HUMAN FACTOR TRANSITIONING

Dear Friends,

UFI recently released the figures on the global impact of exhibitions: USD 325 billion is generated in total output, USD 198 billion global GDP and support 3.2 million jobs worldwide.

In 2020, IELA will initiate it’s IELA Data Room Survey to collect data on worldwide exhibition logistics. This initiative will identify the collective contribution of IELA Members within the Exhibition Industry, quantifying our impact and reinforcing IELA as a professional and responsible contributor to the industry.

With #GED19 , the Global Exhibitions Day coming up on June 5 th 2019, IELA Secretariat has initiated an Event Logistics Horizon Initiative to present and kick- start the IELA Data Room project. This initiative of data sharing and working together will present the collective strength of exhibition logistics industry. I urge you all to actively participate in this initiative!

During these past few months, we launched the IELA Power Up project and work on IELA Sustainability Guidelines and the IELA Academy is progressing. We will update you further during the Venice Congress.

At the beginning of May, we launched the Organiser and Exhibitor Portal , a unique platform with a customer perspective approach. This is a source of information for organisers and exhibitors seeking specialist advice on logistics questions. I warmly invite you to share this tool with your customers.

With excitement I am looking forward to the Venice Congress and Partnering Event. Our Italian Hosts along with the IELA Secretariat are working to make this a memorable occasion. The number of registrations received for Venice so far are 258. For the Partnering Event we have 354. There are still five weeks left! Congratulations to our Secretariat for achieving such impressive numbers.

I would like to thank Dominique Geiser (Chairman) and Daniel Mithran (Vice Chairman) for their commitment and hard work in the Standards & Customs Working Group. They will stand down in Venice where David Palomo and Jatin Bharadwaj will take their positions respectively. We would also like to welcome Pablo Martinez as the new Vice Chairman of the Education & Training Working Group, supporting Bas Wiendels as Chairman.

As for the IELA Board leadership, I am delighted that we have two women (Priscilla Leong and Sandi Trotter) nominated for the Board elections in Venice.

Having said that, I am disappointed that only two fresh nominations were received as I had been personally involved in identifying 12 prospects in total for nominations. I would personally urge new leaders to come forward to contribute to IELA’s projects. It is also the reason why I am reviewing my earlier very strong desire of having a limited term for the Board Members prescribed in IELA Articles. The Board will be reflecting upon this as an insufficient number of new nominations for vacant posts could have a negative impact on projects and initiatives.

As always, I once again urge more leaders to come forward to volunteer for IELA work. It is only when new leaders come forward that new ideas and input can advance IELA goals. The former leaders can then be reassured that IELA future work will not get impacted.

IELA is your IELA. Come forward and take the reins!

Finally, a big thank you to Greg, Guido, Elizabeth and the entire IELA Secretariat Team for their contributions to IELA. t

Warm regards,

C hairman’s C orner •

MADRID AND KOREA TO WELCOME THE ANTONOV!

After months of dedicated hard work and operational planning over 3 different time zones, Transit Air Cargo Singapore Pte. Ltd. together with their trusted partners Comarfex Logistica de Ferias S.L. and Korea GLS, Inc. reached a milestone as they loaded 6 units of shippers’ own containers (60 tons airfreight) via a chartered Antonov aircraft, with a maximum load of 750 cbm, a drive-on loading ramp and built-in freight handling equipment.

Prior to loading the aircraft, the weight and specifications of the containers had to be precisely tabulated to meet the specific load requirements of this cargo aircraft.

Today the amazing Antonov is recognised as one of the leading aircrafts specialising in various industries such as engineering, aerospace, military and humanitarian aid relief.

Despite battling the grueling timelines, short turn-around time, various unforeseen circumstances and surprises, the teams in Madrid and Korea were able to successfully complete the customs clearance and welcome the Antonov in their respective countries with pride and joy.

As quoted by Steve Jobs -”Great things in business are never done by one person. They are done by a team of people.”

It was definitely a unique and unforgettable experience that forged new friendships and nurtured old ones amongst the three IELA Members.

We are extremely proud to say, “Well, we did it!!” t

FULSTANDIG’S TEAMWORK AT LAAD 2019

The LAAD Defence & Security 2019 event from April 2 nd - 5th at RioCentro pavilion, Rio de Janeiro, Brazil is a perfect example of Teamwork.

The synchronism and commitment between the Freight forwarders, Ministry of Defense, Brazilian Army, Brazilian Customs, Clarion Events, Rio Galeão Airport and RioCentro showed to the world what Teamwork is: working together to find common solutions. By working together, there has been a great modernisation of the permits and customs clearance processes. The agents who work with us are also part of the team. The stress

BRAZIL, SAFETY AND IMPORTANT DESTINATION FOR SECURITY AND DEFENCE TRADE SHOWS

Mariane approached the Brazilian Ministry of Defence which coordinates the permit process for the importation of guns and ammunition etc. with the Brazilian Army. They gave an outline on the specificity of forwarding exhibits for the security and defence industry and the importance of working with qualified freight forwarders.

The Security and Defence Industry is atypical when it comes to the commercialisation of products and services. Potential buyers

involved years ago is now a thing of the past.

Teamwork is for us, at Fulstandig Shows e Eventos Mc Ltda, an essential ingredient for our success at any show we work on. The integration of our Sales/Coordinators to assist our agent partners in guiding them on Brazilian procedures, our back-office professionals checking and preparing the paperwork, our own team of customs brokers and our onsite guys guarantee that exhibitors will receive their shipment on time and in safety at their booth.

The professional cooperation between the specialised Freight Forwarders, the private companies managing airports and various governmental agencies guarantee that large and reputable events in this segment achieve a high level of success.

LAAD is the largest defence show in Latin America, held at Rio de Janeiro in Brazil for decades. An event of this magnitude requires a significative cargo movement including import

permits, roper warehousing, physical inspection and customs clearance. For the last three editions, the increase in, and improvement of, the procedures, preparation meetings and the formation of government agency teams together with the freight forwarders, have resulted in the achievement of excellent results. Not only the event profits from this, but also the best material controls and safety measures are implemented. This experience shows that Brazil is an important, non-bureaucratic and safe destination for events of this significance. t

THE HUMAN FACTOR

During this year’s Congress, IELA will be exploring the potential of the Human Factor

You ask yourself why have we chosen this direction? The answer is that the exhibition & events logistics industry is changing. The role of leaders is to show that the changes and developments are for the better. We are being confronted by the challenge of communicating and informing our teams on how the big picture looks and where the company needs to develop. This will firstly raise awareness, then build confidence and courage in dealing with change

The new event format last year encouraged free movement between flows throughout the day: THINK, BREAKFAST BRAINS and STREAM. Our aim this year is to go even further with EXPLORE, bringing you on board by imagining novel experimentation-driven perspectives and even business models that will impact you, your team, your company and our industry.

The new exploratory zone will be our playground this year, enhancing high-quality learning via the means of experience. The new event concept will provide the platform for meaningful discussions and ultimately give us tools and guidance on creating positive societal impacts in all areas where WE can make a difference: whether in our working environment, with our families, friends or in the community.

We look forward to living this experience with you at our event this year following the mantra:

TRANSITIONING • TRANSCENDING • TRANSFORMING

Be prepared to transcend and transform.

See you in Venice!

GENERAL ASSEMBLY & ELECTIONS

Monday, June 24th 2019 – Venetian Ballroom, Ground Floor, Hilton Molino Stucky Venice, Italy

Having registered for the Congress on Sunday June 23rd, it is imperative that all participants for the General Assembly & Elections register themselves additionally for the General Assembly, from 08:00 - 08:30 in the Venetian Foyer (ground floor) at the registration desk. Registration only for the Congress does not deliver the “voting power” for the GA.

Please remember to bring along the signed proxy form for those who have been named by another member. Registration is not possible without this document.

The day’s programme will start at 08:30 with the Welcome Address and the New Members Introduction. The General Assembly and the voting will begin at 09:00.

All IELA Members will vote the following:

a) New Members of the Committee (by secret ballot / on-block, by show of hands)

b) New Members of the Board of Management (by secret ballot)

c) External Auditor (show of hands)

ELECTION of EXTERNAL AUDITOR:

AUDICONSULT Geneva stands for re-election as IELA’s External Auditor.

Why do we, as an association, require an External Auditor?

Auditors are used to ensure that organisations maintain accurate financial records and statements. An External Auditor is someone who examines the financial records and business transactions of an Association with which he or she is not affiliated.

An External Auditor is typically used to avoid conflicts of interest and to ensure the integrity of the auditing process. When an audit is performed, it is the financial auditor’s responsibility to make sure that records are examined in an honest, professional and forthright manner.

TRANSITIONING TRANSCENDING TRANSFORMING

THE HUMAN FACTOR

Social networks characterise the world we are living in.

We are always connected to each other by Emails, WhatsApp, Facebook, Instagram, Twitter, LinkedIn and so on.

We can reach people who live on the other side of the world in less than a snap of your fingers. This is great! Above all, it was unthinkable until recently.

When Expotrans started working in exhibitions forwarding, we were worlds away from being connected. It is now exciting, 30 years later, to be part of it!

But we often forget that behind our friends’ smartphone or PC displays… they are our friends in the flesh! We often forget the Human Factor!

We are so used to hyper-fast communication and immediate answers that we don’t realise how important it is to look in each other’s eye, have a chat, take a coffee together.

That’s why IELA Partnering Events are so meaningful! The Human Factor is always the number one priority! Meeting Partners we have only “virtually” worked with or shaking hands with old distant friends is priceless. For me this is a very important occasion and I’m very proud that the 8th Partnering Event will take place in Venice.

Venice is a magic city, rich in charm, culture and multiculturalism. Its palaces and canals, bridges and churches, the Carnival tradition and the gondolas make Venice famous all around the world. But not everyone knows that in the past it was a capital of tolerance and welcomed foreigners and different ideologies. So much so that it deserved the nickname of Serenissima (peaceful).

That’s why it’s the perfect place for this year’s Partnering Event and will give all IELA friends a taste of legendary Italian hospitality.

I am sure you will enjoy it!

TRUSTED PARTNERS ON THE PATH TO SUSTAINABILITY

One netw rking platform at

one location for one industry

Two events

Three main reasons

One networking platform

The second edition of IELA CONNECT which takes place this year on October 14 th 2019 in Marrakech, Morocco.

Our regional new fagship event has one goal this year: To connect with all players facing sustainable logistics challenges for exhibitions and events in your region.

Two events: IELA CONNECT and SUSTAINABILITY GUIDELINES Release

Last year’s event in Shanghai revolved around the question of Safety and Security for a safer and more secure Exhibitions industry. IELA presented its freshly published IELA Security Guidelines which were received with acclaim by the exhibitions industry as a whole. This year we are concentrating our efforts on Sustainability.

This year’s event in Marrakech will focus on the sustainable challenges the exhibition logistics industry is facing, combining our regional networking event with the release of our sustainable guidance for the industry.

Three reasons why you should join us

Join us in Marrakech!

1. To participate in a unique Networking Opportunity between IELA Members, local organisers, venues owners, local administrations, associations & press

2. To reduce together the impact of the global footprint at exhibitions, contributing to the Exhibition Logistics Sustainable Best Practices for the entire value chain

3. To play an active role in applying the standards in your country

Due to changing global requirements, suppliers are invited to adapt and apply a sustainable approach. At the heart of logistics, the overriding importance is given to service reliability, quality standards and performance.

We are looking forward to working together in order to advance further in our efforts to develop best practices and solutions for the entire exhibition value chain.

Register now! Send an email to adminiela@iela.org and we will send you the confrmation.

Let’s CONNECT to fnd sustainable solutions in the exhibition logistics industry!

IELA supports collaboration with organisers, exhibitors, venue operators, associations and partners to fnd the best processes and solutions for the entire industry, the results of which will be incorporated in our offcial guidelines.

Connect with us at Marrakech and don’t miss out on this opportunity to be present at the introduction of the IELA Sustainability Guidelines at this year’s IELA CONNECT!

This initiative held during previous editions was a tremendous success, delighting all participants with a lounge area converted into the IELA family billboard where delegates and experts chat about business over a cup of coffee.

NETWORK

The well-known IELA 1-2-1 networking sessions offer the delegates a variety of fruitful meetings and discussions about their operational experience. It is an important opportunity for participants to develop their network, as well as streamline customer service by intensifying collaboration within the IELA Membership.

The Operations Summit is one of the IELA tools which returns benefts to members with 100 places made available

Do you want to power the future of exhibition logistics? Contact the IELA Secretariat and get informed about our sponsorship opportunities.

The 1-2-1 meetings will also allow delegates to get to know their peers, develop business and learn from each other

After the conferences and the networking, the delegates are invited to enjoy IELA's social functions and experience Bangkok’s most beautiful sites.

We know that the Summit takes place during a peak time for exhibitions. We are convinced of the added value of this platform for acquiring a high level of knowledge. Together with a myriad of unique opportunities for face-to-face discussions with event and exhibition logistics professionals, this event remains a key element in our training success and is evidence of our dedication to accompany experienced staff members into the future. t

As the leading association in the global exhibition transportation logistics sector, IELA is committed to ensure professionalism in all aspects of the industry and its membership reflects this ethos. The performance of our members in 2018 is being benchmarked by the 2018 IELA Standards of Performance Survey.

The survey was launched last April 4th 2019 and all IELA Members are invited to evaluate the services that other Members have supplied to them during the previous year.

The IELA Standards Survey defines the IELA minimum requirements that all IELA Members, Export, Domestic and On-site Agents, must strictly observe. Once the survey period is over, all IELA Members can view their scores and their position compared to the average score.

Members performing low scores will be obliged to send staff to participate in our training events.

How do you qualify for the IELA Award?

• You participate in evaluating your counterparts in the annual IELA Survey.

• If your company is evaluated by a minimum of 7 companies other than representatives of your own company group, you qualify for the IELA Award.

• The company with the best performance in each category (Export Agent, Domestic Agent and On-site Agent) will win the Best Agent Award. Second positions in each category will also receive their corresponding awards. t

Dear Friends,

It is with great emotion that I’m looking at the new initiatives of UFI with the publication of the “Global Economic Impact of Exhibitions Report” together with Oxford Economics.

It is indeed fantastic to learn that, as UFI itself stated in its last bulletin, our industry “is contributing for EUR 275 Billion to the global economy on a par with industrial sectors such as Machine tools or medical and surgical equipment “.

An even more interesting and motivating fact is that the exhibition industry supports 3.2 million jobs around the world!

Such impressive positioning will support us when publishing the results of our first Data Room survey.

Our project is definitively underway with the questionnaires reaching us soon. All the major Event Organiser Associations are already triggered by the potential of our investigations and recognize how useful it will be in implementing our visibility with public and private stakeholders in the industry.

Meanwhile for the next GED edition, please make sure to put your own telescope on show and be ready to make it happen!!

… and don’t forget, as the economist Mr. Deming said “Without data, you are just another person with an opinion” t

Cheers

Data rooms define spaces used for housing data, usually of a secure or privileged nature. They can be physical data rooms, virtual data rooms, They are used for a variety of purposes, including data storage, document exchange, file sharing, etc. In our case to figure out the aggregate size of our segment.

#Sharing Data for common Goals

IELA is proudly supporting GED19, coinciding with the presentation of the 2020 IELA DATA ROOM.

GED19 , the 4th edition of Global Exhibitions Day GED19, will be taking place on June 5th 2019, to globally celebrate the Exhibition and Events Industry.

GED19 is open to all who are interested in increasing the visibility of the Exhibition Industry, not only regionally but also on a global scale. Previous GED editions of this initiative mobilised thousands of industry professionals all over the world: associations, exhibition organisers, venues, service providers, universities and individual professionals.

To support these activities, UFI’s new Economic Impact Study accentuates the regional and global economic impact of exhibitions, highlighting the important contribution of exhibitions in terms of total output, contribution to GDP and jobs.

Furthermore, UFI is pushing the “talent” element in the industry and encourages individuals to come up with initiatives such as “Follow-me” videos and “Voices of the Exhibition

The UN Sustainable Development Goals (SDG) play a considerable role in the future and UFI is looking for best practices from players in our industry in order to be able to assess the total contribution towards these goals.

UFI President Craig Newman declares: “This is the 4th Global Exhibitions Day campaign. It is our industry’s BIG day! Let us build on the success of the past three editions. I am sure that GED19 will send a strong signal to all policymakers and stakeholders of our industry on the power of exhibitions – for business as well as for people. And let’s not forget to also celebrate our wonderfully fascinating, great, diverse global industry.”

The IELA GED19 Event Logistics Horizon project:

IELA has launched this initiative following in the steps of international scientists who succeeded in identifying the first image of a black hole.

This scientific project merged telescopes from all over the world and used them as one giant telescope. Incredible amounts of data were collected to finally achieve what was seen previously as the impossible. IELA sees its initiative, the Event Logistics Horizon Project, as the starting point of its 2020 IELA DATA ROOM. This is a vast project of comprehensive data collection on worldwide exhibition logistics which will contribute greatly to effectively sharing data and working closely together with the common goal of taking the industry beyond current limits

For GED19, IELA is uniting the strengths of its network to launch an interferometric initiative where IELA Members are using their own telescopes in support of GED19.

Together we will create OUR BIG PICTURE in 2020 and take the first steps towards the IELA DATA ROOM! t

#Voices of the Exhibition Logistics Industry

The GED Voices of the Exhibition Industry is an initiative focused on accentuating the marvellous job opportunities within the Exhibition Industry.

It is a great chance for our voice to be heard when it comes to career opportunities that the exhibition logistics industry has to offer.

We are currently gathering great feedback from IELA Members who explain their job and why they recommend a career in exhibition logistics.

And here is an example:

EXHIBITION LOGISTICS JUNIOR SPECIALIST

His job description: To handle the operation of exhibition shipments from Turkey to European countries and vice-versa, to coordinate the transport, Turkish and foreign customs procedure and on-site services via on-site logistics partners.

Why do you love working in the exhibition logistics industry? I generally enjoy being a part of the logistics sector as I feel logistics directs world trade

as an indispensable aspect of accessing products to the end user. Exhibition logistics takes a further step in this context as it combines both the before and after of trade and marketing, offering a wide range of services. You learn at all levels when guaranteeing smooth operations for customers: working with people all over the world, learning import/export process, pricing, operation planning and international transport including intermodal. The know-how gathered with onsite services is important, as well as general management skills and stress and time management. All these factors make you feel special as an employee serving customers with a variety of special skills.

Why do you recommend a career in exhibition logistics? The number of real experts in the exhibition sector is limited. It’s a real opportunity to be an expert and quite a responsibility to be a genuine one! It may be really challenging for those who are not familiar with logistics in general; it takes a while to learn with the abundance of detail. Exact planning is vital. There is no room for mistakes. Are you daunted? I love it!

Relevant changes as to Posting of Workers for cross-border provision of services in the EU

The final text reforming Directive 96/71/ EC1 (underlying Directive for the Posted Workers Enforcement Directive) has been adopted.

The aim of the reform was to address unfair practices and support the principle of same remuneration for the same work at the same place. The scope of the directive is now not only regarding the construction sector, but is valid for all sectors – with only a temporary exception for the road transport. It covers all services contracted and provided across borders in the EU in our industry. The main changes introduced are in the field of remuneration, tougher rules for temporary work agencies and long-term postings. All terms and conditions, including collective agreements, of the Members State where the work is carried out apply to all postings in all sectors. A posting is limited to 12 months (under certain conditions 18 months) For a period under 8 days, holiday and remuneration rules of the destination country do not apply. Posted workers cannot be replaced by others performing the same task, in this case the cumulative duration is counted.

The EU Member States must publish all conditions on a single website.

The directive is valid for the European Economic Area and has to be transposed into national legislation by 20 July 2020. We strongly recommend to monitor the national legislation processes and eventually advocate to avoid even stricter rules, complicated bureaucratic procedures or to maintain certain rules specific to the exhibition sector, concerning working time, work on the weekends, or other specific sectorial rules. The Posted Workers Enforcement Directive 2014/67/EU is now also applicable to all postings, not only to the construction sector t

US New Regulation on Composite wood products

The actual impact started on March 22th, 2019 for anyone sending freight to USA. They must certify on their paperwork that their products are compliant with the TSCA Title VI. Also, regulated products must be labelled as TSCA Title VI. Imports of all regulated products must have TSCA section 13 compliance certification filed with the customs entry of the merchandise. Any entity importing an article is responsible for determining themselves if the imported article is or contains regulated composite wood products, and if yes, is responsible for completing the TSCA Section 13 import certification process as required by 40 CFR 770.30(d) regardless of whether the product HTS code is represented in this list or not.

By June 1 st , 2018, regulated composite wood products must be certified as compliant with either the TSCA Title VI or the California

New Deposit Regulations in Syria

The Syrian Customs Authorities do not accept bank guarantees or organiser’s sponsorship anymore and insist on the payment of duty as a deposit.

The country of Syria has been undergoing changes regarding legislation. New customs regulations for exhibitions have been implemented with immediate effect from March 1 st 2019 which change the system for issuing deposits. A lack of banking trust and sanctions issues has led to a concentration on cash payments rather than guarantees on paper.

In the past, Syria Customs Authorities accepted bank guarantees or organiser’s sponsorships. This has now been changed and the authorities insist on the payment of duty as a deposit . The amount equivalent to customs duties has to be made and upon exporting the goods, the deposit is refunded within 60 days

Air Resources Board (CARB) Airborne Toxic Control Measures (ATCM) Phase II emission standards, which are set at identical levels, by a third-party certifier (TPC) approved by CARB and recognized by EPA. Regulated products may not rely on the CARB reciprocity of 40 CFR 770.15(e) and must be certified and labelled as TSCA Title VI compliant by an EPA TSCA Title VI TPC. CARB-approved TPCs must comply with additional accreditation requirements in order to remain recognised as an EPA TSCA Title VI TPC and to continue certifying products as TSCA Title VI compliant.

For any information related to the TSCA Section 13 import certification or this list, please contact the TSCA Hotline at (202) 554-1404 or Tsca-hotline@epa.gov. t

Single Window Initiative for Canadian Customs Clearance Process

The Canadian Customs Clearance Process which started on April 1st 2019 reduces processing time for regular Customs submissions, creates faster Customs releases and shorter clearance delays.

Canada Border Service Agency (CBSA) has recently introduced a new program that allows for one submission for entries that previously required independent submissions and approvals from multiple government agencies.

While many other countries have already moved towards using a Single Window platform for the exchange between trade data and government agencies, Canada is now going down the same path. In the last couple of years, CBSA has been working diligently to roll out a Single Window Initiative (SWI) This initiative improves how information is shared between government agencies and businesses involved in international trade

Faster responses and shorter waiting times with regard to electronic submission releases have been made possible. It simplifies the process in which participating government agencies (e.g.

Canadian Food Inspection Agency, Transport Canada, Health Canada, etc.) receive and review applicable permits and certificates. Prior to CBSA’s Single Window Initiative, additional documentation for review by government agencies often had to be via hardcopy, paper documentation. Now, most additional documents can be tendered electronically for approval and released simultaneously with Customs and arrival information. The delay has been significantly reduced.

There has also been a noticeable improvement in the processing time with regular Customs submissions, where no additional documents are required; faster Customs releases and shorter clearance delays It has had a positive effect on the exhibitions & trade show world, where it is the rule rather than the exception that time is critical regarding Customs releases.

Applying the brakes –challenges in US road transport

The mandatory use of Electronic Logging Device has a strong impact on the collection and delivery of cargo from an exhibition venue in the USA.

All is not well in the US trucking industry in 2019. Ask any American IELA member about challenges in the US logistics market and they are sure to bend your ear on the many new factors that are making on-time deliveries a real headache.

Highway safety is an important concern in all countries and especially one with 2,678,000 miles of paved roads. As part of the MAP-21 Act of Congress, the entire US trucking industry has been impacted by the rule, fully effective on April 1st 2018, that drivers replace paper logbooks with electronic devices as a way to enforce the number of hours a driver can legally be behind the wheel.

These regulations have had a huge impact across the board from trucking companies and

drivers to shippers and consignees resulting in extended transit times. Hours of Service rules limit the time a driver is in his cab to no more than 11 hours a day within a 14-hour workday. Drivers must then be off duty for 10 consecutive hours.

The impact for the exhibition logistics business has been enormous most especially in delivering and picking up cargo from an exhibition venue. Delays can be long, eating up the driver's work day, leaving him ‘out of hours’. The result has been a severe reduction in the carriers who will service US convention centres and a sharp increase in costs for those who will.

The most acute consequence of these regulations has been felt in the ocean container

market which has always been a lower margin transportation segment. Also impacting container deliveries are the ongoing issues of chassis availability. Since the shipping lines ended their ownership of chassis, this business has been managed by pool operators resulting in a shortage in many major ports and terminals. As a consequence, available chassis are often not in the same location as the containers being transported. These inefficiencies waste further time and increase costs.

A national shortage of drivers was cited by the American Transportation Research Institute as being the most pressing industry issue. So, the road ahead seems to be full of potholes that will not be fixed anytime soon. t

The Exhibition Industry Alliance (EIA) uniting the Association of African Exhibition Organisers (AAXO) and the Exhibition & Events Association of South Africa (EXSA) organised the Exhibition Industry awards ceremony on January 31st 2019 during Exhibition of Exhibitions. This event together with the EIA awards play an increasingly important role in encouraging excellence in the fast-growing exhibition and events industry. The awards recognise excellence in exhibition organisation and participation in 2018. Entries were judged on the overall exhibition/activation strategy incorporating marketing, public relations, operations, stand construction and ROI.

Figuring among the award winners were the IELA members Exhibition Freighting G.S.M South Africa and La Rouxnelle Logistics and Consulting who won EXSA Best Supplier Company – Logistics. t

AEFI supports its associates with activities of their Commissions as well as developing training, marketing, promotion and research initiatives. Fair participation in Italy lies at the heart of the Association's mission, but this year key participation abroad and internationalisation have been fundamental drivers. Over the years, agreements have been signed with strategic markets aimed at offering new growth opportunities to Italian fairs and companies with privileged access to events also taking place abroad.

Safety, logistics and training are ongoing crosscutting issues that involve the Commissions. The Association works to ensure that institutions recognise the value of fairs for the national economy: due to their important role, dedicated measures, economic and financial tools should exist to allow them to liberate resources, e.g. tax breaks and fair taxation on exhibition buildings. t

IBEROAMERICA Congress organised by , the International Association of Exhibitions in Latin America, and AFE, the Spanish Trade Fairs Association, AFIDA celebrated its 50th anniversary, inviting more than 150 of the most representative CEOs from America and Europe.

IELA was part of this key event for the industry in Ibero-America, kindly invited by AFIDA, and represented by Marta Kupis from Resa Expo Logistics, IELA Member and member of the Industry Relations Working Group.

During the event, Mr Mario Cajiao, Vice-President of Corferias, Colombia, was elected Incoming 2019-2021 President. It was a pleasure for us to be present at this important event, characterised by the fact that AFIDA celebrates half a decade of activity in the industry. It was a high-ranking event and gave us the opportunity to catch up with old and new friends in the Latin American exhibition business. We very much thank AFIDA for the invitation and wish them well for another 50 years! t

April 23rd, 2019

The Center for Exhibition Industry Research (CEIR) has released a new report from the Industry Insights Series, How Exhibitors Can Improve Lead Quality and Sales Conversion. This report was written by Jefferson Davis, President of Competitive Edge, a seasoned consultant in the business-to-business (B2B) exhibition industry.

How Exhibitors Can Improve Lead Quality and Sales Conversion demonstrates to readers how the end goal for exhibiting ties back to sales. As Davis writes, "If exhibiting ROI is the name of the game, lead management is an exhibitor’s playbook."

"Jefferson does a great job providing a nononsense overview of best practices," said CEIR CEO Cathy Breden, CMP, CAE. “It is short, but filled with important advice. There are a number of helpful tips and tricks to help exhibitors maximise sales lead generation and conversion results." t

At the Events Industry Council's Spring meeting at San Juan, Puerto Rico, its Chair Tina Wehmeir introduced the Incoming EIC CEO, Amy Calvert who presented her 180 day plan to the audience of industry leaders. Updates from EIC's various Committees were presented, among others CMP Governance Commission (Chris Peck); Industry Insights (Gary Murakami); Sustainability (Courtney Lohman) and Nominating Committee (Susan Robertson). Mike Herrera (Director of Education at IAVM) addressed 'Thought Leadership - Security Awareness & Emergency Preparedness in the world we live in today'.

Vicki Bedi , IELA Chairman, shared IELA’s OH&S initiative and Security Guidelines and talked about the Sustainability Guidelines planned in October. IELA's commitment towards Security & Sustainability was greatly appreciated and recognised as the resource for knowledge and content in the industry. The close cooperation between IELA Secretariat and EIC Committee Chairs will continue with the next possible meeting between Elizabeth Niehaus and Tina and Amy during IMEX Frankfurt to discuss synergies and combined initiatives. t

UFI revealed that the total economic impact of the exhibition industry is worth €275 billion, positioning the industry on a par with sectors such as machine tools or medical and surgical equipment, ranking 56th largest economy in the world, larger than those of whole countries such as Hungary, Kuwait, Sri Lanka and Ecuador.

In 2018, approximately 32,000 exhibitions directly involved over 4.5 million exhibitors across more than 180 countries

In terms of total GDP, North America ranked first with over €78.2 ($92.3) billion of total GDP attributable to the exhibitions sector. This accounts for nearly 47% of the sector’s global impact. Europe followed with €48.6 ($57.3) billion of total GDP, representing 29% of the sector’s global impact.

Overall, exhibitions globally generated €60,700 ($71,700) of total sales per exhibiting company and €7,900 of total sales per square metre ($870 per square foot) of venue gross indoor exhibition space. t

CLIMATE:

Italy is thin and long, with a climate which changes considerably depending on if you are in the northern or the southern region. In the north, winters are cold and foggy, temperature can go below zero and the closer you get to the Alps, the more often it snows. Going down along the Apennines, a mountain range that crosses the whole country like the backbone, temperature rises and in Sicily you might see someone swimming in the sea even in the middle of winter!

LANGUAGE:

Although the Italian peninsula has a very ancient history (the Etruscans frst, the Romans soon after ...), offcially the Italian

language as we know it is very young. Italy was a divided territory for a very long time. It is strange to think that in 1861, the year of the proclamation of the National Unity, less than 10% of the population could speak the Italian language correctly! For this reason, each Region (20 in total) has its own very different dialect. You will notice it in Venice: even if you speak Italian perfectly, if a Venetian speaks to you in his own dialect, you will hardly understand them!

ETIQUETTE AND CUSTOMS IN ITALY:

Until a few years ago, relations between Italians was more formal: there was an added element of respect and deference, especially when talking to someone with a higher social status. Now things have changed slightly and we often immediately call each other by name and talk in more informal tones.

When you frst meet someone, the most appropriate greeting is the handshake. Among relatives and friends we greet each other with a kiss on each cheek. For Italians, gesticulating while talking is an integral part of the conversation: beware of an Italian who does not gesticulate!!

We do not drink alcoholic drinks when taking a stroll but just before dinner, it is very common to meet people and enjoy a glass of wine in the company of friends sitting outside wine bars.

BUSINESS:

Even if Italians are perceived as being addicted to idleness and the ancient art of seduction, the reality is quite different. We are a very industrious nation and Made

in Italy is a very famous brand all over the world.

Actually, Italy ranks at second place in Europe as a top manufacturing country. This means that 905 products of the approximately 5206 surveyed in the world are produced in Italy (particularly in the regions of Lombardia, Veneto, Emilia Romagna and Piedmont). In the machine tool sector alone, exports of machinery produced in Italy have an invoice value of around 3,165 million euros a year.

Also production related to Hi-Tech & Aerospace security plays a very important role in the Italian economy. In fact, the most important Company Group in this sector achieved a turnover of 12 billion euros in 2018.

In addition to this, in Italy there are over 10,000 innovative start-ups that contribute to research and development to create an increasingly cutting-edge production and service chain.

The food sector, of course, is the most well-known: from pasta to pizza, from cheese to wine. There is no Italian excellence that is left unknown and not exported abroad. Another area of great media appeal is haute couture: who does not know Prada, Dolce & Gabbana and Armani clothes?

The tourism sector is obviously at the forefront, reaching around 10% of national GDP thanks to over 50 million annual tourists visiting the Bel paese.

For Italians, business often fuses with pleasure and conviviality with good food: excellent commercial agreements are made around a cup of coffee or a good glass of wine. t

The Italian Exhibitions System: Trends and Prospects

Italian exhibitions are an essential tool in promoting, marketing and internationalising business, and are a priority channel for direct contact with the public.

Every year around 1000 exhibitions are held in Italy, where we estimate to attract 200,000 exhibitors and 20 million visitors.

With a total exhibition area of 4,200,000 sqm., 2,270,000 of which are under cover, the Italian exhibitions system is the second largest in Europe and the fourth largest in the world. In detail, Italy has 43 exhibition districts with more than 5,000 sqm. of exhibition area: of these, six are larger than 100,0000 sqm., 23 range from 20,000 to 100,000 sqm. and 14 are smaller than 20,000 sqm. 1

AEFI associate exhibition venues host almost all the national and international trade fairs held in Italy annually, of which more than 50% are organised directly by the venues themselves: these are large, medium and small fairs, each of which has its own function, special features and added value. Each plays its own role in valorising its territory and promoting

Italian industry and the Made in Italy brand worldwide. The importance of exhibitions for growing Italian business worldwide is confrmed in a number of studies which demonstrate that 50% of exports are the outcome of participation at trade fairs: 88.5% of small and mediumsized businesses and 75% of industrial businesses consider exhibitions as an essential promotional tool.

This is all the more evident when we look at exhibitions showcasing the Made in Italy brand. With the support of the Prometeia Research Agency, our Association has monitored five industries - agrifood, construction and furnishing, fashion, beauty, leisure time and technology - which account for 29.7% of Italian production, 35% of which are exports and 63.2% of overall exports. Not only are the majority of exhibitions dedicated to these sectors, but they are also at the pinnacle of Europe and are those in which Italian businesses are growing fast internationally.

From 2012 – 2017, there has been a signifcant relationship between the growth in foreign visitors (+17%) and the more than proportional increase in Italian exports (+22%). 2

}}Thank you to

Awareness is growing about the fact that 1€ invested in trade fairs generates 2€ during the fair itself and 8€ when we include follow-up contracts. It is estimated that, of the 98 million USD spent every year in trade fairs, 50% goes to the industry and the other 50% to the local area.

Studies run at territorial level have confrmed that secondary earnings in the various areas of Italy are always higher than these fgures.

On the whole, 2018 was a good year for the Italian exhibitions industry. The AEFI economic study has shown positive results in relation to the number of events, exhibitors and visitors. This trend is confrmed by reports from certifed events. 3

The prospects look good, despite the international economic downturn, thanks to the unstinting work of exhibition venues in innovating their offer to exhibitors and visitors alike. Not only by revolutionising their space with investments in digitalisation, safety, logistics and infrastructure, but also by organising Fuori Salone events and increasing the interaction between exhibitions and conferences, which are essential for refreshing and training professional competencies. Italy also has the competitive advantage of combining business opportunities with culture, work with leisure, thanks to the strategic location of its exhibition centres in areas which are also renowned tourist attractions.

It is true that exhibitions are critical to growing any company because personal relations are always key to business and remaining competitive. Exhibition venues are also innovating in digital services to optimise the management of meetings at the event, profling visitors and extending the potential of meetings beyond the event itself, while helping to promote the culture of individual products and sectors.

If Italian exhibitions are to face their foreign competitors, they must also reinforce their organisational aspects and come together to form a system. Organising trade fairs today means aiming at internationalisation, offering exhibitors an important overview of the Italian market and being a vehicle, at low cost and with reduced risks, for the foreign

market, as distant and hard to reach as it may seem. The logic of aggregation which is currently developing in Italy is that of uniting, at the national level, to be stronger in relation to foreign competitors. And corporate alliances are not the only form of collaboration we are seeingcollaboration between fairs is growing at all levels. t

PWho can explain to logistics students what the daily job of an exhibition freight forwarder is really about better than our own members?

Getting involved with schools and universities is key to preparing the future of companies in the industry.

And Daniel Forsell from On-Site Exhibition AB, Sweden shares with us his experience as lecturer with Transport & Logistics students from Gothenburg City, Sweden.

IELA: You have been working with On-Site for the last 3 years, but you began your career in exhibition logistics much earlier. What brought you to exhibition logistics in the first place? And what is your actual position at On-Site?

Daniel: Earlier I worked for another company with express and special projects at different offices in Sweden. I noticed one day that the exhibition logistics department was looking for talent, applied for the position, got the job, loved it and I´m still in the business. Couldn´t imagine doing something else now.

Before I joined On-Site Exhibitions, during my time with a transport company in Sweden, I took some internal courses in training and education on how to serve as a mentor for newly employed staff. I´ve also been mentoring interns at previous positions within the exhibition logistics sector.

Today I´m a project manager at On-Site Exhibitions handling everything from domestic projects to worldwide projects, which contains anything from single shipments to large events with a full-scale logistics implementation.

Spreading exhibition logistics fever

IELA: What was your impression of the exhibition logistics industry before you got started?

IELA: At the end of February 2019, you were invited by Gothenburg City to hold a lecture for their college students studying Transport & Logistics. How did you get involved in this initiative?

D: At first I did not know what the business was like or even that it existed. It was just something that sounded appealing, different and challenging. From day one I realised that this is an area where challenges are a daily routine. Each day makes you grow as a person and you learn something new. Even though I think we all find our niche or place within this area, as time goes by, there is always something new and exciting just around the corner that you can learn from. Handling anything from a small box to a 20t machine with a mobile crane - this business is really something else.

D: In the fall of 2018, we had the opportunity to work together with a college in Gothenburg and we took on a student for 6 months as an intern, Mia Modin.

During this time, we had a meeting with the person responsible for the education programme and we talked about what we do, how we do it and why we do it.

They found this area very interesting and invited us to hold a lecture about our business area within the transport & logistics sector, an area most people are not aware of at all.

You presented a full-day lecture covering not only exhibition logistics, but also event logistics, special transport, city logistics and many more topics.

IELA: How did the students receive the information? What was their previous knowledge of Exhibition Logistics? And did they express any special interest for one field in particular?

D: The students had little knowledge about the area of exhibition and event logistics.

Due to this, we had to build something covering every angle from the logistics sector, so they could relate to the exhibition sector and the challenges we face every day.

We covered the basics in how a transport network is built and why, before we went on to special transport, exhibition logistics, event logistics and the topics that are somewhat outside of the “normal” range. We had a long discussion about when something normal turns into something special which was very interesting.

The general idea of students is that when something is heavy, long or just huge in dimensions, it becomes special. We explained that breaking the chain from what is normal makes even the smallest box special.

It meant a lot to us to listen to their thoughts about this. For us doing what is considered something special every day, it becomes normal with time.

If you are interesed in connecting with your local schools and universities and you are interested in material for your lectures, contact the IELA Secretariat.

Your association has plenty to share!

IELA: Being the passionate professional that you are, what did this experience bring you in personal value?

IELA: Would you recommend to your industry colleagues in other cities/countries to get involved in their local schools and universities covering logistics degrees? What tips would you give them?

D: I´ve always enjoyed educating, helping and developing people, especially to see if different backgrounds can be implemented in some way in what we do as professionals within exhibition logistics.

In this way I find it also helps me to benefit even more from my previous experiences and to pass on the knowledge, always trying to find something we all can relate to in order to learn something new.

It´s very satisfying for me personally when I succeed in finding the path to open the door for people taking their first steps in the industry.

D: Absolutely! I enjoy every minute of education and talking about what I love to do in front of others.

It is also a great opportunity to meet the people that will replace us all one day and carry the torch for exhibition logistics in the future.

Get in touch with your local colleges and universities to see if they have a program for transport and logistics. If possible, maybe you can take on an intern and start from there?

Questions to the trainee: Mia Modin

IELA: Why did you choose an internship with On-Site Exhibitions?

Mia: Exhibition logistics sounded very exciting, challenging and different. You work with the entire chain of logistics in a way that is not common within other transport companies where it is often divided into different departments.

IELA: What made you want to pursue a career in this area?

Mia: It´s a really fun area to work, the people, the variety and the challenges. Every day and every shipment is unique and I learn new things every day! t

• Moving from a product-focused to a customer-centric perspective during our THINK session. We will brainstorm on the evolution of the needs of our clientsorganisers, exhibitors and venue owners - in this world of continuous change. We will listen to their experiences and feedback and discuss together the actual challenges we are facing in our industry. The subject of new services and possibilities offered to us due to the modernity of the digital world will be addressed in particular.

• The IELA DATA ROOM, IELA’s new Industry Index , will be compiling survey results on six categories of data: type of company, turnover, company location, logistic operations, shipping operations and factors affecting tenders/quotes. The goal is to create the IELA Performance Index, a mechanism which will trigger off acknowledgement and recognition across the industry and boost content driven visibility. This data will provide us with added value in the Exhibition Industry. New doors will be opened and places offered to us to join tables of discussion with policy makers, industry associations and a variety of relevant bodies who can help us to grow both the profile as well as the footprint of Freight Forwarding in the Events Industry.

UFI has realised the essence of data and statistics for a while now and is positioning the industry as a power of force. In April 2019, UFI released the Global Economic Impact of Exhibitions report, produced in collaboration with Oxford Economics and supported by at SISO (Society of Independent Show Organisers). For more details, please refer to pages 49 & 53 in this magazine or read the full report on the UFI website for Surveys and Studies. These detailed insights into the industry are paying off and we should do the same. Join this initiative and motivate every single member to participate in the industry survey which IELA will be starting in the upcoming months!

• And last but not least, the Ambassador Initiatives 2019-2020. The activities have just started with Marta Kupis from RESA Expo Logistics and Member of our Working Group, representing IELA at the 50th anniversary of AFIDA, the International Association of Exhibitions in Latin America, and AFE, the Spanish Trade Fairs Association. You can find more information about this occasion on page 52.

Join the discussions during the Working Group sessions and contribute to identifying future plans and regional areas of development and work!

Join the brainstorming in Venice, participate in the discussions and play an active role in the development of our association!

Jehad Al Khoury Airlink International U.A.E., UAE j.khoury@airlink.ae

Dear fellow exhibition logistics professionals,

After some hard work carried out by the secretariat and of course, in particular, by the software programmer, the 2018 IELA Standards Survey finally went live with minimal delay at the beginning of April 2019.

This means that members have only 2 months to complete the survey. As we are all aware, in our industry we function better under pressure and get the job done faster than expected.

The division of the survey into categories Domestic and Onsite Agent will give more transparency to the results and IELA membership as a whole by emphasizing the specific work of the Onsite Agent.

The survey results are always an important topic in our working group. Obviously the top scores are always rewarded during the congress. The perfect setting is of course the Gala Dinner and the whole membership prides itself on its best nominees.

It has, however, never really been decided what measures will be taken with companies having low scores. A decision has now been taken by the IELA Board of Management during the biannual meeting in Zürich. Members with low scores in the IELA Standards Survey will attend the IELA training programmes as a first step. These members will receive an official letter from the IELA Secretariat in this important step to sustain the quality of IELA Membership.

In addition to this, we are excited with being on track on the airline industry task force project, a topic this year at one of the Breakfast Brains sessions during the Congress in Venice. Get up early, join the session and get to know what this task force is all about. It is up to you to share your ideas and knowledge.

With this report it is also time for Daniel and me to say goodbye. We are stepping down from our positions after two and a half years heading up the working group.

I would like to thank Daniel and all the members of the working group for their great support during this time. A special thanks to the IELA secretariat for their great support! Life is so much easier with your help!

As our successors, we welcome Mr. David Palomo as the new Chairman and Mr. Jatin Bharadwaj as Vice-Chairman. Both have a long history in our working group and have always been among the most active members.

The actual change in chair will take place during the IELA Congress in Venice.

Please support David and Jatin in the future as much as you supported Daniel and myself in the past!

All new and existing IELA members are invited to join us and participate in the discussions.

Dear fellow IELA Members,

We are already so close to being half way through 2019. I hope the year has been great so far! As the Venice Congress is right around the corner in June, it’s time for an update from the Think Tank WG.

This year has been relatively quiet for our group as we have all been so busy. The team had some amazing ideas from the 3D Measuring Device to creating a start-up for “IELA Inventions.” However, I believe we shot for the stars on this one. The change in year has given the team and myself the opportunity to regroup ourselves. Our goal for Venice is to revisit our projects from San Francisco and dial in on which ones are viable for the team to accomplish. One project that has been on the Think Tank’s books for a while is the IELA Exchange Programme. In Venice, we will really take time to focus on the Exchange Programme and put together a foundation in order to get it approved by the Board. We believe this project will be beneficial for the organisation since it provides a “trading personnel” programme, which has been mentioned multiple times throughout the years.

As good news, the Exhibitor and Organiser Portals are now up and running. These portals are a great channel for information with regard to what we need and do for the Exhibitor/Organiser. I highly suggest visiting these elements of the site to browse over the information posted. If you have any additions, questions or concerns about either portal, please do not hesitate to reach out to any member of the Think Tank Group or myself and we can address it accordingly.

We are always looking for great and innovative things to come from the “Think Tank” Working Group. Once again, if any of these topics and/or the purpose of the “Think Tank” WG interests you, please feel free to contact me if you want to join the group or share a suggestion. Thank you all for your continued support!

Looking forward to seeing everyone again in Venice and to accomplishing greatness for the IELA Organisation!

Dear fellow IELA Members,

Venice is just round the corner and it seems like we only just said our farewells in San Francisco.

Nevertheless your Membership Working Group has been very busy in the months since our last Congress.

The BOM and Membership Task Force have been navigating the challenges presented by the GDPR. These regulations have changed the way we manage our company businesses. It is also forcing change in IELA’s information gathering ability while vetting new members. It is a no mean feat to both ensure that we are compliant and yet still be able to obtain sufficient data to accurately assess a potential new member. Our mandate is to ensure that we recommend only the highest quality members who are dedicated and focused on our industry. We must tread carefully to make sure that we steer gently through the maze of regulations as we move forward.

I mentioned in my last message that we were working on updated application and sponsorship forms. This task is even more vital in the wake of the GDPR. It is a delicate task to conform to the regulations and still obtain sufficient knowledge about the applicant to make an informed and intelligent decision. The new “prototype” forms have been presented to the BOM and are compliant, highly streamlined and more user-friendly.

Another initiative we are working on is a means to streamline the group voting process on the applications. Dealing with a group of over 30 people can be quite tedious by email! We are looking at a secure online method that will simplify the process and make it much more efficient. Stay tuned as there is more to come on this.

We have welcomed six new members to date since San Francisco, with another five currently in mid-process. Two applicants were declined membership. This demonstrates that we are receiving highly competent applicants to allow our association to grow and prosper.

I already have a list of agenda items for our meeting in Venice based on comments and suggestions from our group and I am looking forward to a great meeting. Group dynamics certainly provide the opportunity for “one strong brain”! If you have any items that you believe our group should review, please let me know and I will make sure it goes on our agenda.

We are always happy to have new members join our group. So I invite you to join our meeting in Venice. Come and see what we’re all about and how we do what we do. Remember, it is our association and it can only become stronger with active participation. We all benefit from the contributions that we make.

Ciao! See you in Venice, Sandi Trotter t

Hi all!

In my last report, I mentioned my unexpected promotion from Vice Chair to Chairman of the Education and Training Working Group. And yes, it was my first task to find and appoint my new “Vice”.

I did have the goal of appointing someone on a different continent but being relatively new to the working group, I have chosen someone in my own time zone and this is Pablo Martinez from RESA Expo Logistics in Spain. Pablo was the host of our Congress in 2012 and as such, I believe he knows what it means to contribute to our association. Welcome Pablo!

We have already taken some steps towards the next Operations Summit which I believe will be a memorable event. The biggest news in this respect so far is that the seminar next year will take place in Bangkok, Thailand!

In addition to this, please mark in your agenda every second Wednesday of every second month (small variations possible) in order to join our next webinar. You will find instructions on how to join these webinars in the member section of our website. If you are not able to login, please contact the IELA Secretariat. They will assist you in getting access and joining this great feature.

In my short period as Chairman I learned that if new people join a working group, sometimes others feel that it is time to step back. This creates gaps in our working group that can be filled by you or one of your staff. If you are not sure if this could be a role for you, please go back to page 52 of our last report and read the article about “Women’s leadership”. This might make you feel different about this.

I understand the natural doubt to join a working group therefore I would like to invite you to our working group session in Venice where we will discuss all the tasks and responsibilities of the working group such as:

The Operations Summit, the Winter Seminar, our webinars every 2 months, the training and education manual, country files and our role in the Training Academy

If you want to join us or if you have questions about our working group, feel free to contact me anytime,

See you in Venice, Bas Wiendels t
