We’re committed to ensuring all new colleagues receive a supportive induction experience starting with pre-employment onboarding, a local induction within the team and corporate induction sessions. As you join us, we aim to support you in reaching your full potential with us.

So, what happens next?

On your first day, your manager will discuss your induction programme with you and arrange your 1:1 meetings. At the end of your probationary period, you will have covered the suite of induction and covered the initial developments identified as part of this.

Thank you for choosing the Heart of Yorkshire Education Group and we wish you every success in your new role.

Welcome

I am delighted to welcome you to the Heart of Yorkshire Education Group.

Here at our Group we are passionate about all our people, staff and students, and I am particularly keen to make sure that new staff settle in to their new roles as quickly and as effectively as possible.

As part of this commitment all new members of staff undertake a comprehensive induction to working with us. This goes beyond a traditional introduction to working practices, as we believe for you to thrive in your role, you will need to get to know the Heart of Yorkshire Education Group in detail quite quickly. This means understanding your role in achieving our mission, our strategic objectives, being clear about your roles and responsibilities and those of others, knowing the working processes practices, understanding the rules and boundaries, and most importantly building strong productive relationships.

This is why we have put together a framework of activities which are all compulsory and contribute to your overall induction.

I hope you will agree that taking part will give you the best possible start to your employment and will enable you to successfully complete the probationary period with the Heart of Yorkshire Education Group.

Kind regards

You may be asked to present it to security to prove that you have the right to be on campus. Your ID card will be issued to you when you start employment. It has your full name printed on the front along with photo verification. Carry your ID card with you at all times when you are on campus as without it, you will not be able to get around college or use photocopying facilities. If you forget your ID card you can go to Reception to have a temporary ID card. As we only have limited cards, there is no guarantee you will receive one. If you lose your ID card, IT Support can print you a new one.

+ A colleague will take you on a tour of your base site and show you the fire exits, fire assembly point and staff facilities. If you visit another site, please familiarise yourself with the Fire Exit and Assembly points by looking for these signs

Accessing IT

Your manager will have completed an Access to IT form and returned this to IT on your behalf. Once your IT account has been generated the details of this will be sent to your line manager via email to be shared with you when you start work with the College. Ideally your first login needs to be inside the college. You can sign into any staff PC by

using your IT username given to you by your line manager. IT usernames are usually first initials and last name e.g jbloggs. You will be required to change your password upon first login. Passwords need to be a minimum of 8 letters, including at least one capital letter and one number. It includes OneDrive for file storage, SharePoint and Teams for collaboration, Outlook for email, Skype for Business for communications, and a suite of Office Web Apps based on the traditional Office applications.

Multi-factor Authenticator

Multi-factor authentication (MFA) requires the use of more than one verification method for your logon, adding a second layer of security to your account. Think of the two steps as something you know (your password), followed by something you have (your phone or tablet).

It works by requiring one of the following verification methods:

+ Access approval from the free Microsoft Authenticator app

+ Receiving an SMS text message with a code

You will only be prompted for MFA when accessing Office 365 services whilst not connected to the College network e.g. if you are at home/off campus and using your phone, tablet or PC.

+ Keeping Children Safe in Education

+ Understanding Pathways to Extremism and the Prevent Programme / Radicalisation and Extremism

+ Safe Working Practice

+ Safeguarding Policy

In addition to the above, to ensure that we have a comprehensive introduction to College employment, we are also required to complete the following e-learning and reading.

You will receive instructions from our IT department on how to set up MFA.

Printing and Photocopying

Your ID cards are needed if you want to photocopy, or print to a photocopier. To print or photocopy you will need to scan your card on the keypad attached to the photocopier, and then enter your 4 digit PIN. PINs are set to the first 4 characters of your date of birth, for example if your birthday is the 17th April, your PIN will be 1704. If your card does not work with the photocopiers please visit the IT Services department for this to be resolved.

Taking time off is an essential aspect of maintaining a healthy work-life balance. At The Heart of Yorkshire Education Group we actively encourage our employees to use their annual leave to rest, rejuvenate, and spend quality time with family and friends.

Taking a break allows individuals to return to work with renewed energy and enthusiasm. We encourage all employees to plan their annual leave in a timely manner, facilitating effective coordination within teams and promoting a positive work environment. By embracing these principles, we aim to create a workplace culture that values the well-being of our team members and fosters a healthy work-life balance.

Mandatory Working Period

To help everyone plan effectively, mandatory working days are determined by the Executive Team and communicated in advance on an annual basis. These important days include, but are not limited to, the peak enrolment period (typically the last two weeks of August and the first week of September), Whole College Development Days, and

College Focus Days.

For teaching staff, mandatory days also include the term-time period for those who teach across the traditional 36-week academic year or are on term-time only contracts.

Recognition and Celebrations

Recognition and expressing gratitude is important to us and that is why we have Staff Recognition schemes for our employees. We also organise lots of social activities to mark significant events and hold an end of year celebration event. Our staff drive these opportunities and events, and we welcome new ideas and initiatives to inspire and engage colleagues.

Health and Wellbeing

Health and Wellbeing are an essential part of our working life and we are committed to providing an environment which is both supportive and engaging – ensuring that our colleagues have access to the services and support they need.

We also have a number of staff who are trained mental health first aiders.

We recognise the need for employees to disconnect from work outside of their designated working hours. We respect and support the right of each team member to enjoy their personal time without the expectation of constant connectivity. By promoting a healthy work-life balance, we believe our colleagues can perform at their best while maintaining overall well-being.

Taking regular breaks, including a dedicated lunch break, is vital for maintaining productivity and well-being. We encourage all team members to take advantage of their lunch break to relax, recharge, and enjoy a meal. This time away from work is not only beneficial for individual health but also contributes to a more positive and collaborative work environment.

Essentials: 8 Tips for Data Protection and Network Security

1 Make Sure Information Is Shared Securely

Password protect personal data sent by email to organisations outside of the Group. Password protection helps to ensure that personal data cannot be access by anyone other than the intended recipient

2

Be Phishing and Cyber Aware

Stop and think - is this email real? Are you expecting the email? Do you know the sender? Are there any unknown attachments? Are there any links? You can check links in Outlook by hovering your mouse and looking to see where the URL / link will take you. Report it and avoid clicking links

3

Avoid Transporting Data

It’s better to create documents on Office 365 and share through One Drive than it is to send emails with large attachments or multiple documents. This allows anyone with access to contribute to the document without downloading, saving, editing, resaving then emailing back. It also keeps all documents in one place for ease of access. It will reduce the risks of taking data off site.

4 Think Before Typing

Who needs to be included? Are you sending to the right people? It is crucial that such personal data be kept confidential. Therefore, if you wish to send an email to multiple unrelated external recipients without a common purpose, please ensure that all email addresses are entered into the ‘Bcc’ box. To do so, click on ‘Cc’ which will bring up the ‘Bcc’ option. Alternatively, send an email to each recipient individually.

5

Be Clear on Data Breaches

Know when, what and how to report. Familiarise yourself with the principles of data protection

6 Collecting and Why

Think minimal with what you collect, what you share and with whom, how long it is kept for and in how many places?

7 Printing

Ensure that your printer’s paper tray has sufficient paper before printing documents which contain sensitive personal data. This is to prevent the printing of such confidential documents from being resumed by a person who has no right to see them.
