Event Bookings

Event Booking Process

For events where the ticket price covers the event cost:

1. 2+ weeks out from needing the booking link - Submit Humanitix Booking Request Form for Associations

2. Catherine will create the event booking link and email you with it.

3. 7-10 days out from event day - Send invoice for event to Catherine Schweitzer schweitzerca@lauriston.vic.edu.au for payment

4. No budget required subject to the invoice aligning with the booking request form and the event being in/out

Events with multiple cost lines and profit/subsidised or fundraiser

1. 3+ weeks out from needing the booking link - Email event budget using attached template LPA Event Budget Template May 2026 to your relevant Treasurer for approval

2. 2+ weeks out from needing the booking link - Submit the Humanitix Booking Request Form for Associations and forwards the approved budget to Catherine Schweitzerschweitzerca@lauriston.vic.edu.au.

3. Catherine will create the event booking link and email you with it.

4. 7-10 days out from event day - Send invoice to the LPA Treasurer or Auxiliary Treasurer (whichever is relevant) and associations@lauriston.vic.edu.au together with the Budget for payment.

Expense Claims

Our strong preference is that expense claims are limited, preference is for all invoicing to be paid via the school ahead of events, we understand some items need purchasing along the way.

1. Submit Expense Claim Form together with the approved LPA Event Budget Template 2026 (which will be sent as an additional document) to your Treasurer for approval of payment

2. Once approved the Treasurer will email this to associations@lauriston.vic.edu.au and Georgia Liu geo_leo99@hotmail.com for payment

Please note that some of the Class Rep responsibilities are varied from year level to year level. Depending on the year group that you are assisting in, Emily Barrington will email each class representative a list of suggested activities along with required events and purchases.
