Allowances may be given on all active open stocked items

All items shown at the EXPO require a new and existing business allowance

Allowances are issued as NOI (Net Off Invoice) as customers purchase the items during the ship period

PREPARING FOR THE EXPO

EXPO EXHIBITORS FAQ SITE

• Webpage to host information on all our EXPOs

• Information can be found on topics such as Booth Décor, Electrical, Apparel, etc. QR Code to FAQ Site

ALLOWANCES/SAMPLES/POS

• Partnered with Perenso to host item allowance entry, sample orders and loading of POS content

• Allowances entered will show on your tablet at the EXPO along with any POS loaded into the site

• Item Allowance Entry has closed but is able to be viewed in Perenso

EXHIBITOR KITS AND BOOTH NUMBERS

• Partnered with Heritage for EXPO set up this year. Exhibitor Kits with ordering information (for booths, electrical, water, etc.) will be emailed to 1 supplier contact prior to the specific Branch EXPO

• Exhibitor Kits will also be available on the FAQ site as they are completed for each EXPO

• Due Dates for booth needs and electrical are listed in each kit and vary by branch

• Booth Numbers and Floorplans will be available in Perenso on the allowance website on the Summary tab. Booth Numbers/Floorplans will be released as the specific Branch EXPO is finalized

BOOTH SET-UP

• Full Booth

• 10’ x 10’ Booth- Carpeted, booth identification sign, (1) 8ft and (1) 6ft topped/draped tables

• Half Booth – Shared with another vendor

• 5’ x 10’ Booth – Carpeted, booth identification sign, (1) 8ft or 6ft topped/draped tables.

• EB table covers and pull-up banners are available from the IMA Merch portal (www.ebrandstoolkit.com)

• All booths should be in an open L shaped table formation to allow customers to enter the booth area and engage with the supplier.

BOOTH EXPECTATIONS

• Booths must be fully complete with samples by 8:30am on Show Day

• Fully staffed booth with professional associates trained on your product line

• Booth must be staffed at all times during the show

• Every booth must have at least one manufacturer representative

• Follow all food safety rules when preparing and serving product at your booth

• Do Not display pull up banners on top of tables

• Broker signage is not allowed in the EXPO booths

• Avoid cell phone/computer use at your booth

• Booths may not be torn down prior to 4:00pm on Show Day

ATTIRE

• Dress is business casual- no jeans.

• Exclusive Brand Suppliers - Attire should include an EB branded polo or dress shirt (current logos only)

• Logo shirts can be purchased from the IMA merch Portal (www.ebrandstoolkit.com)

• BROKERS: no broker logoed apparel/aprons will be allowed.

EXHIBITOR CHECK IN EMAIL

• Email will be sent to registered suppliers/brokers to use at Shamrock Vendor Check In for badges

EXHIBITOR LOAD-IN DAY

• Suppliers/Brokers will be able to set up the day before the EXPO

• Load In – Each Branch will release an appointment schedule of when suppliers/brokers may load in for the show

• Each Supplier /Broker will check in at the Shamrock Exhibitor Check In Area- Back of the Show to receive:

• Show Badge/Lanyard

• EXPO Essentials / Floor Map Handout

• Exclusive Brand POS (this will also be available on the tablet)

• Perenso Vendor Check-in – next to Shamrock Exhibitor Check In

• Check out Supplier Tablet

• Review on set-up day to ensure items/allowances/POS are

displaying correctly

EXHIBITOR SET–UP DAY

• Training Session

• Each EXPO will have Supplier/Broker Training at 2pm and 4pm on Set Up Day

• Shamrock Branch Marketing Manager will present important EXPO details

• Step-by-Step training of the show Tablets

• Samples ordered through Shamrock will be available – check your items to ensure everything has arrived. Some items may arrive Show Day – Branch Specific.

• Inspect cooking areas via kitchen/cook shack

• Ensure your booth has the requested booth/power needs if ordered

• Supplies – Shamrock will have limited quantities of suppliers such as disposable plates, utensils.

• Avoid use of competitor disposable items (i.e. Foil containers)

• Booths must be set by 6:00pm on Set – Up day. Before leaving be sure to turn off equipment (i.e. water supply)

• 6:00am Venues will open to Suppliers/Brokers to prepare samples

• 8:15am Sales Reps will be able to access show floor to visit booths

• 8:30am Booth must be set with samples available

• 9:00am Show Doors Open to Customers

• 9:00am – 4:00pm Engage with Customers – use Perenso tablet to take leads/sample requests

• 4:00pm Show Ends and Tear Down/Load Out Begin

• Turn in Perenso Tablet to the Perenso Area

• Set out items for Food Donations (Branch Specific )

• Dispose of oil/water properly

POST SHOWLEVERAGING EXPO

POST EXPO FOLLOW-UP

Following the EXPO each supplier /broker will receive Show Day reporting entered onto their Perenso tablet

• Show Customer Leads and Samples Reports

• Expectation is to close all leads / sample requests within 2 weeks post EXPO

EXPO SHIP PERIODS

• Each EXPO will have a 12-week ship period following the show

• Customers can receive allowances on any EXPO items during the ship period

EXPO BILLINGS

• Booth Billings

• All booth billings will be completed by September 30, 2023

• Allowance Billings

• Suppliers will be assessed a 25% admin fee on all EXPO allowanced item purchases at the end of the ship period

• Allowance billings will take place in January 2024
