Corrections and changes will delay orders and must be authorized by Senator® USA. Pre-production order changes have no charge. If production has begun, order changes will result in an additional cost based on work completed. Artwork Information Artwork: Logos must be sent in vector format. Hard copy art must be crisp, clear, black and white and a minimum of 600 dpi resolution for reproduction. Faxes and photocopies are not suitable for reproduction, but will be accepted for line text only. Senator® USA cannot reproduce art from promotional items which are curved, such as a sample pen. Customer must sign off on art if Senator® USA feels it will not produce a quality image on the product. Submitting Digital Art to Senator® USA: Please visit www.senatorpen.com or contact Customer Service to obtain our art guidelines prior to sending art via email or on disk.

Imprint Color Match: Imprint PMS color matching is available free of charge. Please send exact PMS color number. Otherwise, standard imprint color will be used. Neon colors are not available. Imprint colors tend to vary slightly when printed on a non-white barrel or clip. Exact PMS color must be on a white barrel. Standard Imprint / Location Selection: Please specify imprint location from available options listed for each item. If imprint location is not specified, Senator® USA will select the imprint location best suited for artwork submitted. Additional Color / Location Imprint: Barrel imprints beyond the first color and location are an additional $.12(C). Clip imprints are $.15(C) for each color. One extra day of production will be required for multiple color imprint or location orders. Type Sizes / Styles, Imprinted Pens: Minimum size for typesetting is 5 point. Graphic Designer will select type style best suited for product unless otherwise specified. If sample is provided, every effort possible will be made to duplicate it. If customer art/logo requires less than 5-point type, Senator® USA does not assume liability for clarity of image. Type Sizes / Styles, Engraved Pens: Minimum size for type is 5 point. All True Type® fonts can be used; please verify that the Artroom has it on file or include it with your order (see Submitting Digital Artwork subsection for instructions). If font is not specified, factory will select the font that is best suited for pen style and artwork submitted. Maximum height and length for text areas are defined as laser image areas. Engraved Personalization: Engraved personalization is free of charge if names are provided digitally as a text (.txt) file, via disk or as an email attachment. File formats supported for free personalization are Notepad (Windows), Text Editor (Macintosh), or Microsoft Word. Personalization is $.75(C) per pen if names are provided in a format other than text (.txt) files. Names must be provided in column format (one complete name per line). Names will be engraved in the order in which they are received. Please provide names in exact sequence, with punctuation and spacing as it should appear (for example, Dr. William A. Jones, MD). Proofs and Production Samples Order Proofs: Production time for producing actual order will start after approval of proof. Ship dates will be assigned once Senator® receives signed paper approval from customer. Order proofs are not available for 24-hour items. Paper Proof: A maximum of 2 pre-production paper proofs will be prepared at no charge upon request. If an additional proof is needed a $20.00(Z) charge will be applied. We prefer to email you the proof to expedite your order. If email is not available, please include fax number with your order. Paper proofs are not available for 24-hour items. Please allow 2448 hours to receive a paper proof. Pre-Production Proof, Imprinted Pens: An actual printed sample product proof before production can be prepared with a one time handling charge of $30.00(Z) per item, including standard ground shipping. A FREE sample proof before production may be prepared for orders over catalog quantity. This proof will need approval for production to continue. Production Time Production time does not include shipping duration. 24 Hour Quick Ship: You must request 24 Hour Quick Ship service. Available on one color barrel imprinted pens with no ink changes (1,000 piece max) or 1 location lasered metal pens with no ink changes (250 piece max)designated as a 24-hour only. See center gatefold for a list of pens. Holidays and weekends are not included in this time frame. Complete orders must be received by 1:00 PM EST and are contingent on credit approval. New customers must pay by credit card. Product or paper proof not available on

Shipping Information Shipments: Catalog quantity orders will ship via 2-day service for the same costs as ground parcel service per carton within the continental United States, unless specified. Geographic areas close to our factory will receive 1- and 2-day standard ground parcel service. All orders must specify a street address. All shipments F.O.B. Factory. Senator® USA does not ship parcel post. We do not assume responsibility for time delays in transit. Any claims concerning loss, delayed, or damaged merchandise must be made directly to carrier. Pre-production proofs and speculative samples will ship via ground parcel service at no charge. Expedited shipping service options will be at the customer’s expense, or on the customer’s shipping account. International Shipments: Orders requesting international destinations require the customer to specify a carrier, provide a commercial invoice and provide an account number for all shipments. Required information must be faxed no later than 3 business days prior to scheduled ship date. C.O.D. programs not accepted. Drop/Split Shipments: Senator® USA offers drop and split shipments free of charge. All drop shipments will ship ground. Expedited shipping at customer’s expense. Each drop or split shipment may not be less than minimum catalog quantity or a $7.50(Z) per drop ship charge will apply per address. If less than 10 addresses, drop ship list may be emailed, mailed or faxed no later than 3 business days prior to scheduled ship date. If greater than 10 addresses, drop ship list must be submitted via Excel 5.0 or greater. This information must arrive at Senator® USA 3 business days prior to scheduled ship date either by email or on disk.

Other Information Catalog/Sample Requests: Fax requests to Senator® USA Sample Department at 1.800.446.0019 or e-mail requests to: samples@senatorpen.com. All catalog and sample requests will be sent regular U.S. Mail unless customer supplies a UPS or FedEx account number. Sample requests received prior to 3:00 PM EST will be processed the same day. Certain sample items will have a product charge. Co-op Programs: End quantity price. Absolute minimum quantity is beginning quantity. Program must be pre-arranged prior to production. Copy changes must be applicable to minimum catalog quantities if less than minimum catalog quantity a $7.50(Z) per copy change charge will apply. Contact your customer service coordinator or account manager for more information. Product Returns: Merchandise found to be incorrect due to our error will be replaced at no charge when returned within 120 days from receipt of merchandise. A return authorization number from Senator® USA is required prior to merchandise return. Unauthorized returns will be refused and returned to sender. No credit will be issued for merchandise not returned to Senator® USA.
