Policies Minimum Expenditures: All events held at the club are subject to a food and beverage minimum. Minimums range from $4,000++-$20,000++ depending on the date and time. F&B minimums do not include site fees. Service Charge and Sales Tax: All food and beverage items are subject to 21% service charge and current CA state sales tax. These additional fees will not count towards you food and beverage minimum. Service charge is taxable according to the CA State Sales Tax Regulation 1603 as it is not a gratuity. Event Hours: 6 hours of event time is included with both a ceremony and reception onsite. 5 hours of event time is included with a reception only. Outdoor events may begin no earlier than 5pm and must end by 12am. Events held in the dining room may run from 10am to 3pm OR 5PM and onward. The dining room curfew is 2am. Additional hours are $750 each if added 10 days prior to the event. If additional hours are requested the night of the event, they are $1,000 each. This hourly fee does not include additional food or beverage. Vendor Set Up & Breakdown: Vendors for an evening event may arrive at 3pm for setup and have up to 1 hour to breakdown once the event ends. Personal items or rental items cannot be stored over night and must be removed within 1 hour once the event is finished. Ceremony set up will always be 3pm; additional reception set up time may be arranged depending on location used and the schedule of the Club. Deposits & Payments: An event is not confirmed unless a signed contract and deposit is turned in. If you are 6 months or more from your date, the initial deposit is 25% of your food and beverage minimum plus site fees. If your date is within 6 months, a 50% deposit is required. The event contract will detail any additional deposits due prior to the event. Payments leading up to the final payment may be made with check, cash, or credit card. The final payment which is due 10 days before the wedding can be paid with cash, credit card, cashier’s check or money order. Guaranteed Attendance: Final guest count will be due to the club 10 days before the contracted event date. Once attendance is guaranteed you may not reduce your count, but you may increase it. Our Chef prepares up to 5% over your guest count. Food & Beverage: MountainGate does allow outside catering if preferred. We do require all outside caterers provide us with a copy of their COL. Caterers will not have any kitchen access for prepping, cooking, refrigeration, or storage. All beer, soft drinks, and hard alcohol must be provided by the club and are not allowed to be brought in. MountainGate servers will take no responsibility in setting up of any outside food or providing serving platters, chafing dishes, or serving utensils. All outside food must be approved by MountainGate and the client is required to sign a liability release. Importing fees may apply.
Policies Day of Wedding Coordinator: MountainGate Country Club requires a professional event planner/wedding coordinator on the day of the event and involved in the planning at a minimum of 1 month prior to the event day. The coordinator should be responsible for creating a detailed day of timeline as well as confirming all vendor set up and breakdown times prior to the event. The coordinator will attend and direct the wedding rehearsal so that family, bridal party, and vendors involved are comfortable with the ceremony details. The day of the wedding planner should arrive prior to the ceremony to set up all personal details: place cards, favors, dÊcor etc., direct vendors with their set up locations, distribute personal flowers, and direct guests throughout the event pertaining to the event flow: ceremony, cocktail hour, reception. The coordinator will line up those involved in the ceremony and send them down the aisle. They will coordinate with DJ to ensure the reception runs smoothly and the timeline is followed. The coordinator will deliver gifts and all personal items and dÊcor to the designated car or person by the end of the wedding.
