NEW LISTING REQUEST
Once a broker has obtained a verbal agreement from a seller, they are prompted to submit a new listing request. At high level, this form captures the following:

the process
• identify the strongest 3-10 photos + drag into the social media template
• begin scaling + cropping each individual photo until the composition meets brand standards
• identify the top 2-5 images that align well for the overlay images
• once all artboards are complete, export for screens as JPG 100
• once exported, rename all files to “social — <<address 01>>”
quick tips
• order all photos as one would experience while touring the property — for example, lead with the exterior, followed by the interior living spaces, kitchen, bedrooms, bathrooms + outdoor living spaces
• feature bathrooms + bedrooms only if they possess notable design features
• refrain from use of appliance-heavy kitchen photos
• exclude vents or “eye sore” finds when applicable
• do not focus on furniture-heavy photos as we are not selling furniture
• ensure that the overlay text is 90% legible
• use different photos for “just listed”, “open house” + “under contract”

• input the properties two words, address, neighborhood + specs sourced via Monday.com
• place + embed the key photo sourced via Monday.com
• input the bullet points provided by the content manager — note, the same bullets will be used on the brochure card
• once all information is complete, export as JPG with 150 resolution
quick tips
• all bulleted property characteristics should be listed as one would experience while touring the property — for example, lead with the exterior features, followed by the interior living spaces, kitchen, bedrooms, bathrooms, outdoor living spaces + neighborhood information
• if a property has many notable features beyond the allocated space, please shift the CTA, mhm logo, broker contact information + disclaimer down as needed to accommodate additional bullets
• adjust the tracking as needed, but never go below 30
• adjust the front size as needed, but never go below 13
• if a bulleted feature is two lines or more, please always keep it in one column
• keep both bulleted columns equal

• place the strongest selection of photography + embed all photos
• once all information is complete, export as a PDF as pages with “crop marks” selected from the “marks” section and “use document bleed settings” from the “bleed + slug” section
quick tips
• utilize the bulleted property characteristics from our content manager
• choose three descriptive adjectives for page four — descriptive words located in resources
• the introductory sentence on page three is sourced from the first sentence of the MLS remarks
• the remaining MLS remarks will be used on page six
• the front + back cover is typically a wrap with one exterior or luxurious interior photo — if no photos translate well for the wrap, please use two different photos for the front + back
• please order the photo selection as though one would experience while touring the property — we recommend utilizing a detailed photo for page six
• utilize the broker page on the mhm website to input the contact information on page eight

the process

• place + embed a selection of curated photography that demonstrates full view + vingette style photos
• input copy based on the MLS remarks + the narrative
• for the designer eflyer, once all information is complete, export as JPG with 150 resolution
• for the ultra luxury property book, once all information is complete, export as a PDF as pages with “crop marks” selected from the “marks” section and “use document bleed settings” from the “bleed + slug” section

• all copy should relate to the corresponding photography selects
• adjust the tracking as needed, but never go below 30
• always integrate black + white photography

project platforms how we communicate
• INCOMING LISTINGS — once the new listing request is submitted, it is populated into this section and will remain here until the photography is received
• IN PRODUCTION — once we have received the photography, the listing is migrated into this section. The listing will remain in this section from marketing asset creation through to broker approval
• APPROVED LISTINGS — once the marketing collateral has been approved by the broker and the print marketing (if applicable) has been ordered, the listing will migrate to this section
the sections // the statuses //
• ON HOLD — once the new listing request is submitted and is populated into the “incoming listings” section, it will have an “on hold” status
• STARTED — once photography is received, the listing will move into the “in production” section with the status “in production”, meaning the listing marketing package is ready for creation; the assigned designer begins production of the listing marketing package, they will change the status to “started”
• BROKER REVIEW — once the listing marketing package has been internally reviewed and approved, the designer will send the marketing materials to the broker via email and change the status to “broker review”
• APPROVED — once the designer received final approval from the broker, the status changes to “approved”. If print materials were created for the listing, they will change the status to “order” in the print order column
• NO BROKER RESPONSE — if the designer is unable to receive response or approval from the broker after two emails + one phone call, the status will change to “no broker response”, the print order form will change to “no reply”, and they will leave a note in the listing task indicating that they did not hear back from the agent

• prior to sending the marketing approval email to the broker(s), please search for them in the marketing approvals Monday board
• if a broker(s) has an executive assistant or operates as a team, the preferred method of contact will be listed out here — if you do not see a broker in this board, there are no special delivery instructions
• although most brokers have their printed marketing sent directly to their home address, there are a selection of brokers who have special instructions, such as “assistant pickup”, “send to Cherry Creek office”, “send to Boulder office” and so on

sharepoint asset management + storage
Sharepoint is where all assets, files and documents are stored brokerage-wide. All listing marketing materials are housed here for seamless access by other team members. what is sharepoint?
the process //
• once a listing has been assigned to a designer in Monday, the designer will shift to Sharepoint to obtain any appropriate listing marketing templates
• all brokers have eflyer + brochure card templates readily available for use — these are located in “Marketing - Brokers // 4. Listing Marketing Templates”
• any relevant listing marketing templates, such as social media, luxury lookbook, lease listing marketing + open house eflyers are located in “Marketing - Brokers // 4. Listing Marketing Templates // _TEMPLATES”
• once the marketing materials have been internally reviewed + sent to the broker via email, please create a folder in the “2023 Active Transactions” folder labeled by the full address
• please be sure to house all final output files + the InDesign files for future use — please do not include the Illustrator file
• once the broker has approved the marketing materials + the listing is complete, please drag the folder into the “Archive 2023 Transactions” folder
