While this guide is designed to give you an overview of the company, we challenge you to spend the first week getting to know your new colleagues and integrating yourself in our culture. Our team has a lot of knowledge to share with you and we hope that you take full advantage of the mentorship and leadership resources that are available to you.
Finally, be sure to save the date for our new hire on-boarding event, FOUNDATIONS. The two-day event features sessions designed to immerse you in our company culture, provide networking opportunities with your fellow new hires, and give you a chance to network with the Directors/Shareholders and Board of Directors. You will receive more information on FOUNDATIONS soon.

1. Close all open applications.
2. Press Ctrl+Atl+Del at the same time on your keyboard
3. Click on “Change Password”
4. Create a new password following these standards:
• Not contain the user’s account name or parts of the user’s full name that exceed two consecutive characters
• All user-level network passwords will expire every 90 days and must be changed.
• New passwords cannot be the same as the previous four passwords.
• Passwords must be at least twelve characters in length. Longer is better.
• Passwords must contain both uppercase and lowercase characters (e.g., a-z and A-Z).
• Passwords must contain at least one number (e.g., 0-9).
• Passwords must contain at least one non-alphabetic character (i.e., !, $, #, %)
5. Restart your computer and try to log in with your new password.
Your password is linked to your Office 365 password so by changing it you will be prompted by Outlook, your phone and iPad to enter your new password.

We don’t just build buildings; we build experts. We’ve created a robust, year long training program for our new project engineers, project management, and superintendent staff. For the first year of your employment you will attend training hosted by our board members, director / shareholders, and project management and superintendent staff. Interns are encouraged to attend. Attendance is mandatory as our staff members put in a lot of time and effort to develop the materials and train you each week. We encourage you to give them your full, undivided attention and take full advantage of the “war stories” and lessons learned that they will share with you.

When you join Harvey Cleary, you’ll be paired with a mentor whose job is to help you launch your new career in style.
You’ll meet with your mentor (at least) once a month for (at least) your first year—but they’re always on standby to answer your questions and introduce you to the right resources. As a long-time member of our team, your mentor will introduce you to our company’s structure, operations, and vision. You’ll get immediate access to everything you need to know about our innovative, ethical approach to construction and service.
You were hired because you’re great. Your mentor will make sure you have the tools and connections you need to be exceptional. Keep an eye out for your introductory email in the next few weeks; we’ll virtually introduce you to your mentor and then y’all will take it from there!
All of our new hires are required to attend our onboarding event, FOUNDATIONS, in Houston, Texas. Employees from our other offices will travel to Houston the Sunday before FOUNDATIONS and kick-off the event with a welcome receptionand dinner. Over the course of two days, new hires will attend sessions led by our Shareholders and Board of Directors. Monday evening, we host a networking event which provides you the opportunity to get to know our leadership in a casual environment.

Employee appearance contributes to the Company’s culture and reputation. Employees are expected to present themselves in a professional manner that results in a favorable impression by clients and customers.
Each one of us needs to use our professional judgment when deciding what is or is not acceptable. Managers may exercise reasonable discretion to determine appropriateness in employee dress and appearance. Employees who do not meet a professional standard may be sent home to change prior to returning to work. Reasonable accommodations will be made where required.
Although it is impossible and undesirable to establish an absolute dress and appearance code, the Company will apply a reasonable and professional workplace standard to individuals on a case-by-case basis. Management may make exceptions for special occasions or in the case of inclement weather, at which time employees will be notified in advance. An employee who is unsure of what is appropriate should check with their manager or Human Resources.
OFFICE DRESS CODE (Including Meetings in Our Office or a Client’s Office)
Mondays through Thursday, traditional business casual attire is expected of all employees. Business attire should be worn for meetings with clients. Basic elements for appropriate and professional business attire include clothing that is in neat and clean condition.
Appropriate workplace dress does not include clothing that is too tight or revealing; clothing with rips, tears or frays; flip flops, crocs or tennis shoes; ball caps; or any extreme style or fashion in dress, footwear, accessories or fragrances.
Casual dress will be permitted on Friday. When meeting clients, business professional dress guidelines must be observed, unless the client has specifically requested otherwise. Casual dress is defined as follows:
• Casual shirts: All shirts with collars, business casual crew neck or V-neck shirts, blouses, and golf and polo shirts. Examples of inappropriate shirts include T-shirts, shirts with inappropriate slogans or graphics, tank tops, muscle shirts, and crop tops.
• Pants: Casual slacks and trousers and jeans without holes, frays, etc. Examples of inappropriate pants include shorts, leggings, camouflage, athletic wear, and pants worn below the waist or hip line.
• Footwear: Casual slip-on or tie shoes, dress sandals, and clean athletic shoes. Examples of inappropriate footwear include flipflops and crocs.
Employees working on the job site remain a representation of the Company and are expected to wear clothing that is appropriate and professional while ensuring their safety from construction hazards. Appropriate job site dress does not include clothing that is too tight or revealing; clothing with rips, tears or frays; flip flops, sandals, crocs or tennis shoes; or any extreme style or fashion in dress, footwear, accessories (especially those that are loose fitting), or fragrances.
In addition to the required Personal Protective Equipment, the job site dress is defined as follows:
• Casual shirts: All shirts with collars, business casual crew neck or V-neck shirts, blouses, and golf and polo shirts. Company T-shirts may be worn, except on days that you will be meeting with a client. Examples of inappropriate shirts include T-shirts, shirts with inappropriate slogans or graphics, tank tops, muscle shirts, and crop tops.

• Footwear: Boots, loafers, or other shoes with rubber or leather soles. Examples of inappropriate footwear include dress sandals, athletic sneakers, high heels, open toed shoes, flipflops and crocs.
Expenses must be coded to your job number, include a cost code, and submitted to senior-level management for approval. Reimbursement requests must be submitted by noon on Monday (to be received Friday) and must include proper backup (receipts).
When submitting your reimbursement request, you should use the most recent version of the form from the S: drive. The form is regularly updated with the most recent mileage reimbursement rate provided by the IRS.

Reimbursement requests should be sent to your Field Office Manager (FOM) for processing. Office personnel that do not work with a Field Office Manager should provide their reimbursement report to their local Accounts Payable contact.
Employees eligible for monthly vehicle allowance will be issued their check the first Friday of the month for the month prior. Attendance at the monthly PM/Supt meeting is required for the vehicle allowance to be issued. A valid driver license is required to receive a vehicle allowance. Human Resources will check motor vehicle reports twice a year to confirm license status.
Everyone must turn in a time sheet each week, regardless if you are a salaried or hourly employee. If you do not have a Field Office Manager (FOM), you should turn your time sheet in to timesheets@harveybuilders.com or your manager (DC office). Master time sheets can be found on the S drive. Time sheets should be turned in every Friday for the current week to timesheets@harveybuilders.com. Do NOT use your social security number on the time sheet form. Instead, you will use your Employee ID number which you will receive from Human Resources via email. If you do not receive your employee ID number you may request it by emailing hr@ harveybuilders.com
Best Practice: Save your completed time sheets in your documents folder for easy access and your records.
Paid company holidays should be coded as regular time worked on your time sheet. There is no need to note the holiday on the time sheet unless you worked on the holiday. Interns are eligible for paid holidays. Interns that work on the holiday should let timesheets@harveybuilders.com know so they may determine if you are eligible for holiday pay (two times your straight time rate).
All regular, full-time employees receive two floating holidays per year in addition to Harvey Cleary’s regular paid holidays. These two floating holidays may only be used for religious holidays, employee birthdays, or other state of federal holidays during which Harvey Cleary remains open. A new employee hired before the end of the first half of the calendar year (June 30) will receive two floating holidays upon hire; a new employee hired during the second half of the calendar year (on or after July 1) will receive one floating holiday upon hire for the current calendar year. Please refer to the Personnel Manual for more information on Floating Holidays. When taking Floating Holidays they should be coded as regular time worked on your time sheet. Do NOT code them as Paid Time Off (PTO).
Paid time off (PTO) is earned at a rate of 10 hours per full month of employment for those employees with less than 10 years’ of employment (120 hours or 15 days per year). During the 10th year of employment and beyond, PTO is earned at a rate of 13 1/3 hours per full month (160 hours or 20 days per year). Interns are not eligible for PTO.
Prior to taking time off, you must complete either the PTO request form or submit the request through the Employee Self-Service (ESS) portal. If you complete the PTO request form it should be provided to your supervisor for approval and a signed copy should be sent to HR@harveybuilders. com. If you use the ESS portal, Human Resources will send your PTO request to your supervisor for approval.

Employees are encouraged to take PTO for rest, relaxation and personal pursuits. PTO may not be accumulated or carried over to the following year unless you have been specially requested by your supervisor and approved by a Board of Director, to defer taking PTO for the convenience of the company. In this case, no more than 5 days may be carried forward to the next year and must be used within the next calendar year. If the rolled over PTO is not used, it will be forfeited.
In additon, an employee can roll up to 5 days into an extended illness bank each year, up to a maximum of 15 days. This time may only be used for extended medical issues (e.g. surgery, birth of a child, etc.). Upon termination, accrued and unused PTO days will not be paid.
Harvey Cleary has an extensive maternity leave program to support our birth parents as they take time away for the birth of their child. To be eligible for the six weeks of paid maternity leave, individuals must:
• Be the birth parent (person who gives birth)
• Have at least one year of service with the company
• Be a regular, full-time employee
• Use the paid leave immediately following childbirth, concurrent with Family Medical Leave (FMLA)
• May only be used once in a 24-month period
Employees are eligible for up to six weeks of paid maternity leave at 50% of their weekly salary. A retention incentive equal to the remaining 50% of salary for the six week period may be payable three months after an employee’s return to work.

• Each employee must complete the minimum training and must meet the requirements and qualities as listed in the corresponding career path.
• Each employee must be performing at the next skill level before he/she will be recognized as being at that next skill level. In other words, a Project Manager must be serving as a Senior Project Manager before he/she will be promoted to the role.
• Each employee must be approved for advancement by an officer of the company.

Human Resources is focused on the recruitment and retention of our employees. We can help you with healthcare benefits, 401k, personal information updates, training, issues and/or concerns, and more.
The Employee Self-Service (ESS) portal allows you to view your paystubs, check your PTO balance, submit a request for PTO, update your address and more! You may setup your account after you receive your email from Human Resources with your employee ID number. We encourage you to setup your account and log in to review your personal information.

2. Click First-Time User Register Here
3. Enter your first and last name, as it appears on your paycheck stub. If you’re not sure, ask Human Resources
4. Pick a security question and an answer that you can remember. This will be used to reset your account if you forget your password
5. Pick a username and password. Your password must contain at least one of each of these items
• Upper case letter(s), Lower case letter(s), Number(s), and Special character(s)
The Employee Self-Service (ESS) portal will show you your PTO accrual year to date. We accrue a total of ten (10) hours per month for a total of 120 hours per year (this amount will be prorated based on your start date).
You can also submit a PTO request via the self-service portal:
1. Once logged in to the ESS portal, select Time Off on the right hand menu under the Personal menu
2. Click the + sign
3. Enter the date(s) that you are requesting off and the total hours. If you would like, you can enter comments to explain why you’re requesting time off
4. Select Save
5. You will receive a notification when the request is approved and/or declined
Your weekly pay stubs are also found on the self-service portal and are uploaded weekly on Friday. To view your pay stubs, select Pay History under the Employment sub menu.
All new full-time employees are eligible for benefits the first of the month following 60 days of employment (except 401k). Human Resources will send you an email the month before your coverage takes effect to let you know that it is time to enroll.
Interns are eligible for the field medical plan, which is insured with United HealthCare. The cost for this coverage is $46.15 per week for Employee Only Coverage or $154.00 per week for Employee + Child(ren).

To be eligible for a referral bonus, the following must be met:

Procore is a construction project management software available on the web and via a mobile app. We leverage Procore for improved communication speed, tracking, and dissemination of project information.

Harvey Cleary has developed and implemented a safety program across our company. The success of our safety program is based on total and complete involvement (commitment) of all our employees. The objective of the safety program is to reduce to a minimum the number of injuries suffered by all our employees, subcontractors and the public. To accomplish this we should:
• Provide a safe workplace for each employee with level, firm footing, clear of trash and impediments, with no unprotected drop-offs or other hazards, and with no danger from falling objects.
• Wear personal protective equipment (PPE) as required by the task of the moment. Such items include but are not limited to hard hats, adequate shoes, gloves, goggles, respirators or related items.
• Ensure all tools and equipment are in good condition with safety devices in working order and operated and used in a safe manner.
• Intervene when we observe a situation that could be hazardous.
• We are very interested in the attitude of all employees with regard to safety and expect a spirit of cooperation to be exhibited by all.
SUPERVISORS AT ALL LEVELS OF THE COMPANY MUST EXERT LEADERSHIP IN SAFETY MATTERS.
Each jobsite will have a safety manual and it is available to each worker at the site. The safety manual outlines the jobsite safety program. This program is not inflexible and is subject to revision when it can be improved. Your cooperation in improving it is appreciated.

Corporately, we feel we have created a safety culture amongst our staff that is diligent and proactive in job site safety and accident prevention. With that in mind, we have developed an accountability program to aid us in taking a proactive approach to preventing accidents on our job sites. The below bullets outline our accountability program requirements to qualify for the quarterly safety bonus.
Employees must be employed for the full quarter to be eligible for the bonus (e.g. an employee hired on July 20 will not be eligible for the third quarter bonus).
• All audits must be full jobsite audits (not partial audits—walk the ENTIRE job)
• Project teams should “police themselves” for walking of the project, building a schedule of audits to be done monthly. This should be discussed weekly in project team meetings or during staff coordination meetings.
• Each audit must be open and closed within the month to be counted towards bonus calculations.
• No quarterly bonuses will be paid to teams that have a recordable accident during the quarter.
• To qualify for the quarterly safety bonus, employees must complete a minimum of two (2) activities in the following chart each month.
• Employees who do not participate in the accountability program will report to the CEO and Executive Vice President.
• Employees who enter poor quality audits and/or obervations will report to the CEO and Executive Vice President.
The safety database is used to record safety audits and observations, first aids, and recordable accidents. The safety database may be accessed at: https:// safetydb.rimapps.com. All of our employees and our subcontractors are encouraged to report any observations that happen on the site. Not only do we correct these issues immediately, we take this information and log it into our proprietary database. The safety database helps us see trending issues at our jobsites which allows us to utilize the data to focus our training programs around the patterns we observe.

Electronic communications systems (including the electronic mail (email), computer, and public/private networks), such as subscriptions to the Internet and paging and voice mail systems are the property of David E. Harvey Builders, Inc. and are provided by and operated by the company for business purposes. You have no right to privacy with regard to anything you send, say, or receive using these electronic communications systems. Misuse of these electronic communications systems can interfere with their efficient operation, constitute a waste of valuable company resources, expose the Company to potential legal liability, and risk the improper dissemination and use of confidential, proprietary and otherwise sensitive information.
Employees shall be permitted to use the Company’s electronic communications systems for personal use, provided such use:
• Is infrequent and clearly incidental to the corporate use
• Does not interfere with the individual’s work
• Is not otherwise in violation of this or other Company policies
• Shall be subject to monitoring by the Company
This policy applies regardless of whether communications take place before, during, or after working hours. Failure to comply with this Electronic Communication Policy may result in disciplinary action, up to and including termination of employment.
Each employee provided with a laptop by Harvey Cleary is responsible for the physical security of the laptop. All laptops acquired for or on behalf of Harvey Cleary are deemed to be company property and should be stored in a secure location when not in use.
All employees must take the following actions to ensure the physical security of Harvey Cleary laptops:
• When not in use, the laptop must be locked with a password and caution taken when entering any company passwords on the laptop.
• Store the laptop in a locked cabinet or desk when not in use.
• Do not leave your laptop in your vehicle. If it is necessary to leave the laptop in your vehicle for a very short period of time, the laptop must be locked in the trunk of the vehicle.
• When using the laptop in public areas, do not leave the laptop unattended for any length of time.
• Do not pack your laptop in checked luggage.
• Attach a name tag or business card to your laptop to easily identify it during security checks or if lost.
• Store the laptop in a hotel room safe or locked suitcase when you are not in the room.
In case of theft or loss of a company issued laptop, the employee should immediately notify the IT department. If the laptop was stolen, the employee must file a police report and provide a copy to the IT department, Chief Executive Officer and President. Violation of this policy may be grounds for disciplinary action.

Passwords are an important aspect of computer security. They are the front line of protection for user accounts. A poorly chosen password may result in the compromise of Harvey Cleary’s entire corporate network. As such, all employees (including contractors and vendors with access to our systems) are responsible for taking the appropriate steps, as outlined below, to select and secure their passwords.
Passwords must be created and managed in accordance with the following:
1. Not contain the user’s account name or parts of the user’s full name that exceed two consecutive characters
2. All user-level network passwords will expire every 90 days and must be changed.
3. New passwords cannot be the same as the previous four passwords.
4. Passwords must be at least twelve characters in length. Longer is better.
5. Passwords must contain both uppercase and lowercase characters (e.g., a-z and A-Z).
6. Passwords must contain at least one number (e.g., 0-9).
7. Passwords must contain at least one nonalphabetic character (i.e., !, $, #, %)
All passwords are to be treated as sensitive, confidential information. If someone requests your password(s), please inform them that you cannot provide that information per Company policy and contact IT about the request. If you suspect an account or password has been compromised, report the incident immediately and change all related passwords.
Passwords should never be written down or stored online. Employees should try to create passwords that can be easily remembered. One way to do this is to create a password based on a song title, affirmation or other phrase. For example, the phrase might be “This may be one way to remember,” and the password could be “TmB1w2R!” or “Tmb1W>r~” or some other variation.
We can use firewalls, web filters, malware scans, and other security software to hinder phishing attempts but YOU remain the best defense. Here are some tried-and-true cybersecurity tips:
• Scrutinize the email sender. Some phishing emails alter one letter in the email address to make you think it is the sender. However, it is important to note that even legitimate emails may be comprised. Below is an example of a phishing email from a Harvey Cleary e-mail address.
• Don’t click links. Instead, try retyping the address in the browser window.
• Be careful with attachments, especially if you don’t recognize the sender or the email appears suspicious.
• Don’t open unsolicited email from people you don’t know.
• Be aware that spelling and grammatical mistakes can be red flags.
• Be wary of generic greetings such as “Dear sir,”.
• Avoid email that demands immediate attention.
• Beware of requests for your personal information, passwords, or login credentials.
Smart phones will be made available to eligible employees. All long distance charges for roaming and calls outside the U.S. will be charged to the employee, unless the employee is out on Company business.
Any downloads (e.g. games or other apps) will be the responsibility of the employee. The aforementioned charges will be deducted from the employee’s monthly vehicle allowance.
Refrain from using social media while on work time or on equipment we provide, unless it is work-related as authorized by your manager or consistent with the Company Equipment Policy. Do not use Harvey Cleary e-mail addresses to register on social networks, blogs, or other Online tools utilized for personal use.
If you need to work on a network other than Harvey Cleary’s, you will have to login to Cisco AnyConnect before you can access your folders on the S: Drive.
1. Click the ^ icon on the bottom of your task bar
2. Right Click on Cisco AnyConnect
3. Click Connect (the window should read vpn. harveycleary.com)
4. Enter your Harvey Cleary email address and your computer password and click OK.
Once established, the S: Drive should show up for you. If it does not show up then try restarting your computer. If it still does not show up or if you get an error message, then you pay have to remap the drive.
1. Search for Command Prompt in your task bar
2. Right click and select Run as Administrator
3. Type in gpupdate / force and click enter
4. Once this runs, the S: drive should show up again.
5. If you continue to have issues, email itsupport@harvey.assist.com
The majority of our permanent personnel have contact cards created in Outlook. To add the contacts to your Outlook (so they sync with your phone) you should do the following.
1. Click the three dots at the bottom of your left hand pane
2. Select Folders from the menu
3. Expand Public Folders
4. Expand DEH Corporate
5. Right click on the office you would like to bring into your contacts
6. Select “Copy Folder”
7. Navigate back up to your Outlook folder and highlight Contacts
8. Select OK
If someone leaves the company, you will have to delete them from your folder OR you can delete everyone and recopy the folder to your contacts. When you resync the folder, it will not remove those that are in your Contacts folder but not in the Public folder.
HR will send out a contact card to the office for any new hire that starts. When this happens, you should save the contact to your files. The contact may automatically be added to your larger “Contacts” folder, so you may have to drag him/her to the appropriate office folder.
Once added to your Outlook, the contacts should automatically sync to your phone. If they do not show up for some reason, you should:
1. Select Settings
2. Passwords and Accounts
3. Exchange (the account should show your Harvey Cleary e-mail address)
4. Make sure the contacts toggle is turned to green (on)
Email signatures are automatically added to your outbound emails. Please note when drafting a new email you will not be able to see the signature. The signature is attached once it passes through our email server. To test your email signature, send yourself an email. If there is a mistake on your email signature reach out to IT, itsupport@harvey.assist.com

All employees who have an assigned space in the building will be issued a key card. Key cards can be used to access our space before 8am or after 5pm (4:30pm on Fridays). Parking is on a first come, first serve basis in the back of the building. Please leave the majority of the spaces around the main entrance open for visitors. Employees should park under the first covered section of parking and beyond. No employees should park in the front of the building.
Visitors must check-in with the receptionist. Once checked in, visitors must be escorted within the Harvey Cleary office space by an employee. For safety reasons, visitors must be escorted by a Harvey Cleary employee at all times.
Harvey Cleary’s fitness center is provided for use by all regular full-time and part-time employees. The fitness center will be open from 5am to 7pm Monday through Friday. Only employees of Harvey Cleary are eligible to use the fitness center.
Proper workout attire must be worn. Employees should not use the facility while in regular work attire. Examples of proper attire include gym shorts, yoga pants, sweat pants, and t-shirts. Employees who return to work after using the fitness center should do so in their normal work attire.
A shower facility is available on a first come, first serve basis. Employees who use the shower facilities are responsible for providing their own toiletries and towels. The shower will be serviced by the cleaning crew each evening; please make every effort to clean up the communal shower after your use. We appreciate your help maintaining a space that can be enjoyed by all of our employees.
Contact your health care provider prior to using the facility for advice on types of exercises that are appropriate for you. Also contact your health care provider for advice on when to return to exercise following an injury or illness. Start out slowly and increase workout time and intensity gradually. Make sure to include a proper warm-up and cool-down into your workout routine.
The company is not responsible for any injury or accident occurring in the facility or during use of the facility including use of the locker room and shower area. The company is not responsible for any lost or stolen items left in the locker room or brought into the workout area. Any sweat left on fitness equipment should be toweled off immediately after use of the equipment. There is a 30-minute limit on all cardiovascular equipment (bicycles, treadmills, etc.) when others are waiting.

Conference and Huddle Rooms should be booked through Outlook when you are scheduling meetings. In Outlook, click the calendar icon close to the bottom of your window.
Once in the meeting invite, click Location. Your address book should automatically filter to “All Rooms”
First Floor Conference Rooms can be booked as single rooms, or you may need to book additional rooms depending on the number of people in your meeting. The chart below outlines maximum capacity by room.

Our suite is locked from 5 PM to 7 AM. Employees wishing to access the building and office after hours should use their fob key to enter. On Friday, our suite locks at 4:30 PM. If you need to call Building Security, their number is 301.493.5585.
Employees who are based in the office will receive a fob key for an assigned garage. Employees who work on a jobsite and visit the office can expense their parking to the project they are working on. Visitors can validate their parking, if they park at 6710 or 6700 garage, when they visit the front desk at our office.
All employees are eligible. You must complete the Fitness Center Indemnity Agreement and return it to Shea Sanderoff. Once you completed the agreement, Shea can will add the fitness center access to your fob key. Hours are Monday to Friday 5 AM to 8 PM. The exterior doors lock at 7 PM and the lockers lock at 8:30 PM.

Colorado Center offers an exclusive fitness center for tenants. To use this amenity, a signed liability form is required. This form must be submitted by the designated tenant representative to ensure the requester is an employee at Colorado Center. Send these forms to the Property Administrator for access. Allowing access to outside individuals may result in revocation of fitness center privileges. No outside instructors are permitted without consent from the management office. Fitness Center hours are Monday to Friday, 5 AM to 9 PM, and Saturday, 8 AM to 12 PM. The center is closed on Sundays and holidays when the building is closed.
