If these alarms in the area you work, PLEASE ensure you return the alarm at the duration of your shift. There are multiple alarms missing across campuses which potentially compromises the wellbeing of the team

Key tips for Autumn:

As the leaves are changing and weather becoming cooler, good time to reflect on safety practices and wellbeing

Slip, Trips:

Autumn brings risk of slippery surfaces from fallen leaves and damp conditions Ensure all paths are clear of leaves and debris, as they can cause potential hazards, report these immediately via MEX request or your line manager

Daylight Saving:

With shorter daylight hours, ensure adequate lightning in your work areas Especially during early mornings and late afternoons.

Outdoor Work:

As the temperature is changing, wear appropriate clothing, stay hydrated and move indoors should the weather be too cold or wet to continue working outdoors

Mental Health:

Focus on a balanced lifestyle, which can include regular exercise, healthy eating, sufficient sleep patterns, engage in hobbies or activities that you enjoy; regular exercise or even short walk can help boost mood and reduce stress levels

Remember to connect with others weather that’s family or friends or your community to help build strong relationships

Workplace Trainer and Careers Advisor

A reminder that Kineo Dashboard training is available for managers who have direct reports so you can understand how your Kineo can be used to monitor staff’s mandatory training progress outside of the monthly manager reports Please email me for further information or to book into a session.

A reminder that all practical training sessions (excluding ALS) are available to be booked through the Kineo Classroom Booking system. If you are unsure how to use this, please feel free to reach out to me and I will assist you A quick reminder that clinical staff need to enrol in Safe Patient Handling, and non-clinical staff need to enrol in Manual Handling. If you are unsure which one you need to complete, please feel free to send me an email.

When paired with a balanced diet, regular exercise can form a strong foundation for mental resilience and emotional wellness

Is your N95 Mask the correct one?

Did you know that you need a new fit test done at least every few years? You may need one sooner if you have had any changes

WHEN DO I NEED A NEW TEST?

You can request a Respiratory Fit Test at any time - particularly is you have:

Significant weight loss or gain

Facial trauma/surgery

Scarring or cosmetic surgery/cosmetic procedures such as fillers

Extensive dental work including extractions and new dentures

Any concerns about the respirator you were previously fitted

HOW DO I BOOK A TEST

Appointments can be scheduled via the Intranet under the People and Culture tab.

Staff must be in uniform or show their Staff ID Photo Card at the time of the appointment to receive the discount.
