Implementing New Measures for the “New Normal”

Protocol to Re-Open Offices • Offer anyone entering into the office PPE essentials (Masks, gloves and a non-touch body temperature scan) • Require all staff and agents to wash their hands frequently with soap and warm water for a minimum of 20 seconds • Offer guests hand sanitizer or the ability to wash hands upon entry and then when exiting • Staff, agents or guests “MUST” exclude themselves from visiting or working in any Daniel Gale Sotheby’s International Realty office with any signs of illness • Social Distancing using 6 to 10 feet as guidance • Increasing frequency of cleaning and disinfection • Inspect, and otherwise ready all mechanical, HVAC and safety, security and fire prevention systems.


Protocol to Re-Open Offices • Continue to leverage Zoom meetings or similar virtual platforms for group meetings larger than 10, including Sales Meetings • You may have in the same room as long as social distancing can be maintained • We will continue to check and replace air filters to ensure they are new and clean; using high efficiency if possible • Establish alternating days for staff that will reduce the total number of employees in our offices at a given time. • Providing staff and agents with up-to-date education and training on COVID-19 risk factors and protective behaviors (e.g., cough etiquette and care of PPE). • Train staff, agents and guests on use of PPE and require masks for all interactions where distance can’t be maintained with a 6 to 10-foot distance


Preparing the Physical Workplace • Ensure offices are properly sanitized prior to opening • Ensure all necessary cleaning supplies & PPE essentials are in each office • Inform staff of opening dates for proper planning • Provide notification to Daniel Gale Sotheby’s International Realty Associates • Install office signage to enforce guidelines & protocol • Limit office capacity to ensure social distancing


Supplies for Each Office

• Non-contact FDA Laser Temperature Scanners (20 units) • Spare batteries for temperature scanners • Approved disposable face masks available for staff and guests to be used in our offices and while performing real estate functions with buyers and sellers • Cleaning supplies • Signs notifying staff, agents and guests of policies for health and safety


Office Signage COVID-19 GUIDELINES & PROTOCOL 1. Please do not go to the office if you are feeling ill, have a fever or any underlying health issues. 2. You are required to maintain a social distance of at least six feet between yourself and the person in front of and behind you. Direct contact is not permitted. 3. Associates, staff and clients must wear a mask or other facial covering prior to entering the offce, and such facial covering must remain on at all times, unless you can maintain a distance of 6 ft. 4. All Associates and guests must sanitize their hands when entering the offce. 5. Sharing of resources such as phones, desks, computers, and writing instruments shall be eliminated where possible. If not, each user must clean the resources after individual use. 6. Encourage the use of virtual platforms and digital tools. Try to avoid or limit in-person meetings. 7. Prevent the use of any seating in common areas such as kitchens/conference rooms. Please ensure there is always DGSIR Associates: We encourage you to please bring your own face mask for protection as the disposable masks will be provided primarily for clients and staff.


Office Signage

Remain 6 feet apart at all times


I. Prepare Office locations for re-entry

a)

Inspect, and otherwise ready all mechanical, HVAC and safety,security and fire prevention systems.

b)

Sanitize/Clean entire office with products approved by governing authorities.


II. Protocol for assuring safe access to all Daniel Gale Sotheby’s International Realty offices

a)

Social Distancing (6 ft) must be maintained at all times when in the office.

Sales Professionals are encouraged to work from home if possible.

All Employees/Sales Professionals/Clients/Vendors are required to wear a face mask or other cloth face covering that completely covers the nose and mouth, unless doing so would be contrary to his or her health or safety due to medical conditions. In workplace settings where employees/sales professionals are working alone in segregated spaces (e.g., cubicles with walls, private offices, etc.), employees/sales professionals may remove their masks. However, everyone shall wear a mask or face covering from the time they enter the building until the time they arrive at their cubicle/workstation, and at any time they are leaving their work station and moving around common areas (e.g., in hallways and stairwells, going to the restroom or break room, etc.).

STAY AT HOME IF YOU ARE NOT FEELING WELL. Anyone reporting or being suspected of having symptoms of covid-19 or any other virus will be required to stay home until testing indicates the individual is safe to return to the workplace.

Offices will have limits on the number of people physically in the building at any time. See your manager for the specifics of your office.

Use of conference rooms will be restricted by the number of individuals based on social distancing parameters.

Based on availability, sanitizer dispensers will be installed at every main entry of each office as well as where there is shared use of any equipment or technology (copiers, printers, computers, kitchens).


II. Protocol for assuring safe access to all Daniel Gale Sotheby’s International Realty offices

i) After use of any shared equipment, any user will be required to wipe down keyboards, touch screens, countertops or any other commonly used surfaces with sanitizing wipes.

There will be one shared computer per office, all others will be disabled at this time due to the difficulty in ensuring cleanliness.

Copy machines will be available with appropriate wipes to disinfect after each usage.


III. Interaction with Our Customers and Clients

Conducting a listing presentation a)

Continue with “Virtual Appointments” (Zoom) if whenever possible. In the event an in-person visit to the property is unavoidable, the listing agent will follow all CDC protocol (Personal Protection Equipment [“PPE”] and Social Distancing) to limit any direct person-to-person contact. Other vendor services should be scheduled separate from the listing presentation appointment. Vendors (inspectors, stagers, photographers) should visit the property when the seller is not home, or with only the seller present.


III. Interaction with Our Customers and Clients

Showing properties Showings will take place based on the instructions provided by the listing agent. All CDC guidelines will be followed. Only the Sales Professional representing the buyer (a maximum of 2 persons may accompany the Sales Professional) are to be present at the showing. If the listing agent accompanies the showing, the listing agent should open the door and remain outside or wait in their car. If there are questions, they should be handled over the phone.


III. Interaction with Our Customers and Clients

Broker and public open houses a)

We recommend virtual broker and virtual public open houses for the immediate future.

b)

Actual broker and public open houses will only be allowed subject to restrictions on social gatherings issued through Executive Orders from State and Local officials. Adherence to all CDC guidelines will be required.


IV. Cleaning and Sanitizing

a)

All office cleaning will continue on the current schedule with a more rigorous disinfecting of commonly used surface areas.

b)

All facilities will be supplied with additional disinfecting tools as they become available.


V. Sales Meetings

a)

Branch Office Sales Meetings will be conducted via Zoom until gatherings of 20 or more are permitted.

b)

All other large group Company meetings or events will also be conducted via zoom for the time being.

I will immediately notify the real estate broker/agent listed below if I become symptomatic and/or test positive for COVID-19 within 48 hours of the last visit to the property.

The Real Estate Board of New York (REBNY) has put together this Coronavirus (COVID-19) Health Screening Questionnaire Form (the “Form”) which shall be distributed to all persons who are attending any in-person property showings and/or meetings with the undersigned real estate licensee (the “Broker”). This Form shall be distributed to all attendees within 24 hours of any scheduled meeting. Please understand that the purpose of this Form is to elicit information to help promote the health and safety of all persons who may be involved in the meeting and/or showing, and that taking precautionary measures to prevent the spread of the Coronavirus (COVID-19) is paramount to those efforts. The Broker (or any agent of the Broker) may cancel or postpone any in-person showing or meeting without prejudice or penalty upon any indication that a person who is attending the showing or meeting is exhibiting any symptoms of the Coronavirus (COVID-19) or any other cold or flu-like symptoms. The person signing this Form hereby acknowledges and agrees that: (i) the information requested on this Form is being provided voluntarily, (ii) the information provided on this Form is confidential and is not intended for use outside of determining whether an in-person showing or meeting can occur, (iii) the refusal or failure to answer each question below may result in the cancellation of any scheduled meeting or showing, and that the Broker reserves the absolute right, in their sole discretion, to refuse entry to that person; (iv) if the answer to any of the questions below is “Yes” that person will not be permitted to attend the in-person showing or meeting; (v) any person may be asked in the future to execute another Form in connection with a future meeting and/or showing; and (vi) they must notify the real estate licensee listed below if they become symptomatic and/or test positive for COVID-19 within 48 hours of the last visit to the property.
