A Hulme education
The education we offer here is deliberately broad and balanced because we believe that balance and breadth will best set students up to be successful in their future studies, the workplace and life generally. Finance Officer (Billing) at Hulme Grammar School
The Finance Officer plays a vital role within the school’s Finance Team, ensuring the smooth management of daily fee processes and overseeing the school’s platform for administering the bursaries programme—a key feature of our institution. This position encompasses responsibilities such as managing the fee ledger, handling credit control, and overseeing all finance-related aspects of the bursary scheme, alongside any additional tasks that may arise.
The school’s bursary programme provides means-tested fee assistance to parents whose financial circumstances would preclude them from paying all or some of the school fees. Hulme Grammar School has always been an engine for social mobility and we are committed to this remaining central to the school’s identity and ethos. Assessment of income declarations from new applicants for assistance, and the annual reassessment of declarations for current pupils, forms an important part of this role. The school uses the Bursary Administration Ltd and its associated software Metis to ensure efficient organisation of this process and to make sure that our means-tested bursaries are targeted at the families of students who would most benefit from a transformative Hulme education.
This is an important administrative and customer-facing role and highly developed people skills are required.
Key responsibilities include:
Responsibility for the operation of all fee ledger processes and of the financial aspects of the bursary scheme, particularly by ensuring the efficient administration of:
Termly fee bill runs including Early Years grants
Processing and allocating fee payments by bank transfer and cheques from parents
Administration of fee payments by direct debit (DD) including setting up new DD instructions, reconciling and submitting DD collections and following up any unpaid DD instalments or cancelled DD instructions
The management of any legal processes for the collection of fees involving liaison with legal advisers and identification of courses of action
Setting up new pupil and billing accounts and amending existing accounts as necessary
Processing leavers and any related refunds
Termly reconciliation of gross fees and fee adjustments
Liaison with Admissions Team to ensure timely and accurate fee billing
Termly reconciliation of pupil numbers
The calculation and generation of sundry invoices and charges
Operation of credit control procedures including issue of statements, routine correspondence and personally tailored communication where necessary by telephone, email and letter.
With the Senior Team member managing the role, where necessary negotiating payment plans with parents in appropriate circumstances
Key responsibilities include:
Maintaining records of credit control communication, proposed follow up and action dates
Communicating with parents and dealing with their queries on a wide variety of subjects including fee payment options, fee assistance application and assessment procedures and fee payments
Keeping up-to-date with HMRC and DWP changes which may affect the bursary process
Distribution and processing of applications for fee assistance for potential new starters and of annual assessments of fee assistance for current pupils.
Processing fee ledger adjustments resulting from bursary assessments
Processing other fee adjustments as necessary
Annual fee ledger processes, checks and reconciliations in preparation for the following academic year and the school’s accounting year end
Assisting in the preparation of other accounting and financial tasks such as the Annual report, annual budget, management accounts etc
Managing documents and data in compliance with General Data Protection Regulations
The production of debtor information for internal use and for Governors’ meetings
To attend Open events and act as a point of contact for any fees, information-sharing and billing/ financial assistance requests.
To carry out any other reasonable duties as requested a line manager
Health and Safety
Reading and complying with the employer's Health and Safety Policy both for their own protection and for all other employees, pupils and visitors on site.
If suitably qualified, act as a first aider.

The salary will be £26,000-28,000 per annum depending on experience. This is a full-time full-year role.
