CHARITY BENEFICIARIES
Each year, the organizers choose 1-3 charities to receive the bulk of the funds from the proceeds. These are called the Presenting Charities.
Presenting Charities are expected to provide at least 30 volunteers on race day to assist with the operation of the race. Presenting Charities are also required to promote race registration and to publicize the event to their organizations and partners. In addition, 5-10 other charities are chosen to receive smaller amounts in exchange for their contributions on race day. These are called the Contributing Charities.
Contributing Charities are required to bring 10-12 volunteers on race day to assist with the operations of the race. They are also encouraged to promote the race in advance.

All charities are required to send at least one representative to one planning meeting and two practice sessions for challenge stations. Charities who fail to meet this requirement may not receive a donation or may receive a smaller donation.
RACE TIMING & LOGISITICS
The organizers work with a race timing group to provide services for the race. These services include:
- Database Management
- Starting Gate Setup
- Starting Line Race Direction
- Finish Line Structure
- Timing All Racers Crossing Finish Line
- Reporting Race Times
STARTING LINE
The timing group will set up an inflatable starting arch under which all runners will pass to start the race. Officials from the timing group will line up racers at the gate according to their assigned start time. Using a synchronized clock, officials will send the racers on their way at their appointed time.
For the 2023 Amazing Race in Eustis, the starting gate will be at Trout Lake Nature Center.
FINISH LINE
The timing company will set up a finish line structure and track each team as they cross the finish line to compile an accurate list of finish times.
For the 2023 Amazing Race in Eustis, the finish line will be located on the grounds of the Eustis Historical Museum.
PRE-RACE PACKET DISTRIBUTION
The organizers will solicit a pre-race packet distribution site. This business location will be responsible for distributing the race packets in advance of race day. The packets include:
- 2 bibs per team (identical numbers for each team member)
- 2 race shirts
- Promotional materials from participating sponsors
- Clues for the race disguised as handouts or brochures
- A bag provided by a sponsor to contain the packet inserts
In addition, the organizers may choose to create a challenge that each person collecting pre-race packets must complete before receiving the packet.
The 2023 Packet Pick-Up Sponsor and Location are VyStar Credit Union.
PRE-RACE PICKUP REQUIREMENT
All teams residing within 25 miles of the race location are required to retrieve their packet in advance. Only one person is required to be present. A participant may retrieve for another team and a non-racer is also permitted to collect the packet. However, anyone retrieving at pre-race distribution may be required to complete a task.
RACE DAY PACKET PICKUP
Teams traveling more than 25 miles may pick up their race packet on race day. These teams must arrive at least 60 minutes before their scheduled start time. Teams must report to Ferran Park to the Registration tent (near the timing tent) to retrieve their packet. Nearby restrooms may be utilized to change into race shirts before the start. For the 2019 Amazing Race in Eustis, the registration tent will be located in Alexander Park in downtown Eustis. The tent will be marked INFORMATION/PACKET PICKUP.
RACE DAY REGISTRATION / CHECK-IN
SAME DAY REGISTRATION
Limited same-day registration will be available between 7:30 am and 9:00 am. Organizers cannot guarantee t-shirt availability for same-day registrants. Teams must report to Trout Lake Nature Center (by bus from downtown Eustis) to the Registration tent to pay $125 (cash or check), register and receive their packet. Generally, sameday starting times will be assigned for 30 minutes after registration is completed. Nearby restrooms may be utilized to change into race shirts before the start.
For the 2023 Amazing Race in Eustis, the registration tent will be located in Trout Lake Nature Center. The tent will be marked INFORMATION/PACKET PICKUP.
BUS TO STARTING LINE PROCEDURE
For 2023, all racers must report to the BUS STOP near Fountain Green at least 30 minutes before their scheduled starting time to board a bus for transport to the starting line. The starting line is at Trout Lake Nature Center but there is no parking available at the nature center and there will not be any transport from the finish line back to the starting line.
The best address for the BUS PICKUP LOCATION is 181 North Eustis Street, Eustis, Florida 32726.
EMERGENCY PLAN
The organizers are in contact with City and County governments with the purpose of providing a safe and enjoyable race experience. In case of emergency, the following organizations/services should be utilized.
MEDICAL SERVICES
Lake EMS is reached by dialing 911. In addition, we will have at least one nurse on the race course.
POLICE / SHERIFF
The organizers have coordinated with the Eustis Police Department.
FIRE
The Eustis Fire Department has two stations close to the course. They will be on alert that we are hosting an event. The department is staffed with paramedics.
RACER INJURY / EMERGENCY
All racers have been asked to provide an emergency contact in their registration. The master list will be distributed to Police, Fire, the on-site Nurse and all Executive Committee members (B.E., Bill, Jill, Paula, Robin, Tammie, Tim).
EMERGENCY EVACUATION
If any challenge station experiences an emergency or must be evacuated, organizers will direct that the station be skipped and an alternate route will be devised.
PHOTOGRAPHY & MEDIA
It is the intention of the organizers to have extensive media coverage and other private photography and video services.
MEDIA
A member of the executive committee is in charge of media relations. This committee member will organize interviews, direct reporters and photographers and issue press releases.
For the 2023 Race in Eustis, the member in charge of media is B.E. Thompson.
PHOTOGRAPHY
The organizers have contracted with a private photography firm to provide services on the day of the race. The firm will provide at least three photographers stationed throughout the race to photograph teams at the starting line, the finish line and completing challenges along the course. While the license for these photos is shared with the organizers, racers may download any photo online after the race. For 2023, organizers have contracted with eSportsphoto.
STARTING LINE PHOTOGRAPH SPONSOR
The organizers have secured a sponsor to pay for photos taken of the teams at the starting line. These photos will be available at the food & drink ticket table at the finish line. The sponsor will be responsible for giving these photos, along with the meal/drink tickets, to the racers after they finish the race. For 2023, the starting line photos will be sponsored by United Southern Bank.
VIDEO SERVICES
It is the intention of the organizers to have at least one person on the race course shooting video of the challenges.
VOLUNTEERS
The Amazing Race for Charity requires more than 200 volunteers to run all the events. Volunteers from each of the Presenting and Contributing Charities work with the volunteers from the Challenge Station Sponsors to staff challenges, work the Finish Line Festival, direct teams along the race course and man water stations. For the 2023 Race in Eustis, the member in charge of volunteers is Tammie Vinson
CHALLENGE STATION VOLUNTEERS
Some volunteers will be asked to work as a group to staff and run an entire challenge station. The organizers of the race will usually assign single charity groups to this task, as they know each other and will work well as a unit. The volunteer captain of the group will have already attended several meetings with organizers to learn the processes for challenges. The captain reports to the Quadrant Captain in charge of his/her station. The captain’s responsibilities are detailed in the section titled CHALLENGE STATIONS.
CHALLENGE STATION SPONSOR STAFF
Many of the challenges are staffed by the businesses which sponsor the station. Responsibilities are detailed in the section titled CHALLENGE STATIONS.
FINISH LINE FESTIVAL VOLUNTEERS
Some volunteers will be assigned to staff the Finish Line Festival at the end of the race. Responsibilities will include setting up tables and chairs, assisting racers at the registration table, directing teams to bathroom facilities, etc.
RACE COURSE VOLUNTEERS
Other volunteers will have the important task of directing teams along the race course. Volunteers will be placed at strategic points along the race to ensure that teams make the correct turns and find the next challenge station. It is imperative that race course volunteers be kind and courteous, but firm when making sure that race teams follow road rules and respect crosswalks and all traffic signals.
CHALLENGE STATIONS
To avoid backups, each challenge station should be able to accommodate 8 teams at a time. For many challenges, this means that the sponsor or charity will need to create eight smaller stations within their challenge station. All challenges must be set up and staffed at least 1 hour prior to expected team arrivals.
CHALLENGE STATION OPERATION
As teams approach the station, they are greeted by the staff and directed to the challenge. Instructions are given clearly and as quickly as possible. Staff makes sure the team completes the challenge properly and gives correction where necessary. If a team takes longer than the allotted time to complete the challenge, staff should move them along to the penalty portion of the challenge or send them to the next challenge.
CHALLENGE STATION CAPTAIN
The captain is either a volunteer or a staff member of the sponsor. The captain is responsible for making sure the challenge is properly staffed and that the challenge is stocked to handle all the teams that will participate. The Captain is required to attend at least one practice session in advance of the race. The Captain reports to the Quadrant Captain.
QUADRANT CAPTAIN
The Quadrant Captain is responsible for approximately five challenges along the course. The Quadrant Captain’s duties include making sure all challenges are set up and staffed on time, handling any issues that arise at those stations and ensuring that there are no backups at their assigned stations during the race. There are four Quadrant Captains, who all report to the Race Director.
WATER STATIONS
The Amazing Race for Charity requires at least one water station every two miles to hydrate the participants.
RACE WATER CAPTAIN
The Race Water Captain is responsible for making sure all water stations across the entire course are stocked and ready to serve racers. The Race Water Captain reports to the Quadrant Captain for Quadrant 2.
WATER STATION SETUP
Each water station must be stocked with at least twenty gallons of water, 300 cups, appropriate trays to hold the water, and garbage receptacles. Organizers suggest using muffin/cupcake baking tins to hold the filled water cups without tipping over.
Race organizers may choose to provide protein bars or energy packs to the stations to share with runners, but it is not required.
Water stations must be setup at least 1 hour prior to expected team arrivals.
WATER STATION STAFFING
Each water station must have at least 3 volunteers working to ensure proper operation. Volunteers are encouraged to dress in bright colors or costumes to cheer on the contestants.
WATER STATION CAPTAIN
The water station captain is responsible for ensuring that the station is properly staffed and stocked for the day’s event. The water station captain reports to the Race Water Captain.
FINISH LINE FESTIVAL
Usually located in a park, the Finish Line Festival is the main gathering spot for the race. Food, drink and music greet participants at the end of the race. The 2023 Amazing Race for Charity Finish Line Festival will take place at the Eustis Historical Museum and is sponsored by Corban Construction.
SPONSORSHIP
The Amazing Race for Charity organizers will secure a sponsor for the Finish Line Festival. The sponsor’s name is used in conjunction with the Festival and the sponsor receives a prime location in the park to set up a tent or other display.
FOOD VENDORS
Organizers will secure enough food vendors to feed the participants in the race in exchange for sponsorship. These vendors will setup at the Finish Line Festival and provide meals in exchange for meal vouchers distributed to the participants. In addition, food vendors are welcomed to sell food to other visitors to the festival.
SPONSOR EXPO BOOTHS
All sponsors of the race, including Challenge Station Sponsors, are invited to setup a booth or tent in the park to display their products/services.
AWARDS / ENTERTAINMENT
For the awards ceremony, a stage with sound equipment is required. The awards are presented at the end of the race.
Because the stage is already provided, musical entertainment is a good fit during the hours before the race officially ends and the awards are presented.
Racers will drop off their diaper donations here and wait to catch one of the buses from Alee Academy that will take them to the starting line at Trout Lake Nature Center.

The first bus should arrive by 8:50 – 8:55. They will wait until racers are ready to be picked up then continue on a loop until the last racer has boarded a bus.

Using only their mouths, they must inflate the balloons inside the cups and use the balloon pressure to maneuver the cups to stand in a pyramid. They cannot stack any cups by hand. Teams are given a picture of 3 ducks and a word on it that says what the ducks are looking for in a credit union. They find the ducks scattered on the ground in front of the museum. They bring their ducks to the “hitting area” and are given a tennis racquet. They try to get at least one duck into the pool (one of 4 available) that shows the item the ducks are interested in.
