IELA REPORT 89 S PRING 2019 IELA CONGRESS 2019 Join the Human Factor TRUMP’S TARIFFS How they affect shipping to the US BREXIT Quo Vadis Europe? EMBRACING THE FUTURE POST EVENT REPORT 9 IELA WINTER SEMINAR January 16th • 20th, ZURICH, SWITZERLAND 2019 EVENT th SEMI

You might be asking yourself just how does IELA succeed in heightening its recognition and enhancing its overall image as a responsible contributor and stakeholder in the exhibition industry? I can honestly say that it is down to the continual hard work, passion and initiatives of its members that numerous unique and dynamic projects develop each year. I am proud to name but a few, from which we can now bear the fruits of our efforts:

2018 ended with the very successful participation of IELA at the UFI Congress and IAEE Expo!Expo!. IELA’s Security Guidelines launched at IELA CONNECT 2018 in Shanghai were recognised as a major takeaway by industry leaders at the UFI Congress. This year we were included in the speaker programme with a seat alongside top Security Experts at the Security Seminar during the IAEE Expo!Expo!.

We are now looking ahead in 2019 with our next project, the IELA Sustainability Guidelines . Sustainability ensures that operations do not negatively impact the environment. It revolves around reducing, not eliminating, the causes of environmental problems. IELA will be presenting its Sustainability Guidelines at the next IELA CONNECT 2019 in Morocco in October so mark the date in your calendar!

Another established highlight on our yearly agenda is our IELA Winter Seminar, the latest session of which took place in January 2019. It was a resounding success and was rated very highly by the students. A modified format was introduced and new topics were added. Always thinking on our feet, we hosted a Campfire addressing our key subject of sustainability with young professionals of the industry. Positive feedback and practical suggestions were exchanged on how IELA Members can adapt

their behaviour in exhibition logistics in order to leverage new behaviour patterns, methods and technologies.

Congratulations for the success of this winter session to Bas Wiendels , Daniel Bataller and IELA Secretariat.

Enhancing our service to the exhibition industry remains a major goal for IELA. The year 2019 will see advancement of our project Organiser & Exhibitor Portal. We all have situations where made-to-measure guidance would be appreciated. IELA will offer a helping hand in the form of a unique information portal, ready to answer your questions and offer logistics solutions to your problems. More news on this later in the year!

In view of future growth, your IELA Board has decided to become a member of the Events Industry Council, an apex body of industry stakeholders, in order to strengthen further our contribution on additional industry platforms.

IELA continues to look towards the future and seeks volunteers for new projects. I would like to urge you all once again to come forward and volunteer for IELA projects and Working Groups

Preparations for the IELA 34th Congress and General Assembly in Venice are well underway and we hope to present you with another memorable Congress this June.

Wishing you all great success throughout 2019 and beyond. t

BEHIND THE SCENES AT iF DESIGN WITH DHL TRADE FAIRS & EVENTS

With 6.000 sqm exhibition hall in Hamburg’s famous harbour where once spices from all over the world filled the hall, now 6.400 designs are displayed on tables measuring 900 meters in length. From January 22nd - 24th, 67 pairs of critical eyes and hands scrutinized every design entry for the iF DESIGN AWARD 2019! As the official logistics partner, DHL TFE handled more than 780 cubic metres in packaging.

During the first two days, the expert knowledge of designers or manufacturers was

required to assemble approx. 350 designs on display. DHL TFE was responsible for carefully preparing the 4.000 other entries for the jury session, including about 2.000 digital submissions like URLs, PDFs or videos, which had to be tested on their functionality and implemented on the computers. Once the final decision had been made, DHL TFE packed everything up and shipped it back!

What a challenge and roll on the next iF Jury session! t

SIGNIFICANT LONG-TERM PROJECT AWARDED TO FELIX EXPO LOGISTICS

complete with moving in taking 18 stages from the start until completion and each stage taking 3-6 months.

For Felix Expo Logistics the challenges will clearly be the fact that Nepal has no seaport so all transport will be by road.

This can be tedious when you have 248 HC Containers and air freight of approx. 120 tons in a region where the bad state of the roads and heavy traffic are not the exception! t

We have successfully provided logistics services at a wide variety of events including exhibitions, orchestras, air shows and also private events. Mr. Nicolas Rougerie

We have been working a few years already with IELA members, primarily using important information given on the website and from the yearly Partnering Event. We felt it makes sense now to become a member.

What makes your company an interesting asset for the IELA Family?

By becoming a member, we want to attract all actors of the event industry (organisers, agents, members) to Morocco. We have a strong and stable macroeconomic performance, Free Trade access with international markets, a world-class infrastructure and a constantly improving business climate.

What are your expectations from your participation at the upcoming 2019 IELA Congress in Venice?

The next congress will present our company with the opportunity to promote the role of Morocco as the regional hub for West Africa. Morocco is the gateway to Africa for many event opportunities in Mauritania, Mali, Senegal, Burkina Faso and the Ivory Coast.

We have a fairs and events department in Dakar, Bamako and Abidjan and it will be a pleasure to introduce these services to agents in Venice.

Delivering Security Insight for the Exhibition Industry

Exclusive Opportunities in Asia

The stage was set for the first edition of IELA CONNECT which took place in Shanghai on October 15th 2018.

Located in the central and prestigious surroundings of the JW Marriott Hotel in Tomorrow Square, Shanghai, members were given the exclusive opportunity to reinforce relationships with local stakeholders in the exhibition industry. In addition to this, participants congratulated the in-depth discussions and exchanges on safety and security standards which was the key topic of our new annual event. This first edition welcomed 33 delegates from 15 countries, representing key associations, organisers and venue operators.

Local networking events are essential to build the bridge between all industry partners.

Continual efforts are undertaken to promote the importance of industry safety and security amongst members. IELA was proud to present the new IELA Security Guidelines written by Dominique Geiser, Chair of the IELA Standards & Customs Working Group and Director of BTG Suisse AG, in collaboration with Simon Garrett, MD of X-Venture Global Risk Solutions, and a leading security expert in the exhibition industry.

Since 2015, IELA has emphasized safety and security through multiple initiatives. It is vital that the exhibition industry as a whole is incorporated in these efforts. IELA has created initiatives which bring exhibition venues, show organisers and service providers together to share best practices and establish standards for occupational health & safety as well as security for the entire industry.

Vicki Bedi, IELA Chairman, pointed out: “Releasing the IELA Security Guidelines is a great honor for our Association and a demonstration, once again, of the mission of our members to deliver beyond our Standards of Performance. We extend our sincerest gratitude to Dominique Geiser, Simon Garrett, and Jim Kelty, from Airways Freight Corp. Chicago Office and member of the IELA Board of Management, for sharing their considerable expertise and time to develop the IELA Security Guidelines”.

Dominique Geiser highlighted: “This initiative of IELA steers our industry in the right direction in order to advance its efforts to face any unexpected circumstances in our daily workplace, whether on-site or in the office. More importantly, IELA shows that the well-being of not only its members but also other exhibition professionals, visitors etc. is at the forefront of their concerns as they are confronted on a daily basis by high risks. In being prepared on all eventualities and working in accordance with the IELA Security Guidelines, IELA’s OH&S Guidelines and our Standards of Performance, IELA members will once again differentiate themselves from the crowd as a trusted partner for organisers in the exhibitions industry worldwide”.

We would like to thank all attendees who joined IELA CONNECT to discuss Security and OH&S Standards. We will continue to work together for a safer and more secure exhibition industry.

The next edition of IELA CONNECT will take place on October 14th, 2019 in Marrakech, Morocco. The core topic will be Sustainability.

BUILDING THE FUTURE

rom January 16th to 20th, Zurich was the place to be for young professionals in our industry. 39 students from 38 companies and from 24 different countries not only saw the snow but also took part in the 9th IELA Winter Seminar.

It was impressive to see that we had four second-generation representatives from well-known exhibition logistics companies, heading to be future top managers. This is the ultimate proof of our success in empowering the future core of the industry.

Under its theme “Building the Future”, the 2019 IELA Winter Seminar reinforces its three pillars: CONNECT, LEARN and SUCCEED

From 08.15 am until 6 pm, the students maintained a high level of concentration during three whole days of intensive knowledge, with the ultimate goal of not only doing well in the exam concluding the

seminar, but more importantly, applying this knowledge later in their daily work.

It was nice to see that, already during the Welcome Cocktail, connections were made and sometimes people even “re-connected” when they found out that they knew each other via previous communications or by e-mail!

The harmonious atmosphere and the excited feedback in the classroom reflected the eagerness of the students to learn and to network. Many of them highlighted afterwards in their post-event feedback that this had been an amazing experience and even described it as one of the best life experiences ever.

As it was my first Winter Seminar acting, as WS Coordinator, I want to thank all those involved for their support. Let’s keep on building on our future together!

Lessons learned in Zurich

There was a wide range of experience on hand with around three quarters of the 2019 WS class under 35 years old but over 50% with more than 3 years of experience in the industry.

On an international level, 60% of the students indicated that they were involved in projects covering more than 5 countries.

The dedicated networking sessions (e.g. Speed Dating) throughout the duration of the seminar secure a professional, effective and personal network. Being in the early stages of their career, this brings unbounding positive effects for each attendee and enhances their potential.

During the three intensive days of training and networking, the students experienced 11 lectures, 3 case studies, 1 role-play session and 1 fairground tour, taught by IELA professionals and external speakers.

The programme included 3 lectures from three external speakers.

Christina Beuth ( Head of Traffic Management & Logistics Department, Messe Frankfurt Venue GmbH) discussed the challenges and needs of large venues

to ensure a functional supply chain before, during and after an event to give the students a better understanding of how to professionally work together as partners.

Tobias Schrödel, an IT security expert, illustrated the dangers of modern technology and the necessary security measures which everyone can easily implement to make complete operation systems in companies more secure.

Dr. Rowena Arzt (Director of Exhibitions, WZF) gave insights in the workings of organisers and their requirements not only for a fluent logistics concept but for the whole planning process for international trade shows.

Besides having external speakers, IELA experts, Bas Wiendels (Valverde B.V.),

Dominique Geiser (BTG Suisse AG), Jim Callaghan (European International (Fairs) Ltd.), Alessandra Dellavedova (Expotrans S.p.A.), Vicki Bedi (PSBedi Group), Emmanuel Pitchelu (E.S.I. Expo Service International) & Daniel Bataller (Sempex AG), gave valuable lessons in the workings of the exhibition logistics industry.

They not only conveyed the basics but presented that “little bit extra” which an IELA member possesses in order to give them an edge over the competition. From role-plays to case studies, every aspect was designed to give the delegates the highest amount of knowledge in the short time available. The IELA Board of Management had the pleasure of meeting the young professionals at the Board Reception and therefore strengthened the connection between IELA and the students.

The three intensive days of training and networking were followed by a Day in the Snow. A refreshing way to create bounding moments!

Many Winter Seminar alumni play a vital role in the industry. In a very short timeframe, past participants take part in the annual IELA Congress as representatives of middle and high management from IELA member companies. We will soon welcome our delegates at the Congress.

In addition, a new Task Force has emerged from the after-hour Campfire session to support the IELA Sustainability Guidelines objective.

IELA wants to extend their heartfelt thanks to all participants and supporters who helped to organise this event and offered their time to lecture the students, as well as to our sponsors without whom the Winter Seminar would not have been possible. We would like to take this opportunity to give our particular thanks to Jim Kelty and Vincenzo Scrudato for their involvement which made the Winter Seminar a really special event. t

Lecturers’

e had the opportunity of welcoming Christina Beuth from Messe Frankfurt as a speaker at the January session of the WS 19 event in Zurich. We were able to ask her about her experience with IELA and its activities.

Christina emphasised how important it is to create a good working relationship with associations in the industry and that Messe Frankfurt appreciates that IELA is very effective in identifying and developing

topics of mutual interest with partners such as themselves

It is all a question of networking, discussing together and learning from each other. This is exactly the relationship between Messe Frankfurt and IELA and confirmed that a very interesting and important partnership has developed over the years.

Christina went on to comment on the success of the WS19 in Zurich where she took part as a lecturer. It was an enjoyable and interesting event, exchanging with the very interested participants who were inquisitive and asked a lot of questions. In addition to this, Christina highly congratulated the perfect organisation of the event and close collaboration with the IELA team during the preparation period, declaring that Messe Frankfurt would be happy to come again!

owena Arzt , Director of Exhibitions , WZF opened the participant’s eyes to the challenges of exhibition management from an organiser’s perspective.

Rowena emphasised that all parties should work closely together and understand the role of the other . The common client is the exhibitor who does not necessarily distinguish between different services. One trade fair is one single experience for them. Cooperation and communication is the essence of creating satisfied and loyal customers.

Due to limited time for buildup and teardown and almost 2000 exhibitors of which 84% are foreign exhibitors on 120,000 sqm exhibition space, Rowena commented that it is important to work hand-in-hand with logistics companies Everything has to be on time at the right place, for example particular attention is given to specific customs handling for temporary imports. The more professional a company acts, the better.

Regarding sustainability and security, Rowena confirmed that the two subjects are addressed by many German organisers. For Interzoo, they work closely with NurembergMesse. WZF itself has launched a research programme targeting pet supplies companies regarding their sustainability activities. The aim is to identify what triggers companies´ efforts and also what prevents them from doing more concerning sustainability. Results will be published during the course

Sustainability Campfire in Zurich

n accordance with the UN 17 Sustainable Development Goals , IELA has made Sustainability a top priority in 2019. What could be better than get first-hand experience on this from young professionals who will be responsible of our industry in the future? We are intensifying our efforts on the subject of sustainability solutions and promote actions taken towards a greener exhibition logistics industry. In which direction should we be going? Have companies already taken steps internally?

The IELA Winter Seminar in January was a great occasion to integrate and get feedback from our participants regarding our major project of creating the Sustainability Guidelines. In order to test the water, a pre-event survey was carried out which later revealed that 83% of the students’ companies have already implemented sustainable or environmentally-oriented practices in order to make their work more sustainable during the past 3 years. It is with great interest that we were able to confirm that 47% have already included sustainable-orientated principles on their forthcoming agenda

A Campfire session was organised for 22 students at the end of the second day of WS19. Everyone was able to share their experience on the subject of a company’s best practices and brainstorm on possible future steps to be taken specifically in the exhibition events industry to further reduce the negative impact on the environment and ensure the long-term health of the industry as a whole.

Six categories were selected by the students as necessary in finding a balance between social, economic and environmental components:

Green Waste Disposal figured high on the list: reducing plastic with recyclable event bags, new online software and digital files reduces paper waste; mandatory paperless process for bookings and on-site handling, the use of refillable water bottles on-site instead of plastic bottles, the economical use of materials and equipment like reusable wooden stand constructions reduces the consumption of consistently limited sources; plastic replaced by reusable fabric netting for freight-forwarding.

Green Material Handling: Mandatory use of electric and/or hybrid forklifts by 2025.

Green Water Consumption: Installation of environmentally-friendly toilet systems, use of refillable water bottles on-site instead of plastic bottles, green truck washing and the adaptation of the exhibition site design to avoid excessive irrigation of large areas.

Green Energy: Installation of a solar energy system, collaboration with a green electricity provider, use of rechargeable batteries, automatic lighting system and switching off of all appliances rather than leaving them on standby mode.

Green Transport: Haulers could be appointed by domestic agents nationally and ocean lines and airlines identified by an IELA Working Group.

Green Education & Training: Regular training exercises for employees and partners on the subject of environmentfriendly practices and avoiding waste on a daily basis.

We thank all the WS19 participants for their active role in supporting IELA on the road towards a more viable, bearable and equitable world through sustainability. We will be integrating this feedback in the development of the Sustainability Guidelines and very soon, all IELA Members will be invited to give their input on the subject.

We are proud to inform you that the presentation of the IELA Sustainability Guidelines will take place during IELA CONNECT 2019 on October 14th in Marrakech, Morocco

THE HUMAN FACTOR

With the challenges and adventures of 2018 still in mind and 2019 well under way, OTIM invites you to add a touch of magic and enchantment to your business. It is with great pleasure that we announce the 34th IELA Congress & 8th Partnering Event in Venice.

The charm of this location lies in the city flair which fascinates each and every one of us. Many of you have perhaps visited Venice in the past. You can discover new secluded corners, have a drink and a small bite to eat in the typical “bacari” of pure venetian style, discover hidden churches, visit museums both old and new with extraordinary collections, exhibitions... and last but not least, taste the amazing ice cream whilst overlooking the Grand Canal. It goes without saying that shopping is also a must!

Did you know that IELA has a certain affinity for the city of Venice? This is a perfect location for the event. As Venice is built on a group of islands connected by bridges, this city of mirrors reflects the dynamism of IELA, growing rapidly by bridging gaps and opening up new business opportunities to an ever-increasing community of members. The potential is limitless! Venice was first built on wooden stilts which is the method of architecture used to support the entire city as we know it today. IELA had its beginnings in 1985, built on small “stilts” you could say. Now with over 190 partners in over 54 countries, we cover nearly the entire globe! With its canals and gondolas for transporting people around the city, Venice is like no other city in the world. With its transportation ingenuity, shipping facilities and on-site handling services, IELA is like no other exhibition logistics association to cater to its clients in the world! We can appreciate the diversity of the transportation challenge in this city of mirrors.

The topic of the congress this year will be “The Human Factor”. This means that even in an era of high technology, speed communication and social media, nothing can substitute face-to-face meetings, physical on-site assistance, congress gatherings with a blend of business and fun. All this contributes to developing friendly relationships which eventually make working together easier.

So let’s meet in Venice, toast with a “spritz”, consolidate existing relationships, build new ones, make more friends and spend some happy time together.

WELCOME

Dear and valued Partners,

We at DSV Italy are very proud and excited to welcome you as delegates to the 2019 IELA Congress & Partnering Event in Venice.

Venice is one of the most beautiful town in the world and we are happy to share with you the jewels of this open – air museum.

“ Romantic “ Venice is a perfect place to create and strengthen relationships. We can hardly wait to meet each and every one of you, to get to know you and to share our ideas, thoughts, projects and hopes.

Have a safe trip to Venice and see you soon! t Paolo Marzi DSV S.P.A. www.it.dsv.com

gility Fairs and Events Italy is honoured for the second time to be part of the 34th IELA CONGRESS and GENERAL ASSEMBLY. Venice, one of the most romantic and beautiful cities of the world, will be the framework of this meeting. It promises to be very interesting as the main topic on the agenda is the Human Factor.

Despite the fact that we are one of the youngest members of the IELA Family, we strongly believe that such meetings provide the best opportunity to share information, experience and ideas with all the best players in the worldwide fairs and exhibitions industry.

Thanks to these meetings, thanks to the many handshakes, we get to know new faces and come into contact with people who live different realities and who know different markets. On a similar scale, we finally meet longstanding colleagues personally and have the possibility to develop our know-how and improve personal relationships with agents. It is too often the case that impersonal phone calls or limited exchange of e-mail is necessary due to a lack of time or time-zone reasons. IELA helps to reduce these distances and break down barriers!

Meetings are the basis for development of the Human Factor.

We wish you all a wonderful and profitable stay, lots of handshakes, mounds of new knowledge and new business opportunities!

So once again welcome to IELA Congress and welcome to our beautiful country: Italy. t

UNLOCKING HUMAN POTENTIAL

This year IELA invites the leaders of the Exhibition Logistics Industry to Venice and this time the focus of our Forum will be on YOU.

In the fast-moving world of exhibition logistics, we all wish to be equipped with the latest technological innovations in order to simplify daily tasks and, above all, maximize efficiency. We should however take a moment to step back and analyze exactly how we do our business. A harmonious, motivated and experienced team of colleagues can move mountains when working together for a common goal Teamwork and sharing is what it’s all about and no machine can replace this component named the Human Factor This is what makes the difference.

Yes, people is what really matters. Exploring the potential of the Human Factor is key for the future of your company, for Your future and the future of Your people. It is key for IELA’s future. A company defines itself through its culture and values. Its leaders are paramount in determining the success of a company as the leaders themselves determine the company’s culture and therefore influence the success of a corporation. A unified and harmonious team reflects the values of its leadership and subsequently creates a competitive advantage for a company.

We at IELA are proud to be able to say that we always strive to maintain the balance between the Human Factor and the perseverance of our goals. Global players in an industry should adopt similar best practices. Recognition and respect are not won when neglecting this major component.

IELA has set its goals with values in mind. We promote competence, passion, initiative and commitment hand-in-hand with courtesy, solidarity and respect. We believe that the Human Factor strengthens the reputation of our association as its members become “pillars”, creating solid foundations for a sustainable future.

We are really excited to welcome you to Italy We are very proud that the 34th IELA Congress and the 8th Partnering Event takes place in Venice

Venice is a magic city, rich in charm, culture and multiculturalism. Its palaces and canals, bridges and churches, the Carnival tradition and the gondolas make Venice famous all a round the world Unknown to many is that Venice was the capital of tolerance and welcomed foreigners and different ideologies in the past. So much that it deserved the nickname of Serenissima (peaceful).

Everything in Venice makes Venice unique and inimitable!

That’s why it’s the perfect place to give all IELA friends a taste of Italian legendary hospitality

The Human Factor is essential for Italian people From a simple handshake to a gala dinner, every emotion, every agreement, every aspect of our life is marked by the awareness that the relationship between human beings always has top priority

We look forward to welcoming you to Venice!“

welcome all participants of the 34 IELA Congress in Venice, June 23rd 26th 2019 Venice is a unique city of beauty, culture, art, architecture. It is precisely these peculiarities which defy all who deal with exhibition logistics. Only those who are really committed can overcome such challenges

Nowadays we can rely on a number of technologically sophisticated solutions but for our quality of service, the Human Factor remains a decisive factor Competence, courtesy, commitment, passion are required characteristics for doing our job well That is why we wanted to adapt the FERCAM acronym (originally “FERroviaCAMion” Railway + Truck) but for the occasion: Friendly, Empathic, Resilient, Challenging, Amazing, Motivated- This underlines the “Human Factor” characteristics which distinguish our employees and contribute to the success of our society!

We wish you every success at the conference with interesting reports and youwishweall,ofMostmeetings.helpful a wonderful stay in Venice!“

IELA friends and partners to Venice, the only city in the world built completely on water with 417 bridges, 60.000 residents more or less… and of course no cars allowed!

If you have never been to Venice, this will be a unique experience. If this is not

to discover new secret and secluded corners of the city Venice is a city with a very active commercial and tourist port. It hosts important events like the Biennale Exhibition, the International Film Festival and the famous Carnival, just to mention the most well-known.

This year ’ s focus at the congress is “the Human Factor”. We consider that no other place in the world develops personal relationships between people so deeply than here, thanks to the exceptional character of this city”

IELA speeds up down the road to Sustainability

2019 will be remembered in IELA as the Sustainability year. The subject just doesn’t give us any peace because there’s more at stake than we can ever imagine. We are talking about the exhaustion of natural resources, the imbalance of a whole ecological system and more importantly, the future of the planet.

IELA recognises the risks and asks all members to reflect on ways to improve the situation. How can companies, associations and the industry ensure that our planet survives on the long term?

Interestingly enough the subject is not new to IELA Members - a considerable number of the 174

members in IELA are already ISO 20121 certified

What’s more, just before the 2019 IELA Winter Seminar, we ran a survey to ascertain whether individual companies had both acknowledged the importance of sustainability as well as introduced internally their own sustainable measures. 38 companies participated in total.

The results were quite impressive: 83% indicated that they had already implemented sustainable or environmentally-oriented practices which had made their work more sustainable over the past 3 years.

In addition to this, 47% declared that they had already included sustainable-orientated principles on their forthcoming agenda . These figures are inspiring and demonstrate how IELA Members have understood what sustainability is all about and more importantly are willing to take action.

It is now the moment to globalize and develop widespread standards. As with the Security Guidelines, the main IELA task will be to collect expertise and knowledge existing in our midst as IELA, the major exhibition logistics association.

The next phase will entail the development of special initiatives conforming to the complexity

In our efforts to widen collaboration, enhancing key activities on a global level, we are very pleased to inform you that in January 2019, IELA became the 33 rd member of the reputable association Event Industry Council (EIC).

70 years after being established and representing over 19,500 companies in the events industry, EIC strengthens the value and sustainability of its members and provides a vibrant platform to address and exchange on critical issues within the events industry.

Its strategic pillars range from research and

of the exhibition logistics industry and then the final phase will entail sharing these procedures in the form of guidelines for our members and the industry in general.

In our own ecosystem consisting of organisers, associations and suppliers, we are in search of those little “green books” of best practices already published and implemented internally. Our goal is to enlarge the radius of our research to the industries with whom we are working. It will be of utmost importance that we work as closely as possible together in order to streamline all aspects of the implementation.

The role of IELA is ultimately to spread the knowledge on a worldwide level by way of established channels which are at our disposal as an accredited and respected official entity in the world of exhibition logistics. We will rely on our members to give us support and contribute wherever possible in order to reach our goals.

If you have any suggestions or comments to make, please contact us. We are all ears! t

certification with standards and best practices, to collaboration and operational excellence.

Possessing a comparable passion for delivering excellence to its members, IELA explores and develops in similar areas such as advancing training, standards and best practices. IELA and EIC are confident that the IELA membership will be a giant step forward for the future for all parties involved. The EIC membership will be an extra asset building up key business relationships around the globe, exchanging know-how and expertise and to pursue common goals together.

Boosting Industry Relations

Read more on how the Security Guidelines are highly acclaimed by experts and get an update on IELA strengthening its role in the industry.

From October 31st to November 2rd, 2018 - IELA attended the 85th UFI Congress, in St Petersburg, represented by Vicki Bedi, IELA Chairman, Guido Fornelli, IELA Vice Chairman and Elizabeth Niehaus, IELA Executive Officer.

IELA is today at the forefront of knowledge and content in its specialised domain and therefore the UFI Congresses are a great platform for connecting with industry leaders and to interact with all exhibition industry stakeholders, meet partners and build new relationships.

Vicki Bedi proudly commented after the event: “IELA’s recognition as an important and responsible

member of the Exhibition Industry and as a knowledge source in its domain was clearly evident from its active participation at UFI Congress at meetings of UFI’s Association Committee & Sustainable Development Working Group and attendance of Industry Partners Working Group. The highlight was the appreciation IELA received for its recently launched Security Guidelines”.

We met with the majority of the associations, reviving our partnership and looking for new common actions. Several projects emerged from these three intensive and productive days, most of them focusing on Security and our 2019 focus topic Sustainability.

During the Associations Committee Meeting, Vicki Bedi presented the IELA Security Guidelines to 19 worldwide associations of the industry.

“The IELA Security Guidelines were one of the best takeaways of UFI Congress 2018”.

commented Enrica Baccini, Chief Research and Development Officer at Fondazione Fiera Milano after the Committee meeting.

We had the pleasure of meeting Ana Maria Arango , Regional Manager of UFI Latin America She was proud to introduce to us the new regional UFI office opened in Bogota more than one year ago.

Another special moment was the interview by Vicki Bedi with Mr Anbu Varathan , Director General at the Indian Machine Tools Manufacturers’ Association, CEO of Bangalore International Exhibition Centre, Member of the Board of UFI and Vice President of UFI Executive Committee, talking about the importance of the logistics in the entire exhibition organisation.

The participation and involvement of several IELA Members at this event shows the importance of key partnerships and common interests in the entire exhibition industry.

It was, as always, a great occasion to see some of our members again: DB Schenker, DHL Trade Fairs & Events Germany, Kuehne+Nagel Expo & Events, LA Rouxnelle Logistics and Consulting, R.E. Rogers India Pvt. Ltd. and Shenzhen Talent & Sea-Ever Logistics Co., Ltd.

Léon Roux, IELA Member attending the UFI Congress commented: “As an associated member it was very entertaining and educational to hear the different thoughts of other members. I do believe that we play a vital role within UFI and we need to definitely get the message across to the venue owners and organisers that we, the services providers are all part and parcel of the total framework in hosting events”.

“We are the direct link between organisers and exhibitors, who are our main clients at the end of the day. They can make or break an event, thus the organisers need to involve their service providers more on their events”.

Better collaboration in the value chain to boost the UN 17 SUSTAINABLE DEVELOPMENT GOALS were the main topics of the discussions. IELA is looking forward to working together with key partners all over the world, presenting the outcomes in October 2019 at IELA CONNECT and sharing the new IELA Sustainability Guidelines with the industry. t

About the UFI 85th Congress UFI reports a record level of participation with over 450 event professionals representing UFI Members from more than 54 countries.

New On-site Agent Category

The 2018 IELA Standards Survey will include a new category to specifically benchmark the service of On-site Agents.

IELA STANDARDS SURVEY

Every year, IELA invites all its members to evaluate the services that other IELA Members have supplied to them during the previous year. This is carried out by means of the IELA Standards Survey.

The data gathered is analysed to produce benchmarking averages which inform members on whether their services are above or below the IELA average, according to the opinions of their industry colleagues.

Until now, the IELA Standards Survey was divided in two categories: Domestic Agent and Export Agent, for the first time, a third category has been created to rate the performance of the On-site Agent

Dominique Geiser, Chair of the IELA Standards and Customs Working Group (S&C WG) explains “The inclusion of this new On-site Agent category was the wish of several members who have approached the IELA Board of Management to have the Domestic Agent survey split into two categories Since not all domestic agents are doing the on-site work themselves, some of the questions are not applicable to their work or would even be misleading. The split of the survey will give more transparency to the results and the whole membership”.

This third category has the same format as the other two and it includes seven questions

established by the S&C WG and the Board to define the On-site Agent evaluation criteria. This new category strengthens our unique benchmarking tool, emphasizing the specific work of the on-site agent.

Any Domestic Agent subcontracting the handling at the fairground does not register as an On-site Agent but as Domestic Agent only. More details will follow once the system is running and ready.

Daniel Mithran , Vice Chair of the S&C WG, commented about the new On-site category: “It would specifically highlight the on-site skills of the IELA Members instead of generalising this into a Domestic Agent category that combines all services within a country. The on-site skills are very important and an integral part of the service level provided by an agent as it is the end result. IELA Members will benefit from this as it differentiates the actual on-site working agents from the rest and allows their peers to grade them”.

Starting soon, all IELA Members are invited to access their Private Zone on www.iela.org to take part in the survey, and engage their peers to survey them before May 31st!

The winners of all three categories will be revealed in Venice during the IELA Gala Dinner & Awards Night on June 25th 2019! t

“The IELA Survey is important because it is a reliable method to get real feedback from members. It is a great platform for members to get involved, give input and be a part of the growing success of IELA”. said Moses Maboi, from Katlego Global Logistics Pty Ltd, South Africa, and member of the S&C WG. “Participating in such surveys allows one to fully understand the needs and preferences of individuals and work towards catering to those needs to offer a better service”.

Another member of the S&C WG, Jatin Bharadwaj from PSBedi Group, India, mentioned “It is very important for members to fill in the survey and rate our partners on the basis of their services. In this way, we are able to identify the colleagues with the best services and maintain the high level of quality expected by, and from, all members”.

IELA SENIORS CLUB

IELA Seniors Club Membership –

Is it a privilege and are you old enough?

Next meeting

What is the IELA Seniors Club? Would it be interesting for me to become a member? What do they do? What does it cost? These are the questions that many current members might be asking. Here are some answers.

Maintaining a close cooperation, sometimes over many years, is typical for our industry. Business relationships often develop into personal friendships. The IELA Seniors Club was founded to keep the contact alive between members and to offer the opportunity to meet “old” friends beyond our business lives. The IELA Seniors Club provides a platform to stay in touch and maintain friendships, to discover new venues and - last but not least - to have an enjoyable time together.

Members who kept up with contacts within IELA, who were actively involved or contributed to IELA, would inevitably feel motivated to become a member of this club when they retire. It should be seen as a privilege and a recognition to join the Seniors Club.

The IELA Board, the IELA Secretariat and many member companies support the idea behind the IELA Seniors Club, maybe primarily in recognition of the members‘merits for IELA.

Due to this exceptional support, we are able to organise meetings once a year in various different places at reasonable costs. The meetings usually take place in Spring. Just to give you an idea: 2006 Montreux, 2007 Avignon, 2008 Freiburg, 2009 Paris, 2010 Brussels, 2011 Munich, 2012 Dublin, 2013 Lisbon, 2014 Stockholm, 2015 Vienna, 2016 Firenze, 2017 Bordeaux, 2018 Madrid… these were all the annual meetings in the past, often supported by a local IELA member.

The Seniors Club has a board compiled of members: Hans Brauchli, Jean-Paul Moser, Thierry Demeure and Edgar von der Heydt share the work that needs to be done. At every meeting, they propose possible locations for future events, up for election by current members. This year the location will be Prague from May 9th - 12th. Prague is one of the most impressive medieval cities within Europe. Then in 2020 the fantastic city of Dresden will be waiting for us, with unique highlights like the Semperoper, Dresdner Zwinger and the Frauenkirche.

So don’t hesitate and update your CV! Think about what your goals are for retirement. Are you a possible candidate for club membership? Send your application now! It is free of charge and you get a lot in return.

Contact us via the IELA Secretariat or one of the IELA Members of the Seniors Board.

Effect of Trump's Tariffs on US bound Exhibitors

One of the things I've always enjoyed about the Global Exhibition Industry has been the instant connection it gives us to other regular people, much like myself, who just happen to be born in another country. The common purpose we share - to make our industry work - gives us a reason to communicate and interact and even build lifelong relationships with people outside our political boundaries and culture. It is always refreshing to hear a political perspective on American Politics from my non-American friends, and even more refreshing to discover that the political world doesn't revolve around Donald Trump's last tweet, or even America’s interest for that matter.

The endless 24 hour a day, hyperbolic news cycle that accompanies American politics is often just noise.

Sometimes however, the noise created in the media tends to drown out important facts that can have a direct effect on you or your exhibitor that is planning to exhibit in the US.

Just to give you an overview of events

It all started in February 2018 when the Trump Administration started acting on the campaign rhetoric relating to trade that was part of their political platform and used the executive power of the presidency to start imposing tariffs. Shortly later the president levied tariffs on Steel and Aluminum, leaving only a handful of countries exempted from these tariffs….and this was only the beginning. By September thousands of commodity items were subject to levied tariffs.

The impact for players on the US market

For US importers, the impact is obvious, having affected over 250 billion USD in US Imports. We ourselves saw our own duty outlays double over 2017, with almost all the increase coming in the last four months of the year, when the list 2 and list 3 items were added.

slapped with the same tariff if they sourced the items in China.

Exhibiting at US shows

Another less obvious effect has been on equipment imported temporarily for a show but with the intent to sell, if a buyer was found during the show. Some exhibitors who had offered pricing to potential US buyers prior to the section 232 and 301 tariffs found themselves having to absorb the 10% tariff, if they had quoted a customer prior to or without awareness of the 10% tariff. Another less obvious outcome has been the costs of customs bonds. The cost of a customs bond (which gives importers the facility to import under a credit account with customs) is based on anticipated duty liabilities. After the tariffs went into effect and importer duty costs suddenly jumped, many importers’ bonds were not large enough to cover the increased duty liability, and subsequently demands were put on them to take out larger bonds.

For International Exhibitors, and their IELA agents, the impact is not so obvious, but impactful nonetheless. Obviously, many consumables that you would traditionally see at Exhibitions (such as swag bags, hats, chargers, etc) are made in China and became subject to the 10% tariff. Since the tariff is based on the country of manufacture, even shipments for exhibitors from outside China got

This cost increase has also affected the licensed broker, who often ‘lends’ their license to foreign importers who don’t have a customs bond. “We saw our duty outlays spike to over 200K per month in the last quarter of 2018 and that money has to be paid to customs within 10 days. Since many of our customers are foreign exhibitors, we end up carrying a lot of that on their behalf…on top of that, we had a bond increase ourselves. So far, we have absorbed all those costs, but if the tariffs continue, at some point, we will have no choice but to pass the cost on to the importers,” said Fred Ramos, the in-house licensed customs broker at Airways.

And the message to IELA partners?

At the time of this article, it is unclear where Trump’s tariffs are headed. The proposed increase on the section 301 tariffs to 25% has been tabled for the time being as negotiations have progressed

we are trying to carry on business as usual, we do recommend that our IELA partners have an awareness of the tariffs and seek advice from their US partners before making any estimates

BREXIT: Quo Vadis Europe?

It appears quite certain that the United Kingdom will be leaving the European Union, in one way or another, at a yet to be determined date during the next few years.

Unfortunately, the negotiated Withdrawal Agreement is not approved so we are in the dark about what will happen. We cannot be certain how this will affect the way we operate as freight forwarders with cargo to and from the UK. Let us focus on what we can “theoretically” expect if the United Kingdom leaves the EU without an agreement on 29th March 2019.

Customs clearance

The UK will no longer be a member of the Customs Union, the Single Market and will be a “third country”. With no plans in place, shipments must be declared to customs at the border and customs duties and taxes will be due.

The UK government is prepared to waive through inbound trucks for a short period of time after a hard-Brexit in order to avoid delays at the ports. UK importers might not pay import tax at the time of import. This will be added to the monthly VAT declarations that companies process as part of their existing fiscal obligations.

Customer awareness

Many companies will be unaware of the implications for exhibition shipments. Attention has been towards general trade and not forwards shipments with no direct importer.

Exhibitors may not fully appreciate the need for customs clearance in accordance with the current EU regulations. They will have to prepare commercial invoices and packing lists as well as provide supporting documentation for the products they are shipping. Food and drink products, unless they are the products that they manufacture, will no longer be prohibited and greater consideration will be needed for the products and exhibits that are being shipped. Shipping from Barcelona to Manchester will no longer be a simple exercise.

When all is said and done, we are exhibition forwarders and are therefore all adaptable by nature. I have heard it said that we are the “Special forces” of the freight forwarding industry.

We live to face challenges knowing that nothing is ever easy. We will survive, but it is going to result in a big change at the end of March 2019 or at the end 2020. t

Unfortunately, the postponed accounting of VAT does not apply to import duty which must be accounted for at the time of import. Agents will need to increase the value of their deferment accounts to cater for the increased value of imports.

What about temporary imports for exhibitions? Shipments entering or leaving the UK for EU destinations will be treated with no preferential treatment, just like shipments arriving from Australia, the USA and China. Customs deposits will be required for shipments covered by Commercial invoice and the use of an ATA Carnet will be a logical consideration.

Border disruption

All shipments will be declared at customs border points. Delays are inevitable without the infrastructure to cope with the increased demands of clearance formalities.

Uncertainty and lack of clarity will reign. Trailer operators will be uncertain of requirements. The lack of customs officers and customs entry clerks at ports will lead to delays. A small delay will increase congestion on either side of the channel. Many carriers and forwarders will try to find the easiest routes. If one port becomes congested, carriers will look for other options which will, in turn, also become delayed. Airfreight becomes an option with some road carriers already offering space on charter flights but will UK airline companies retain their permission to use European airways having left the EU?

Flexibility

Additional costs are involved which, for small shipments, could increase the costs substantially.

Forwarder awareness

Forwarders based in the UK and EU that do not currently engage in non-EU movements will be experiencing the greatest change to daily operational activity.

Some venues in the UK and the EU are “bonded areas” and others have no customs control. This means that different approaches to customs clearance exist according to the destination. The chances of success for the forwarder will depend on their understanding of these differences.

Charles Darwin once said that “It is not the strongest of the species that survives, nor the most intelligent. It is the one that is most adaptable to change”.

We are all accustomed to change and sometimes it is difficult to adapt. We should not however close our eyes and hope that everything will turn out for the best. A “Hard Brexit” will result in confusion and instability. Everyone should therefore be “planning for the worst and hoping for the best”.

Disruption outside the UK/EU

Breaking the connection between UK and EU shipments will cause uncertainty until bi-lateral agreements are created.

Non-EU countries currently require documentation that is currently issued at EU level, like the EU Certificates of Origin. Non-EU countries will have to agree to accept EU Certificates for shipments from the UK, a non-EU member state.

Business travellers may need visas; UK & EU drivers may face driving restrictions because the UK is no longer a member of the European Conference of Ministers of Transport (ECMT); UK workers may not be able to travel and work at venues around the EU.

Stable results shown by CEIR for the 3 rd quarter of 2018

In December 2018, the C enter for Exhibition Industry Research (CEIR) published its report on 2018 3rd quarter performance in the exhibition industry. A modest year-over-year gain of 1.0% (see Figure 1) was registered, even though underperforming the macro-economy (see Figure 2). As opposed to the same quarter in 2017 where a year-overyear decline of 0.2% was confirmed, the figures improved significantly in 2018.

Year-over-year gains were registered in Discretionary Consumer Goods and Services; Government and Medical and Health Care. In contrast, Business Services, Consumer Goods and Retail Trade and Education posted yearover-year declines.

All exhibition metrics in the third quarter posted

positive year-over-year gains.

Real revenues (nominal revenues adjusted for inflation) and attendees posted the largest increase of 2.4% and 1.1%, respectively, followed by net square feet (NSF) which rose 0.6%, whereas exhibitors gained 0.1%.

According to CEIR CEO Cathy Breden, CMP, CAE, partly due to several industries showing a secular decline (including Business Services, Consumer Goods and Retail Trade, Education and Financial, Legal and Real Estate sectors), weak growth in the number of exhibitors was registered. Her future prophesy: “Barring any other negative downward trends in the economy, and until these sectors stabilize, the overall growth for the industry will remain modest". t

The Industry Trends Leading us into 2019 and Beyond

Predictions about the future are difficult to make but facts can give us a direction as to where we are going as an industry and the trends. The 22 nd edition of the “UFI Global Exhibition Barometer” survey from January 2019 is an excellent source of up-to-date information on the development and outlook of the global exhibition industry in 19 countries and zones.

The industry is not resting on its laurels in terms of turnover volume in the industry. During the period from mid-2018 to the end of 2019, a majority of companies from all four regions indicated an increase in gross turnover, in particular in both Asia/Pacific and Middle East/Africa regions where the highest levels in the last 5 years were recorded. Regarding operating profits for 2018 compared to the previous year, 80% of companies maintained a good level of performance in 2018 and around 30 to 40% of them declared an increase of more than 10% compared to 2017 in each of the four regions: the highest being observed in Mexico (62%), Italy (56%), United Kingdom (55%) and Indonesia (50%) and the lowest in Australia (18%), Russia (17%), Macau (10%) and the USA (8%).

Nevertheless a downturn in the business mood is reflected in a significant number of companies anticipating a profit reduction or even a loss in several submarkets: Central & South America (27% in Brazil and 35% in other countries), 27% in Asia/Pacific (for countries other than Australia, China, India, Indonesia, Japan, Macau and Thailand), 25% in the Middle East, and 23% in Germany and Japan.

Market and economic uncertainty go hand-inhand as companies are confronted with political and economic instability in a global environment. Interesting is the fact that survey participants prioritized the top 3 important factors again as: “State of the economy in home market”: 25% of participants (+1% than 6mths ago), “Competition from within the industry”:19% of participants (+1%) and “Global economic developments” :20% (+2%). “Internal challenges” were named by 15% of all participants (- 2%) where “Human resources” was the most important aspect.

The challenges identified vary according to the type of activity and region. Organisers and Service Providers are more preoccupied with “Competition from within the industry” and the “impact of digitalisation” than Venues Only. Growth is predominant in future plans when it comes to strategic and geographical expansion: a large majority of participants confirmed that they foresee development of new activities, either in the classic range of exhibition industry. The activities (venue/organiser/ services), or outside of the current product portfolios, or in both areas: 75% in the Middle East & Africa, 82% in Asia/Pacific, 85% in Europe and 91% in the Americas. 4 companies out of 10 on average declared their interest to develop operations in new countries.

Diversification of markets and activities is an essential tool in order to progress and this survey confirms this philosophy. When referring to Service Providers in the survey, 20% of the surveyed companies named the strategic priority as being the development of new activities outside their current product portfolio (for example digital products and services). 40% declared that they will operate in new countries in order to conquer new markets.

List of Associations involved:

In addition to JEXA (Japan Exhibition Association), who joined as from this latest survey, these are AAXO (The Association of African Exhibition Organisers) and EXSA (Exhibition and Events Association of Southern Africa) in South Africa, AEO (Association of Event Organisers) in the UK, AFIDA (Asociación Internacional de Ferias de América) in Central and South America, AMPROFEC (Asociación Mexicana de Profesionales de Ferias y Exposiciones y Convenciones) in Mexico, EEAA (The Exhibition and Event Association of Australasia) in Australasia, IECA (Indonesia Exhibition Companies Association) in Indonesia, IEIA (Indian Exhibition Industry Association) in India, MFTA (Macau Fair Trade Association) in Macau, SISO (Society of Independent Show Organisers) in the US, TEA (Thai Exhibition Association) in Thailand and UBRAFE (União Brasileira dos Promotores Feiras) in Brazil. t

About the UFI Global Exhibition Barometer: The Global Barometer survey has been measuring the pulse of the exhibition industry since 2008. The 21st survey, conducted in June 2018, was answered by a record number of 312 companies from 55 countries. The results are detailed for 18 geographical zones, including 14 major markets.

Celebrating, Supporting and Encouraging

Let’s take a look at just what are the challenges for women..

Heading up the campaign for Women’s Leadership

“Increased involvement of women in leadership” was one of the IELA commitments identified for action by our IELA Chairman Vicki Bedi in his first Chairman’s Corner. It was then with great interest that, during the 85th UFI Global Congress in St. Petersburg, Russia last November, the IELA representative Elizabeth Niehaus attended the presentation of research findings by UFI and its media partner m+a on the subject “Women in the exhibitions industry”.

We at IELA take this subject seriously and want to play a key role in supporting young women to develop their power to succeed in our Industry. There is indeed a need for an intergenerational exchange of experience and know-how, in personal coaching for a planned career development. We want to enable all efforts into creating positive energy and boost ambition. Our initiative “Power UP” will do just this!

The UFI research project* gives insight into the perception of women’s and men’s skills in the workplace, the potential for advancement for women within the industry and details of the different female career drivers . The big question was whether women enjoy equal status in the workplace or whether they are lagging behind.

One IELA member summed this up last year in her statement “…the higher up you move in the chain, the less women you see up in the scale". (Belina Flores - Fairs & Events Manager at Agility Fairs & Events, Spain)

More than two hundred respondents from around the world, mostly women, participated in the UFI online survey and a staggering 82% of respondents highly appreciate working in the exhibition industry and love their jobs . The strengths of women were identified as the soft skills such as good communication skills and empathy, strong organisational skills and the capacity to multi-task. However women lagged behind men when it came to networking and all respondents, both women and men, assigned self-confidence, technical know-how and power-related skills to men.

As Dr. Gwen Kaufmann from Deutscher Fachverlag (Germany) commented, “Women clearly make up the majority of the workforce in the trade fair industry, but they only represent a minority of the leadership. Both men and women agree that women can deliver diversity with a more creative approach when it comes to solving problems, helping the industry to prosper".

Sonia Thomas, COO at UFI stated, “Men and women have different skills, and are complementary, so the optimum is a mix of both sexes. We all must consider how to increase female representation at senior level by making the path to the top a little easier for women".

Women's Leadership in the Exhibition & Event Logistics Industry

TRANSITIONING INTO SENIOR LEADERSHIP

Power Up is the answer

The IELA Power Up programme has 3 pillars for action:

INSPIRE

• Videos and interviews with key women in the industry via social media channels and Latest News on IELA website.

IGNITE

• Focused activities and expertise workshops during IELA Live events.

• Leadership development programmes at IELA Academy.

• Organised exchange programmes.

MENTOR

• IELA mentor/mentee programme.

Inspiration will be delivered by key women in the industry via interviews and social media action. Focused workshops and on-site activities will focus on igniting hidden potential or skills which will be developed with specialized training.

The third pillar in the Power Up campaign is the mentorship programme which will run over a period of 12 months. Three women members of IELA will be offered the opportunity to become mentees, each attributed an experienced IELA personal mentor.

We would like to take this opportunity to introduce this concept and invite those of you interested to contact us!

The Mentoring Programme

Under the application of 3 leadership core elements Place – Power - Confidence, our 3 mentees will be accompanied during one year of their professional life by their mentor who will take into consideration their working environment (PLACE), provide the tools for leadership development and empower their leadership skills (POWER), give them assurance in the assumption of their responsibilities and primarily help them in boosting their career (CONFIDENCE)

It goes without saying that the challenges of extrinsic factors influencing an individual’s career must be addressed and incorporated in the personal strategy programme. 3 main aspects are to be addressed: Cultural (cultural understanding is fundamental when working on an international level), Corporative (the structure/ hierarchy influences how an individual works within a company) and Business (each industry has its own character and network).

How to join the initiative

Female Mentee applicants should have a minimum working experience of 5 years and Female Mentors a minimum of 15 years in experience.

So are you interested in joining the 2019 Mentorship programme?

Contact elizabeth@iela.org and apply as candidate. The deadline for submission of applications is May 31st 2019.

Our IELA Congress from 23rd – 26th June 2019 in Venice is coming up soon. This will be the first occasion for mentees and mentors to meet and connect! 12 months later in South Africa at the 2020 Congress, the outcome of this first coaching experience will be shared with the community. t

A Provocative view on People Management

Our October Webinar speaker Josh Allan Dykstra talked to us about “Self-Management, Change and the Future of Work". Indeed an alternative philosophy about Managerial Standards.

I was with a friend who innocently said a phrase I’d heard a million times before, something to the effect of: “Yeah, I’ll just have to check with my boss about that".

It’s a simple, seemingly innocuous phrase but this time it hurt me.

“Why?” you may ask

Because for the situation we were discussing, my friend knew exactly what to do BUT he couldn’t make that decision without checking with his“boss".

We often wonder why our organisations are too slow, too bureaucratic and too paralyzed. We wonder why they’re not agile enough and not responsive enough.

statements like “I’ll have to clear that with my manager”, “I need to check with my boss”, “My manager will have to sign off on that".

I’ll just have to check with my boss about that.

We need to transform the way we think about this

The idea that people need to be “managed” and the very notion that you somehow need a “manager” to tell you what to do when you get to work, is a blatant affront to your intelligence. We are in a world that treats “managers” as normal for the past century or more. But it is NOT normal!

As my friend said “you don’t have a “manager” to tell you what clothes to wear, you don’t have a “manager” to tell you what route to take to work, but then suddenly when you cross the threshold of your office building, what happens? Your brain just falls out of your head?

I was in a workshop with a client, a successful technology company. During one of the activities, I overheard one of the participants say “I have a manager who has a manager who has a manager who has a manager who reports to the VP".

Occasionally during the workshop I’d see moments of intense clarity and a flash of awareness when someone uncovered a solution that ought to happen—but the light would be quickly snuffed out by the

realization that they would never survive the perilous journey through five layers of “managers".

We ask our people to be brilliant problem solvers, but instead we’ve taught them to be something else: mostly-deflated humans whose default response has become learned helplessness. “Management” is the opposite of what these smart, capable, brilliant people need. What they really need is for said “management” to frankly get out of the way so they can do their jobs and make the decisions they need to make.

Without a manager, would you bounce ideas off other people and get collaborative input? Absolutely! Would you make sure you’re pulling in the right experts to give you the insight you need on the issue at hand? Of course! But do you need a “boss” to then make that decision for you?

In order to enhance productivity in our organisations, we must adapt our management behaviour, support personal development and initiative and release the enormous potential in our teams which is lying idle! t

4 Tips for Leaders in Dealing With Complexity

It’s no secret that the competitive landscape of today moves faster and is more complex than ever before—and only becomes more so every day. No longer is it enough to rely upon the leadership and managerial principles instilled upon you after initially arriving at your position years ago.

Technology has changed, which means how you go about communicating and inspiring others has changed. Leaders haven’t adapted their problemsolving methodology to be able to navigate such complexity.

To work through the ever-changing situations in which we find ourselves today, here are four principles to keep in mind when dealing with complex situations:

1. How we see the problem is the problem

The common belief among employees today is that one’s manager is responsible for offering leadership development opportunities. Contrary to majority opinion, nobody else is responsible for your personal leadership development more than you. What's needed is a cognitive shift towards greater curiosity because the more questions you ask your brain, the greater likelihood it will find an answer.

2 . Unleash the creative beast

The number one rated competency is creativity and the individual’s capacity to manage and deal with change. The adaptive competencies that allow oneself to learn, unlearn and relearn (learning agility), the emotional intelligence to shift gears across different situations, the confidence to confront the unknown, and the ability to think at a macro level (i.e. strategically) are what allow employees to wither the storm of complexity.

3. Forget the “fixed mindset” of leadership

We leave behind the concept that winners have a growth mindset (skill and will are learnable) and losers’ are fixed (skill and will are intrinsic and therefore not learnable) and the misperception that leadership is dependent upon one’s status, position or rank. Leadership comes down to one’s personal willingness to broaden one’s reach and inspire others through demonstrable behaviour.

4. Take a vertical - not horizontalleap into leadership development

Employees entering into a new position are expected to possess certain skills to perform their jobs.

As they move up in position, they are expected to build greater competencies to fulfill the role and responsibilities of their new position. This is horizontal development. What gets left behind from focusing on the micro (i.e. skill development), however, is the macro, or the new leadership expectations and responsibilities associated with that new role. Look at it this way. You can either add new software (horizontal development) or just update what you already have (vertical development). At some point, adding new software to an obsolete operating system becomes more wasteful than worthwhile. t

How to become a human firewall

When we talk about firewalls that protect our networks, we are thinking of technical devices. 19” racks, filled with servers, cables and blinking LEDs but we often forget that one of the best firewalls that exists looks quite different than a machine. Maybe with brown hair, blue eyes and a lovely smile.

thinking! You would be my first target.

About Tobias Schrödel:

For almost 14 years, Tobias Schrödel has worked for T-Systems International as a consultant for one of the biggest world-wide IT-security and telecommunications corporations. Before that, he had been responsible for the development of logistic solutions in the Enterprise Business Segment of United Parcel Service Europe.

He is a certified instructor for IT-specialists and is working for the German Chamber of Commerce as an auditor of soon to be ITspecialists for over a decade.

Personally, Tobias has been dealing with historical cryptanalysis and system vulnerabilities in everyday products for many years. He wants to raise awareness and have the audience start to think about their behaviour.

Since 2011 he has been the face, whenever IT-security and -technology stories are aired in the German TV-show “stern TV“. Schrödel explains various technical topics for everyone to understand.

IT security departments have increased their capabilities over the last decade. It is now way harder to hack into a company network and it became even harder to hack into a network and remain undetected. To solve this problem, hackers have more and more focused on the users in order to infiltrate networks or servers and to steal (or destroy) data and information. To be honest, this is like riding on the back of a horse. A company employee sits at his computer attached to the network. The user-id is legitimate to browse through directories and connect to databases. No need to look for technical vulnerabilities. No suspicious network traffic or unauthorized devices. Great! You think that you are unattractive to hackers … wrong

How can you protect yourself and your company against such attacks? Especially as a non-IT professional? As an accountant, logistics expert or maybe HR clerk? Well, no IT expert presumes that you have to detect, defend and prevent every hacker attack. It is their job. However, security machines such as firewalls and intrusion detection systems alert them, when there is strange traffic in the network. And you can do the same!

Inform your IT experts and call the IT hotline if you find a USB stick in the parking area. It could be infected and placed there on purpose. Inform the IT hotline if someone calls with an internal number, but doesn’t seem to be a colleague. It could be someone gathering internal information using caller id spoofing. And if you find an adapter attached to your computer that you have never seen before, give the IT department a call and let them check. It could be a key-logger that steals your password.

The decision is not taken by you whether you are an interesting target or if your data is valuable or not. It is taken by your enemy! Simply accepting that you can be a potential victim increases the security of your company. Keep your eyes open, be communicative, think before you click and use unique and strong passwords. And if you then want to take a look at a great firewall … just look in the mirror.

} Speaker at the 2019 IELA Winter Seminar.

Dear Friends,

On October 15th 2018, the IELA Security Guidelines finally went live and were officially launched during IELA Connect in Shanghai.

The Guidelines were distributed to the Membership in a very appealing format together with the last IELA Report. They are also available on the IELA website.

At the IELA Winter Seminar in Zurich this January, I had the pleasure of introducing the guidelines personally to the 39 students as part of the S&C WG presentation.

It was during the Winter Seminar that we discussed with the secretariat that the OH&S Guidelines, which exist in our organisation and are part of the IELA Training Manual, should be presented in a similar format as the Security Guidelines. Stay tuned for another important IELA achievement in the future.

As noted in my last report, there will be changes and additions to the IELA Standards Survey this year. The new category On-site Agent is going live very soon.

There is now a 3rd survey to be completed by members in the existing format.

Each member will update his profile stating if his company is an On-site Agent, physically handling the freight with their own equipment and labour.

Any Domestic Agent subcontracting the physical handling will not register as an Onsite Agent but as a Domestic Agent only.

More details will follow once the system is up and running.

The Industry Relations Task Force has done well from the start and is getting prepared for action. First of all the members will be asked to complete the Data Room questionnaire to gather the information about the freight which IELA Members are moving around in the year.

This information will be the basis for discussions with the airline industry

It can be the goal in that we reach out as far as IATA/ICAO in order to make them aware of the unpleasant situation due to different interpretation of rules and regulations, such as price politics and restrictions, imposed by the airline industry.

All the best, Dominique Geiser t

Stepping up from Vice Chair to Chairman of the Training and Education Programme Working Group just a day ago, I would like to present my first report. With the Winter Seminar still fresh in my memory and the wonderful results we have published for you to read in this report, I am proud to take on this role and be able to contribute even more to IELA.

I am convinced that I was “infected” by my own Working Group, due to being the coordinator of the seminar, and I am looking forward to sharing my knowledge with all members. I similarly believe that we have a large task ahead of us with the ever-increasing demand in our markets.

You will very soon be able to find our Webinar Calendar on the website with more relevant information about all IELA activities. We will also be informing you on the preparations and plans at our Congress in Venice.

One planned project which aims to spread knowledge further is the IELA Academy. I believe this will not only be a certified institute but it will soon become the platform for our association as a whole. All activities will find their place in this structure.

Last, but not least, we will also start to work on the next Operations Summit which will take place in February 2020.

We welcome your contribution in any way to our Working Group. Please step forward and contact me if you are interested.

I am looking forward to seeing many of you getting involved,

Bas Wiendels t

Dear IELA Partners and Friends,

I consider it a privilege to Chair this group having been a member of the group for many years. I have some big shoes to fill taking over this group from Jeff and I want to thank both Jeff and Lena for their support during the transition into the role. Jeff has resigned from our group to focus on his role on the board and we are extremely grateful for his contribution to the group over the years.

We have a fabulous team of committed, professional individuals who take the responsibility seriously and understand that our members are the heart of the organisation. If we do not have members who are ethical, principled and committed to our industry, then the association will not live up to its values and standards.

Our objectives remain concerned with quality over quantity. The numbers are great to boast and are a reflection of our influence in the industry. However, the numbers are only a small part of the big picture. We cannot dilute our power with members who do not share the same values, as it will affect our ability to inspire, develop and shape our industry. At the same time, we listen to all members and are working on locating new suitable members in our “white spot” countries. It is important that we listen to the membership in terms of areas where we are lacking or need to increase our strength.

Since our meeting in San Francisco , we have processed five new member applications , four of which have been welcomed as new members, with the fifth still pending board approval. One of our new members is from a ‘white spot’ country –Timar, from Morocco! We are very excited with the prospect of another six potential applicants in our pipeline.

We are already putting together agenda items for our meeting in Venice. Along with the Secretariat, we are continuing to tweak and improve the application forms and the process itself. We understand that the Board is seeking a solution to acquire an on-line application process that would bring us into the 21st century instead of faxing and scanning documents. The challenge with this endeavour is finding a viable solution that is cost effective and meets our needs. We support that effort wholeheartedly and look forward to progress on this matter with great anticipation. It will streamline the process for potential members, sponsors, the secretariat and the board. A win – win situation all around.

It is important that the message out there is “if you want to take your business to the next level, IELA is the place to be”

If you have any questions, suggestions, or recommendations for our group, please let us know. We’re here to serve all of you.

See you all in Venice!

Dear Friends,

Looking back over the past few months, a sheer highlight in the Fairs & Events industry was of course the 85th UFI Global Congress in St. Petersburg last September. It was an exciting opportunity to feel the dynamics in the Industry!

Things are progressing in our industry. An important meeting to mention was that of the newly–founded UFI Industry Partners’ Committee. The goal of the committee is to allow an exchange of valuable information, experiences and know-how on matters of common professional interest. Ravinder Sethi from Rogers India acts as Chairman and the focus is on integrating all service companies involved in fairs and events. This working group recognises the essential role of suppliers like ourselves and gives us the opportunity to play our part in shaping our industry in the future.

Another occasion at this event which proved to be very positive for IELA was the meeting of the Associations Committee IELA presented its Security Guidelines and received high acclaim for the good work.

In the presence of major industry players at the UFI Congress, IELA was prominently represented by Vicki Bedi, Elizabeth Niehaus and Guido Fornelli. Additional representatives from IELA members included DB Schenker, DHL Trade Fairs & Events Germany, Kuehne+Nagel Expo & Events, LA Rouxnelle Logistics and Consulting, R.E.

Rogers India Pvt. Ltd. and Shenzhen Talent & Sea-Ever Logistics Co., Ltd.

We would like to seize this opportunity to give our special thanks to Guido. He continues to support us tremendously with his knowledge and experience wherever possible. Most recently he has been working on our new project The Data Room. This involves the collection of data in the form of a questionnaire on the role of the IELA Membership in the events industry which will be fundamental in the future development of our association. Your support in replying to this survey will be of utmost importance. The data will act as a leverage as we will finally be in a position to evaluate the weight of the membership of IELA in the industry, quantifying our impact with external partners and reinforcing the image of our association as a strong and viable solutions-provider.

It is clear that exciting months are coming up for all of us, including the preparations for the next 34th IELA Congress & General Assembly in Venice. We are looking forward to discussing further and presenting our Working Group results on-site.

Last, but not least, we would like to thank you all for your great support! IELA members work well together and we are a strong team. We highly appreciate your support and collaboration.
