I’m delighted to extend a warm welcome to Jollyes. We are thrilled to have you join the ‘pack’ and become part of our dynamic team.

Starting a new role is an exciting adventure and we are here to help you every step of the way.

As you settle into your role, I encourage you to take the time to familiarize yourself with the Jollyes purpose, values and vision. Our pillars are the cornerstone of our business and will help provide a guiding light on what we are  trying to achieve together.

Each store focuses on the five mile surrounding area, making us a big name across the nation but with that friendly local touch.

The Jollyes Journey so far…

From modest beginnings in Enfield as a single store in 1971, Jollyes has grown into one of the largest chains of pet superstores with over 100 stores across the United Kingdom and Ireland, as well as a thriving online presence.

Offering a range of pet food, accessories, toys, and services such as dog grooming, washing and veterinary care, Jollyes is home to everything a pet could need! The combination of excellent service and advice with the instant ‘local’ feel to stores makes for a warm and successful visit for pet parents.

Our Brands

At Jollyes, our aim is to make pet care affordable and accessible for everyone. Our Community Pet Clinics offer an array of services, including vaccinations and microchipping. We bring licensed veterinarians to the doorsteps of our loyal pet parents, making health care for their pet as accessible and low cost as possible.

At The Jolly Groomer, we do dog grooming differently. From a bubbly bath and a beautiful blow dry to their transformative new trim, our customers’ furry friends are given a brand new ‘do without the hefty price tag. Our furry friend’s wellbeing is priority – their makeover may feel luxurious to them, but we keep it simple for our customer’s purse.

Health and wellbeing is at the heart of everything we do for our pets. That’s why our Raw Stores drive parents and their pets wild! Our wide selection of natural food offers a host of health benefits to our furry friends; we’re proud of our select in-store and Support Office experts who can answer our customer’s many questions about raw feeding.

Sometimes, our customers have a more hands-on approach! Our Wash & Go facilities are located in select stores, and allow pet parents to shampoo and bathe their furry friends themselves. From muddy to marvellous in minutes, Wash & Go is efficient and pursefriendly so their pet is fresh in a flash!

We’re more than just a store. Our customers unlock even more from their shopping experience at Jollyes with PETCLUB, our loyalty scheme. Members are rewarded with exclusive, tailoredto-you offerings, so they can save more. It’s not just shopping pack members are rewarded for, but for using our pet services too!

Our Charity Partners

Our stores are all partnered with local charities of our customer’s choice! Through a nomination process, every community’s voice was heard and we now have 135 charity partnerships throughout the UK. Raising money, awareness and support for local causes is at the heart of every partnership, with each store eager and committed to doing their bit.

Jollyes are proud partners with BILLYCHIP CIC. The innovative street currency is currently accepted across 500 outlets in the UK and helps those living on the streets to buy essentials. Many of our customers want to be able to help people and dogs who are in need, so our stores sell and accept the BillyChip nationwide. Each quarter, Jollyes doubles the size of the donations made by our customers.

We’ve partnered with the National Foundation for Retired Service Animals.  We will help NFRSA support the care, well-being, and welfare of retired service animals from across the emergency service family – the police, fire, border force, NHS and prison services. Over the next 12 months, all stores will be raising money for NFRSA with collections matched by Jollyes up to £20,000 that will help NFRSA support retired service animals and their parents.

How We Communicate

Good communication helps us work together as a pack, understanding each other’s challenges and successes whilst lending a ‘paw’ when help is needed.

Regular communications through our ‘Company News’ emails and ‘Messages from our CEO’ will pop into your inbox and keep you updated on the going’s on in the business.

Our annual management conference is held in June each year, with cascades to all colleagues updating everyone across the business on recent achievements and of any upcoming exciting developments.

Each quarter, we also hold our ‘We’re All Ears’ colleague listening groups. This is a great opportunity for us to listen to your feedback and to understand what we can do differently. Each listening group is then followed up with monthly ‘You Said, We Did’ update, so you know exactly what’s been actioned.

Sustainability

What does ESG mean at Jollyes?

What is ESG? ESG stands for environmental, social, and governance. It covers sustainability values and responsibilities in a company’s way of working.

What does this mean?

At Jollyes, we have a sustainability committee that meets each month to discuss different ESG topics and projects we are working on to improve how we work. We are also members of several independent organizations, like the Pet Sustainability Coalition, who advise us on best practices in the industry and new initiatives that are working for others in the pet trade.

Audits and awards

It is important to us that we work with external, unbiased parties to keep our progress moving forward in the right direction and at a sustainable speed.

We are audited annually by an independent ESG specialist who looks at the improvements we have made and suggests areas for further work over the coming year.

In 2024, Jollyes earned the Pet Sustainability Coalition’s accreditation. This means we have been measured and formally audited against two of the UN’s sustainable development goals. We have proven we are a sustainably-led and measured

business that drives a positive impact for pets, people and the planet. The accreditation shows we hold our business to higher environmental and social impact standards in the communities and environments where we do business.

Our Induction Programmes are designed to deliver exactly that; whether you work in store, in The Jolly Groomer, Community Pet Clinic or in our Support Office. Apprenticeships at Jollyes

Apprenticeships are a great way of upskilling existing colleagues as well as introducing new members to the pack.

At Jollyes, our Dog Groomer Apprenticeship supports colleagues who want to gain the skills and knowledge in dog grooming to the Level 2 standard. It also means our Jolly Groomer customers are guaranteed a professional and certified grooming experience.

People, Policies and Procedures

Our purpose is unmistakably clear; we exist to make pet care affordable and enjoyable across  the UK.

This relies on having the right people, doing the right things. To provide clarity, we have developed policies outlining what is expected from you and what you can expect in return.

This handbook contains some of the essential policies that you should be aware of. Full details of all our policies can be found on the intranet and iTrent, our People system. It is important you take the time to read and understand them. They serve as the foundation of our relationship with you and among your colleagues, fostering a fun, friendly and open environment. For the most up to date version of our policies, always consult the intranet for the latest updates. Alternatively, feel free to reach out to the People Team if you require further guidance.

Our HR System – iTrent

Employee Self-Service

On iTrent Employee Self Service you can access payslips, request holidays, and update your personal details.

The link is to access ESS is: https://ce0773li.webitrent.com/ce0773li_ess

Your username is the personal email address you provided on your application.

You will need to create an account and set up a password and Multi-Factor Authentication by following the guide at: Video Guide to registration. Click here to view video

Payslips

Pay day is usually on the last Friday of the month, and payslips can be viewed using iTrent Employee self Service.

You will also receive your payslip via your personal email on the Wednesday before payday.

All payslips are password-protected – Your password is your date of birth in the format DDMMYYYY

Eg, If your birthday is 14th January 1994, your password is 14011994 without any punctuation marks between the numbers.

Booking a holiday

You can book and amend holidays on iTrent Employee Self Service. When you log in, click ‘My time’ on the left menu, then click book holiday to complete the form, confirming absence type, dates required and any notes you wish to add. Once saved, your request will be sent to your line manager for authorisation and you will receive confirmation once your request has been actioned.

You can view the shifts you are required to work in advance on iTrent Employee Self Service.

Once logged into Employee Self Service, simply select ‘My time’  on the left-hand menu, followed by ‘My shifts’  in the top center of the screen. You will then be able to search for shifts by inputting a start and end date.

Our HR System – iTrent –  Organisation Chart

Everyone can view our interactive Organisation Chart on iTrent Employee Self Service.

Once logged into Employee Self Service, simply select ‘Org Chart’  on the left-hand menu, you can then move around the screen, selecting the red oblong under each colleague. This will expand the view, showing our teams and their reporting managers. You can also find a colleague by inserting their name on the right hand side, selecting search, and then click on the colleague’s name shown.

How am I reviewed? (coming soon)

Our performance review process is designed to support your growth and development, ensuring regular opportunities to reflect on your progress and aspirations.

One-to-one discussions should be completed regularly throughout the year, alongside formal mid-year and end of year reviews. These reviews are a two-way conversation, allowing you and your line manager to discuss your performance in the role, career aspirations, areas for improvement and opportunities to take on more of what you enjoy. At Jollyes, we have a talent cycle of activities we complete throughout the year. We have full Hiring Manager Guidance and a Recruitment Policy that outlines the ‘Jollyes way’ to recruit and our commitment to providing a fair and consistent process, our obligations around legal compliance (e.g. checking ‘Right to Work’ ID) and summarises what each stakeholder’s role in the process

Each role being advertised will have a job description which will be available on request from the People Team. This will outline the purpose of the role, key tasks, experience, skills and qualifications needed and will contain further details such as the reporting line, business area, work level (or grade). This will help you decide if the role is the right next step in your Jollyes career.

You should speak to your line manager about your future goals. They will be eager to support you and plan development activities together to help you achieve them.

We have some colleague stories and ‘testimonials’ on there but the more we can add to the ‘pet people profiles’ and showcase a range of different job roles and levels of seniority, or different support functions. It will help demonstrate our diversity of career paths and the longevity colleagues have enjoyed, to maybe inspire others to join us.

All new roles are subject to a probationary period. The details of which can be found on the front page of your employment contract.

If you are unsure of any of the details, please speak to your line manager. At the end of your probationary period, your manager will complete a probation review with you to confirm whether you have successfully completed it. If you have, you will receive a confirmation letter.

You should have regular check-ins with your line manager during probation so if you’re not quite on track to complete, your manager can work with you on a plan and discuss the areas that need work or provide further support. If you’re struggling with any aspect of your role or training, please raise this with your line manager in the first instance, or you can contact people@jollyes.com for further advice.

Protecting Each Other  and our Business

Accident / Incident Reporting

The Company must by law keep a record showing details of all accidents/ incidents. Therefore, all accidents or incidents however minor, to both colleagues and members of the public, must be reported to the senior manager on duty immediately, who will record the matter on the Accident & Incident form which can be found on iTrent. If a visitor or customer is involved in an accident, look after them but colleagues should not in any way admit liability on behalf of themselves, colleagues or the Company.

Alcohol and Drugs

Alcohol, substance and drug abuse have the potential to damage the health and wellbeing of our colleagues and can reputationally damage our business. Being under the influence of drugs and alcohol is not acceptable at any time and the consumption of alcohol during a day’s work is not permitted.

Code of Conduct

Our code of conduct protects you and your colleagues by outlining clear agreements on how we behave and interact, ensuring a respectful, safe and fair workplace for everyone. Full details of the policy can be found on iTrent.

Dignity at Work

Our dignity at work policy sets out our ambition to create a working environment that is free from discrimination, harassment and bullying. We are committed to ensuring everyone is treated with respect and dignity and we all have a role to play in taking responsibility for our behaviour.

Gifts and Hospitality

From time to time, you may be offered, gifts or invitations to events.

Our Anti-Bribery and Corruption policy details what can and can’t be offered  or accepted as a gift.

Passwords and Logins

You will be given a confidential personal log in and password in order to access our systems. You are responsible for transactions carried out using your details so don’t share your password or login with anyone.

Smoking

Smoking and vaping is not permitted within our stores or support office. Breaks for smoking/vaping should only be taken during regular break periods.

Social Media

Our social media policy helps you understand how to live our values, behaviours and ethics whilst communicating with others online. We want to maximize your creativity, whilst limiting the risk to you and the Jollyes business.

CCTV

Our company premises are normally observed both internally and externally by CCTV which may be monitored by the company or a third party. This monitoring is for business purposes but will view any private activity on company premises.

Fire Procedures

It is vital that all colleagues familiarise themselves with the evacuation procedures in the event of a fire including the location of emergency exits and assembly points. These procedures will be explained to all colleagues as part of their induction. Mandatory fire safety training is also available for all colleagues.

First Aid

The name of the appointed first aider is displayed on the colleague noticeboard in each location.

Health and Safety

Health and Safety is part of the mandatory training all colleagues should complete during their induction. The company policy on Health and Safety can also be found on iTrent.

Personal Relationships

Jollyes recognises that colleagues who work together may form personal friendships and, in some cases, close personal relationships. Whilst Jollyes does not wish to interfere with these personal relationships, it is necessary for it to ensure that all colleagues behave in an appropriate and professional manner at work. Please refer to the Personal Relationships At Work policy for more information.

Personal Safety

Personal safety at work is Jollyes first priority. Colleagues should not place themselves or others at risk. This takes priority over the responsibility to protect the Company’s property and assets. Please see the mandatory Personal Safety training.

Family Friendly Policies

At Jollyes we are committed to supporting the balance of work and family.

Our family friendly policies detail what different types of leave are available.

Maternity / Adoption Leave

Colleagues are entitled to 52 weeks Maternity leave providing you meet the qualifying criteria. Our Maternity Leave policy sets out the rights and responsibilities of colleagues

Paternity

Colleagues are entitled to between 2 to 4 weeks Paternity leave providing you meet the qualifying criteria. Our Paternity Leave policy sets out the rights and responsibilities of colleagues.*

Neonatal Leave

Any colleague absence due to the premature birth of a baby, where the baby is admitted into hospital up to the age of 28 days, and has a continuous stay in hospital of 7 full days or more, will be paid at two weeks full pay.

Baby Loss

The company will pay a colleague full pay for one week’s absence in the unfortunate event of baby loss pre 24 weeks.*

*This is subject to the absence being certified by a doctor/hospital.

Fertility Leave

Paid leave for any colleague undergoing fertility treatment (IVF), to a maximum of two days per cycle.

Colleagues would need to be employed for a minimum of 1 year to qualify and would be required to provide documented evidence of appointments.

Family Friendly Policies… continued

Carer’s Leave

Colleagues can take up to one week of carer’s unpaid leave in any 12 month rolling period. A week of carer’s leave means the length of time they usually work over 7 days. For example, if someone usually works 3 days a week, they can take 3 days of carer’s leave.

Shared Parental Leave

The maximum amount of leave that can be shared is 50 weeks. Mothers / primary adopters are unable to share the first two weeks of compulsory maternity leave. Leave can be taken in minimum blocks of one week. Colleagues can make up to three requests for leave.  Our shared parental leave policy contains more details.

Colleague Purchases

The company offers colleagues up to 50% off products and services.

The up-to-date details of which can be found in the Benefits Booklet.

Any colleague discount transactions  should be processed by another colleague within the store.

To use your colleague discount: Colleague purchases in store must be processed by a member of the management team. They will ask for your employee ID number and ask you to confirm your postcode. They will then be able to apply the colleague discount at the till when purchasing your products. There is a standard 30% of all products although our ‘own brand’ products (such as Lifestage) can carry a higher percentage up to 50%. You can also get 30% of our Jolly Groomer services and Community Pet Clinic (e.g. for vaccinations or treatments for your pet).

The following rules apply in respect of colleague purchases:

• Colleague purchases do not include purchases for other family members, except a spouse or other family members living at the same address.

• The discount does not apply for purchases made using ‘price promise’, on promotional discount day events, any Company funded promotions and/ or discount/sale items.

• Colleagues will not be entitled to receive loyalty points on any PETCLUB account when a colleague discount has been applied to their purchases.

• All colleague purchases must be processed through the till system by a member of the store management team.

• Buying products and selling them on is strictly forbidden.

What to Wear at Work

Colleague Uniform

The Company operates in a retail environment and therefore, there is an image that must be observed.

All colleagues are required to be neat in appearance and to be immediately recognisable as a Jollyes colleague when on duty.

Whilst at work, all colleagues must wear the following: -

• Jollyes Red Polo Shirt or Midlayer.

• Jollyes Fleece/Gilet may be worn (as required).

• Name badges to be worn on the outer garment at all times.

• Black jeans/trousers/combats, these must be of a regular fit, not ‘baggies’, ‘super skinny’ or ripped.

• Black shoes/boots.

• No hats, scarves or gloves are to be worn on the shop floor.

• The company will contribute £25.00 towards uniforms. This contribution will be paid annually to all employees working within a store.

Personal Presentation

• Clothes should be ironed and clean.

• Earrings, body piercings and jewellery, if worn, must not be considered by management to cause a safety risk, be excessive or offensive.

• Clean shaven (unless growing a beard or moustache).

• Hair should be neat, tidy and well groomed.

• Employees are required to maintain a good standard of personal hygiene at all times.

In Our Stores

Each colleague on joining the business will be provided with:-

• Short sleeve polo shirt(s)

• Long sleeve t-shirt(s)

• 1 x Fleece

• 1 x Gilet

In Our Support Office

We want you to be devoted to our brand and our colleagues and customers, so consider your clothing and make sure it’s work appropriate, not offensive or inflammatory. If you are working in a store, you are required to wear your Jollyes uniform.

Reflect on the work day ahead. If you are working with customers or key stakeholders you might want to consider how you are representing Jollyes.

If you would wear it on the beach, in a club or at the gym, it is probably not suitable for work. Be safe and consider appropriate footwear for the role you are undertaking.

Travel & Accommodation

Where meetings are arranged it may be necessary to travel and stay overnight.

Full details of how to book travel and accommodation can be found in our Travel and Expenses Policy. Our policy also details how to claim for expenses such as mileage and sustenance.

Taking Time Out

Absence Reporting

If you are unwell and need to be absent from work you must report your absence by phone to your line manager ahead of the start of your planned working pattern. Full details of our absence policy can be found on iTrent, our company HR system.

Adverse Weather Policy

When the weather is severe causing widespread disruption to travel it can be difficult to get to work. Where this is the case, you should only try and travel to work if it is safe. If it is unsafe, you must notify your line manager as soon as possible that you are unable to get to work. Full details are available in our Adverse Weather Policy.

Compassionate Leave

We understand that following a bereavement it is a very upsetting time, and that understandably colleagues may need to take some time away from work to deal with their grief, support their loved ones or make arrangements for a funeral. Paid leave of up to 3 days will be granted in the event of the death of next of kin, blood relatives and partner.

Dependancy Leave

Dependents’ leave applies where normal care arrangements for a dependant of the colleague breaks down at short notice, when the colleague is either at work or on the day that they are due to be at work and is in response to an unavoidable situation. The purpose of the time off is to allow the colleague to cover immediate emergencies and if required, make alternative arrangements. If further time off is required, the colleagues should discuss this further with their line manager.

Holiday Bookings

Holidays should be booked using iTrent. Holiday requests will be dealt with by line managers, and we operate a first come, first served approach. Holiday requests may be refused if there are too many other requests for the same period. There may be certain  days of the year where holidays are not able to be booked due to the demands of the business. Holiday requests should be placed 4 weeks in advance of the required leave.

Jury Service

When a colleague receives notification that they have been called for Jury service, they should provide a copy of the letter to their line manager. If there are operational challenges at the time of the Jury service, the colleague may be asked to apply for a deferral to the Court.

Medical Appointments

We all need to book a medical appointment from time to time, to see either a GP or a Dentist.   Wherever possible, we ask that these appointments are made on your  own time or at the beginning or end  of your working day to reduce disruption as much as possible.

Concerns

Conduct

We want all our colleagues to enjoy working in Jollyes and to build successful careers with us. Our success as a business is built on colleagues conducting themselves in a way that is aligned to our Values and Behaviours. In some cases where behaviour falls short of our expectations it may be necessary to address the situation using our Disciplinary Policy.

Grievance

As a colleague, if you have any concerns that can’t be dealt with informally with your line manager you should raise them as a grievance. Grievances that are left unresolved can have a negative impact on you and those around you. The details of what to do if you want to raise a grievance can be found in our Grievance Policy.

Whistleblowing

If you see something that isn’t right such as wrongdoing or misconduct and you

want to raise it confidentially, you can do so through our Whistleblowing Policy.

We have a confidential whistleblowing service in partnership with an external company, NAVEX. Colleagues can submit a report online at https://jollyes.ethicspoint.com, or reports can be made via a dedicated phone line 0808 234 7287.

NAVEX will provide you with a unique code. Please record this code carefully, as it will allow you to check updates or receive feedback on your case. You can choose to remain anonymous or provide your contact details to receive notifications on any updates to your report.

All complaints raised through our Whistleblowing policy are treated confidentially. (Whistleblowing is described as confidentially reporting activity you think is illegal, immoral, dishonest, unsafe or fraudulent).

Company cars are provided to those colleagues who have a business need for travel.

This will have been outlined in your contract of employment. For colleagues who use a company car or are provided with a hire car for travelling purposes, you must read and understand the Company Car policy.

Company Vehicles Company Laptops & Phones

You will be provided with a company laptop and mobile for work purposes, if your role requires.

Whilst using all company IT equipment you are bound by the IT Code of Conduct, Data Protection and Social Media policies. These policies aim to keep you and the business safe when using IT equipment. These policies were provided to all colleagues during the onboarding process, and can also be found on iTrent.  Make sure you take the time to familiarise yourselves with them. Before leaving the company, colleagues are required to return any company property. Failure to do so, may result in the value of the property being withheld from any monies due.

How do I Get Paid?

All colleagues are paid on the last Friday of each calendar month.  If you have any queries about rotas or shifts that have been inputted into the system, you should contact your line manager.

You can view the shifts that you have been assigned by logging into iTrent Self Service and clicking on ‘My time’ and then ‘My Shifts’.

If your bank account details change, they can only be updated by you logging onto Employee Self Service on iTrent. We are not able to accept email requests to change bank details.

Any P60 or P11D’s are sent out by the Payroll team at the end of each Tax Year. P60’s can also be viewed on iTrent.

Expenses

Expenses are inputted and processed using our Concur system.

Support and senior retail colleagues likely to incur expenses will be automatically registered on Concur and will receive an activation email to your personal email account within 14 days of joining the company. Please see our Expenses policy for further information.

Change of Details

If you move house or you change your email address or phone number you must update your own details on iTrent.

If any of your next of kin details change, please use employee self-service on iTrent to update your details

My Wellbeing

Employee Assistance Program

Through our partnership with Retail Trust, we offer a 24 hour independent advice helpline for all colleagues. They can offer support for matters both inside and outside work. They can be contacted on www.retailtrust.org.uk or 0808 801 0808.

Birthday Leave

Every colleague has been awarded an additional day leave for your birthday. You can book this additional day in the same way as any other leave.
