Welcome

It is my pleasure as Vice-Chancellor to welcome you to Leeds Trinity University. You are joining a university renowned for its friendly and supportive community, which prepares graduates to make a rich and varied contribution to society.

Providing our apprentices with an exceptional university experience is at the heart of everything we do at Leeds Trinity, and I sincerely hope you have a successful and enjoyable time with us during your apprenticeship.

Your Get Going Guide highlights important details and helpful information you need before your start date. Please make sure you read through the guide and complete any tasks to ensure that everything is in place for the start of your apprenticeship journey.

Step 1: Register your username and password

Before your begin your apprenticeship, there are some key steps that you must take in order to log in and use Leeds Trinity University’s IT systems. We recommend completing these steps on a laptop or a desktop computer. You will also need a mobile device.

Register your username and password

Use your Leeds Trinity University username and password to log in to e:Vision.

Your username and password will be sent to you via the email address you provided when you first applied to Leeds Trinity University. This will give you access to all of Leeds Trinity University’s online systems, including our online registration facility.

If you have changed your email or postal address, please let us know as soon as possible so we can ensure that your registration details are sent to the correct address. You may do this by contacting asa@leedstrinity.ac.uk.

Please note that once you are a registered apprentice, we will primarily communicate with you via your university email address so you must check your University email regularly.

Register for Multi-Factor Authentication (MFA)

When you log into our IT systems for the first time, you need to make sure you have set up a second factor of authentication. We use Microsoft Authenticator app as our second factor.

Please download the Microsoft Authenticator app from the App Store and Google Play Store to your mobile device. With MFA, you’ll be able to reset your password and protect your account from hackers.

If you have any issues or questions about setting up MFA, contact the IT services at helpdesk@leedstrinity.ac.uk.

Step 2: myLTU

Access Leeds Trinity University services and support from the palm of your hand.

Available on mobile devices and desktops, myLTU is your personalised app that gives you access to everything you need for life at Leeds Trinity University.

Once you are fully enrolled and have started your course you can access the following:

• Your personal timetable

• Moodle – our virtual learning environment

• Your university emails

• e:Vision – the home of your student record

Download myLTU

Please download and install myLTU to your mobile device ready for when you start. If you don’t complete Multi-Factor Authentication you will be locked out of the app. You can wait until you have joined us to get help with this if you would prefer.

Search myLTU on the App Store and Google Play Store to download the app. If you haven’t got a smartphone, don’t worry – you can use myLTU via a computer at myltu.leedstrinity.ac.uk. You can log into myLTU using your university email and password.

Please accept push notifications to ensure that you receive important updates.

Step 3: Registering for your programme

Before you start your studies, you need to formally register as a apprentice at Leeds Trinity University. It’s a simple process, but we’re here to help if needed.

Programme registration

All new students must register on their programme using our online e:Vision registration facility before they begin their studies.

For Leeds Trinity University to operate effectively and meet our legal obligations to all our students, it is essential that we have your correct and most up-to-date personal details. The information we hold is covered by the General Data Protection Regulations 2018.

Registration dates

All new students must register on their programme before it begins.

Once you have received your Leeds Trinity University username and password via email, log into your e:Vision account and follow the prompts to ‘Programme Registration.’ Your username and password will be sent to you via email. You should register as soon as you have received these details.

Step 4: Registering on Aptem

You may be invited to join Aptem before registration, if you have to complete any additional on-boarding tasks. All apprentices will be able to sign into Aptem with your Leeds Trinity University username and password once you have completed your registration. You can find the link to Aptem on myLTU.

Aptem will provide you with a centralised place to record your off-the-job hours, log your evidence towards the apprenticeship standard and check on your progress as you work through the programme.

e:Vision

e:Vision is an online facility that allows you to keep track of your personal university details. Your e:Vision account allows you to view and amend the personal details we hold about you alongside information about your programme, timetable and results. You can access e:Vision via evision.leedstrinity.ac.uk or via myLTU.

What can I access via e:Vision?

The options available through e:Vision will vary depending on the time of year. Once you’ve logged in, you can use your e:Vision account to:

• View and edit your personal and contact information, including the ability to amend your preferred name and pronouns. We encourage you to keep your personal and contact details updated as we will use these details to contact you throughout your time with us.

• Download a confirmation of attendance letter

• Register on your programme

• View your registration details

• View assessment results

• View your timetable

• Access your Student Inclusion Plan (if applicable)

• Opt-in to join the Students’ Union

• Apply for extensions or mitigating circumstances on assessments

How to register for your programme of study

When registration opens for your programme, please log into your e:Vision account by entering your Leeds Trinity University username and password. Once you have successfully logged in, click on ‘Programme Registration.’

The registration process will take approximately 5-10 minutes to complete. Please answer all the questions in the following sections:

• Privacy Statement

• Clearance checks (documents you are required to produce in order to get full registration)

• Home contact details

• Term-time contact details (this should be your Leeds Trinity University generated email address)

• Student ID photo upload

• Trusted Other contact information

• Personal information

• Academic Regulations and Students’ Union information

• Confirmation

Please note that most questions are mandatory. You will not be able to progress to the next section until you answer all questions and your photo is uploaded. Once you have answered all questions and agreed to the declarations, you will be returned to your e:Vision homepage.

To access the ‘Step-by-Step’ guide to online registration, please select the link under the ‘Programme Registration’ button or the ‘Help’ tab on the e:Vision homepage (top right of the screen).

You will be able to log into your account more than once should you need to.

Full or provisional status

When you have completed programme registration, your personal details confirmation on e:Vision will state whether you have full or provisional registration status. For apprenticeship programmes, your status depends on a range of factors including evidence of your academic qualifications, completion of initial assessments and receipt of documents such as a signed apprenticeship agreement and training plan.

Full registration

If you have met all the required admission clearance criteria to join the programme, you will be given full registration status. This means that you have full access to all Leeds Trinity University facilities.

Provisional registration

If any of the required admission clearance criteria have not been met by the time you register on your programme, you will be given provisional registration status. This is a temporary status that allows you to undertake study and use the computing and library facilities, but you will be unable to obtain a student card or get confirmation of your student status.

Your programme of study

Here is some useful information about your apprenticeship journey at Leeds Trinity University.

There are two main parts to your apprenticeship, which form your programme:

1. The learning you undertake which helps you successfully pass your apprenticeship (the knowledge, skills and behaviours, or KSBs, set out in the apprenticeship standard).

2. The achievement of your academic qualification.

You will receive:

• A programme handbook, which will provide details of your qualification (usually a degree, a higher education certificate or a diploma).

• A module handbook for each module you take, which outlines the content and assessment of each module in more detail.

All handbooks will be available on Moodle, our virtual learning environment, on or before your first date.

Work-based learning

Work-based learning at higher education level draws on adult learning theories and highlights the importance of the context in which learning takes place, and the work purposes for which learning is undertaken. Work-based learning programmes value and acknowledge learning that is happening in the workplace when you are carrying out your job role.

Our Work-based Learning Framework aims to:

• Enable the apprentice and their employer to agree work-based learning activity which contributes to their goals, aspirations and the requirements of the apprenticeship.

• Recognise and develop the workplace as a source of learning.

• Develop the apprentice as an effective workbased learner who is able to undertake research and development activity that is directly relevant to their work.

• Encourage and enable the apprentice to take responsibility for their continuing development.

• Be learner-centred.

• Provide a structured approach to “real” workbased projects, allowing the apprentice to contribute to the development of the organisation where they work.

• Focus on the importance of knowledge as a key resource.

e-Learning

Leeds Trinity University uses Moodle, a virtual learning environment. Through Moodle, you can:

• Access details of your academic programme, including key dates, electronic reading lists, assessment information, as well as presentations, videos (via Panopto) and  lecture notes.

• Submit your assignments via the Turnitin submission box.

• View your assessment results.

KSB’s

• View announcements and information from your tutors.

• Find templates for monitoring your progress towards the apprenticeships and KSBs, reflective journal entries, and logging your off-the-job learning.

Apprenticeships aim to develop knowledge, skills and behaviours (KSBs).

Knowledge: During the apprenticeship, you will learn relevant information, technical knowledge, and gain experience that you need to understand to perform your job role competently.

Skills: There are many essential skills required for personal and professional development. Throughout the apprenticeship, you will develop and learn to apply the skills needed to successfully perform the job role.

Behaviours: Through the apprenticeship, You will apply instinctive behaviours and learn taught behaviours to help you successfully perform the job role.

Details of your programme KSBs can be found in your programme handbook or on the Skills England website at skillsengland.education.gov.uk/apprenticeships.

Off the job learning

You will record your learning regularly by utilising an off-the-job record template. This must be undertaken within your normal working hours and contribute to the minimum 6 hours per week requirement for full-time apprentices.

Off-the-job learning must be away from your normal working duties and teach new KSBs that are relevant to your apprenticeship. This includes on-campus workshops, tutorials, independent research, writing learning journal entries and experiences which are related to your role but are not part of your contractual duties.

Off-the-job learning must take place during the planned ‘practical’ period, and must be demonstrated prior to undertaking the end-point assessment.

Progress reviews

Progress review meetings provide an opportunity for you, your line manager, your workplace mentor (if you have one), and a Leeds Trinity University representative to discuss your progression on the programme Progress review meetings are typically held every three months and are conducted in-person or via a telephone or video call.

A form is completed during your review, which allows Leeds Trinity University to check the workplace support you have in place, as well as allowing you to express any concerns, raise issues and set appropriate targets to work towards.

The discussion also provides an opportunity to talk about how you are evidencing your time spent completing off-the-job learning and building your Portfolio of evidence.

End-point assessment

The end-point assessment (EPA) assesses your performance across the whole apprenticeship and is conducted at the end of the practical period. Before the EPA, you must enter the Gateway which ensures all aspects of the apprenticeship have been achieved and can be evidenced.

This is to ensure that you have:

• Achieved your off-the-job required time.

• Completed and achieved the required modules.

• Evidence of English and Maths exemptions, if required.

• A portfolio of evidence in accordance with the apprenticeship standards

There are a range of assessment methods including:

• Practical assessments

• Project

• Written and/or multiple-choice testing

• Presentations

If the apprenticeship standard is an integrated apprenticeship, the EPA will be carried out by Leeds Trinity University. If the apprenticeship is non-integrated, the EPA will be carried out by an external EPA organisation selected by your employer. Following successful EPA, the apprenticeship is graded as a pass, merit or distinction.

Mentoring

Your employer may identify a workplace mentor to support you during your apprenticeship. A mentor can help you to identify objectives and off-the-job learning opportunities within the workplace. Speak to your line manager if you are unsure who your mentor is.

Your timetable

You can access your personalised teaching timetable on e:Vision under ‘My Timetable’ or via myLTU. Once you begin your studies, we recommend that you check your timetable regularly in case of any room updates.

Bitesize regulations

As a registered apprentice with Leeds Trinity University, you are governed by the General Academic Regulations and the Programme Regulations for your course.

Extensions and Mitigating Circumstances

Extensions on your assessments are available under certain circumstances. You can find out more information about our policies on extensions and mitigating circumstances on the ‘Essential Information’ tile and the ‘My Student Record and Assessment’ section in the ‘Student Information Point’ tile in myLTU.

Attainment and assessments

Information about assessments and understanding your results can be found on the ‘Essential Information’ tile and the ‘My Student Record and Assessment’ section in the ‘Student Information Point’ tile in myLTU.

Assessments and the online submission of work

You should double-check all assignment and assessment details as issues in your module handbook and/or on Moodle. General assessment requirements will be published in your online programme handbook.

It is standard practice for work to be submitted online, via Moodle and/or Turnitin – the plagiarism detection system. It is your responsibility to upload and submit the correct file, so be careful to name your documents clearly as there will be no case for mitigating circumstances on the basis of confusion.

Engagement and attendance

Attending learning activities and engaging with your studies is an important part of your apprenticeship journey.

Attendance

Throughout your programme, you will take part in learning activities such as g roup discussions, practical sessions and projects which would be ineffective with poor attendance.

Absence

If you know that you are going to be absent from a scheduled activity, please let the University know as soon as possible.

Your student ID card

Your student ID card is an integral part of your university experience. Your student ID card must be worn at all times whilst on campus and is not to be used by anyone but you.

It’s your key to accessing campus, learning resources, printing and more. The card will remain valid for the whole of your programme, so please look after it. If you lose your student ID card, you will be charged for a replacement.

When to collect your student ID card

If your programme is based on one of our campuses you will receive your student ID card on the first day of teaching from the Main Reception on the campus you are studying on. We are unable to send student ID cards via post.

Please note that you will be required to show an original ID document (ideally your passport) from the list below in order to collect your student ID card. The name on the document will need to match your official name in which you have registered at Leeds Trinity University.

Choosing the right image for your student ID

As part of the online programme registration process, you will be required to upload an image of yourself. You will not be able to complete registration without uploading your photograph, so please ensure you have one available before you start your online registration.

The photograph will be used to produce your student ID card in advance of your arrival. The photograph should follow the standard passport photograph guidelines.

Confirming your identity and right to study in the UK

All UK education institutions are required to take reasonable steps to ensure that every student at the institution has permission to study in the UK. To collect your student ID card and show proof of your right to study, you will need to show one of the following:

• Valid passport

• EU ID Card (if you have settled or pre-settled status under the EU Settlement Scheme)

• Birth certificate along with a form of photographic ID, e.g. photocard driving licence

Leeds Trinity University gives you access to the latest IT facilities to support your studies. Use your Leeds Trinity University username and password to access the following:

Most communications from the University will be sent to your university email once you register. You are also required to send emails to the University from your university email account.

Your personalised Leeds Trinity University portal that provides access to your timetable, university emails and more – all in real-time.

Office 365

As a Leeds Trinity University apprentice, you get a free subscription to Office 365 for the duration of your studies. Visit office365.leedstrinity.ac.uk to get started.

Our Virtual Learning Environment, which includes learning and teaching information.

How to log in remotely

As an apprentice you can access all University IT systems from anywhere with a reliable internet connection, on almost all devices.

We recommend using Office 365 to access your University emails, documents and calendar (including your timetable). You can access Office 365 at office365.leedstrinity.ac.uk.

You will need to download the Microsoft Authenticator app from the App Store or Google Play as you’ll need this when you log in for the first time.

Microsoft Teams

Alongside your face-to-face teaching on campus, there will be additional engagement activities and opportunities online through Microsoft Teams.

Every module you’re enrolled on will have its own area, known as a team, within Microsoft Teams. It’s a place where you can chat with your classmates and collaborate when you’re working in a group.

Downloading Microsoft Teams

Download Microsoft Teams for Windows, Mac or your mobile device.

Visit office365.leedstrinity.ac.uk and log in with your university email address and password to download the software for free.

Open Microsoft Teams and log in using your university email address and password.

If you need any assistance with IT Services, log a ticket via the Self Service Portal that can be found in the ‘IT Support’ tile in myLTU. You can also visit the Service Desks at Horsforth and City campus.

Helping you with the costs of studying

We know that covering costs isn’t easy for every student, and that’s why we have a range of support available to reduce barriers to learning caused by financial pressures. From on campus support such as free period products, and our free shuttle bus in the Horsforth area, to food deals and discounts.

Students experiencing financial difficulties can chat to our Student Support team about short-term support from our Grub Hub, food vouchers, travel passes and IT Support.

Our approach to bullying, harrassment and sexual misconduct

We are committed to creating a safe, respectful and inclusive environment for everyone. If you experience or witness any form of bullying, harassment or sexual misconduct, support is available.

You’ll attend a mandatory training session during induction to help you understand LTU’s approach to tackling these issues, how you can report any concerns, and the support available to you.

Student Engagement Officers

The Student Engagement Officers can advise and support you throughout your studies. This includes signposting you to appropriate services at the University.

Trinity Sport

We know how important sport can be for health and wellbeing, and there is a range of free social sport sessions available to all students, including apprentices,at our Horsforth Campus. These include badminton, basketball, futsal, tennis, and more. The sessions are a chance for you to meet other students, enjoy an activity that you love, or try something new.

The Chaplaincy

Whether you need a cup of tea and a friendly face, a chat about something, space to pray and reflect, a question answered, or you just want a relaxed space to hang out, your Chaplaincy team is here for you.

Committed to your social and spiritual needs, the Chaplaincy:

• Run regular social, spiritual and volunteering events

• Provide a space to relax

• Provide a space for prayer, worship and reflection on both Horsforth and City Campus (Chapel and Multi-faith Prayer Room)

Umii is an app which aims to combat social isolation and loneliness amongst students. You can connect with your fellow Leeds Trinity University students based on your shared interests, similar course types and societies.

Togetherall

Togetherall is an online mental health and wellbeing service offering self-help programmes and community support through clinically mediated peer-to-peer support.

To join Togetherall’s online community, visit togetherall.com and sign up with your University email address. You will then be invited to create an anonymous username for your time on Togetherall. You can find out more information at togetherall.com.

Set yourself up for success

The Learning Hub

The Learning Hub provides one-to-one support to develop the skills you need to succeed in your studies. They work with all students at all levels across both campuses.Online appointments via Teams are also available if this is more convenient for you.

The skills that we can help you develop and the support we can offer includes:

• Understanding your assignment briefs

• Learning how to get your point across

• Gaining the confidence to manage your projects/deadlines

• Structuring your assignments

• Introducing you to tools and resources

Library services & Student Info Point

Library services

Leeds Trinity University has two libraries, located in the Andrew Kean Learning Centre at the Horsforth Campus, and on the third floor of the City Campus. When you visit the Library, you’ll find:

• Friendly, helpful staff

• Group, quiet and silent study spaces

• Open access computers

At the Horsforth Campus, you will also find a café where you can relax, a 24-hour IT room, and the Tranquillity room. At City Campus, lockers where you can collect book reservations are also available on the ground floor.

Apprentices have access to both Horsforth and City Campus libraries regardless of where your programme of study is based.

Liaison Librarians

Each subject area has a dedicated Liaison Librarian who will help you get the most out of the Library during your time at Leeds Trinity University. They deliver teaching sessions and offer one-to-one appointments to help you develop your research and referencing skills.

Student Information Point

The Student Information Point is the first point of contact for students with any questions relating to studying at the Leeds Trinity University. The team will listen to your situation and provide information, help, advice and tips on what to do next.

You can visit the Student Information Point in the Andrew Kean Learning Centre on our Horsforth Campus or at Reception in the City Campus City Campus.

The Student Information Point is open Monday to Friday, 9:00am to 5:00pm.

Leeds Trinity Students’ Union

Leeds Trinity Students’ Union (LTSU) is dedicated to ensuring that every apprentice gets the most out of their time at Leeds Trinity University. LTSU offers a variety of services to support students’ academic, social, and personal growth.

As an independent charity, every penny of profit LTSU makes is reinvested into providing the best possible experience for all students and apprentices at Leeds Trinity University. Our staff team are available to help and support students. In March each year, students are elected to over 200 roles across LTSU, ensuring that their voices are heard, and their needs are met.

LTSU is home to multiple societies and sports teams that participate in various leagues under BUCS - British University & College Sports. On the Horsforth campus we offer Trini-Tea Central, a social common room offering a quality, value led food and drink service which is totally alcohol free. We also have a diverse and wellbeing focused events programme and key events throughout the year including Welcome Fair, Varsity and our Annual Student Awards Evening.

Campus life

Our campuses will provide easy access to everything you need for life at university. Although you will not be on campus often, you will have access to the facilities, support and opportunities available on either campus.

Horsforth Campus

Our Horsforth Campus is set on a beautiful green space in Horsforth, a town located under six miles north west of Leeds city centre and two miles from Leeds Bradford Airport.

On our Horsforth Campus you can:

• Study in the Andrew Kean Learning Centre

• Work out in The Trinity Fitness Sports Centre

• Loan equipment from our Media Centre

• Grab a drink or a bite to eat at LTSU Trini-Tea Central or one of our on-site cafes including our Dining Room which offers a range of budget-friendly hot and cold food options.

City Campus

Our City Campus is located at Trevelyan Square, in the heart of the city and just minutes away from Leeds train station. With shops, cafés and restaurants on your doorstep, as well as modern facilities to study in, the City Campus is an amazing place to make more happen.

On our City Campus you can:

• Study in our bespoke Library

• Access our Chapel, as well as a Multifaith prayer room

• Grab a drink or bite to eat at Fairground Café

• Socialise with friends and enjoy activities in the LTSU area

Students also have access to study resources and a wide range of study and open learning spaces to support collaborative working.

Events on campus

We run a wide range of events across both campuses, including social activities, free sports sessions, Chaplaincy events, opportunities, workshops and more. These are open to all students, so you will find plenty of opportunities to get involved.

Sustainability & travel

Car parking

Horsforth Campus Parking

Due to high demand and limited availability on our Horsforth campus we recommend that students do not drive. You should make use of public transport and our free shuttle bus that connects Leeds Trinity University to Horsforth Train Station where ever possible.

We understand that some students may still feel they need to drive to campus. If you require the use of a car, we operate a first come first served pay and display system Monday to Friday between 8.30am - 4.30pm, costing £5.00 for a full day. You can pay by cash, card or by using the RingGo app.

The car park is regularly checked, so you will need to adhere to parking regulations to avoid receiving a fine. Spaces cannot be reserved in the car parks, and it can get very busy.

Designated accessible car parking spaces are available for car drivers that hold a Blue Badge. It is free to park in an accessible bay providing you have a valid Blue Badge on display.

Electric cars or vans can only be charged on campus from designated charging points in the South car park behind Fountains Court.

Horsforth Campus Parking Permits

We offer a limited number of permits for the Yarnbury Rugby Club car park. This car park is located across the road from our Horsforth Campus.

Permits cost £40 per term and allows you to park Monday to Friday between the hours of 6am and 9pm. No overnight or weekend parking is permitted.

Off-Campus Parking

Leeds City Council have introduced restricted parking schemes on various roads surrounding the Horsforth Campus.

Please take care to comply with any signage in these areas. When parking off campus drivers are expected to park carefully and with thought for the needs of local residents and the safety of road users and pedestrians.

City Campus Parking

There is no parking available at the City Campus.

The nearest car parks are Trinity Leeds Car Park (LS1 4AG), Leeds Station Car Park (LS1 4HT) and Q-Park The Light (LS1 8TL). There are also some pay and display parking options located on Whitehall Road.

Shuttle bus

Leeds Trinity University provides a free accessible shuttle bus that services various drop-off and pick-up points in Horsforth, including Horsforth train station.

Timetables and other information about the shuttle bus can be found under the ‘Campus Life’ tile on myLTU.

Public transport

Leeds has excellent transport links across the region which can help you travel to and from the Horsforth and City campus, including local trains and buses.

Bicycle storage

We offer cycling facilities and secure cycle storage across Horsforth and City campus.

At our Horsforth campus, bicycle storage is provided outside the Sports Centre and near the West Car Park.

At our City campus, bicycle storage is situated in the basement carpark, alongside shower and locker facilities.

Environmentally friendly

You will find recycling points across our Horsforth and City campus, as well as water fountains to refill water bottles.

You can also purchase a reusable Wipe Out Waste cup from any LTU coffee outlet and save money on your daily cup of coffee.
