Communications and Development Coordinator

Summary

Responsible for supporting communications and development initiatives for our organization, this person is responsible for event/meeting coordination, database management and communication efforts logistics. This position reports directly to the Development & Communications Director.

Essential Functions:

1. Supports the Executive Director and Director of Communications of Development in the coordination, logistics and material production for meetings with relevant stakeholders for the IDJ, including but not limited to: board members, donors, prospects, media, and private sector partners.

2. Coordinates all logistics for media conferences, roundtables, interviews and other engagements with the press.

3. Coordinates all logistics related to Board and Advisory Board meetings. Ensures materials, space, and logistics are well-prepared

4. Develops and executes communications to board members regarding work at the Institute, their action plans, onboarding, their Give or Get commitments, fostering engagement and accountability.

5. Manage and maintain the donor database, collaborating with Administrator to align with finance systems and processes for accurate and up-to-date information, recognition, and tracking of revenue generated through fundraising activities.

6. Executes stewardship processes, including the coordination of logistics of donor recognition activities; drafting such as thank-you notes; donor reports, and ensure engaging and meaningful messages through personalized and timely communications.

7. Maintains and updates development collateral, such as donor cards, one-sheets, presentation decks, welcome packages, and the donation page on the website, aligning them with evolving needs and goals.

8. Provides logistical support for fundraising events, ensuring seamless execution and a positive experience for attendees. This includes planning, leading outreach efforts, coordinating with vendors before and during the event, and on-site logistical support, including recording any pledges.

9. Provides follow up to attendees to fundraising events, ensuring that any pledges are carried through.

10. Provides logistical support for any event that involves the Institute’s brand and involvement of external stakeholders, including but not limited to: conferences, panels, research presentations or others.

11. Support prospect research efforts to identify potential individual, and corporate donors, gathering relevant information for effective donor cultivation strategies.

12. Organize and optimize content and art databases, including SharePoint, to streamline access and retrieval of materials.

REQUIREMENTS

EDUCATION/ EXPERIENCE:

Bachelor’s degree in Marketing, Public Relations, Communications or a related field. +2 years of professional experience. Fully Bilingual. Experience in event coordination. Ideally, some experience with board development or nonprofit sector. Strong interpersonal skills and ability to engage with a wide variety of stakeholders. Proven organizational and time management abilities, with keen attention to detail. Proficiency in using donor management software and fundraising platforms is a plus. Passion for the organization's mission and the ability to convey that passion to stakeholders.
