that you, your child and your family have joined us this year. Fair Oaks Preschool is a recreation based enrichment program, sponsored by the Fair Oaks Recreation & Park District (FORPD). Fair Oaks Preschool has the distinction of being the first preschool in Fair Oaks and was established in 1958. Originally run by the San Juan School District, it was taken over by FORPD in 2010.

This handbook is intended to inform you of the philosophy, curriculum, policies and procedures of our program. Please carefully read and retain this handbook for future reference. This parent handbook is subject to change. Parents will receive written notice concerning any changes. We are a license exempt preschool. This is granted to preschools that are part of a recreation program and offer enrollment tuition to be paid on a month-to-month basis.

Classes are designed to create a fun, educational, and nurturing environment that supports each child’s growth and development. Our classes are thoughtfully designed to meet your child where they are, with a flexible and routine structure that allows for both exploration and learning in a safe, supportive setting. Throughout the year, we emphasize cooperation, sharing, and social skills through a variety of activities such as music and movement, arts and crafts, academics, and supervised free play. Our classes are designed to foster curiosity and a love of learning while providing a structured environment to build important skills. Both classes are designed to help children develop at their own pace, ensuring each child has a positive, rewarding, and enjoyable preschool experience.

Curriculum

Our goal is to offer a balance of both teacher directed and child lead activities. We do this by providing a hands-on, sensory-rich, play environment that children can be fully involved in. This teaches the child to function well within a group, as well as independently.

Each session offers a specific theme to teach the children about the world around them. Along with developing fine and gross motor skills, we will focus on number and letter recognition, introductory levels of phonetic awareness and math concepts, science, art, writing, music, and creative movement. More importantly they will learn how to socialize, understand and express emotions, and contribute to the class as a whole.

Process Focused Not Product Based

All of our activities are focused on the process the child uses to create and not on the finished product. By doing this, we:

Fair Oaks Preschool staff will publish the school year calendar on Brightwheel prior to the start of the school year. Calendar & Closure Dates are subject to change at any time.

Snack & Lunch

Children are required to bring their own snack and lunch each day in an insulated (if necessary) lunch bag. Microwave & refrigeration access are not guaranteed so it is encouraged that children bring food that is ready to consume. We discourage candy & sugary drinks/foods.

WE ARE A NUT FREE SCHOOL. NO EXCEPTIONS- Please DO NOT bring food that contain tree nuts or peanuts to our preschool.

Birthdays & Special Events

Throughout the year, we will plan class parties and holiday celebrations. These events are typically planned during school hours and on the preschool site unless notified otherwise by the classroom teacher. Some events require parent involvement and others do not. You will be notified in advance of all events and requirements through Brightwheel and/or in class.

Class birthdays are scheduled on the closest class day before the child’s actual birthday. If this date does not work please let your teacher know so that we can reschedule. Children with summer birthdays have the option of celebrating their half birthday or celebrating in May before summer break. If you would like to attend, we encourage you to sign up to work on that day.

Staff will make efforts to be mindful of any religious and cultural accommodations or restrictions regarding holidays, birthdays, or other celebrations. Pro-rated fees will not be available in the event that class time is missed due to any personal restrictions.

Field Trips

Fair Oaks Preschool offers both on-site and off-site field trips throughout the year. All children MUST be accompanied by an adult for off-site field trips - NO EXCEPTIONS. If a fee is required, it will be collected in advance. Some trips allow for sibling attendance and some do not, always check with your teacher in advance.

Clothing

Clothes should be comfortable and safe.

Please make sure that your child can operate all fasteners on their clothing including snaps, zippers, buttons, etc.

Play clothes are highly encouraged as our program often involves hands-on messy activities and we do not interrupt children mid-creation.

Shoes must be close-toed and can be easily put on and off with minimal assistance. Please label any clothing that can be taken off (hats, coats, sweaters, etc.).

Bathroom Assistance

All children must be completely potty-trained before entering the program. However, we understand that accidents happen. If your child should need assistance in the bathroom, only you or an FORPD staff member is permitted to assist them. We ask that you send your child each day with a change of weather appropriate clothing.

We try our best to be accommodating but if your child has repeated bathroom accidents or proves to not be fully potty-trained, they may be removed from the program.

Pull-ups/diaper use are not allowed unless there is a medical necessity

Behavior Management

The goal of our behavior management approach is to show the children that we care and to help them develop self-discipline, self-control, and a positive sense of self. We do this by providing:

A positive and engaging classroom environment

Simple classrooms expectation that are inclusive and age appropriate

Opportunities for developing problem solving and critical thinking skills

Positive reinforcement

Action First Language

Open communication with parents/guardians

Bridging the gap from school to home

In the event, intervention is required, we follow a three-step behavior management process:

Step One: Redirection

Redirection is the act of refocusing the intent of a child’s actions in a safe and positive manner.

Step Two: Limited Choice

If the child continues the behavior, the teacher will provide two options for the child to choose from that are conducive for both the child and classroom.

Step Three: Removal

If the behavior continues, the teacher will direct the child to a new activity and inform them that they may return to the original activity when safer choices can be made.

If a child displays behaviors that are intentionally/consistently harmful to themselves, others or the classroom, the teachers and director will implement our three strikes policy.

Strike One:

A behavior report will be completed. The parents/guardians will be contacted and the child will be sent home for the remainder of the day or week.

Strike Two:

The same as above. Child will not be permitted to return until a formal meeting is held with the teachers, parents, and director to discuss options for success.

Strike Three:

Same as above. Child may be removed from the program.

We will take every step, within reason, to assist a child but we also understand that we may not be the right fit for every child. Therefore, the teachers and director may chose to forego the strikes process and remove a child if they feel it is necessary for the safety and wellbeing of all children of the program.

Please note: Due to confidentiality and safety reasons, the identity of a child, their family members, contact information, or individual behavior plans are not able to be provided in the event of an incident that occurs between children.

Parent Participation

Your First Day

Parking:

In-class Working Parents are asked to park in the back of the school and enter through the back door.

Drop-Off parents are asked to park in the front of the school and surrounding street parking.

In Class Work Days

Remember:

Take a deep breath, it is harder for you than it is for them.

We will call you if your child is having severe separation anxiety or is not adjusting. Always say “Goodbye”, “I Love You”, and remind them who will be picking up. Long goodbyes make separation harder for you and your child. Take pictures! They are going to have lots of fun!

Parent participation means a greater investment and greater return. The cooperative efforts of parents and teachers working together provides the best learning environment for young children.

The success for the Fair Oaks Preschools is a direct result of all parents fulfilling their responsibilities and commitments as listed below:

Complete required in class work days:

Two working days per session are required for Monday/Wednesday/Friday classes

One working day per session is required for the Tuesday/Thursday class

Work days are for the entire 4 hour duration of the class time

Parents will sign up for their in class work days, in advance, on a first come, first serve basis.

Sign Ups will be made available prior to the start of the school year on SignUpGenius. If signing up for a family member, please be sure to note the name of the child in which they are volunteering for.

Only enrolled children should be in the class during parent’s work days. Please find child care for siblings. Non-mobile babies in front packs / carriers are ok in the classroom.

Arrive 5-10 minutes prior and stay 10-15 minutes after the program to assist with set-up/ clean-up of the program.

Actively participate in overseeing of participants and assist in facilitation of activities for the day.

Wear informal, play appropriate clothing. You’ll be helping with art projects and class activities that may be messy.

Sit on the floor at circle time, model quiet respectful behavior, participate. Complete Live Scan (fingerprinting) prior to in class workdays. You must pass a background check through the Department of Justice (DOJ) prior to working in the class. Charges for Live Scanning are the responsibility of the family to cover.

Anyone volunteering in the class as a family volunteer must be age 18+.

Close relatives / family members age 18+ are welcome to get cleared and volunteer to cover your work requirements.

Once your Live Scan is complete, re-submission is not needed year-after-year. Use of alcohol, tobacco, vape, illegal drugs, or other elicit material is prohibited. Turn off or silence your cell phone when working in class, including field trips. HAVE FUN! This is a very special experience in your child’s development.

ALL volunteers must be TB tested and provide proof of passed TB test to Preschool Director via Brightwheel or email PRIOR to volunteering in the class. TB tests are the responsibility of the parent/guardian/family member to complete, and must be renewed every four (4) years.

Schedule Change/Cancellation:

If your schedule changes and you cannot work on your work day, notify the Preschool Teacher of the change and update your sign up on SignUpGenius. In the event your required Parent Participation work days are not met for an entire session, a $60 (MWF) / $30 (TTH) fee per session will be automatically charged to the payment method currently on file. Enrollment in our Parent Participation preschool requires parents/guardians to meet all inclass work day requirements. Failure to meet the requirements for two (2) sessions will result in child's immediate removal from the school. If you are unable to fulfill your session requirement, please contact the Preschool Director in advance.

Teacher Absences

Fair Oaks Preschool staff try their best to avoid teacher/staff absences - but illness, vacations, trainings, emergencies, etc. may require the staff to be out of the school. This can result in changes to the school year calendar or schedule that will be communicated to families as soon as possible.

In the event the teacher or class assistant is absent, the Preschool Director will take the following steps to fill vacancies:

Contact all Preschool Families and seek additional in-class working parents (ideal)

Work with available Part-Time FORPD Staff

Fill in on-site (if possible)

In the event adequate coverage cannot be found and filled by FORPD staff and additional parent support, the school will be closed and a refund will not be issued. In the event both the teacher and the class assistant are absent, the school will be closed and a refund will be processed in the amount of the daily rate.

Parent Visitors

Parents with special interests or exciting jobs are encouraged to reach out to their teacher for in-class demonstrations! It's fun for the whole school!

Examples include: Service workers (doctor/fireman/police), Musicians, Authors, Artists, etc.

Policies & Procedures

Enrollment & Registration Requirements

Children must be three years of age and potty-trained to enter preschool. Enrollment and a yearly registration fee per child are required. Students who are currently enrolled and their siblings shall have priority registration for the following year, general public registration will follow.

Waiting lists will be kept for one school year. When a class fills, a waiting list will be started. As openings become available you will be contacted by telephone and/or email. At that time you will be given a 24 hour deadline as to when you must register for the class. Feel free to call the Preschool Director to check your status on the waiting list. If you do not respond to the available spot by your deadline date, your name will be removed from the waiting list. At time of registration, you will need to provide:

Additional emergency forms and requests will be completed via Brightwheel following child’s registration and the required documents above will need to up uploaded.

After registration, you will receive an email from Brightwheel. The following documents will be completed and signed online and a copy of the documents in BOLD will need to be uploaded. A photo of the documents is acceptable as long as they are clear and legible:

Please Note: the registration fee is not held for future use. Registration fees are used to cover the costs of processing registration, which includes: mailers, rosters, finance and bookkeeping, and staff time and therefore cannot be refunded or transferred as a credit to other programs.

Enrolled children cannot be added to waitlists for other classes, regardless of age. This allows for new families to be able to enroll in the program.

Disenrollment

It is the goal of the Fair Oaks Preschool program to offer each child enrolled an opportunity to grow and develop himself/herself within the guidelines and curriculum of our preschool program. In the event that it does become necessary to dis-enroll a child, the following steps will be taken:

Notify parents or guardian of the child that there is a continued behavior problem. This will be done through behavior reports. Other potential reasons for disenrollment could be failure to pay tuition by due dates provided, failure to complete volunteer requirements, violation of Parent Handbook, general misconduct, etc.

Schedule a parent/teacher meeting to discuss continued behavior problem. Inform parent that if behavior does not change, then it may become necessary to dis-enroll the child. Schedule a parent/teacher meeting to discuss disenrollment. The Preschool Director will be present at this meeting. If disenrollment is necessary then the disenrollment will be as follows:

The child is no longer permitted to be a part of the preschool program. Any financial refund will be determined by the number of days the child has been enrolled during the session of disenrollment, and when the spot can be filled.

Voluntary Disenrollment

A two-week signed, written notice is required when removing your child from the program. Notices for the two weeks begin the day they are date stamped and tuition will continue to be charged until the notice has been received. Please notify the Preschool Director, in writing either by mail, 4150 Temescal St. in Fair Oaks, Ca 95628, or through email to mstoakley@forpd.org if you will be withdrawing your child from the program.

If you decide to re-enroll your child in the same school year of withdrawal re-admittance to the program is on a space available basis only and will require payment of account balance in full plus an additional $95.00 re-registration fee.

Tuition Payments

The Fair Oaks Recreation & Park District Tax ID# is: 94-6000529. Record keeping for tax purposes is the responsibility of the parent. The Fair Oaks Recreation & Park District billing department does not provide end of year statements. Preschool is not considered daycare for tax purposes.

Tuition is due two weeks prior to the start of the new session (i.e. session starts on August 20th, tuition is due August 6th.) A $50.00 late fee per child will be imposed on all tuition received and receipted after 4:30 p.m. on the due date. If the tuition due date falls on a Federal / District holiday, then the due date will be the next business day. Child may not attend school until tuition is paid in FULL. If tuition is not paid by 8:00 a.m. on the Monday before the scheduled session begins, your child could be disenrolled from the Preschool program. FORPD will invite the next person on the waiting list to enroll.

Tuition payments can be made by eCheck, Visa, MasterCard, Discover, and American Express. Automatic payments are highly encouraged. An additional $90 processing fee ($10/session) will be charged for manual tuition payments.

Payments will not be accepted at the preschool site.

Arrival & Departure

Dropping Off & Picking Up:

Step 1: Park in the front of the school and exit your vehicle with your child.

Step 2: Please wait in line. Please stand along the front side of the building, do not stand in the parking lot. If dropping off, talk to your child about school, if they are feeling anxious use this time to help them relax.

Step 3: When you reach the front of the line, you will will find a phone on the check-in/out table. Please enter your child's Brightwheel pin code

Select their photo to check-in/out and select "CONTINUE" at the bottom of the screen

Sign/Initial

Step 4: It’s time to go! Alert the teacher that you are checking in/out if they have not greeted you yet. If dropping off, assist your child in putting their belongings away then give a lighthearted goodbye. If picking up, remember to collect all of your child's belongings before exiting the building.

Safety:

It is mandatory that parents list names of persons authorized to take their child from the Preschool facility on their Brightwheel account. Your child will not be released to anyone not listed on your authorized pick-up list.

Over-the-phone and emailed authorization of release of a child to persons not listed on the release form will not be accepted.

Children are asked to arrive and depart the classroom through the front door. The doors are locked during class times

We ask that parents arrive no earlier than 10 minutes prior to class opening and leave the Preschool parking lot within 5 minutes after class begins.

The playground is closed to all public patrons during school hours

Please do not leave siblings unattended in your car

Early Drop-Off

Parents are not allowed for any reason to drop off their child before the scheduled start time of 9:00 am Monday – Friday.

Late Pick-Up

If an emergency arises that causes the parent to pick-up late, they are required to call at least 30 minutes in advance and inform the teacher of their estimated arrival time. Parents or guardians that pick-up their child after the scheduled closing time (12:00 pm) will be charged a late fee of $1.00 per minute starting with $5.00. This fee is to cover the cost of staff time.

If a parent/guardian is 1 hour late or longer without notice, staff are required to call emergency services.

Absence

If you know your child will be absent for a prolonged amount of time, please provide written notice to your teacher via Brightwheel. For emergency/unknown absences it is recommended but not required that you inform your teacher via phone, email, or Brightwheel messenger.

Pro-rated refunds will not be provided for planned pro-longed absences. Absence due to child’s medical issue may be approved on a case by case basis by the Preschool Director.

Classroom Sanitization

Increased Handwashing

Health & Safety

Children will be taught proper hand washing technique and will be encouraged to wash hands before and after playing with items or starting new projects

Hand washing is required before and after bathroom use and meal times

Supply Sanitization

All touch surfaces will be sanitized before and after each class

Toys & supplies will be bleached and rotated each session

Toys that encourage "hand to mouth" will be limited

Session Sanitization

Each session, the entire classroom will undergo a thorough sanitization of all surfaces, toys and supplies.

Illness

Your child’s health is of major importance to all of us. We require that parents inform us of any health problems.

Children with colds/flu/diarrhea/vomiting/other illness symptoms should be kept home for the first few days of their illness.

If your child has a temperature of 100.4 or higher, or has been vomiting, please keep him/her home for 24 hours after normal temperature returns without the use of medication.

Parents are urged to report any incidence of contagious sickness to the director and teacher.

In the event of a reported contagious sickness (i.e. COVID-19, Hand Foot & Mouth, Pink Eye, Lice, RSV, impetago, etc.), a notice will be sent out to any class(es) that may be affected. The District will follow any CDC / Sac County health guidelines when it comes to disinfection or sanitation of the school as soon as possible. Should an outbreak occur (high number of confirmed cases of illness - can vary depending on illness), the school may be closed for a given period of time, and the District may issue a refund.

If your child becomes ill at school, he/she will be isolated from the other children and parents or emergency contact will be called for pick up. There are no refunds for absences due to illness.

EMERGENCY INFORMATION

Emergency Communication Plan

In the event of an emergency, staff will work swiftly to ensure the proper communication channels are utilized to ensure all program participants and staff members are as safe as possible. The Fair Oaks Recreation & Park District has an Emergency Action Plan (EAP) for staff to follow for various types of emergency situations.

Should an emergency arise at camp, the following communications will take place:

1. Staff will assess the emergency and contact EMS / first-response team(s) if necessary.

2. Staff will contact the Recreation Supervisor & District Appointed Emergency Coordinator.

3. Depending on the emergency, staff will send an alert message via Brightwheel notifying all parents/guardians of the nature of the emergency and instructions to follow if necessary.

a. These messages will be sent directly via Brightwheel messages as well as SMS text message to the primary Brightwheel account member’s phone number. It is the parent / guardian’s responsibility to ensure that they have access and notifications on to Brightwheel messages and alerts.

b. Examples of types of emergencies where all parents will be notified immediately include but are not limited to; natural disasters, inclement weather, active shooter, etc. Emergency communications will be done in order of importance based on the assessed safety risks. Please note, while staff will do their best to stay in frequent communication, please remain calm, exercise patience, caution, and understanding as we navigate any emergency situation and are guided by emergency personnel.

Lock- Down

In the event of a life-threatening or similar emergency, Fair Oaks Preschool may go into lockdown. During lock-down, all entrances to the building are locked, windows covered when possible, and all program activities are suspended until the all-clear is given by emergency personnel. In the event of a lock-down, staff will follow directives from emergency personnel and contact families notifying them of the incident and any further action needed. (Example: “Fair Oaks Preschool is under lockdown due to an emergency taking place in LOCATION. Emergency Personnel are assessing the situation and we will update you on the status of our campers as soon as possible. Please do not attempt to pick up your child or approach the park until staff are given the all-clear.”)

Shelter-in-Place

In the event of a non-life threatening or similar emergency, Fair Oaks Preschool may go into a shelter-in-place. During a shelter-in-place, all entrances to the building are locked, windows covered if necessary, and program activities may continue or be modified depending on circumstance until the all-clear is given by emergency personnel. Staff will wait until the allclear is given to continue regular activities and organize camper pick-up if necessary. (Examples of Shelter-in-Place: Emergency taking place nearby but not on preschool property, anticipated weather event, nearby downed power lines, etc.)

Emergency Evacuation

In the event of a necessary emergency evacuation, program participants and staff will evacuate to the nearest safe area following directives from emergency personnel. During an emergency evacuation, staff will make all attempts to ensure that all program participants and staff stay in one place all together. Children will not be able to be picked up until the all clear is given by emergency personnel and staff regardless of evacuation location.

Injuries During Emergencies

In the event of an emergency, staff are prepared to render first aid as part of their training. If / when an injury goes beyond the scope of their trained capabilities, staff will rely on emergency personnel to assist any injured parties.

In the case of multiple injuries during an emergency, staff will assist as they are able while designating certain staff members to prepare for EMS arrival if necessary, assist with noninjured participants, etc. Staff will be required to complete accident/incident reports for each injury. In the event that an individual(s) are severely injured, staff will wait with the person until help arrives and then fill out a report.

Due to the unpredictability of emergency situations, it is vital to ensure that your child’s Brightwheel paperwork is completed thoroughly and kept accurate throughout the duration of the program that they’ll be participating. See District Policies & Procedures section for information on who will be contacted and when if a child needs to be picked up after an injury/illness. Please review the District waiver forms on Brightwheel for additional information.

In the event that it becomes necessary for a child(ren) to be taken off-site to a hospital by EMS, staff will make all attempts to identify the location of where the participant is being taken prior to EMS leaving the site. In the event that this is not able to be identified, or the child is taken by EMS prior to the parent/guardian making it on site, it may be necessary for the parent to contact EMS to determine the child’s location. Staff are not permitted to transport children in District or personal vehicles under any circumstances. See the waivers form in Brightwheel for details regarding medical and emergency releases.

Pick Up Procedure After Emergencies

If an emergency requires children to be picked up from preschool, staff will notify parents via Brightwheel when it is safe to do so. All check out procedures must remain the same as normal in order to ensure that all children are picked up from the location safely and by the correct person.

Bag Searches

Staff reserve the right to search any personal items such as backpacks, lunch boxes, etc. to ensure the safety of program participants and staff if needed. Staff will never seize personal property of children unless it is deemed unsafe, inappropriate, or violates rules / guidelines.

Emergency Cancellations

Should preschool be cancelled by FORPD staff due to inclement weather, threat of major illness (i.e. COVID-19 outbreak), or other emergency situation, you will be provided a prorated refund as applicable to the total time of cancellation at the discretion of FORPD staff.

Important Parent Note:

Use of Brightwheel is REQUIRED for all families, as it is our primary source of communication for families in emergencies as well as with providing essential personnel information regarding your child’s care if necessary. It is your responsibility to maintain your child’s personal information, your contact information, emergency contacts, etc.

Injury

Minor Injuries:

Minor cuts and scrapes that occur while at the preschool will be washed with soap and water only. An ice-pack and/or band-aid will be provided if necessary. The Teacher will document such injuries via the Activity Log on Brightwheel. The log will describe the nature of the injury, how it occurred and the type of first aid that was given to the child.

Major Injuries:

The teacher will immediately render first aid

Parents/guardians will be contacted as soon as possible EMS may be contacted if injury is life-threatening Teacher will complete a formal “Accident Report” that will be submitted to the Fair Oaks Recreation & Park District’s Human Resources office.

Medications

Please note that all head injuries are treated as serious injuries and will follow the steps listed above. The Fair Oaks Recreation & Park District allows children to bring any required medications or medical devices that are necessary for the safety and wellbeing on the child.

Medication/medical device, administration directions, and letter from the child's Doctor MUST be on Brightwheel file and kept up to date. District employees are not permitted to administer the medication or use the medical devices.

All items will be kept in a secure place and clearly marked with the child’s name.

ATTACHMENT A: PARENT AGREEMENT

I hereby agree to and understand that:

1. My child and I abide by the rules and regulations of the Fair Oaks Recreation & Park District Preschool program as outlined in the Parent Handbook.

2. My child must be potty-trained to enter preschool; however, accidents do occasionally happen. If at any time a child causes harm (including biting) to other children or staff and/or disrupts the preschool learning environment, they may be removed from the preschool.

3. The $95.00 registration fee is non-refundable. Please Note: the registration fee is not held for future use. Registration fees are used to cover the costs of processing registration, which includes: mailers, rosters, finance and bookkeeping, and staff time and therefore cannot be refunded or transferred as a credit to other programs.

4. The Fair Oaks Recreation & Park District does observe San Juan Unified School District’s LEGAL Holidays and certain additional teacher work days and therefore Preschool will not be in session on these scheduled Holidays. Holidays are included in payable tuition days. The Fair Oaks Recreation & Park District does not observe all San Juan Unified School District staff development or furlough days and therefore Preschool may be in session on these days. I understand I will be charged tuition according to my child’s class schedule even if I choose to keep my child home.

5. As the parent who signs the Preschool Registration Form I am solely responsible for paying my child’s tuition on time. I will pay tuition at least two weeks prior to the first day of each session. I am aware that I will be charged a $50.00 late fee per child if my tuition is not received by 4:30 p.m. on tuition due date. If the due date falls on a legal holiday, the due date will then be the next business day. I am aware that my child cannot attend school until tuition is paid in FULL. If tuition is not paid by 8:00 a.m. on the Monday prior to the first day of the session, I understand my child will be dropped from the Preschool program. FORPD will invite the next person on the waiting list to enroll. Re-admittance to the program is on a space available basis only and will require payment of account balance in full plus an additional $95.00 re-registration fee. In addition, participation in any Fair Oaks Recreation and Park District recreational program will be denied until tuition is paid.

6. Session refunds will not be prorated or processed once session payment has been paid.

7. Auto-withdrawal is highly encouraged. A $10 processing fee per session will be charged to those who choose to enroll in manual-payment.

8. It is the responsibility of the parent/guardian to contact the Preschool Director in advance to update or change the current payment method on file prior to the scheduled auto-withdrawal payment.

9. Record keeping for tax purposes is my responsibility as the parent. (The Fair Oaks Recreation & Park District Tax ID# is: 94-6000529.) The Fair Oaks Recreation & Park District billing department does not provide end of year statements. Preschool is not considered daycare.

10. In the event my required Parent Participation work days are not met for an entire session, I understand that a $60 (MWF) / $30 (TTH) fee per session will be charged to my payment method on file. Enrollment in our Parent Participation preschool requires parents/guardians to meet all in-class work day requirements. Failure to meet the requirements for two (2) sessions may result in child's immediate removal from the school.

11. In the event the teacher or class assistant is absent, the Preschool Director will take the following steps to fill vacancies: Contact all Preschool Families and seek additional in-class working parents (ideal), work with available Part-Time FORPD Staff, fill in on-site (if possible). In the event adequate coverage cannot be found and filled by parent participation or by FORPD staff, the school will be closed and a refund will not be issued.

12. In the event both the teacher and the class assistant are absent, the school will be closed and a refund will be process in the amount of the daily rate.

13. I understand I must supply my child with their own daily snack. Fair Oaks Preschool is a NUT FREE school. NO EXCEPTIONS!

14. Brightwheel paperwork is a requirement of enrollment in the program. I understand all information must be kept up to date and current for the duration of enrollment in the program.

15. Brightwheel Communication will be used to send email notices, reminders, and text messages to families. At least one parent/Legal Guardian will subscribe to receive text messages and updates. Taxes and fees may apply based on phone carrier.

16. Fair Oaks Preschool utilizes Brightwheel for contactless drop-off and pick-up daily. It is the responsibility of the parent/guardian to provide Fair Oaks Preschool with all approved drop-off and pick-up contacts as Fair Oaks Preschool will not release the child at the end of the day to anyone who is not listed on their student profile. Each approved drop-off and pick-up person will be invited to create an account in Brightwheel to receive their unique pin code for drop-off and pick-up. This unique pin allows Fair Oaks Preschool to track if the person is approved and who dropped-off and picked-up the child from our care each day. The parent/guardian of the child is responsible for the following: Adding and inviting approved persons to child’s profile, Notifying the approved persons that they have been invited to Brightwheel and are responsible for having access to or knowing their unique pin number. In the event a parent/guardian or anyone listed as an approved pick-up should share their unique code with anyone other than themselves not listed on the child’s profile, Fair Oaks Preschool will assume the person with the shared code matching an approved pick-up is allowed and able to take the child from our care. By doing so, the parent waives Fair Oaks Recreation & Park District and Fair Oaks Preschool of all liability

17. I will pay a $5.00 charge per 5 minutes after the session ends, or portion thereof, if tardiness should occur when picking up my child. Fine will be due at time of pickup of child.

18. As my child’s legal guardian, I am the only one who can take my child on Fair Oaks Preschool off-site field trips. I understand that I will drive and attend all off-site field trips.

19. I understand that I must notify the Fair Oaks Preschool if my child is sick, has a contagious illness, or symptoms that look like they may be a contagious illness. I also understand that if my child must be fever/rash/symptom free for 24 hours before returning them to school.

20. The Fair Oaks Recreation & Park District will allow participants to bring any required medication and/or medical devices such as EpiPens to our facilities but no District employee is to administer the medication or use the medical devices. Medication must be accompanied by a note from doctor. All items will be kept in a locked container (out of reach of children) and clearly marked with the child’s name.

21. I will provide a two-week, written notice of withdrawal from the program and pay any fees and/or balances owed due to withdrawal from the program.

ATTACHMENT B: BRIGHTWHEEL INFORMATION

Dear Parents,

We are using brightwheel, a tool for childcare management, communication, photos, videos, and much more. Brightwheel is proven to save time for staff, allowing for measurably more time with students, while also delivering a much better experience for parents.

Easy steps to follow:

1. Create a free brightwheel account. When you receive an invitation via email or text, please create a free parent account using either the web or mobile app. Make sure to use the same email address or cell phone number that the invitation was sent to.

2. Confirm your child’s profile. You will see your child’s profile after you create an account - you can confirm information such as birthday, allergies, and additional contacts. If you do not see your child’s profile, please contact us with the email address or phone number you used to sign up. You will not see updates within brightwheel until we start to use it regularly.

3. Set your account preferences. You can adjust your notification preferences within your profile settings on the app.
