Welcome to Cranmore

The Parents’ Handbook provides you with essential information about day-to-day life and routines here at Cranmore as well as provisions that are in place to ensure the well-being of your child.

Since its foundation in 1968, Cranmore has developed to become a leading independent school in South East England. In accordance with its Catholic foundation, Cranmore offers its pupils a rich, all-round education in a Christian environment centred around our values of faith, character, community, compassion and intellect. This commitment is fundamental to the school, inspires a range of activities and underpins its provision of sound moral guidance for the children in its care. We are determined that our pupils should achieve the highest academic, musical and sporting standards of which they are capable.

It is very important to us that our pupils and parents know who they should turn to for help and advice. At Cranmore we place great emphasis on the partnership between the school, the pupils and the parents. Communication is a vital aspect of that partnership and we recognise how important it is for you to know who to contact should you have a concern or a problem.

In the first instance, your point of contact for academic and pastoral concerns is your child’s Class Tutor It is part of the role of the Class Tutor to monitor your child’s academic and pastoral well-being and should you have a worry or concern you should talk to him or her first. If the Class Tutor is not able to resolve the concern, they will liaise with relevant colleagues or a member of SLT

The ethos of the School is firmly based upon the School Mission Statement.

Registration

Morning registration for pupils from Reception upwards closes at 8.40am. Any child arriving after that time must go to the School Office to register. Parents dropping off younger children after 8.40am should go to the School Office with their child and not to the classroom.

Absence

Parents are required to inform the School about their child being absent. Term dates are published well in advance and children should not be taking time off during term time unless it is due to illness or

an appointment which cannot be made outside of term time due to circumstances outside of the control of parents. Please refer to the Attendance Policy for further details.

Reporting an absence – Parents or guardians must inform the School office before 8.40am on each day of absence by either leaving a message on the absence line (01483 280340, Option 1) or via email to office@cranmore.org, copying your child’s Class Tutor.

Illness – if your child is unwell, we ask that you keep them at home to ensure that they recover fully and to reduce the risk of infection to other pupils and staff. In the case of vomiting or diarrhoea, you must keep your child off school for a period of 48 hours since the last bout of vomiting or diarrhoea.

If children are feeling unwell or are injured during the school day, they should inform a member of staff who may send the child, accompanied by another pupil or staff member, to the School Nurse.

Should a child need to take medication during the school day, it must be handed in to the School Nurse. Pupils are not permitted to carry medication with them except for pupils from Year 4 who have been prescribed a relieving inhaler. A parent or guardian must also complete a Permission to Medicate form and give it to the School Nurse. If you or an adult are not dropping your child off, please ask your child to bring the medication to the Nurse and ensure that you email a Permission to Medicate form which is available from the School Nurse.

Medical and Dental Appointments – wherever possible, we ask that these are made before school, after school or during school holidays. If you need to collect your child from school during the day to attend an appointment, please:

• Inform the School Office and your child’s Class Tutor in advance, completing the absence request form in advance and providing the required evidence.

• For pupils in the year groups up to and including Year 6, please come to the School Office to collect and sign out your child.

• For pupils in the Senior School, they must sign out at the School Office and may meet you in the car park.

If you are bringing your child to school after an appointment, please bring them to the School Office where they will need to sign in. Senior School pupils may sign in unaccompanied.

Absence for any other reason – requests for absences for any other reason should be submitted to the Headmaster on an Absence Request form. Requests must be made at least two weeks in advance. Parents should note that such requests may be recorded as an unauthorised absence.

Attendance

We believe it is vital that pupils are in school as often as possible so that they can make the best possible progress. The health and wellbeing of children is of paramount importance, and we wish to support all parents who have any concerns about their child’s wellbeing, but we must reiterate that the statutory attendance percentage is 95%. Should your child’s attendance fall below the 90% threshold, a member of staff will contact you. Anything below 85% may result in the School having to liaise with the Education Welfare Services for more organised intervention.

Travel to and from School

As part of the Effingham Schools Trust, we operate bus services to and from Cranmore and some shuttle services between Cranmore, St Teresa’s and Manor House. Details of the services can be found on the School website or by contacting transport@cranmore.org.

From Year 7, pupils may walk or cycle to and from school provided that their parents have written to the Deputy Head requesting permission. If cycling, children will be expected to wear the appropriate headgear and follow the Highway Code. Bicycles must not be ridden in the school grounds and must be locked in the appropriate racks. The School cannot accept any responsibility for damage or theft. During the winter months, suitable lighting must be displayed and appropriate reflective clothing worn.

If parents wish for their child to be collected from school by taxi, this should be arranged in advance and the School must be informed. The School will need to be provided with the name of the taxi company and, preferably, the name of the driver and their carriage number. The driver will be required to collect the pupil from Reception after showing their ID. The School will not book taxis on behalf of parents.

The school provides supervised wraparound care from 8.00am to 6.00pm during term time other than on the three days when full terms end and care ceases at 4.15pm. Parents/guardians must collect their children by 6pm or, if later, the end of an after-school event for example, concerts and performances. We understand that occasionally, parents/guardians may experience delays that are caused by events outside of their control such as public transport failure or road accidents. In case of unavoidable delays, parents/guardians should notify the school office before 6pm when the school closes. The welfare and safeguarding of our pupils is paramount and in the event that pupils are not collected and there has been no notification by parents/guardians, the School may need to notify Children’s Social Care, if it is deemed necessary.

Car Park

We have a large car park with an overflow that is used at busy times. There is a drop off zone which should only be used to drop off pupils who can quickly and safely exit the vehicle with all their belongings. Should children need assistance, parents are asked to park in one of the spaces provided

as this eases traffic flow for everyone. Parents must not park in the drop off zone or the coach parking lane. The car park is a busy area and we ask that all users are considerate to one another and staff on duty. There is a speed limit and children must be adequately supervised by an adult. Adults and children are requested to use the footpaths only and to cross the car park using the marked pedestrian crossings. For Safeguarding and Child Protection purposes, pupils must not arrive, or be left unattended, on the school site before 8am.

Cellular devices

Pupils are not permitted to have cellular devices in school. Cellular devices include mobile phones and smart watches with cellular features. Should there be a requirement for pupils to have a cellular device for the journey to and from school, pupils must hand in mobile phones to the School Office when they arrive at school and collect them when they leave school each day. Cellular functions on smart watches must be disabled during the school day. Failure to follow these procedures may result in a sanction.

For Child Protection and Safeguarding purposes, parents are also politely asked to not use their mobile phones on site.

School Closure

Should it be necessary to close the School, a notice will be posted on the school website. Parents will also be notified by text message and email.

Assembly

Assembly or class prayers take place every morning and each child can participate in a class assembly.

Mass

School Mass occurs twice a term with different year groups attending each Mass. The whole school attends Founder’s Day Mass in the summer term. Parents are invited and welcome to join us for any of our Masses.

Examinations

Parents will be notified in advance of fees payable to Examination Boards for any public examinations.

Pupil equipment

Reception - Year 3: All stationery is provided for the children within their classrooms.

Years 4 - 6: Pencil case, pencils, ruler, rubber, glue stick, scissors and colouring pencils. Once pupils receive their pen licence towards the end of Year 4, they may use a roller ball pen and/or a fountain pen. A protractor and a pair of compasses are required for Maths.

Senior School: Pencil case, roller ball pen and/or a fountain pen, pencils, ruler, glue stick, scissors, rubber, colouring pencils. A protractor, a pair of compasses and a 'CASIO ClassWiz' scientific calculator are required for Maths.

Pupil equipment storage

From Reception – Year 3, children each have a peg on which to hang their blazer and an area to store their kit bag. From Year 4, pupils have lockers in which to keep their books and bags. It is the school’s policy that lockers should be kept closed but not locked and pupils must only access their own locker. Bags should be of a suitable size to fit into the locker. Parents are advised that all items should be named and pupils should not bring valuable possessions into school.

Uniform

School uniform can be purchased from our online suppliers, School Blazer; www.schoolblazer.com.

The Cranmore Parents Association (CPA) run a Second-hand Uniform Shop, situated by the car park in the green hut. Currently, the second-hand shop is open on Friday mornings from 8.30 - 9.30am. All pupils are expected to look smart and well-kept at all times. Parents are kindly asked to inform their child’s class teacher/tutor if they do not have an item of school uniform.

Male students’ hair should not be longer than collar length. If it is, however, it must be tied back with a black, navy blue or brown hair elastic band. Styles where lines and/or shapes are cut into the hair, skin fades and coloured hair are not acceptable, nor is a haircut shorter than a ‘Number 2’. Nonconventional hairstyles are not permitted and the School is the arbiter of what is considered “nonconventional”. If in doubt, please contact the School. Shaven or totally plucked eyebrows are not acceptable.

In hot weather, when the Headmaster/Deputy Head gives permission, shirtsleeve order may be adopted; this is open-neck shirt (without tie) and shirt sleeves rolled to the elbows; no blazer or pullover should be worn.

Communication

Contact details

It is very important that we have current contact information for all pupils at all times. Therefore, parents are asked to ensure that they have provided the school with their:

• Address

• Email addresses

• Contact phone numbers and

• Details for an emergency contact to be used in the event that parents cannot be contacted

Any changes must be notified in writing (email is acceptable) to the School Office.

Calendar

The School publishes an on-line calendar which includes live updates. Parents are asked to consult the calendar in the first instance for details and times of events. If information is still unclear, they may call the School Office. Information about sports fixtures is on the sports portal accessible via the website.

Contacting Staff

We strive to build good relations between parents/carers and the staff thus allaying anxieties or concerns at an early stage. All staff have an email address following the convention firstname.surname@cranmore.org. Names of staff are available on the School website. Staff will endeavour to respond to emails within 24 hours, but at times it may be to acknowledge receipt and explain that further action is required within school before a comprehensive reply can be given.

If you wish to meet with a member of staff, it is preferable for you to make an appointment with them so that they may devote the proper time to discussing your concern. If it is imperative that you speak to a member of staff when you drop off or pick up your child, please go to the School Office. For Safeguarding and Child Protection purposes, we kindly ask that parents and visitors do not go straight to classrooms to try and find staff.

Pupils contacting home

You are reminded that pupils are not permitted to have cellular devices with them in school. Parents should confirm with their child what pick up arrangements will be each day as it is not always possible to pass messages to pupils during the school day. On some occasions, pupils may ask a staff member for permission to call their parents from the School Office, for example, to ask if they can play in a fixture at the last minute. Pupils may not call home to request that forgotten items are brought in unless in exceptional circumstances and a staff member has given permission. Pupils with an electronic device should not use it to communicate with parents or anyone else outside of school.

Sharing concerns with the school

In the event that pupils have a concern, perhaps with their work or with another child, there is always someone to talk to. Pupils should of course talk to their parents, but at school, they should speak to their Class Tutor in the first instance but may speak to any member of staff. At Cranmore, we aim to follow a ‘No Blame Approach’. It really does work. Whatever the problem is, children should not just bottle it up inside; we can help.

School Counsellor

Cranmore recognises how important a child’s wellbeing is in helping them to achieve their true potential. Children are seen by appointment following a discussion with parents or with pupils. If a parent would like their child to meet with the counsellor, they are encouraged to speak to their Class Tutor, Head of Year or a member of SLT Senior pupils can meet with the counsellor without parental permission.

School Rules for Reception – Year 3

The Golden Rules form the code of conduct for pupils in Reception to Year 3. These are:

• Do be honest

• Do be gentle

• Do look after property

• Do listen

• Do work hard

• Do be kind and helpful

For their safety, children must also be aware of the following rules:

• General Conduct: Pupils must show respect and politeness to one another, to staff and to visitors. Children must be punctual. Children must walk in corridors and staircases, keeping to the left.

• School Bounds: Pupils may not leave the school premises during the school hours unless accompanied by a parent or an authorised member of staff. The school buildings are out of bounds during break unless ‘wet break’ arrangements are in force. Pupils must not enter classrooms without the permission/presence of a teacher.

• Access: The door into the main building, under the covered walkway next to the Sports Hall, is open from 8.00am – 8:15am for children booked into Breakfast Club or being dropped off early. Parents should accompany their child to the dining room. From 8:15am – 8:25am children in Reception –Year 3 should be dropped via this door, where a member of staff will be waiting to greet them.

• Morning and Lunchtime Breaks: All pupils must go outside during break. Children will usually go outside during wet weather and wear the school cagoule. Sandwiches, fruit or other healthy food are the only snacks permitted and litter must be deposited in the bins. Fizzy drinks, crisps, biscuits and sweets are not allowed. All food must also be NUT FREE.

• Assembly: Silence must be observed before and after assembly.

• Fire Practice: On hearing the fire bell, pupils must WALK IN SILENCE to the tennis courts by the designated route.

• There are also special rules for behaviour in certain rooms of the school, in particular, the ICT rooms, and the Swimming Pool. These rules will be drawn to the attention of the children by the relevant staff.

Children are given merits/golden awards for good work, effort, good behaviour, politeness and for being caring. Awards for top merits are given weekly. Cups are also awarded each year.

School Rules from Year 4 – Year 11

Pupils are expected to follow the code of conduct as below:

• General conduct: Pupils are expected to show respect and politeness to one another, to staff and to visitors. Pupils should be punctual. They must walk in corridors and staircases, keeping to the left.

• School Bounds: Pupils may not leave the school premises during the school hours unless accompanied by a parent/carer or an authorised member of staff and have signed out with the School Office. Certain areas of the school are also out of bounds unless pupils are with a member of staff. These areas are the Swimming Pool, Changing Rooms, Gymnasium, Fitness Suite, Ski Simulator room, Sports Hall, Bridge and Henderson Fields, Kitchen and Tennis Courts.

• During break time, pupils are expected to go outside unless ‘wet break’ arrangements are in force or if they have a supervised activity

• Access: The main doors are open from 8.25am for children. Pupils should not come into the building before that time unless going to Breakfast Club or a supervised activity. Any pupil from Year 4 upwards, arriving before 8:25am, should go to the playground. Year 7 may wait outside their classrooms at the front of the school and should show exemplary behaviour.

• Food and Drink: Sandwiches, fruit or other healthy food are the only snacks permitted and litter should be deposited in the bins. Fizzy drinks, crisps, biscuits and sweets are not allowed. All food must also be nut and sesame free

• Fire Practice: On hearing the fire bell, pupils must WALK IN SILENCE to the tennis courts by the designated route and line up as directed.

• Playground: Size 1-3 footballs are allowed but they must be soft. Contact games are not allowed in the playground where there are areas reserved for the different age groups. There is usually one area reserved especially for the older children. Senior pupils are permitted to use a size 4 football when playing on the tennis courts, the astro and the playing fields. Balls are not permitted in designated quiet areas.

• Going Home: After classes finish, pupils from Year 4 to Year 6, who are not attending after school clubs or sports training, go to their collection points where they wait with the teacher on duty. These pupils are not allowed to leave school until they have been signed out by the member of staff on duty. Pupils not collected by 4pm will be brought back to Late Class where they may read or complete prep until collected by a parent or carer. Parents and carers must come to the library, via the school office, to collect pupils in Years 4-6. At 5pm, pupils remaining in Late Class will go outside

and must wait behind the white line by the Sports Hall. Any child still waiting after 5 minutes will be brought back in and taken to ‘Extended Day Care’ and must be collected by an adult.

Senior Pupils (Year 7 and above) make their own way to the car park to be collected. Pupils not collected by 4.30pm will be brought back to Late Class. At 5pm, pupils remaining in Late Class will go outside and must wait behind the white line by the Sports Hall. Any child still waiting after 5 minutes will be brought back in and taken to ‘Extended Day Care’ and must be collected by an adult.

• At Cranmore anti-social habits such as chewing gum, spitting, bad language and disrespect are forbidden.

• The Library is a quiet area. Pupils should follow the instructions for borrowing and returning books. Pupils should wait outside the library until a teacher or the Librarian is present.

• Pupils must not bring any portable electric devices such as Kindles, cameras, cellular enabled smart watches, mobile telephones or electronic equipment such as electronic games, iPods, or MP3 players into school, unless instructed to do so. Pupils who travel independently to or from school may bring a mobile phone which must be handed in to the office at the start of the day and be collected when the pupil leaves. If a pupil is going to an away fixture or activity, they may collect their phone but it must not be used until after the fixture or activity is finished.

• All pupils and parents are required to read and sign the Acceptable Use Agreement on a yearly basis.

• All pupils are expected to attend the Carol Service and pupils in the top year groups in the Senior School will be invited to attend Prize Giving in the summer term.

In addition, all pupils should follow the instructions below:

• Wait quietly outside classrooms until given permission to enter.

• Enter lessons on time, smartly dressed, with all necessary equipment and stand quietly behind desks until asked to sit down.

• Sit down quietly and prepare yourselves for the lesson.

• Listen attentively when the teacher is talking.

• Put your hand up if you wish to ask or answer a question but do not interrupt unnecessarily.

• Ask yourself “Does my behaviour prevent another child from working?”

• Sit correctly at the desk.

• Work in a satisfactory manner for the lesson and stop work when told to do so by a teacher.

• Be ready to leave class in an orderly and quiet manner at lesson change over time.

• Leave the classroom in an orderly manner - chairs pushed in, litter placed in bins.

• Do not run in the corridors, keep to the left, preferably in single file. Move along the corridors quietly.

• Never go into another pupil’s locker or desk.

• Lockers in all locker areas must be kept tidy and closed shut. No bags should be visible.

• Enter and leave assembly quietly.

• No trading of goods on site.

Rewards and sanctions

A positive, friendly, child-centred approach is adopted. The relationship between staff and pupils is one of trust and warmth. Pupils are praised for their efforts and achievements as well as for politeness and showing a caring attitude to others. It is our aim that children learn to take responsibility for their attitude towards others and for their behaviour and their efforts.

Merits/Distinctions

Merits are awarded for hard work, good effort and for being polite and helpful. Distinctions are also available for pupils in Year 7 upwards.

There are six Houses that operate throughout the school and each House has a House Captain and a Vice Captain. Pupils are placed in a House when they join the school and will remain in the same House as they move through the School. Siblings are put in the same House.

At the end of each week, the House with the most merits in each School wins a cup, with further cups being awarded for sports and music events, as well as for final merit totals at the end of each term and academic year.

Colours: Colours are awarded for outstanding commitment and achievement in areas of school including sport, music and drama.

Sport at Cranmore

Cranmore encourages sport for all and aims to give all pupils the opportunity to represent the school in sport. Staff will support and develop pupils throughout their time at Cranmore. Pupils are equally expected to show commitment and sportsmanship.

Participation in lessons

Parents of pupils wishing to be excused from a Games or PE lesson are asked to send an email to the Director of Sport, copying the pupil’s Class Tutor, explaining the reason for being excused from the lesson. Pupils unable to participate will be expected to observe the lesson. If a pupil has sustained an injury that prevents them from participating in a sports lesson timetabled for the afternoon, permission may be sought for parents to collect the pupil before the start of the lesson. Pupils must only be collected from the School Reception and signed out.

The correct sports kit must be worn at all times. Any pupil wearing a watch should remove it at the start of a lesson and give it to a member of staff to look after. Mouth guards are compulsory for rugby (Year 4 and upwards) and hockey (Year 2 and upwards).

Practices

For pupils in Year 4 upwards, there is sports practice on one afternoon per week after school. All pupils are welcome and those representing the school in the higher teams are expected to attend all sessions.

Representing the School

When pupils are selected to represent the school, they are expected to be available. School fixtures take priority over activities outside of school including club sport. However, exceptions can be made for pupils participating in a sport outside of school at district, county or national level. If children are unavailable, they must let the relevant sports teacher know no later than 48 hours before the start of the fixture.

Information regarding fixtures and teams can be found via the sports portal (SOCS) on the school website. Parents and pupils are encouraged to check this section for the most up to date details.

Pupils must wear the correct uniform and sports kits when attending fixtures and should demonstrate excellent behaviour as representatives of Cranmore. All pupils must attend match tea whether it is at home or away. Parents are expected to support this and are asked to not seek permission to take pupils home earlier.

Music at Cranmore

The standard of Music at Cranmore is high with many pupils approaching the high grades on their instruments or with their singing voice. In 2025, two pupils achieved Grade 8 and one of those went on to achieve a diploma.

Pupils have the opportunity to learn many different instruments and participate in choirs and instrumental ensembles. Visiting Music Teachers (VMTs) attend on a weekly basis to provide lessons and run ensembles. Parents may request music lessons for their children from Year 1 upwards by completing a music lesson request form available from the School Office or musicadmin@cranmore.org. The Director of Music will advise availability. The contract for lessons is between parents and the VMT.

Pupils are encouraged to perform at assemblies, afternoon concerts, musical evenings, instrumental workshops and internal and external competitions. Cranmore has a long-standing association with Grange Park Opera and our pupils often audition to take part in their productions. Professional music groups are invited to run pupil workshops and perform at Cranmore Live each year. Past acts have included London Community Gospel Choir, Nicola Benedetti, National Youth Jazz Orchestra, Stringfever and Gesualdo Six.

Parents of pupils who learn a musical instrument out of school are asked to keep the Director of Music up to date with their child's progress to ensure they are also given opportunities to perform. All pupils also can take ABRSM examinations on site each term. The ABRSM Theory of Music syllabus is taught in Years 4 and 5 and those pupils who wish to continue their study beyond Grade 2 can then do so in smaller groups and with a specialist theory teacher.

Pupils who learn a musical instrument in school will receive a timetable for these lessons from their VMT. Most individual music lessons take place during the school day on a rota system and necessitate pupils being out of class for the duration of their music lesson. Pupils are expected to obtain catch up work from teachers for academic lessons missed. A limited number of pupils, for example those who learn two or more instruments in school or are in Years 10 or 11, will be given a fixed, out of curriculum time lesson.

Progress Department

Our aim is to identify pupils throughout the school with needs additional to, and different from, those that can be addressed within the classroom. We aim to provide equal access for all pupils, and target additional learning needs at the earliest opportunity, so that all pupils have equal opportunity to reach their full learning potential.

Any students who may need additional support will be assessed and/or observed by a member of the Progress Department before deciding on whether specialist input is required. The Progress Department also relies on:

• Referral reports from parents or outside agencies, submitted at the time of application to the school

• Medical records for each pupil

• Cause for concern from teachers

• Cause for concern from a pupil

• Cause for concern from parents

• Classroom assessments, including whole year assessments as outlined below

• Individual assessments, informal or formal, conducted by Progress staff

• Formal assessment from external agencies such as educational psychologists and other specialists

Once pupils have been identified as requiring extra support, whether that be short-term or long-term, the Progress Department monitors each child’s progress, through on-going assessment and observations.

Progress in the Prep School

Reception to Year 3

If a child requires extra support, the Class Teacher will discuss their concerns with parents, and also raise their concerns with the Head of Progress and Head of Prep. The Progress Department will then be in contact to arrange a meeting with parents and teacher to discuss the support available.

If a child receives additional support in the term prior to a child moving up to the Year 4, a member of Progress will discuss with the parent, the support available for the pupil.

Year 4 to Year 6

If a child requires extra support, the Subject Teacher will discuss their concerns with parents, and also raise their concerns with the Head of Progress or a member of the Progress Department. The Progress Department will then be in contact to arrange a meeting with parents and teacher to discuss the support available.

If a child receives additional support in the term prior to a child moving up to the Year 7, a member of Progress will discuss with the parent, the support available for the pupil in Senior School.

Progress in the Senior School

If a child requires extra support, the Subject Teacher will discuss their concerns with parents, and also raise their concerns with the Head of Progress or a member of the Progress Department. The Progress Department will then be in contact to arrange a meeting with parents to discuss the support available.

Extracurricular activities

Cranmore offers a wide range of extracurricular clubs which vary from term to term. Pupils are encouraged to participate in the activities offered, taking into consideration the demands of academic study and other activities in which the pupil may participate.

Club bookings are made online before the end of the previous term. Allocations are shared in advance of the start of each term.

Some clubs are provided by external providers and there may be a fee associated. Pupils are expected to show the same courteous standard of behaviour as they would to a Cranmore member of staff.

Homework

Homework is important as it will consolidate what has been taught in class and will help pupils to organise their own work. However, it should not cause undue anxiety. Parental assistance with homework will of course be greater for younger pupils. As pupils progress through the school, we expect parents to assist less but remain vigilant about whether their child is taking too long on homework. In such cases, they should ask the child to stop after the allocated time and write a note for the teacher explaining how much was completed during the allocated time. At the start of the academic year, pupils and parents will be advised of the homework timetable. Homework is also posted on the VLE for pupils in the Upper Prep and Senior School.

Fees

Fees are billed termly. Invoices are emailed to parents well in advance of the start of each term and fees are payable by the first day of each term. Fees are available on the website and any changes are notified to parents in writing.
