Modern communication is changing the event industry new technology is making events more attractive, convenient, communicative and interactive arge functions, exhibitions, meetings, conferences, congresses and events are central occurrences in professional and private lives. Appointments and travel plans are organised around functions and participants often remember particularly successful functions for a long time. Modern technology is here to change the events industry permanently. Good formats and function venues will soon not be able to do without audiovisual equipment and connectivity. Internet-based solutions create convenient opportunities for content generation, dialogue and broadcasting for organisers, lecturers, performers, facilitators and participants. The availability of and knowledge about the sensible application of such technology is becoming increasingly vital for the quality and attractiveness of a function venue. Guests and clients expect diverse, creative and modern communication solutions and functions. This requires much technical expense and planning ability. On the other hand smaller, lighter, more mobile digital technology is also making hiring and equipping

The internet now enables broadband transfer of words and pictures from virtually almost any place in the world in real-time. Moreover, the video phone service Skype has set the benchmark and brought video telephony into many households. However, not only words and video images are transferred by the latest equipment. The possibilities of holograms and 3D projections allow an intense experience of proceedings, discussions or even concert performances and elaborate shows. Above all this has an impact on the area of product presentation and premieres. In the future premieres of products staged in Europe or Germany will become rare in favour of worldwide consistent sales launches. By then, sophisticated 3D objects or holograms of people in the room will be able to be projected by highly technical solutions. Together with laser systems and well-

However, the actual event remains the centre of attention. The collective social experience of physically tangible objects in a group of people will still outlive the possibilities of transmission technology. A shared identity cannot be replaced by consuming content via a computer screen or cyber projection. Even if conference technology for virtual meetings and video conferencing saves travel costs and much time for highly-paid decision makers, certain social effects can only be achieved with direct contact (face-to-face).

Really talking to the audience The biggest problem with communication at functions is the channelling and abstraction of group and individual opinions. While presenters and protagonists are usually equipped with unlimited extras (microphones, video walls, discussion papers), there

is a lack of engagement with individual participants. Even procedures such as the “hanging microphone” or the presentation of questions and comments via an “audience counsellor” could only partially resolve these shortcomings which essentially gave a bad image to podium discussions or civic forums. today potentially all attendees with a capable and above all format-compatible interface are equipped to communicate their own opinion. The appropriate platforms – such as Twitter, Tumblr, Flickr or even Facebook – are also fast, compatible and available for free. The adaptation of pages and surfaces to the needs of the event can often be accomplished with little work. What is interesting for organisers and users alike: These technologies can also be used with little effort for documentation and external communication purposes virtually in real-time. In this way, comments and processes are simply copied in the current graphics format and, together with user

photos, supplement classic documentation through function portfolios and press photos. These contributions are also easily uploaded on to a particular website and so appear on the internet. At any time, however, a minimum of competent control and commentary on the part of the organiser is necessary. Simply displaying a progression of hashtags on the wall behind the podium is only the first step towards participant commentary. In order to promote discussion of opinions from the audience efficiently, presentation and condensation is also necessary which must be achieved technologically as well as personally.

This statement is more valid today than ever, as we head for the radical digitalisation of the world where the virtual space occupies wide areas of life and makes sure that all devices and objects are networked under the banner of the “evernet”.

urthermore, the predominance of users of in-house internet as opposed to mobile internet is decreasing steadily. In the future, mobile devices will dominate desktop usage conclusively. This is evidenced by the fact that in Germany in a typical year about 30 million smartphones are sold. That means increasingly that more diverse, faster and a greater number of responses are produced. The answer to this development is called multichannel targeting. That concerns the branded goods industry as much as the MICE industry. The goal must be to be present at all individual touch points of target groups in order to gather and administer marketing-relevant

data. The next step is to determine preferences and to select product or communicationspecific communities. A marketing strategy which forms from data collection alone would, however, be effective for a too short period of time only – it must be transformed into intelligent distribution marketing. It is therefore not good enough to content oneself with the increase of numbers of fans on social media channels. Besides analysis and evaluation, profiling and contextual targeting of user data is essential in order to increase the marketing impact. tools which support the transformation process long-term. The additional advantage is that the programmes or apps offered there are individually usable and do not give rise to any considerable costs. So how does this process work for the meeting and congress landscape in the digital age? First it is about finding and defining the relevant target groups. A clue is provided by the fact that the social crowd is conditioned to give assessments: Spontaneous and immediate responses through recommendations, reviews and rating are popular. Xing or LinkedIn are suitable platforms in order to get results in the area of business. By comparison, the large network players like Facebook, YouTube, Twitter and Google prove themselves suitable for the masses. A look at niche networks is certainly important and useful. These include for instance the dating app Tinder, the check-in app for different locations Foursquare, the app for restaurant, club and other recommendations Yelp or the app for searching specific ideas and products Pinterest. Moreover the interactive target group search supports re-targeting through the tracking process in order to approach specific users on different websites with targeted messages. After identifying the target group, shareability becomes the basis of any event. The success of which depends increasingly on how well it manages to involve the audience. Important keywords here are target group involvement, audience involvement and evaluation. Target group involvement. This process begins with participant recruitment, where specific target groups are given the opportunity to participate actively. Social scheduling is useful in this context: Tymefly for example enables joint scheduling of friends in social networks. Through Men‘s Sheds the organiser gains insights into the demographic composition of the audience (helpful for acquisition of sponsors). Check-in and ticketing apps like Boomset as well as electronic

guest lists such as Guestsort facilitate the organisational effort. Audience Involvement. During the event, Sli.do, Sopreso and other apps can be used to transfer questions and statements from participants to mobile devices. The attendee is therefore changing from a passive recipient to an active co-producer of an event. At the same time they must have the possibility to foster social contacts around the function. The cloudbased app Socialtables provides support in the search for friends or discussion partners. Evaluation. As fundamental as the interactive involvement of the audience before and during the event, is the work afterwards. The relevant contacts for the participants must be maintained after the function – for example through invitations to post-discussions, posts of pictures and other information as well as through marketing of future events. Such a communicative supply chain is essentially the building block for intelligent marketing. It creates the conditions for permanent customer retention and therefore for long-term business success. There are many participants with differing viewpoints about this debate. Full coverage of a congress with webcasts does indeed have many advantages for all:

W

hile many medical associations, PCOs and even lecturers themselves are still divided in their discussions about legal parameters, operation scenarios, refinancing and the significance or insignificance of multimedia records and broadcasting of lecture contents on the internet (webcasts), visitors to congresses and users of this media are already a big step ahead. They bring at least one, maximum two, sometimes even three devices with them to the congress, all of which are capable of accessing content from the internet. Smartphones in particular are hardly just phones these days, but also high-quality, digital recording and playback devices for video, audio and photos. They go to see lecture events at congresses with these “smart” devices and film or photograph content that they find interesting specifically and spontaneously – whether it is allowed or not. Added to this there is a general change in media use and expectations: congress participants nowadays expect information on the lectures before, during and after the functions. In fact, they expect this exactly as they are also used to in the private environment of current news: fast, current and available at any time.

If nothing else, today’s congress participants are more and more in a dilemma which can only be resolved through truly hybrid events: They are participants at the function, but cannot be present for the entire congress due to close scheduling or budget planning. Furthermore, they must also review the contents of the lectures for colleagues or for their own study. Admittedly: Selected lectures are already being recorded from many congresses and made available in varying degrees on congress websites and in online libraries (media libraries) either to a restricted user circle or for free on the internet as webcasts. But the times are past in which lecturers decide for themselves beforehand what is relevant and important for the participants who are really customers and increasingly perceive themselves as such. An increase in quality and automation in the production method of streaming-based recording has a positive effect on the pricing of webcasts. Many things, therefore, speak in favour of PCOs and congress-organising companies actively applying themselves to the question about full coverage of the congress with webcasts as well as

The German stand is the largest stand at the exhibition. Conference hotels and congress centres, locations, city marketing organisations as well as event agencies and other service providers from the German conference and congress industry: With this diversity, Germany will present at IMEX 2014. In conjunction with the GCB German Convention Bureau, 231 exhibitors will show their range of products at the German stand on just 1,700 square metres.

Germany is a pioneer on the issue of sustainability The GCB has already been awarded IMEX’s “Green Exhibitor Award” for the organisation of the German stand the year before. A great incentive to make the issue of sustainability the focus in 2014 as well: So the catering service provider, Accente Gastronomie Service GmbH for example, uses organic,

regional and seasonal products as much as possible. For the construction of the stand, the exhibition construction company Mac Messe- und Ausstellungscenter Service GmbH and therefore a “Sustainable company powered by FAMAB” has been commissioned. In cooperation with CO2OL, Forest Finance Service GmbH, the CO2 emissions resulting from the German presence were assessed again and an environmental project is supported to compensate for the harmful emissions. Together with IMEX, GCB is also becoming involved in social issues: It makes donations to “Lichtblick” and “Maisha‘s Sewing Project”, both projects are located in Frankfurt.

From a catalogue on a mobile device to interactive functions Smartphones and tablets today are part of the basic equipment of a function participant and can no longer be separated from one’s professional life.

M

eanwhile, every fifth employee in Germany already receives a smartphone from his employer, 40% of employees also use their private device for work purposes (as of the end of 2013). Organisers have recognised this trend and invested accordingly in the creation of mobile applications. Since conference organisers like MCI and Interplan began to create the first event apps four years ago, the number of events with their own app has been increasing steadily. The first generation of apps had to show the programme of the congress and the exhibition catalogue on the mobile phone of the participant. The participants could and can thus organise their visit more efficiently than with printed event information. They access the always up-to-date programmes, department and exhibitor profiles, browse and filter them and thus create their personal schedule with just a few clicks. Apps offer exhibitors and sponsors the possibility of introducing themselves digitally and addressing interesting topics in new ways.

And organisers gain participant satisfaction in this way, save printing costs and therefore generate additional revenue. One of the biggest advantages which the first generation of apps already had over printed programmes, is the possibility of analysing user behaviour and therefore also participant preferences. So, organisers can

plan follow-up events better and demonstrate to participants and exhibitors the added value of the event through key figures. The range of functions of apps of the latest generation has increased considerably. Meanwhile the focus is primarily on making communication between participants, exhibitors and organisers more interactive. Next to continuing education, networking with colleagues and experts from the industry is one of the main reasons for participation in a conference. Modern apps fulfil this participant requirement with a personal networking function. After one-time registration, users have access to lists of all participants and can make contact with one another and coordinate schedules within the app without revealing private contact information. With modern event apps, communication has not only improved among participants, but also between exhibitors and participants. As of late, it is possible for exhibitors with the help of iBeacon and Geofencing technologies to respond actively to the participants relevant to them. Users then only receive news if

they are at a particular location and if they can be assigned to the exhibitor’s target group through their behaviour in the app. By searching for predefined items and by clicking on selected exhibitor profiles or products they quickly receive only the desired information which has added value for them. The creation of the latest generation apps also brings numerous advantages to organisers for communication with participants. Participants are actively involved in the function through feedback possibilities, live voting during the lecture and surveys. And vice versa organisers react immediately to feedback with the help of real-time updates and inform all participants through touchinformation about changes. All these functions change participant behaviour to events and will be continuously developed further in the future in order to improve the event experience and allow exhibitors an efficient response to their target groups. ast year Berlin was again able to further expand its position as the leading convention and conference destination in Germany. This has emerged from the current 2013 convention statistics* from visitBerlin’s Berlin Convention Office. Approximately 10.6 million attendees (+ 1% in comparison to 2012) came to 126,200 events (+ 2%) in the German capital. The number of hotel bookings generated by conventions and conferences increased by 1.5 percent to 6.7 million, which is around one quarter of all hotel bookings in Berlin. For the first time, the turnover generated by the convention and conference industry was more than 2 billion euros (2012: 1.961 billion euros, 2013: 2.019 billion euros). About 35,000 full-time positions have been secured by convention and conference commerce in Berlin.

Science and political conventions in Berlin

One in five attendees are international visitors to the capital

Berlin has established itself as an in-demand location for science and medical conventions. Measured by the number of attendees, conventions and conferences in the field of “medicine, science and research” are at first place with 14 percent (+ 2%), followed by “politics and public institutions” (12 percent). Associations are also increasingly discovering the German capital: 20 percent of all conventions were held by associations.

The number of events with an international character has remained almost the same in comparison to the previous year: approximately 18 percent had an international character (2012: 19 percent). The number of international attendees was 1.9 million (2012: 2.0 million); thus one fifth of attendees were international visitors to Berlin. At 1.8 days, the average duration of conventions in 2013 was around the same as the previous year (2012: 1.9 days).

The 25th anniversary of the fall of the Berlin Wall is a central focus at the stand of the Berlin Convention Office at this year’s IMEX in Frankfurt. Trade fair visitors will be able to gain an initial impression of the numerous events planned in Hall 8, Stand F 100-40/41 from May 20th to 22nd. For example, in the autumn a twelve kilometre long light installation – consisting of hundreds of balloons filled with helium – along the former course of the Wall will be the climax of the celebrations surrounding the anniversary. From November 7th to 9th this “border of lights” in the city centre will allow Berlin’s residents and visitors to the city get a feeling for how drastic the division that lasted almost three decades actually was for the population of the city.
