Knowing what information, you have within your organization, where it is located, who is accessing, and then determining how to utilize it, is vital in today’s technology centric workplace. Knowing what you have done, how you do it, and then figuring out how to do it better today than you did yesterday is the heart of Knowledge Management.

Processes and procedures make any organization function. The state of maturity of those processes varies greatly from organization to organization and from process to process. Program Management

Enterprise Program Management Capabilities - EPIC

Integrated SharePoint hub to manage the flow of information for users across an organizational enterprise, with emphasis on oversight and transparency.

Hartwood’s Enterprise Program Interactive Community (EPIC) is a SharePoint solution utilized to collect, align, and communicate information at the Headquarters Marine Corps level required to support the Defense Policy Review Initiative (DPRI). EPIC contains all the necessary components to manage a large-scale program starting with programmatic objectives broken down into goals and then aligned to the organization’s stakeholder/program support activities. Additional capabilities include Risk Register, Issue Log, Action Tracker aligned to the enterprise calendar meetings, External Request for Information (RFI) and Internal RFI tracker, as well as proactive email communication when timelines are due, or content is being shared.

Records Management

Digitized solutions to manage contextual records with streamlined processes to identify, categorize, and maintain accountability for each one.

Hartwood’s Command Records Operational Support System (CROSS) is a SharePoint solution utilized across the United States Marine Corps (USMC) to support commands with the programmatic aspects of administering their records management program in compliance with USMC and National Archives and Records Administration (NARA) policy. CROSS aligns the USMC Inspector General’s (IG) inspection checklist with capabilities to allow for 80% compliance just by the command utilizing CROSS. Enterprise search features specify the types of records a command may have across the USMC, to assist with FOIA (Freedom of Information Act), Legal, and other research requests.

Knowledge Management

Operational Support - Command Library

A centralized SharePoint site used to automate an organization’s current and historical artifacts, to support user collaboration and easy sharing of content, storage, search, and retrieval of information.

Hartwood’s Command Library is a SharePoint solution that properly aligns content to the major services of an organization via a streamlined construct of the organizational site and the utilization of pages. The command library has a Drop Box feature that allows users to drag and drop content into the library, select the service or capability it supports and then drives the user through selecting the metadata. Record Schedules are aligned to the services, which ensures each piece of content has an associated record schedule. As the name mentions, it makes SharePoint operate like a library, where the user can go to the section they want or just browse via search to see what is there.

Business Process Automation

Records, Reports, Directives, and Forms Management

Mobile application used to automate data collected from the initiation of an alterations process to completion, with real-time status updates, report generation, and data analysis features.

Hartwood’s Tailoring Request Information Management System (TRIMS) is a SharePoint solution created expressly to facilitate communications from different users at different locations within a complex. TRIMS allows the Government users to enter for each Flight of Trainees (USAF), what uniform alterations are needed, and associate the changes with the flight and individual trainee. The Tailoring team automatically receives the requests, and when the uniforms are transferred, the tailors can mark their progress as each item is completed. This allows the team supervisor to see where there may be a backlog and assign more help and allows the government from their remote position to see when a flight has been completed so they can release them. From the data collected, Hartwood’s supervisor is able to leverage the historical numbers to project staffing needs based on the number of trainees and the sex of the trainees.
