THE OFFICIAL NEWSLETTER OF THE CARPET CLEANERS ASSOCIATION Welcome to the second edition of the new format magazine The Clean Sheet.

I really appreciate all the emails and messages of feedback you’ve sent into the office, and also those who have taken time to call me directly.

It is YOUR magazine and we want it to reflect what you tell us you want. Please keep your ideas and suggestions coming, and especially any news you’d love to share in the “Social Corner”.

It’s great to see ‘good business’ and ‘charitable’ actions recognised. I want to talk about the things member ask me about when they speak to me directly. They might seem like a rambling, but this sums up the conversations and answers questions I’ve had directed at me…

Well, some people have said “I must be mad!”, and having also been warned that the role of President of the NCCA would be very busy, and at times put you out there for a ‘pot shot’, I have to say “I’m loving it!” The appointment of Dave Wheadon as a full time CEO has certainly had a massive impact on all areas of the Association and I’m sure has also made my role easier. I speak almost daily with Dave and his enthusiasm is infectious. When I receive calls directly from members who have also dealt with Dave and they say they love his enthusiasm and positivity that just confirms that as a Board we made the right choice to appoint a CEO, and Dave into that role.

I don’t want this to be a “mutual appreciation society” message, but I want to encourage you to spread the news about the changes that are

happening in the NCCA, share them with other guys out there who are not members. Let’s grow this organisation for everyone’s benefit, but most of all, start actively promoting your membership to the consumer. This is a two way street, it needs us as an organisation and you as a member to work together.

I don’t want to steal others thunder, but our recent radio day gave us exposure to millions of people, and those members who picked up on this and promoted it locally also reaped the benefit We’re looking to do more of this type of marketing/PR that we can all tap into.

There’s lot’s happening that we can’t discuss publicly yet. What I can tell you is that during the renewal period we traditionally lose a significant number of members for various reasons. This year, not only have we massively reduced that number, we have added significantly more new members resulting in a net GAIN at a time when we usually see the biggest dip in membership numbers. This is, apparently, unprecedented and shows that we are getting the word out there about the benefits and value of membership.

To those who have recommended the NCCA to others, I thank you personally. I know what promoting the NCCA has done for my business, so later this year we are proposing to host a series of

THE CLEAN SHEET free webinars where I will share what we do in our carpet cleaning business. This should help you to promote yourself as a NCCA member and how that should help you generate more work for you when speaking to potential clients.

As many of you know I love marketing and all things related. The long awaited TLC (Trusted Local Cleaners) has recently gone live and you should all have received your email or a notification with your login details. There will be more coming soon on how YOU can help use the site to generate leads and gather reviews for your business. By working TOGETHER we can all help with the growth of TLC so it becomes a dominant force on national Google organic searches when consumers are looking for our any of the services related to our members.

The National Carpet Cleaners Association was not set up, and never presented itself, as a lead generation source. Most members find it is anyway, but TLC should start to generate leads for all our members. I genuinely believe if you

market your membership correctly IT IS a lead generation source. In my business we ask “was there any particular reason you chose us to clean your furnishings?” We hear responses like “I saw you were part of the trade association…” and “The local carpet shop said I should choose a member…”

My door is always open, email, call or message me with any queries or feedback you have.

CLEANING IN HOT WEATHER I know this article, or at least the underlying message, has been published before, but there has already been a Facebook post on the subject this year and having already seen some very hot spells this year and possibly more to come, I thought it would be a good idea to republish, especially with the large number of new members we have who won’t have seen it.

During the winter months and humid spring conditions, many cleaners find they have issues with extended drying times and have been asking advice about speeding up the drying process. With the recent spell of hot weather however, drying isn’t a problem any more, Though a whole new set of concerns rear their heads.

Doing ok. You’re probably well hydrated.

Drink water as normal.

You’re just fine. You could stand to drink a little water now, maybe a small glass of water.

Drink about 1/2 bottle of water (1/4 liter) within the hour, or drink a whole bottle (1/2 liter) of water if you’re outside and/or sweating.

Drink about 1/2 bottle of water (1/4 liter) right now, or drink a whole bottle (1/2 liter) of water if you’re outside and/or sweating.

Drink 2 bottles of water right now (1 liter). If your urine is darker than this and/or red or brown, then dehydration may not be your problem. See a doctor.

Pre-sprays can dry very quickly when applied to carpets or upholstery in hot weather. If this happens, please DO NOT apply more pre-spray. You have very highly concentrated product in the item already, and adding more product will only make any potential problems much worse. As products dry out they obviously become very concentrated, potentially altering the pH and forming residues

which adhere to the fibres. Products containing solvents or citrus oils for removing grease may see the solvent evaporate away making them much less effective. You should rinse the item thoroughly with your normal rinse solution, then start the cleaning process again by applying fresh pre-spray, agitating and rinsing, but make sure the pre-spray doesn’t dry out this time of course!

TO PREVENT THE PROBLEM: 1) Work in smaller sections with less dwell time. As the ambient temperature is higher, most products will work better anyway so the reduced dwell time shouldn’t make a difference to the standard of clean and working in smaller sections will prevent the prespray drying out.

2) Increase dilution rates for products. If you know the product is going to start drying out, try mixing at say 12 to 1 instead of 10 to 1, then as the pre-spray dries, the solution reaches its normal dilution rate.

This can be difficult to judge, but is a better option than having products dry out before extraction.

3) Apply more pre-spray – you might say this is obvious, but I would only do this if you have increased the dilution rate first – putting too much product down can cause its own problems and please ensure that you are not over wetting, just a little extra to keep things damp is the key. If you have increased the dilution rate of your product, you can always apply a little more during the clean to keep things damp.

Equipment can also suffer. Brass quick disconnects can become stiff, cables and solution hoses can soften and kink more easily, and fan motors and pumps can overheat. Keep equipment well ventilated, make sure cooling fans in equipment are clean and working correctly, check cables for damage and don’t leave cables coiled up when equipment is running, spread them out to prevent overheating.

THE CLEAN SHEET And finally, you. Drink plenty of water to keep hydrated. If you get a headache, become abnormally tired or have blurred vision, stop work, drink water and try to cool off. If you are drinking lots but not needing the toilet you are dehydrating.

Building sites commonly have urine colour charts in their facilities. If your urine is too dark you are at

risk of all sorts of problems caused by dehydration, including long term health issues like kidney damage – anything darker than straw coloured is a problem. Oh, yes, and resist that refreshing pint of lager on the way home, alcohol dehydrates you even more, drink plenty of water before that pint!

APPARENT SOILING We don’t seem to hear the phrase “Apparent Soiling” so much these days, although it can be one of the most difficult phenomenon to explain to a potential customer.

There are two types of soil - “Real Soil” and “Apparent Soil”. I like to define each as follows:

REAL SOIL Any matter that is foreign to the construction of the carpet and can be removed from the carpet.

Carpets act as filters by trapping soils such as sand, grit, food, hair, dust. This “Real Soil” can be removed with frequent vacuuming and is, for the most part, what professional carpet cleaners deal with on a daily basis.

APPARENT SOIL Appears to be soil but cannot be removed because it is not really soil.

EXAMPLES OF APPARENT SOIL INCLUDE: Damage in Heavy Traffic Areas - The main traffic areas of a carpet will appear grey or dirty when they are worn or flattened. The potential customer will often be expecting total removal of this, after all it is “just dirt”. Any abrasive soil that has been allowed to build up over time will have damaged the carpet fibres resulting in a change of their light reflection qualities.

The offending discolouration tends to look like normal soiling and if the customer isn’t made aware of the fact that the unsightly appearance will more than likely still be evident after a clean you may have some difficulty explaining the result. A discussion beforehand is recommended, almost a damage limitation exercise.

Pile Reversal - This phenomenon, also known as shading, pooling or water marks, is often seen on cut pile carpets. It is all down to light reflection of the fibres leaning in different directions and is NOT correctable by cleaning.

Lighting - Shadows and reflections can create some really frustrating experiences for cleaning technicians. Many strange spots visible after a clean are actually shadows from household contents, e.g. indentations from furniture, reflection of light from mirrors or lights.

Wear - The wearing of the face fibres of the carpet, damage by abrasion of foot traffic, often seen in front of chairs and settees, in doorways into the room especially if there is a sharp turn as you enter.

Dealing with this apparent soiling entails the cleaning technician identifying the problem and then spending time with the potential customer in explaining what they should expect after a clean.

Don’t forget that the customer is usually looking for the cleaned item to look ‘like new’. We know from experience that this is not always possible.

INTRODUCING TRUSTED LOCAL CLEANERS Trusted Local Cleaners (TLC) is the first online directory specifically for consumers to find trusted, carpet and upholstery cleaning professionals, accredited by the National Carpet Cleaners Association.

This is the new consumer-facing website for the Association, and only members of the NCCA will be listed on this directory.

Each member will have a listing on the website that will contain contact and service information but can also be customised with your own text, images and videos. Listings can be found and sorted by customers looking for local professional cleaners and a review system has been introduced, which can be of great benefit in terms of search rankings.

Reviews from customers will be an integral part of the website and provisions will be made available to assist members in collecting feedback. A range of blog posts will also be featured that can be shared and referenced through your social media and website.

To ensure that your listings are optimised for customer searches, please can you email Lauren if you have any queries about your listed cleaning services and methods, and any additional locations you may cover. If you would like to make any amendments, evidence may be required for confirmation.

3. B ECOME A 5* TRUSTED LOCAL CLEANER The review system allows your customers to leave feedback about their experience. The higher your ratings, the higher you will display in the search results when filtered by ratings.

Reviews are approved by admin and will be used to determine the ‘Featured Trusted Local Cleaner of the Month’.

The NCCA are in the process of creating review cards for members. We encourage members to give these out to their customers to direct them to leave a review online.

Customers can also contact the office for us to input their review. We will let you know when these are available.

NCCA SPRING CLEAN SURVEY

As part of National Spring Cleaning Week, the NCCA took to the British public with their Spring Clean Survey to undercover general attitudes towards cleanliness and cleaning habits.

The survey found that 40% of typical households considered it rude if guests did not take their shoes off when visiting their house. However, around 8% of those admitted to wearing their own shoes around the house.

The survey revealed that 70% of people had brought mud into their home, and 25% admitted to treading dog poo in their carpet. Dog mess carries a wealth of bacteria, and if it is not removed promptly and correctly, it can be passed on to adults, children and other animals.

Professional cleaning can ensure elimination of such germs and bacteria.

Interestingly, over 25% of those surveyed said that they’d changed a baby’s nappy on the carpet. Some carpets may look clean on the surface, but the visible grime we notice is just the tip of the iceberg.

NHS research has shown that 2/3 of Britons don’t follow basic hygiene, which makes the need for regular, professional cleaning all the more important.

I wonder how many of the 40% who revealed that they exercise, and the 25% of those who’ve had sex on the carpet in their home, have thought about what might be lurking in their carpets.

It takes the right tools to clean upholstery well yet leave it as dry as possible. 8 STEPS TO A PHENOMENAL CLEANING & RESTORATION BUSINESS Last month I shared the importance of having a vision for your life.

CREATE A VISION FOR YOUR BUSINESS One of my favorite quotes is “Vision without action is a daydream. Action without vision is a nightmare.”

You know how it is, you read an article or go to a seminar and get an idea but you never do anything about it. I’ve done that.

Worse, we wake up every day with NO VISION. We just get through the day. Here’s one of the most important questions, you could ever ask yourself as a business owner (yes, a business OWNER, not a carpet cleaner)…

“Do you remember WHY you went into business for yourself?”

Was it to make a lot of money? Or was it to be your own boss – to chart your own course – to have a little more “free time”?

Yeah right!

The brutal reality of most cleaner’s lives is you feel like a slave to the business, there’s very little family time, the business consumes your mind 24/7, there’s no real freedom, you feel like you have a job rather than a business and your day is consumed putting out “brush-fires” I was talking to the wife of a new coaching client yesterday, and she was emotionally distraught because she’s worried that her husband is going to

kill himself working day and night. He is completely overwhelmed because he tries do everything himself. He’s angry because two of his key people walked out, and he’s worried because he forgets appointments which doesn’t triggers unhappy customers and helter skelter scheduling.

He answers the phone, goes on every job, and does all the paperwork. He’s literally a prisoner of his own making. What’s his future? Is that what he went into business for? Is that the vision? No. That’s not what we have in mind when we start out.

I know how that guy feels because I felt like that.

After a few years in business, I became frustrated because I had to do everything myself (because I had not figured out how to hire and lead the right people). I was angry because when I did tell my employees what to do, they didn’t do it (because I didn’t know how to lead). I was overwhelmed because I was trying to carry the entire load (because I didn’t have any systems).

So, what changed? I got a new vision for my company. I read The E-Myth Revisited, a book by my good friend Micheal E. Gerber. After reading that book, my vision became clear: I would have a turnkey cleaning business that ran WITHOUT me.

Is that even possible? Well, yes it is. But that might not be YOUR vision. Your vision is what’s important.

Start by simply creating a vision for your business ONE YEAR from today. Get out a piece of paper or get on your computer or open your notes app and put today’s date next year at the top.

Now, describe the business you want one year from now. Create a picture of your business. You have to

see the picture in your mind before it becomes reality. A vision is a picture.

The more inspiring the picture is, the more exciting it is to you, the more you’ll engage your mind, will and emotion to accomplish it.

The first thing you need to be successful is inspiration.

Inspiration comes from desire and desire comes from a vision. If you won’t visualize your preferred future, someone else will. If you can’t create the picture, you’ll end up somewhere by accident. Do you want your business success to be by accident?

Do you want to grow? My guess is that you aren’t completely satisfied with where your business is right now. And if you’re “comfortable”, you’ll start sliding in one way or another very soon.

PAINT THE PICTURE: Start with your daily schedule. What do you want your daily schedule to look like? Remember the life goals you did last month? There’s a great exercise I do called “The Perfect Day” exercise. Where do you wake up? Who are you with? What do you do in the morning, throughout the day, and in the evening?

Think about the things you are doing right now that you don’t like to do (or that you’re not good at) and take those out of the picture. Think about the parts you love to do and keep those in the picture.

Don’t worry about HOW you’ll accomplish the vision.

Instead, focus on WHY you want it. Maybe it’s so you can spend more time with your family. Maybe it’s so you can do ministry or community service, or maybe you just want to work fifty hours a week instead of eighty! Just write it down. If it is meaningful to you, write it down. Maybe the picture includes being at little league with your child. Maybe it means date night with your spouse once a week. Maybe it means actually having dinner with the family every night.

Remember, don’t worry about how, just what and why for now.

Now, visualize how much money you want to make and how you’ll use that money. Maybe you have debt you want to pay off. Maybe you want a new car.

Maybe you need equipment for your business. Think about how much money you’ll need to generate in your business. Don’t worry, you’ll plan that out in the next steps, but for now, just put something down.

What staff or equipment do you want to add to your business this year? Are there services you want to add? Are there services you need to get rid of? What systems have you built in this picture of the future?

Does your picture inspire you? If it doesn’t, you won’t pursue it. Does it make you nervous? If it doesn’t, it’s too easy. Challenge yourself. You can do more than you think you can. If you take the time to visualize a better, more meaningful future for yourself and your family, you’ll create the energy to build it. Without a clearly defined vision for the future, you’ll be forced to focus on the present, (or worse the past) and ultimately be enslaved by it.

In order to be phenomenally successful, you need a phenomenal vision. Look at that picture EVERY DAY and update it as you go along. The next step will be to assess where you are, and put a plan in place to figure out how you’ll make this vision a reality. A goal without a plan is just a wish.

HELP US TO HELP YOU One of the most valuable benefits of NCCA membership is being allowed to use the Association name and logo in your advertising. If used properly it can instil confidence in your clients and will gain you work over non-member competitors.

Non-member companies sometimes see the benefits of NCCA membership and the logo and use it on their websites, vehicles, leaflets and other advertising when they are not entitled to. This is a breach of the NCCA’s intellectual property rights and a serious offence under fair trading and consumer protection legislation.

We take such misuse very seriously and do what we can to prevent it. Every instance of logo misuse brought to our attention is investigated and pursued, with the ultimate sanction being prosecution of the business concerned. Often our warnings are enough, but we are willing to take these matters as far as required to ensure they are resolved.

Most of the cases of name or logo misuse are reported to us by eagle-eyed members and we would like to encourage you all to help us to protect this valuable member benefit. We do now have dedicated Directors covering Standards and Fair Trading (Nigel Lay) and Compliance (Martin Johns). These two along with the office and rest of the Board, will be doing what we can to address and prevent logo misuse across the country.

One thing that does make it easier for us all to identify genuine members and spot the imposters is correct use of the NCCA logo on websites and other advertising/promotional material. All members have been provided with an official copy of the logo featuring their membership number and level. We request that this is the one you publish and promote to distinguish yourselves.

Just to clarify another point which has been raised again recently, we are unfortunately limited in our action against companies advertising that they have been ‘trained by’ the NCCA. Although we do have measures in place and make our guidelines clear during the training courses, if this statement is factual it is not legally considered misrepresentation. It is an issue we have tried to address previously and are looking into again, with particular attention to the certificates issued to delegates on training courses.

Although training is a grey area, any mention of membership, accreditation or approval by non-members would be prohibited and can be reported to us.

If you have any concerns about the advertising of carpet cleaners who may not be registered, check for a listing on www.trustedlocalcleaners.co.uk or email the office. It is better to let us know and we find the advertising is correct, than to allow a non-member to abuse the privileges of NCCA membership.

He had some great ideas and wanted to work on the marketing side as he seemed to have a flair for it. He was great at writing articles, was a pretty good editor as well. It wasn’t long before he showed his extreme knowledge of stone, ceramics, terracotta, marble and so on. He quickly became known as the hard man because he taught the cleaning of hard floors.

His knowledge of this area knew no bounds and he wanted to share it with everyone. Keith had a knack of putting things out there which made it all the more interesting. I was lucky enough not to just see Keith at board meetings but various get togethers, both here and in the States.

The NCCA are very sad to announce the passing of long-standing member and Director, Keith Robertson. Keith was well known and liked in the industry and will be dearly missed.

The thoughts of the Association and industry are with Keith and his family at this difficult time. Below are some comments from his peers.

I first met Keith some 15 years ago on a training course. He attended with his son David. We hit it off quite quickly as Keith had plenty of stories and had explained that he had been a member many years before. We struck up a friendship and said that he realized the association had changed and he would like to get more involved. It wasn’t very long before he became a director of the association.

Whenever we met, it was customary to receive a hug from him, which was special. He was always willing to share a story or two over a glass of wine that he very often supplied. He loved to travel with Angela his wife, rarely would you see one without the other. They were always good company to be around. He will certainly be missed by more than he will ever know. I for one will miss the hug and the story telling. RIP Keith.

- Paul Pearce Very sad, I was on the NCCA board of directors with him, stubborn as hell and stuck in his ways, but I certainly couldn’t help but like him, a very sad day.

- Billy Russell Stubborns the word. When the top female loss adjuster told him to uplift a floor to keep the policy holder happy, he refused as it didn’t need to come up. However the way he worded it didn’t go down to well and cost him the contract. “Listen my dear, I’ve been doing this 30 years the floor isn’t coming up”. Daft bugger should have just done it they would have paid him R.I.P - John Kelly

THE CLEAN SHEET I only had a few opportunities to meet Keith during my few years in the industry but when I did I thoroughly enjoyed his company and found him to be absolutely fascinating, he always had a vast knowledge on weird and wonderful topics.

- Kerry Thomas Very Sad news that Keith Robertson has passed away I only sat on the board with Keith for a short while , but it was evident the complete dedication he had for our Association.

- Dave Wheadon A sad day for all. Keith was a stalwart of our association and industry but his real passion was with stone. Leigh and I have many memories of Keith, especially lots of little, insignificant occasions that make us smile even today. Just last week we brought him into our conversation. Our love, thoughts and prayers to Angela and their family.

- Ken Wainwright Very sad news, Keith was one of the nicest guys in the industry, he will be sadly missed.

- Andrew Southan This is very sad news. Keith was always there to ‘natter’ to and on my early time on the board gave me guidance. His contribution to the industry and the NCCA over many many years was significant. At times “a stubborn old bugger” springs to mind but a massive heart.

- Allan Simmons So sad to hear the news of Keith's passing. I served with Keith on the NCCA board. Passionate, knowledgeable and willing to share his knowledge with anyone that wished to learn. Keith could be stubborn but was always acting with the industry at the heart of the decisions that he took. He will be missed. My thoughts are with Angela and the family. Nigel Lay Sorry to hear the news of Keith’s passing, he’d been soldiering on with his health problems for some years, and the last time we saw him he was just the

WHY CARPET CLEANERS SHOULD CONSIDER ‘CONTINUITY PROGRAMS’

What do WhatsApp, Amazon Prime and Microsoft have in common?

2007 version for as long as I could otherwise (at a loss of revenue to Microsoft).

The answer is that they have all added a ‘subscription’ or ‘continuity’ service to their business model (although WhatsApp is now free).

Amazon Prime users pay a monthly (or annual) fee and get a number of extra benefits including free delivery. Microsoft have made their Office suite available on subscription for around £50 a year (or less from Amazon) instead of having to buy the software at a cost of up to £400 a time.

Maybe, like me, you used an old version of Microsoft Office. The last version I bought was 2007 at a cost of several hundred pounds. Then I started using one of the free alternatives. Now I’ve ‘subscribed’ to Office once again. At £1 per week it’s a bargain. I would have continued with my old

WhatsApp used to cost 69p per year and with an estimated 900 million users worldwide equates to over 600 million pounds! It was sold to Facebook in 2014 for $19 billion. Now would Facebook have paid all that money if WhatsApp had to go out and find millions of new customers every year?

Continuity is a great business model and one that carpet cleaners can copy with great success.

So how does it work for carpet cleaners?

The most common form is a ‘Maintenance Plan’ where the customer gets an initial discount plus lots of free extras. So the deal could be 50% discount off the initial cleaning with the normal annual cost being divided into twelve and paid by standing order. The agreement may include free spotter, free interim cleans of walkways or free call-outs to attend to stains that the customer is unable to remove.
