Utilizing your CRM: Tips for Database Clean-up and Organization

You will benefit greatly from getting your database in order. Making sure you fill out as much data as possible on each contact is a huge opportunity, but it can be a big commitment as far as time and effort. That’s why you need to create a plan of action and prioritize the contacts that will help you create more leads and closings while you are organizing.

Here’s a quick prioritization list that we created for you to consider, but please note that your priorities are likely unique based on your business.

Current Prospects (Buyers and Sellers)

If someone has stated that they are looking to buy or sell in the next month, 6 months, or a year – your CRM can help keep you top-of-mind so that when the time comes, you’re guaranteed to be their Realtor®.

Top Referrers

This group of people are already sending you referrals, double down on making sure that you’re keeping in front of them.

Immediate SOI

Your friends, family, and previous clients should be sending you referrals – making sure you have their information in you CRM and sign them up for campaigns to ensure you do.

Investor Opportunities

Not just those contacts who currently own investment properties, but those high earners. Wouldn’t it be great to send that entire group regular communications about the benefits of investing?

Neighbors

Farming is key to real estate, so this group should be organized and ready in your CRM.

Agents

You might not consider outside agents as a good thing to put in your CRM, but being able to easily send out an e-blast about a buyer need or a new listing (Listing Announcement subscription) is a huge benefit.

Vendors

When someone asks for a recommendation, you need to easily pull up a list of folks and the CRM should be where you have them. Plus, you shouldn’t just send them business – they need to send business to you!

Think of YOUR groups – it could be folks that you know at your child’s school, your church group, the organizations you’re apart of, and the things you are passionate about and can be a source of business!
